Under the recommendation of the Faculty of English – Vietnamese University of Commerce, I have the opportunity to experience as a trainee in the Import-export department of Huynh Cat Long Co., Ltd After a month (from January 4th 2016 to January 29th 2016), with the help and guidance of all staff in the company, I was able

to apply the knowledge I learned into practice and also get the basic information serving to finish this report

Previously, the predecessor of the company is a retail store specialized in auto spare parts and auxiliary parts of automobiles and other motor vehicles Then, the developing of market mechanism has promoted the establishment of the Company The company headquarter is at group 16, Hung Hoa district, Cong Hoa ward, Quang Yen town, Quang Ninh province and the company trading office is at number 484, group 16, Hung Hoa district, Cong Hoa ward, Quang Yen town, Quang Ninh province The company has a charter capital of 10 billion VND When starting a new company operated mainly in importing spare parts and accessories of automobiles and other motor vehicles from local companies and then redistributing to the stores and other companies nearby At the time being, the company has not paid attention to promoting and expanding the market However, the market demand and the new market mechanisms have promoted the business to import spare parts of cars and motor vehicles from Chinese manufacturing companies and distributed to other stores and companies in the whole country

1.2 The functions and mission of the Company

The main functions of the company: organizing and distributing imported auto parts and motor vehicles according to business registration and incorporation purposes The missions of the company: distributing the best products meeting the customer’s needs; promoting products and expanding markets Improving the material and spiritual life, fostering and improving education level for professional staff and employees in the company

1.3.2 The functions of each department

The organizational structure of the company is quite simple, in which:

Director: Managing the whole company and making decisions

Deputy Director: being responsible for the management and operation of the departments and supporting the Director in corporate governance

Import-export Department: taking responsibilities for developing and implementing the plans for loading; implementing and monitoring the opening to receive the goods declaration on required deadlines; developing and implementing customs reports in line with the customs laws; proposing creative ideas to improve and enhance the quality of the department work

Sales Department: establishing and implementing the business plans; setting and dealing directly with the customer system, distributor system; coordinate with relevant department

Accounting Department: planning revenue and expenditure annual financial of the Company; taking charge of collecting and spending and examining the spending of capital funds, using of materials and tracking debts; implementing of accounting and financial operations of the company

HR administrative Department: advising the director about the organizational structure of the company; managing workers, staff and dispatching labor arrangements

Company specializes in the field of importing spare parts and accessories of automobiles and other motor vehicles from the company manufactures automotive parts in China The company’s market distribution concentrates mainly on the northern provinces such as Ha Noi, Hai Phong, Hai Duong, Thai Nguyen, Bac Giang, Lao Cai, Tuyen Quang,… and some other provinces such as Thanh Hoa, Thua Thien – Hue,

Currently, the company imports and distributes 570 automobile parts classified into some categories:

Machine parts: differential gears, cylinders, wheels, bearings, sleeves serge, spark plugs, pistons,…

The best-selling company’s products are on the list of machines, machine parts, automotive interior such as bridges, gearbox, differential gear, cylinders, tires, upholstery seats… This is the imported products from vendors such as DongFong, DongBen, Jiulong, Liberation, Huyndai, Howo, Chenglong Seagull,

From 2013 to 2015, the Company’s resource increased with the development and expansion of the company’s market The company employed both ordinary level, middle-level colleges and universities The number of qualified labor in the company was higher and higher, for example, higher education workforce increased from 17%

in 2013 to 22% in 2015 This represented that the company tends to employ highly qualified labor Vocational colleges decreased 10% from 28% in 2013 to 18% in 2015 The level of unskilled workers accounted for over 50% and was distributed mainly in sales department Because the characteristics of the business activities are mainly distributed products This division is quite reasonable as required

In the period of 3 years (from 2013 to 2015) the majority workers in the company are males and that number increased from 55% to 62% Besides, young workers are rather large rate in the age structure and increased over the years shown from 61% to 65% Young labor force is eager to learn, enthusiastic at work This is the strength of the company in finding and exploiting new business opportunities

Evaluate business performance in the period 2013 – 2015:

As can be seen from the table above, the results of the general business indicators were better and yearly and the scale of business was being expanded

Sales of the company in three years is steady upward trend, particularly in 2013 the company’s revenue was 1.843.959.002vnd, planning sales in 2014 was only 1.9 billions vnd, but by 2014 sales reached 2.000.580.000vnd, corresponding to 6% compared to the plan In particular, the company’s revenue in 2015 reaches 3.564.888.010vnd, up 1.720.929.008vnd (or 215,1%) compared to 2013

The average income of employees in the company tends to increase steadily over the years Specifically, in 2013 the average income/month was 5.000.000vnd/person, capita income in 2014 was 5.500.000vnd/person in 2014 (up to 500.000vnd/person), and in 2015 income/month is 6.000.000vnd/person, 1.000.000 dong higher than that in 2013

Overall, in the period 2013 – 2015, business management activities were effective This is a prerequisite for businesses to expand sales and improve income and standard life for employees and contribute more to the State budget

2.3 Reviewing advantages and disadvantages

In difficult economic time, the company not only finds job and earns enough income to afford the employees, and maintains a stable business operations for many years but also expanding business scales, grows stronger and stronger This is a promising to create more jobs and develop the economic contributing countries in the future

Besides, the company has a team of well-trained staffs who dedicate and commit

to the company

Moreover, the company has organized and mobilized to monitor the use of capital, assets and human resources in each unit, checked the authenticity of the figures in the financial statements and other reports to find out shortcomings and weaknesses in the operating system of each unit of the company to promptly provide solutions

However, it should be frankly admitted that the company’s activities remain limited impacting on business performance

Firstly, because investment funds are limited and narrow, so some vehicles has not been devaluated affecting the business performance

Secondly, the cost of business management is still relative large and has not been improved to enhance business profitability

Finally, we might to mention the business activities are concentrating on the big cities, the neighboring provinces and have not extended to other potential markets

CHAPTER 3: SOME PROBLEMS EXISTING IN BUSINESS OPERATIONS

AND THE USING ENGLISH OF THE COMPANY 3.1 Existence of business operations of the company and solutions

3.1.1 Shortcomings in the business operations

3.1.1.1 Existence of capital

Capital is one of the important factors needing attention during the business activities of any company

In three years from 2013 to 2015, the company still remains much bad outstanding balance, rotation capabilities for business investment are limited, do not raise funds from external investors, 90% capital of the company is current equity This affects the business operations, especially the rapid rise of new partners has led the company to face with difficulty in meeting the demands of the market

3.1.1.2 Existence of human resources

The rate of young workers accounts for over 60% of the whole employees in the company, they are enthusiasm, removable, eager to learn, but lack of experience and solid professional qualifications This is also a matter to concern Overall, the level of English of the staff is not advanced Sometimes they do not meet the job requirements, such as negotiating and signing contracts

3.1.1.3 Other shortcomings

From the statement of the company’s business in three years, from 2013 to 2015,

we see the cost of goods sold is still high so it reduces sizeable revenue Since then, the company need look for other Chinese partners who have the ability to offer items

at lower prices

The increase in profit after tax is not commensurate with the increase in sales, business management costs and other expenses are so high

Furthermore, there are many restrictions in matters of research and market operators The company does not exploit potential market, particularly Central market

3.1.2 Proposing solutions to improve the quality of business operations

3.1.2.1 The solutions to the problem of funding capital

Capital is the first facility for the company to put into operation We depend on the fund to determine the size of the company Therefore, they need to have more effective measures to raise capital for the company

Most of the company’s capital is owned by the business owner The company has not appreciated borrowing funds from banks, credit institutions or capital contributions In the near future, the company should have more policies to attract
