The key to realization of operational effectiveness is Change Management which plays a key role in creating optimism in the organizational environment as it has holistic outcomes and enables the achievement of results It is true to say that correctly applying positive changes would bring numerous advantages such as increases productivity, decreases risks, and helps to improve the profitability of an organization In this essay, the definition of the concept – Change Management – and some details based on my own conceit as well as an example in my viewpoint of how I manage change and the benefits it brings will be extrapolated explained in the paragraphs that follow According to Jung (2011), Change management is about moving from one state to another, specifically, from the problem state to the solved state In my own point of view, I could see that there are two levels of change managing: - Individuals’ change – behavior, skills, values, and contribution – should always be regarded as instrumental to organizational change - Organizational change – structures and systems – should be rationally planned and classified for the purpose of dealing with people relationships, managing conflicts and making decision based on a specific concept such as work patterns, reward systems or activities reporting HOW DO I MANAGE CHANGE? From where I am standing, beating competition, technological updating, keeping pace with the environmental upgrades and so on are some drivers that get changes happened in order to improve organizational process efficiency and effectiveness After doing research on change management topic, I realized that I have significantly experienced change managing skills during my work experiences I would like to examine an example from my own experience which I feel the most iconic one to meaningfully show that how changes help not only myself but also the company achieve a better result to avoid unnecessary conflicts as well as effectively boost performances of employees Preparing testing materials for instructors and learners is one of my tasks as a General Assistant for an English Centre where I am currently working I was given this mission when there were many complaints from tutors Firstly, most of the complaining is about how the materials, which they use for the test, stress them significantly by its illogical orders for writing exam and incorrect testing CD files for listening skill Secondly, another problem is about the previous staff could not prepare the materials on time and the notes for each folder were notably confused for tutors correctly getting theirs HOW DO I MANAGE CHANGE? To deal with those issues, I draw a plan of what I need to orderly in order to solve those issues as fast as possible There are steps that I could imagine: Planning Self-Testing Changes Presenting Examining Applying In the first step, I take notes of all the things that I need to for solving this problem by questioning myself “Where I will start?”, “What I need to at first, and then?”, “Who I need to meet and ask about my concerns?” Then, I had taken about week to just sit and learning the way of how the previous staff prepared the materials at that time I also tried to be a real proctor to understand more about the real concerns by proctoring some basic classes for two weeks using the old preparing method Next, I realized some reasons that cause the situation First of all, there is no connection between the teacher and the staff, because when the teacher changes the test, he/she might forget to inform the staff to renew the test paper as well as listening test CD Therefore, wrong materials were given to the class that should be tested by the new programs Another, the school was using the CD players to play the test files, so it is unavoidable that there are some CD players not working well, and the CD was also damaged leading to the lagging of the listening test Besides that, the tag that the staff stuck on the folder for the recognition for tutors picks their materials also caused some confusion because it does not logically show needed information, but unnecessary HOW DO I MANAGE CHANGE? excess part instead What I for the next step is presenting new suggestions for dealing with these matters to my higher level Some of them are: - Using Google Drive link to deliver audio files of the listening test This link would be accessible for all teachers and proctors Teachers can update the new audio files anytime changes are required Proctors can download the files before testing time to re-check as well as have a good preparation Advantages of this method are that CDs which are expensive items will be totally removed that would help saving an amount of money for the company Moreover, there will be no lagging which was caused by playing CD by CD players; instead of that, audio files can be smoothly played by 3.5 mm audio cable that would be more convenient due to a wide range of accessibilities that audio file can be played by laptops or cellphones In addition, there will be no harsh requirement of the connection between the teachers and testing staff in updating new audio files - Tags re-new for more clarified information The new tag will be redesigned with only important information, significantly avoid unnecessary fields as well as the font and font size should be changed for a better view - Requirement of scheduled time when the planners must give out testing schedules for me to have enough time to prepare the materials HOW DO I MANAGE CHANGE? is also one of the suggestions The date should be chosen for the best result for both sides In other words, this date should be suitable for the planners to give out the final schedule, avoiding changing during the week as well as for testing materials being well-prepared Asking another two weeks for the preparation of changes and four weeks to rehearsal the new method is the mentioned next step After being approved by the manager, I started step by step as the plan and met people who involve for asking supports from them During this period of time, collecting feedback from all involved parties are also very important It would help me to have an overview of the real outputs whether other changes will be required or those changes should be applied in the future Finally, I am humbled to say that everyone and I surprisingly saw an amazing result – by applying some changes, the flow of work has positively been smooth as expected until now To briefly recapitulate, by rational managing necessary changes, I could solve the conflicts in my workplace as well as help to save money and time for all parties I personally find that can be applied in any aspect of life due to its amazing benefits Thus, change managing is really a vital skill for everyone in any situation, not only in the workplace but also personal life, mastering it would help people be successful in their careers as well as companies also earn more profits .. .HOW DO I MANAGE CHANGE?
