The CW1 system for ocean freight operations features two key interfaces: the Shipment tab and the Consol tab The Shipment tab serves as a connection between the shipper and DGF, where operators input all relevant shipment details, which are then printed on the House Bill of Lading (HBL) issued by DGF for their customers In contrast, the Consol tab facilitates communication between DGF and carriers, allowing operators to enter necessary shipment information for submission to carriers The CW1 system streamlines the process by enabling operators to easily and promptly submit booking requests, shipping instructions, and verify gross mass through EDI integration with the carrier's system The data entered in the Consol tab is essential for carriers to issue the Master Bill of Lading.

To efficiently process a shipment, begin by receiving the booking request from the customer via email Acknowledge the request promptly by replying to the customer Next, add the shipment details to the checklist and input the information into the CW1 system for proper storage Verify the request with DHL at the destination and await approval before proceeding.

To initiate the shipping process with DHL Global Forwarding Vietnam, customers must input the booking confirmation on CW1, after which they will receive the shipping instruction (SI) and verified gross mass (VGM) from the shipper These documents should then be entered into CW1, allowing the GSC team to process the SI and VGM Following this, auto costing and auto rating are performed, leading to the issuance of a pro forma invoice and the posting of an e-invoice It is essential to check the actual selling day before releasing the final House Bill of Lading (HBL) to the customer and setting all phases for import processing.
To ensure a smooth shipment process, users must accurately enter all required information in the Basic Registration, Additional, Packing, Billing, Pick Up, and Delivery sub-tabs Additionally, it is essential to upload the relevant documents in the eDocs sub-tab On the day of the sale, operators should verify and correct all details in the milestone sub-tab to maintain accuracy and efficiency.
To ensure proper processing in the SOP for the console tab, users must accurately fill out all fields in the Detail, Routing, Container, and Address sub tabs, and upload the necessary documents in the eDocs sub tab.

Booking requests are submitted through our email address Upon receiving a request, I promptly respond to customers to adhere to our standard operating procedures (SOP) and ensure they feel reassured that their request has been acknowledged and is being processed.
I summarized the booking request and sent it to our DHL agent to obtain green light approval and booking instructions Upon receiving my email, the agent verified the request with the consignee to confirm the shipment and agreed to the booking arrangement Once the consignee validated the information from the shipper, the agent provided the green light approval, which authorized the shipment arrangement Along with the approval, I received booking instructions detailing all carriers and our service contracts I used these instructions to check space availability with the carrier.
Main steps to book space with carrier:
+ Open consol tab on CW1
+Input the contract number, carrier scad code, type of MBL and the code of their office on detail sub tab
+ Input POL and POD as well as ETD on routing sub tab
+Input the quantity for each type of container on container sub tab
+Input Address of notify party on address sub tab
After inputting enough needed information, i clicked on Carrier sub tab and chose booking request then submit this booking via EDI
After receiving booking confirmation from the carrier, I forwarded the details to the agent to verify the schedule with the consignee I also requested DHL to provide the buying and selling rates for the shipment.

The GSC team was tasked with handling the House Bill of Lading (HBL) for the customer, ensuring accurate submission of the Shipping Instruction (SI) and Verified Gross Mass (VGM) to the carrier They meticulously checked all necessary information to confirm consistency between the HBL and the Master Bill of Lading (MBL).

At the time GSC sent draft HBL to customer, i also sent them pro forma invoice for checking
Upon receiving confirmation from the shipper, I posted the e-invoice On the selling day, my responsibility included accessing the carrier's website to track the shipment and ensure the container was loaded on board Once I confirmed the selling day, I released the final House Bill of Lading (HBL) to the customer and initiated the import processing phase for my agent to proceed with the shipment.

DHL Global Forwarding Vietnam operates with a high level of professionalism and efficiency, adhering strictly to the standard operating procedures (SOP) established by its global head office While these SOPs offer numerous advantages to the company, they also present certain challenges My four-month experience as an ocean freight export trainee has allowed me to identify two key issues within the company's operational processes.
One significant issue in task management among employees is the prioritization of shipments based on their cargo ready days According to regulations, shipments with earlier cargo ready dates are processed first, which often prompts customers to submit booking requests well in advance to avoid equipment shortages Consequently, operators tend to focus on these earlier dates, even if some shipments were submitted later, leading to the risk of overlooking earlier requests This mismanagement can result in delays and customer dissatisfaction.
