development of e-commerce and cross-border e-commerce In Vietnam, the trend of exporting international goods by the online method has also increased sharply, along with the number of partners joining to sell goods increasing day by day According to Amazon's statistics in 2021, thousands of Vietnamese businesses have exported through Amazon, and the number of small and medium enterprises in Vietnam exporting goods to international markets through Amazon increased by 15% compared to the same period last year In 2022, Vietnamese sales partners have sold nearly 10 million products on Amazon's online stores globally, and the export value of Vietnamese sales partners on Amazon has increased by more than 45% By helping SMEs overcome geographical barriers to enter new markets and reach global customers, cross-border e-commerce is growing stronger and stronger, becoming a “new trend” of traditional e-commerce Taking that opportunity, Cavalo Vietnam Company Limited was set up to create an company has five main online stores in many different ecommerce platforms such as Teechip - online platforms that allow designers and businesses to sell self-designed products such as t-shirts, souvenir mugs, and phone cases, etc With modern production methods, professional skilled staff, and good relationships with many production and delivery partners, CAVALO VIETNAM always provides customers with good quality products at competitive prices, good service, and on-time delivery From 2020-2021, the company has grown rapidly In 2020, the company has researched and planned to scale up its cross-platform business By 2021, the company has successfully opened more online stores on Amazon and has obtained certain results, opening a new direction for the business Currently, the company focuses on selling key products such as T-shirts, souvenir mugs, and canvas paintings in markets such as Canada, Mexico, and mainly the United States The partners providing products and delivery services of CAVALO VIETNAM are mainly businesses from the US and Vietnam In addition, the company is continuing to seek and research partners from China to optimize production and transportation Foreign Trade University, Vietnam National University, Hanoi, etc Director Amazon Project Idea Design Marketing Department Department Department Department Chart 1.1 The company’s structure The specific function of each department: + Director: Mr Nguyen Duc Dung is the director of CAVALO VIETNAM He takes charge of important missions such as: making decisions on all matters related to the company's operations, coordinating, and overseeing the work activities of others so that their activities are completed efficiently and effectively + Amazon Project Department: Researching the market, and customer shopping behavior, capturing the general trends of the e-commerce industry, Amazon and POD channels in the United States and European markets Create product ideas based on research is gradually improving and increasing, seeing the work efficiency Gross profit in 2021 increased compared to 2020, corresponding to 4.958.641.755 It can be proved that the product sold is more than the previous year Although the company's overall business performance is extremely excellent, it is anticipated that investing in the sales system will enable it to increase both its competitive advantages and business benefits With a proper strategy and good relationships with partners, CAVALO VIETNAM expects to grow up to become a strong business in the e-commerce industry 1.2 General introduction about Amazon Project Department 1.2.1 Role of Amazon Project Department Amazon is the king platform in the field of online retail in the world today Therefore, the amazon project department plays a very important role in helping the company to explode in revenue with a huge number of customers, giving CAVALO VIETNAM the opportunity to quickly expand and develop its business The development of Amazon Project Department is the brand leverage, helping the company increase its reputation for product quality as well as customer service Consumers' trust in Amazon is almost absolute because all products that want to be put on Amazon must go through rigorous testing to ensure safety for users The success of Amazon Project Department in bringing CAVALO VIETNAM's products to Amazon means that the brand position is confirmed, enhancing competitive advantage The Amazon Project Department also looks after the business's finances While establishing and upholding a reputation for fairness and integrity, the department must obtain products and services at the most affordable price that is reasonable given the economic condition In addition, Amazon Project Department helps the company collect information, adjust business strategies in a timely manner based on the metrics provided by the platform, and build sustainable relationships with customers through consulting mode, answering customer questions 24/7 1.2.2 Amazon Project Department Duties The Amazon Project Department follows common tasks: + Researching the market and customer shopping behavior, updating the latest trends + Generating ideas for products based on research results + Coordinate with the design department to realize the product + Build advertising campaigns to bring products closer to potential customers + Create and maintain good relationships with vendors/suppliers + Maintain records of purchases, pricing, and other important data + Maintain records of revenue, fulfillment cost, selling fees, and other important data + Research and analyze all vendors/suppliers, supply, and price options + Ensure that the products and delivery service are high quality + Maintain and update the list of suppliers and their qualifications, delivery times, and potential future development + Working with team members and the Director to complete duties as needed PART 2: INTERNSHIP PROCESS IN CAVALO VIETNAM 2.1 Detailed information about the internship process During the internship, I work full-time from Monday to Friday: Morning: From 8:30 a.m to 12:30 a.m Afternoon: From 14:00 p.m to 18:00 p.m As an intern at Amazon Store Operator position, I was responsible for the following tasks:  Week 1: (from 26/12/2022 to 30/12/2022)  Getting to know the staff of the company as well as present the managers of CAVALO VIETNAM Visiting around the company and interacting with people in Amazon Project Department  Work with the supervisor in setting up a schedule of activities for the entire internship process  Read documents related to the company given by my colleagues  Understand and comply with the rules and regulations of the Amazon Project Department  Week 2: (from 02/01/2023 to 06/01/2023)  Observe colleagues in Amazon Project Department  Learn how to fulfill orders through your department's database and supplier's website Then practicing fulfilling orders for one store  Learn how to upload products using Amazon template files I use this method instead of listing by filling in information one by one because it helps me save time  Perform customer care tasks before, during, and after the sale such as replying to emails, sending thank you emails and order confirmation, and sending mail to confirm shipment  Week 3: (from 09/01/2023 to 13/01/2023)  Make a weekly report to evaluate what I did in the previous week  Practice uploading and fulfilling orders for two stores on Amazon  Practice looking for suppliers: I look for reputable suppliers with quality and reasonable prices through Google, Facebook, or contact with the agents' customs officers  Practice asking, negotiating prices: After finding a supplier, I contact and exchange with them via Gmail, messaging apps, Skype to ask them for product information; prices We negotiate some issues such as quantity, quality, payment methods, delivery time, bulk discounts  Participate in the Amazon Project Department’s weekly meeting  Week 4: (from 66/01/2023 to 20/01/2023)  Continue the same tasks as previous weeks  Practice making payments for all fulfilled orders with the supplier using the Payoneer payment method  Study the documentation provided by the supervisor to develop a set of product description documents  Prepare information for an internship report 2.2 The difficulties and lessons learned After finishing my internship at CAVALO VIETNAM, I gained a lot of things, which would be valuable experiences for my future job However, it still had many challenges and difficulties during that time 2.2.1 The difficulties First of all, since I have never worked before I was very nervous and confused about the working environment To be honest, I found that the knowledge and skills that I learned from university are not enough for work There were a lot of things that I needed to learn and experience Besides, because the company is in the e-commerce business, I am very lacking in knowledge about how to operate an Amazon store, which is quite new to me I had to get used to the interfaces of the Amazon platform, learn how to respond to customer emails, how to upload products, how to manage orders so that goods are delivered on time, and so on During the internship at the company, I had to spend a lot of time to learn on my own and call for help from colleagues or direct supervisors when needed Moreover, I am an intern in the position of Amazon Store Operator, so I need to find a supplier who sells at the lowest price to ensure the company's budget and achieve profit, which is quite difficult for me It requires negotiation and communication skills to get a fair price, but I'm not good at it I was a bit stressed at that time because I needed to learn a lot of things Last but not least, applying English in practice is still one of the challenges that hinder my internship Although I studied Business Letters in university, I still feel confused when I email clients as well as foreign partners to negotiate prices with them 2.2.2 Lessons learned from the internship The internship is a very significant period for me since it enables me to gain more real-world experience that is not addressed in the textbook and because I am able to learn more skills and attributes that a staff member of a business operator must possess As a result of my tireless efforts and the manager's and other employees' enthusiastic assistance, I was able to progressively finish the tasks that were given to me During my four-week internship at the CAVALO VIET NAM firm, I had the chance to work with a diverse variety of personalities and working methods As a result, I got many beneficial work experiences and skills that will be beneficial to my future career First off, I've picked up a number of helpful hints for Microsoft Office, particularly for Word, Excel, and PowerPoint The supervisor and colleagues helped me a lot so I can practice it more proficiently In addition, I also have the opportunity to approach much research and analyze information tools The second is developing a second language English proficiency is also important for employment in an e-commerce company Because we need to use English for meetings, communicating with overseas partners, studying and evaluating information, and sending emails During that time, my English improved significantly Thirdly are communication skills I acquired communication skills from my new coworkers I’m actually an introverted person and reticent I initially found it 10 challenging to speak with those at the organization, but now I realize that in order to be successful, I need to push myself Additionally, I feel more at ease here because of the coworkers' friendliness, humor, and dedication to their jobs They meticulously led the way For instance, when I have no experience in fulfilling an order, I had lots of questions and when I find something difficult, or thing is new to me that I can’t understand, I often ask my manager or co-worker for help and they always kindly reply to me Unlike the university environment, the job exchange at CAVALO VIETNAM company - where I practiced - usually takes place via email or chat system The exchange of work or sending work documents via email also needs to show respect for colleagues and partners as well in every word, not simply sending documents or exchanging as studying at the University before An example of business communication via email I often use: “Dear Mr/Ms …, I sent you a document … The document has been attached to email Please take a look and give me your opinion Sincerely, ” The following are time management abilities, a strong sense of accountability, and discipline: I believe I have received strong training in a variety of skills, including adaptability to the workplace, patience, composure, and bravery when faced with challenges at work, as well as harmony with my coworkers' professionalism, standards, formality, and good self-control My sense of arriving on time for work has helped me develop the habit and the ability to manage my time in the quickest and most efficient manner I have to push myself to improve my discipline and responsibility for finishing my task because I work for a company with a professional environment For me, developing my teamwork abilities is equally important Teamwork is a requirement in each workplace There will be moments when team members from other departments as well as those in the same department must help one another in order to operate as efficiently as possible In my case, I still need to get over my shyness and become more outgoing in order to socialize Last but not least, the internship improved my ability to manage risk, manage supplies, provide excellent customer service, multitask, and be cautious Any business needs these crucial talents to guarantee the caliber of the work 11 PART 3: THE REALITY OF USING ENGLISH IN CAVALO VIETNAM 3.1 The reality of using English in CAVALO VIETNAM The popularity of English is fueled by global development, which is present throughout Vietnam For parties to be able to interchange goods in online export through cross-border e-commerce, there must be one common language, such as English Following the internship, I came to the following basic conclusions about the company's present English usage situation: The amount of English usage will vary depending on the department The Amazon Project Department uses the most English because it must locate suppliers in other nations who offer the best prices From writing emails to finding partners and negotiating the price to signing contracts, all documents are written in English, though occasionally Vietnamese translations are required Each staff member has an English level equivalent to 450 TOEIC or above, and the majority of them are graduates of renowned universities across the country such as Foreign Trade University and Thuong Mai University It can be said that the majority of the employees at the Amazon Project Department are proficient in all four areas of English usage: speaking, listening, reading, and writing The Idea Department uses English as a very significant tool to help with daily work Sometimes they study English materials to learn more, come up with new concepts for new product launches, make impressions, and get customers more excited I saw that the majority of the department's employees could read and write fairly well The following challenges, however, continue to affect CAVALO Vietnam employees Because the nature of their work does not need much English, certain employees, particularly those in the Design Department, are not as fluent in English as the rest of the departments On their designs, they frequently struggle to check for typos (in the quotes produced by the Idea Department) Failure to a thorough inspection can result in economic losses as the customer may request a return of the 12 defective product Thus, the imbalance in English proficiency between departments can make it difficult to support each other in large projects of the company 3.2 Proposing a solution to improve the quality of using English From some problems when using the English of the staff in CAVLO VIETNAM, I would like to make some recommendations for the company and employees to solve these problems, hoping to make a small contribution to them to improve their English  Suggestion for company + The company should make sure that every department's staff members are equally proficient in four areas of English They must adhere to the organization's English language requirements Depending on each position, the organization should specify its English requirements when hiring The best applicant who satisfies all employment requirements and is proficient in all four areas of English —listening, speaking, reading, and writing - should be chosen by the organization Moreover, they should not limit their examination to a small number of the certificates on the resume + In addition, for staff in the Design Department or anyone with a basic or low level of English, the company should look for English training programs for staff (online or offline depending on the situation of the staff), create opportunities for the staff to participate in English training programs, and search for English courses + It is also crucial to encourage them to speak English at work as often as possible The organization may occasionally design a mini-exam for the entire department and recognize individuals who have improved their English communication skills significantly I believe that this will contribute to the staff's increased English proficiency and effectiveness Additionally, it creates a lively atmosphere for staff members and inspires everyone to pursue their passion for learning other languages  Suggestion for employees Of course, whether a solution is successful or not depends on the employees The attitude of the workers and how they use English are really important Each employee must consistently practice their English for 1-2 hours each day at home 13 using various sources, depending on their needs and circumstances, in addition to actively participating in the company's activities They have a wide variety of sources to pick from as a result of the advancement of information technology Each employee should select a study approach that is appropriate for them For instance, by viewing movies and television shows on YouTube, they can hone their listening abilities Additionally, kids ought to develop the daily practice of reading English newspapers It is important to persist in reading every day, writing down new words in notebooks, and consulting dictionaries to learn the definitions and applications of terms Employees that struggle with writing can improve their skills by producing more emails, which will help them impress their business partners and raise sales efficiency The personnel should switch everyday communication from Vietnamese to English for 1-2 hours per day in order to develop their speaking abilities at the company This will contribute to the development of a highly productive Englishlearning environment These are some solutions I recommend overcoming some difficulties as well as further improving the use of English in the company I believe if the employees have good attitudes and awareness, and spend more time and effort studying, their English will be significantly improved 14
