Vietnam has entered a period of renewal Our economy has gained considerable achievements, which cannot fail to mention the textiles sector The garment industry is a sector with high export value, bringing foreign currency to the State budget, as well as attracting many workers, contributing to bringing good jobs for employees For the company operating in the garment field with 100% Korean investment, MS VINA company has contributed a lot to the whole industry The company has achieved a lot of success over several years, gained a huge range of benefits from exporting overseas and promoted the national economy Being recommended and allowed by English Department – Vietnam University of Commerce, I have gratefully experienced as an intern in MS VINA company After one month (from 04/01/2016 to 29/01/2016), under the valuable support and instruction of managers and colleagues in the company, I was able to apply the knowledge obtained at university into practice, meanwhile collecting basic information to complete the internship report I would like to express my gratitude to my teachers at the English Department – Vietnam University of Commerce as well as my managers and from Korea Accordingly, the company had it’s own official stamp and opened an account at the Nga Son Industrial and - Commercial Bank The company has been established for nearly years, they have had the proper and suitable strategy The products of MS VINA have been expanded and developed continuously to meet the demand of consumers in Europe, the - Americas and Japan Although dealing with many difficulties and challenges of cut-throat competition, MS VINA company has always followed the reality of the market-place, conducted thorough market research to find out the decisive products in term of development of it’s business activities and creating a good reputation with their customers 1.2 Major business areas MS VINA company is a manufacturer of garments, mainly for export, in the following categories: • Producing readymade garments • Manufacturing the other textiles that have not been categorized yet • Cutting and sewing garments • Producing knitted dresses, knitting MS VINA is a vertical textile production business, starting with making fabric and going through all the processes to completion of finished garments by all the necessary steps through the manufacturing process such as cutting, dyeing colors, to sewing, to the finished garment, with many different designs The company’s manufacturing plants are divided into several groups and organizations supporting the various functions, such as cutting, sewing and completing Each item has a number of different technical processes along the production line, including cutting, sewing and ironing The firm coordinates the garment components exactly and comprehensively so the process of production takes place smoothly and continuously Every department are guided and controlled to an exact specification regarding the shape, measurements and parameters of the products The monitoring, guidance, and quality inspection of semi-finished and finished products is conducted regularly and continuously, thereby providing timely information to know how the production process is going on Therefore, adjustments can be made until the product is completed with high quality and to the customers requirements 1.3 Organizational structure 1.3.1 Structure The organizational structure of the company is built in the form of online functionality and fit with the type of business The organizational department in the company - + The company’s Board of Directors, including: General Manager: As the head of Administration, he/she is the overall leader, responsible for operating, monitoring all activities of the company, and responsible to the law and the relevant authorities in the work of executive business of its business units Directors have the rights to reward, discipline, and increase the wage for staffs - Production Manager: he is in charge of the actual manufacturing side in terms of overall garment production, which includes technology, the maintenance of machinery and equipment and checking the quality of raw materials and products - CEO: As adviser tasked to assist the general manager in term of leaders and operating the company He is also the person in charge of directing the sales department and market development - Director of Human Resources: he is the direction in the work of the administrative organization such as recruitment and training labour, taking care of workers and employees Director of Administrative Personnel manages some departments such as Administrative Office, Human Resources Department, Accounting Department - Business/Marketing department: Finding the domestic and international markets, considering the economic contracts, and providing the information about products to the customers They also need to build the marketing plan to develop foreign markets - Administrative Department: They have the task of performing the works of management and administration such as receiving, distribution and saving the documents, papers, welcome the guests, operating the computer network in the company, and managing the firm’s seal - Strategic Management: They are responsible for the construction and development of all strategic development of the company Moreover, they ensure that the firm will develop well all the business strategy - Production Planning Department: Design and develop the design of products and build the production plan for the company to supply customer’s orders timely and effectively Technical Department: Ensure that all the machinery & equipment always work well so that the production process will not be interrupted - - The Accounting Department: Manage accounting, finance; notes and calculating the business activities of the company promptly and accurately, according to the requirements of senior management This will include making any financial management reports which senior management may request and support the board of directors in terms of operating the company - Organizational Department: Proposing to the board of directors about management, HR organization of the company They also plan for the implementation of employment training, construction of labor norms, and resolve the policy for employees according to the law and the firm’s regulations - The part of direct producing: Deploying and completing the number of works the director assigned and be supervised by the management of the company Comment Advantages: The organizational structure of the online – function model matches with a company mainly engaged in manufacturing and trading like Ms Vina Co., Ltd, in accordance with the size and production’s capabilities of the company for several reasons: • • • Organizational compact model, synchronous complementation Detail and clear assignment All activities in the company are consistent with the Board of Directors policies and are co-ordinated to function smoothly Disadvantage The power is concentrated on the general director, which leads to overload of works and less flexibility • The managers are the efficient co-workers of the general director in term of managing the production and business activities so that they receive a lot of work, which can blouses accounted for the highest proportion, meanwhile, skirts and jackets had the same percentage of 10% 2.2 MS VINA’s business results analysis 2.2.1 Business results in the period of 2013-2015 In order to make an overall assessment of the operation efficiency of MS VINA company in the period of years from 2013-2015, the following business results tables are used as a foundation to evaluate business results analysis Data presented in the tables above indicate that the Company has successfully managed its business operations All the main norms have increased between 2013 and 2015 The revenue has risen gradually during the period, specifically the company’s business was VND 35.211.032.005 and planed to reach 53 billion dong in 2014 but it grew to VND 58.636.525.216 by the end of the year It means the revenue increased by % compared to the plan Especially, the revenue reached VND 74.834.909.457 in 2015, up by VND 39.623.877.452 or 212.53 % compared to in 2013 The growth of revenue and the price of capital goods for sales with the expenses helped revenue after tax to increase to VND 8.729.078.029 in 2014 (up to 150.44%) and reached VND 10.813.935.107 in 2015 (up to 186,37% compared to 2013) It showed that the business situation of the company is positive The average of income by month also rose gradually over the years In particular, the average of income by month was VND 4.500.000đ per person in 2013, up to VND 5.500.000 per person in 2014 (raised by VND 1.000.000/person), and reached VND 6.000.000/person (a rise of VND 1.500.000 per person) 15 In general, the revenue has grown over the period, which creates the good conditions for the company to develop both the variety and the quality of its products as well as improve the living standards of its employees and contribute more into the State budget by way of tax payments 2.3 Strengths and weaknesses evaluation about business activities The biggest strength is that the trade activity of the company is quite positive in the past years, especially the revenue increase continuously between 2013-2015 The reason is that the growth of price of all products and thanks to some positive policies of contracting so that the number of orders has risen steadily That leads to increased revenues and improves the price of capital goods for sale Moreover, the company possesses a well-trained team of employees with great ability to apply the latest technologies into production and management One of the biggest advantages of Vinanren is probably the workforce that is skilled and diligent and dedicated MS VINA company often gives amendments to internal management regulations in order to reduce risks, avoid losses, minimize operating costs and ensure the worker’s benefits Additionally, the mobilization and distribution of capital, assets and human resources are effectively carried out in every unit The Company also regularly examines the reliability of figures in finance reports as well as other reports, aiming to find out and propose solutions to all problems in operating systems of subsidiaries 16 However, it is necessary to frankly admit that there are also some obstacles that badly affect the company’s business efficiency Firstly, the human resources of the company still have some drawbacks, which affects the production activities of the company The unskilled workers are mainly the local people in Nga Son district and citizens from nearby provinces Most of them haven’t been trained and needs to have time to get used to the job and the environment of the company Secondly, the factory’s management has revealed some weaknesses which affect the Quality Control (QC) of products, human resources and revenues Therefore, the business has had to deal with many difficulties recently and they have needed to reduce labor and take measures in order to solve problems quickly Finally, MS VINA company faces many difficulties and challenges in terms of competition and expanding their markets There are many famous domestic brands such as Viet Tien, May 10, and so on are competitors of the firm Moreover, if the company wants to export products, they need to meet some increased quality demands These are the biggest challenges of MS VINA when exporting clothes 17 PART 3: MS VINA’S EXISTING PROBLEMS 3.1 MS VINA’s existing problems 3.3.1 Human resources One of the most important factors in the production process is labor Until now, the employees of MS VINA are mainly unskilled workers, accounting for 87.5% The staffs who are college graduates are just 7.2% The staffs who have graduated university and post-graduates are only 3.6% and 1.7% respectively If managing the employees according to the working age, the youngest workers are the dominant force in the company Staff under 25 account for 66.6% of the total, then age group of 25-35 registered 30.8%, and employees over 35 just accounted for 12.6% The features of tailoring are diligent, enthusiastic working so the young are very suitable with this type of work With the age-profile of the textile workers, mostly under the age of 25, the company has taken advantages of agility and a flexible productive work force However, the human resources of MS VINA still deals with many difficulties as following: The newly recruited workforce in some places hasn’t met the demand of working in the company • Some managers are still negligent at work and don’t have ability to manage • The vocational training at some places doesn’t match with the practice of the textile company so it’s also the big problem between the theory and the practice 18 Schools & businesses need to work closer together in order to train the students into the requirements of the work-place This is a medium/long-term project The number of skilled and experienced worker account for a low percentage, and the technical team is weak • The policies of regime are less effective, large orders and the high technical requirements so the workers have to work overtime frequently That affects to the labor of workers 3.1.2 Proplems of developing markets Expanding markets and finding the domestic and international customers is still a major and ongoing task  For the foreign market Like other garment factories, MS VINA is dealing with many challenges in terms of meeting the strict requirements of the quality of the products in the overseas markets especially in the EU such as UK, France, Germany, Although it’s the essential market for MS VINA, the customers there are very fastidious They don’t want to use the products that don’t conform to their high standards relating to the producers and the quality of the products But it’s so hard for the company to meet all the requirements of the customers  For the domestic market The company just focuses on the foreign market but neglects the domestic market In reality, Vietnam still has many second-hand products from other countries, especially from China It means that the demand overcomes the capability of domestic supply 3.1.3 The environment of competition Garment is the key sector in Vietnam economy at the moment Therefore, there are more and more domestic and foreign companies investing into the sector 19 Meanwhile, some textile companies are very familiar with Vietnam consumers such as Viet Tien, Nha Be, May 10, are the competitors of MS VINA Moreover, the company is competing with the Chinese clothes that are sold rampantly in the Vietnam market with the cheap price – this practice is known as ‘dumping’ in the West Their main customers are the people having medium salary so pricing is so important MS VINA concentrates on producing and exporting to the foreign markets, especially EU market However, when exporting the products to this market, the company has to face to many difficulties as competing with some businesses in this market like UK, France, Italy, Otherwise, MS VINA will compete with many essential competitors exporting to the EU market such as India, China, Bangladesh, At the present, Bangladesh ís the country supplying the largest number of clothes to the EU market 3.2 Suggested solutions to improve the business efficiency of the company 3.2.1 Human Resources The first priority is that the company should focus on the development of human resources about management because the staff in these positions reveal many shortcomings Therefore, the company needs to promote to train the management department For training, they can open the short term classes or send them to some universities to study further Due to those actions, the staff will grasp the knowledge of business market, technology, foreign languages to further support to their job Moreover, the company should pay attention in term of recruiting new employees • In the process of recruiting from the training facilities, the company should require the skilled examinations in order to choose the candidates who are most suitable with the positions so we can save the fee of training • Clarify requirements of the workers with all the jobs This means everyone should have a clear and concise job description • The recruitment shouldn’t focus solely on whether a candidate has a degree or recommendations from other people but concentrate on 20 interviewing and the process of trial work to find the right people for the positons A concentration on ability & potential should be placed before height, weight, attractiveness or even gender considerations for most jobs The important factor is whether the person can the job Capable, skilled or trainable people are required, their looks shouldn’t matter for most jobs 2.2.2 The market • • • • • Study and research the market regularly to find the most suitable solutions: the changes of supply – demand, and the customers preferences are key Study the changes of domestic and international prices & the prices of raw materials to remain competitive in the global market-place Research the garment market, the company needs to build the good business model to meet the demands of the customers Furthermore, it is essential for MS VINA to gain experience in negotiation and contracting The process of negotiation needs to be prepared carefully because it is the stage to define the benefits of both sides To maximise profits, the employees need to possess the ability of skillful negotiation because the customers sometime have a lot of partners but due to the art of negotiation, they still accept to order our products Therefore, we need to have a lot of information about the customers (cultures, finance, attitude, customs ), depending on the objectives and use the appropriate type of negotiation 2.2.3 The competitive environment • Apply scientific and technological achievements to the management 21 Focus on suitable marketing strategies and advertising on the website and the other social medias to promote the image of the company more extensively and attract to more customers • Special emphasis should be placed on careful price policy of the products The company needs to ensure both the quality of the products and the reasonable price for the customers • Besides, the garments usually require a high fashion content, so when joining the international market, the factor is more complicated Therefore, enhancing and promoting the product strategy must be innovative, changing the form and style and improving the quality of products is the best way Let the products speak for themselves, is more effective than everything else It is the secret of all successful businesses in the international market • 3.3 Using English in business 3.3.1 Current status of MS Vina’s use of English in business Currently, English is an important tool in each business and also the key to helping enterprises reach out to the global economy, exploit new markets, search for investors,… so that the company has the opportunity to expand production scale and to increase profits MS Vina Co., Ltd mainly exports garments to overseas markets, so English is an important tool in communicating, negotiating, writing email, and implementation of transactions and contracts Now, the company has just 30% of it’s employees who can use English Especially, in recent years, the demands of the business have expanded abroad, most of the departments in the company use English, from the Human Resources Department, Accounting Department, Sales Department, Technical Department, to the production workshops But the level of English usage among the departments are different and just focuses on the Import/Export Department and Planning Department with the task of receiving and 22 handling business contracts; contract drafting and writing emails to negotiate and perform commercial transactions with domestic as well as foreign partners Besides, the majority of the employees in the company use technical English fluently in reading the specs The number of staff are able to fluently communicate and write in English are few, only to employees out of approximately 200 Therefore, the volume of work they have to undertake is very large, which leads to overload of work and causes ineffective results As the number of employees speaking English is low, this often leads to a loss of credibility with it’s partners due to it’s slow response to customer enquiries 3.3.2 Solutions to improve MS Vina’s use of English in business Being aware of the negative reality, I propose some solutions to improve the situation of the company and contribute to serve the business activities in the future The leaders of MS VINA should plan more English courses alongside professional knowledge training for all employees in the company The firm can connect with some English training centers in Thanh Hoa city to build up some commercial English courses Accordingly, the courses will focus on teaching English communication, negotiation, email writing, contract drafting in order to turn the language into an effective tool for the business Besides, MS VINA also should arrange to let employees take part in conferences on sharing learning English experiences held by domestic and foreign organizations Meanwhile, the company should increase support for its best people in finance and improve working conditions The company needs to apply more policies to encourage English learning by offering higher salaries to all officers and staff so that it is easier and more exciting for them to participate in the activities 23 CONCLUSION Although MS VINA company has been established for years, the company has had certain successes The firm’s achievements have been detailed by its increase in sales as well as profits through the years Besides the advantages of funds, facilities, or the activities of the potential market, the company is dealing with many difficulties regarding human resources, marketing policies, and expanding its sales market During my one month doing the internship as a member of the office staff at MS VINA company, I gained the opportunity to apply the knowledge obtained at university into reality and learn more about styles, attitudes, methods of working, communication in business environment, generating valuable experiences that help give me clear direction for my future career Through my experiences obtained during the one-month internship and my background knowledge, I conducted this report in order to figure out some existing problems at the company I hope that it will contribute to the unit’s development in the 24 upcoming
