INTRODUCTION Vietnam's economy has been developing strongly, Vietnam's position has risen in the international arena in recent years With the annual growth rate at 1620%, logistics is considered as one of the service sectors with the most stable growth rate in Vietnam over the past years Logistics is an important link in the chain of Vietnam’s economy as it helps bring goods to consumers and ensure materials for the production process It also contributes to the development and enhancement of trade competitiveness in management of the global supply chain The quality of logistics services reflects the effectiveness of trade and is closely related to the reliability of the supply chain and the predictability of services provision to manufacturers and exporters In the context of integration, Vietnam’s import and export have better conditions for development and domestic commerce has more opportunities for expansion, the demand for logistics services also gradually increase However, there have been only 2000 out of 20000 or one tenth of enterprises doing business in logistics in the country now Vndry Vietnam Company Limited also is one of companies using logistics services to import and export goods, therefore, import-export staff is a position attracting many people apply This position requires specialized knowledge such as International Trade, International Payments, Customs, etc., and good foreign languages, especially English After being recommended and allowed by the English Department in Thuong Mai University, I was fortunate to have the opportunity to experience the role of a import- export staff at Vndry Vietnam Co., Ltd After four weeks of internship, I have gotten more than just experience I would like to express my profound thankfulness to the lectures at Faculty of English as well as my supervisors, the staffs of Vndry Vietnam Co., Ltd for supporting me to complete this report Because of the limited time and my qualification, It may be made from mainly silica gel desiccant and clay desiccant They provide an economic and effective way of protecting cargos against moisture damage during transit and storage The bags are filled with nonindicating beaded silica gel and clay desiccant with capacities ranging from 1/2 gram to 1000 grams The protection against moisture is achieved by sealing the product in a suitable polythene bag or container together with the appropriate sized desiccant bag Desiccant bags can be used for textile, garment, electronics, food, art handicraft, pharmaceutical, etc Besides, the company also provides packing materials of desiccant including paper such as carton paper, nylon paper, etc… and machine such as EDISON 12L, HARISON HD45B, The company provides desiccant products to domestic market as well as foreign market with a wide range of products The company is willing to develop specific products for the customer’s requirements Nowadays, the company is trying it best to make itself stronger and for the performance of the company such as building organizational structure, mission, core values, long-term goals recruiting, managing personnel, formulating and implementing of the plan such as marketing, sales, customer care, human resources directing and controlling the company’s operations and to give strategic guidance and direction to ensure that the company achieves its mission and objectives Director has responsibility to continue improvement in all aspects of the company in terms of product quality and operations through training and supervision b Production Department The production department is responsible for converting raw materials and other inputs into finished goods or services In between the processes of production, the department works to improve the efficiency of the production or assembly line so that it can meet the output targets set by company management and ensure finished products offer consumers the best value and quality c Technical Department This is the vital department for production plant, being in charge of solving all technical problems, supervising and operating the production process, the demand for materials and regularly reporting to the Director d Import – Export Department Import – Export Department ensures the company's inputs and outputs, accesses and researches international markets, introduces its services and expands its business as well as attracts new domestic customers The department also provides information, document translation and interprets for management In addition, it is responsible for monitoring and monitoring the working progress of employees to ensure exports are delivered to foreign customers on time e Accounting Department Accounting department provides accounting services and financial support to the organization The department records accounts payable and account receivable, inventory, payroll, fixed assets and all other financial records The department's accountants review the records of each department to determine the company's financial position and any changes required to run the organization cost-effectively f Marketing & Sales department Develops and implements strategic marketing plans and sales plans and forecasts to achieve corporate objectives for products and services g Customer Service Department Customer service department interacts with figures increased significantly through two years of business Net revenue from sales and services peaked at 25.742.648.494, reflected a surge of 151.89 % over the previous period (16.947.413.973) In addition, company expenses are quite high value Cost of goods sold increased by 153.9% General and administrative expenses climbed 127.93% Profit before Tax reached 121.884.303, the value shot up about 94.284.024, equivalent 441.66% Profit after Tax at 99.158.053, up 440.08% year-on-year Although the company total cost increased dramatically, its profit also rose sharply for two years It showed a nearly tripled increase from 2018 to 2018 PART 2:AN OVERVIEW OF MY INTERNSHIP PROCESS 2.1 The tasks are performed during the internship I spent nearly weeks and worked as a documentation staff on training in VnDry Viet Nam Co, Ltd And my working timeline is according to working timetable of the company Office time: - In the morning: From 7:30 AM to 11:30 AM - In the afternoon: From report of week and Hand out the internship report for supervisor 2.2 Difficulties and Lessons Learned 2.2.1 Difficulties Knowledge: As a student at Thuong Mai University, I learned the basics of English business but lacked practical knowledge, I was faced with many difficulties when working as a documentation staff because I don’t have much knowledge about this field Therefore, I need to focus on trainings or guides of my supervisor completely and learn by heart information about import – export process and Incoterms 2020 every day Health problems: It is necessary for me to complete tasks well every day Especially, I must to keep my throat and voice healthy every day Sudden flu or light cough could prevent me from negotiating well, thus affecting the quality of 11 any calls Therefore, I always kept myself in good health in order not to affect the quality of each negotiation I had Mood: During the internship at VnDry Viet Nam Co, Ltd I could not keep good mood all the time as things around me was not always that good for my life There were social affect that sometimes made me unable to have adequate mood before starting job However, I always tried to smile to make customers as well as colleagues feel better and more excited to work together This is a hard work and high pressure Not only I need to have a lot of qualities such as knowledge, English, aptitude, health, experience, love of career but I also must accept a busy job, unstable time, must update information regularly and resolve unexpected difficult situations 2.2.2 Experiences Through nearly weeks of practicing at VnDry Viet Nam Co, Ltd, I learnt many priceless experiences and soft skills For me, those experiences will support me in my future job There are some of experiences which I had from the internship time Firstly, the training time give me the opportunity to use my English knowledge which I learnt from Thuong Mai University put into practice My English as well as my economic knowledge are enhanced through practice in internship time I have learnt a lot of vocabulary, information and knowledge in Export-Import field as well as know how to use translation methods Secondly, with the guides of my supervisor and my colleagues in department, I learnt how to photocopy, print, receive and send faxes We all know those things on theory, but they gave us difficulties when dealing with them in the reality I also learnt many necessary skills in dealing with customers in general and foreign customers in specific as well as working with other staffs effectively Finally , I can improve my business correspondence skills I can learn how to write and reply an email of new customers or familiar customers, because toward different customer groups, we will have different way to communicate with Actually, after internship process at the company, I feel confident with my ability in dealing with paperwork, English skills, economic knowledge Those experiences will help me more in my future career path and I realized that English 12 is an crucial factor in any companies If a company wants to expand their market, especially foreign market, they have to have staffs being good at English 13 PART 3: THE USE OF ENGLISH IN THE COMPANY The use of English in VnDry Viet Nam Co, Ltd 3.1 In recent years, VnDry Viet Nam Co, Ltd has been promoting the development of English This requires a demand for high-quality human resources They need candidates who are not only professional knowledge but also fluent foreign language Moreover, the company is in the field of desiccant, VnDry Viet Nam Co, Ltd has to work with customers from many countries using different languages so it requires staffs who are good at English Thus, English is major foreign language used at VnDry Viet Nam Co, Ltd English has become an vital part of the company and is the key to open up opportunities in developing current market and to look for foreign market Operating mainly in the field of Export – Import, Export – Import Department is one of departments that uses English daily The most of staffs have quite good English ability, communicate English clearly and fluently Other employees have Basic English communication skills However, it can not be denied the number of employees who can be proficient both speaking and writing in English is small Most of them are only able to read specialized English but not effectively communicate and write in such language This hinders a lot when there has sudden work related to English Some solutions to improve the use of English in the working environment at 3.2 VnDry Viet Nam Co, Ltd In order to overcome English problems of staffs, the company should implement a number of policies aiming to raise the level of English used in the company: - The company should improve the English language proficiency for main staffs in the company by facilitate employees to attend short-term communication English - courses Encouraging them to use English in the company as much as possible to increase their foreign language reflexes For example, the company can organize small competitions in special holidays or the trip of the company so that they have opportunity to test the strength of communicating by English 14 - The company enhances bilingual work in business activities needs to work on paper Skills for writing transaction emails and commercial contracts should be implemented in both Vietnamese and English languages Intensive training should be provided to enhance employee’s English skills in everyday tasks like email - writing, telephone conversation, presentation, negotiation The company can sent people with good experience and foreign language skills to work abroad, promoting them through financial or material incentives when signing successfully contracts with foreign customers This will promote the learning spirit - of employees throughout the company Carefully recruit potential employees who are graduates from renowned schools or who have obtained international diplomas related to English skills The recruitment process should be implemented more strictly and demanding criteria should be applied in order to find suitable candidates 15 PART 4: SUGGESTED IDEAS FOR THE GRADUATION PROJECT As can be seen, today's global society business is increasingly being conducted across borders with English often being used as an international language of communication And for VnDry Viet Nam Co, Ltd, this is not an exception The ability to use English in the workplace has a number of benefits including: Helping your company to succeed, building trust with colleagues and clients, building and improving international relationships From my internship time at the company, I saw that there was a quite high number of employees who could not present the information in the correct sequence in English at work Some others were nervous when speaking English is another problem This hampered the efficiency of using communication skills at work, especially in English Therefore, I will choose a study on “Difficulties in using English communication skills in workplace of four-year students at English Department, Thuong Mai Univerity and some solutions” 16 CONCLUSION It was meaningful time to me as an internship at VnDry I have learned many useful things and those things greatly shaped my new mindset In the pathway of growing up, I have to continuously work and learn from companies, bosses, supervisors, colleagues and friends, just like what I did at VnDry Viet Nam Co, Ltd over the passing month Growing up is a hard process in which we should put all effort, however, it is also an opportunity for youngsters like me to just move forward and have a better sense of what this world is and how it works Together with achievements, I realize that difficulty and failure are also major parts in my pathway of growing I want to give special thanks to teachers from Thuongmai university for equipping me with knowledge, my supervisor and colleagues for providing me with skills and experience, helping me know what a real documentation staff should I hope these internship and report
