TABLE OF CONTENTS ACKNOWLEGDEMENT In this day, no business that wants to start a business dose not want to tie its business to the market Therefore, in order to improve business efficiency, enhance competitiveness in the integration process into international and regional business systems, businesses must find ways to promote their product models In the hands of consumers, in other words, how businesses can get their products to reach the market in the fastest and most effective way To answer this question, there is no better solution than when the business applies marketing to its operations Therefore, I chose an intern at the Business Department of SAO MAI CHEMISTRY CO., LTD as a Marketing Assistant Trainee Serving as a medium-size-enterprise operating in producing wood furniture and interior and exterior decoration, trading in and dealing in automobiles, motorcycles, electrical equipment, and spare parts, installation of refrigeration equipment, electronics, information technology, and telecommunications, SAO MAI CHEMISTRY CO., LTD has grasped opportunities, extended investments and gained significant results As an English-majored student of Thuongmai University, I have an opportunity to study and work at MAI CHEMISTRY CO., for my internship course This is a valuable opportunity for me to practice my English knowledge, apply theory to the real serves as the face of the company, coordinating and producing all materials representing the business It is the Business Department's job to reach out to prospects, customers, investors while creating an overarching image that represents your company in a positive light Defining and managing our brand This involves defining who we are, what we stand for, what we say about ourselves, what you and how your company acts This, in turn, defines the experience we want our customers and partners to have when they interact with you Conducting campaign management for marketing initiatives Marketing proactively identifies the products and services to focus on over the course of our sales cycle, and then produces materials and communications that get the word out Producing marketing and promotional materials Our department should create materials that describe and promote our core products and services They should be kept up-to-date as those products and services evolve Creating content providing search engine optimization for your website Our department is responsible for keeping Web content current, while also working to ensure our site comes up quickly when someone searches for our type of business Monitoring and managing social media Marketing should contribute to, manage and maintain our social media pages It should also manage accounts and carefully watch what’s being posted about us online Producing internal communications 11 We need to understand our company, its values, its goals, and its priorities Marketing is often responsible for employee communications through a newsletter and/or intranet Serving as media liaison When our company is cited in the media, a member of the business department often acts as a spokesperson for our company or guides executives in how to respond to media queries Conducting customer and market research Research helps us define target markets and opportunities and helps us understand how our products and services are perceived Overseeing outside vendors and agencies Marketing is typically responsible for selecting and managing the agencies and vendors who produce marketing materials and or/provide marketing support These may include ad agencies, print vendors, PR agencies or specialists, Web providers, etc PART 2: THE INTERNSHIP PROCESS 2.1 Assignments I completed my internship in the Business Department Through this internship, I was accessed to marketing job that gives me a great chance to apply theory that I have learned at school to real practice From that I can see my strengths and weaknesses to improve myself and get experience for my future job I spent weeks working as an intern in Sao Mai Chemistry Co., Ltd I went to company days a week and my working time table was dependent on company’s working time table With the support from my Supervisor Mrs Linh and other staffs, I completed my internship with different assignments that I will report as follows: MAIN ASSIGNMENTS Market researching Creating content JOB REQUIREMENTS Ability to read, write, and search proficiently English documents Responsible and careful Having a strong desire to learn more and improve knowledge and skills Proficient in Microsoft Word, Excel and PowerPoint Knowledge of marketing 12 2.1.1 Market researching - Researching and developing new construction products according to the goals of the - department Researching competitors' products for an effective product development strategy Analyze, compare the advantages and disadvantages of market products and - company products Learn and survey new products on the market Collaborate with the Quality Control, production department, offering solutions to stabilize product quality 2.2.2 Creating content - Manage the company's social networking sites Building and managing content (including writing content, presenting content, ideas about images) on Fanpage, - Website Collaborate with the MKT team to plan detailed content for the company's - Fanpages Content building - writing articles to take care of Fanpage, website, etc Responsible for producing media content (Digital / Offline, etc) such as articles, - idea videos/images, etc Write PR articles according to the content requested by the higher level Join the team to build and manage marketing campaigns, contribute creative content - ideas for Digital Marketing campaigns available 2.2 Difficulties and experiences 2.2.1 Difficulties a) Lack of specialized vocabulary related technical equipment: One of the biggest difficulties in this internship was the lack of specialized vocabulary related technical equipment As the main and successful sector of the company is trading construction products, the company requires a lot of knowledge related this field The usage of these specialized words is frequently every department in the company, and it is even harder for me to use by English As a result, my assignments were getting more difficult Therefore, I had tried so hard, 13 with the assistance of the manager and other staff I improved my specialized vocabulary It was probably the most difficult time for me in this internship b) Not having much translation and interpreting experience to not make mistakes In spite of having precise knowledge about translation and interpreting at university, I still got not much actual experience about these works Furthermore, it was hard for me to not make mistakes, especially in the first time I completed the assignments There were unpredictable situation that I could not solve with lack of experience and vocabulary Thanks to the internship course, I had more opportunities to practice and improve these skills through the course c) Not understanding deeply the operation of this company As my internship department was the Business department, all my assignment just only focused on the business operations of the department Although there were still events and meetings of the whole company to connect different departments and to let them understand each other’s operations, but I was not enough for me deeply understand the operation in the short time of the internship I was not confident to talk with foreign guests when they ask me about it 2.2.2 The Experiences Over one month internship process in Business Department at PANDA, I drawn a lot of experiences and skills related to the major: - It is the opportunity to use my English knowledge through communicating with colleages and translating many documents of projects I recognized that my English is improved so much, I learned a lot of vocabulary, information in projects - The internship course makes me feel more confident and patient - I learned how to write formally in writing English documents about projects - Furthermore, I was practiced in business department so I had the opportunity to improve English exchange with international partner PART 3: THE USAGE OF ENGLISH IN SAO MAI CHEMISTRY CO., LTD 14 3.1 Current situation of the use of English in Sao Mai Chemistry Co., Ltd English is a global language in present Between the hundreds of different languages, the world has chosen English as a means for people to communicate with each other Over recent years, Vietnam's economy has been integrating deeper and broader with the global economy, leading to the demand for high quality resources, not only be expert at knowledge but also proficient in foreign language and soft skills Nowadays, English has become an important part of every business It is the key to open the door to discovering, exploit new markets, seek for foreign investors and boost production scale As a limited company, as well as other company, Sao Mai Chemistry Co., Ltd has to work with partners and customers coming from many countries using different languages but English is the most used language in the company Sao Mai Chemistry Co., Ltd now mostly uses English when negotiating with foreign suppliers and promoting company’s image Therefore, most of company’s employees have been trained to negotiate, write e-mails, handle international contracts and communicate with customers in English Currently, about 50% of company’s staff can communicate in English fluently However, English proficiency of staff between departments is also different In particular, only the Business Department has employees who are fluent in four language skills of English (listening, speaking, reading and writing); employees of another room just can read in comprehension and write, thus promoting services, customer development, seeking markets are restricted significantly The staff of Human & Resource Department and Accounting Department are weak in English while in this department, they must conduct the recruitment for the company This means that they can only recruit staff through degrees in English rather than direct interviews In general, the company has some gaps in equipping English for employees But there are some students who study at universities are in all of good English staff of company This hinders a lot when there is sudden work related to English Most engineers and office workers only can read English for technology and financial information but not really well in communication and writing business 15 email and other types of international trade contracts This makes the company faced many difficulties in the negotiations or when establishing business contracts with foreign partners In daily transactions, English is also widely used at the company and mainly deals with foreign customers These transactions are primarily related to exchange, payment and phone calls about logistics and forwarding Staff’s English proficiency of workers is very high In addition, English is also used frequently in business correspondence, emails between the company and foreign partners 3.1.1 Advantages With current situation, using English brings several advantages: - For the company: English is a great advantage to expand markets and get more opportunities to cooperate with foreign partners Besides, it is also a big strength of any company to compete with others - For Business department: The staffs are able to create and able to understand more about their field, provide more effective business result for the company They have more opportunities to catch up with marketing trends in many countries in over the world - Other departments: Have more chances to get knowledge in international company and market 3.1.2 Disadvantages - Several staffs rarely use English, so it is difficult to solve tasks relating to English, especially foreign documents - In recruitment, apart from Sales, Document and Purchasing Department, the company has not given specific requirements about English level, therefore, the staffs’ English is not good - Working time and workload are quite heavy, so it is difficult to improve their English 3.2 Some solutions to improve the use of English in the working environment at Sao Mai Chemistry Co., Ltd To be able to adapt to the current economic situation, employees of Sao Mai Chemistry Co., Ltd need to improve their English skills Being aware of the current 16 situation of using English at the company, mainly using English reading and writing, it is very necessary to improve the ability of the staff in listening and speaking skills Here are some solutions that can be applied to improve the current status: First of all, for directors and executive members, it is possible to organize English presentation competitions aim to discuss about knowledge of products and services that the company businesses among employees every month This method not only can encourage the creation and motivation to work, expand product knowledge for employees, but also help to improve English speaking and speaking skills for employees This is not only a prize-winning competition but also an activity that connects employees with employees and with managers, that contributes to the final aim: development of the company In addition, the company can organize activities such as singing, speaking contests in English which will encourage employees to improve their English skills They are also recreational environment, healthy relaxation for all company staff The company should connect with some English training centers in Hanoi to build up some commercial English courses for staff from all departments The courses will focus on teaching English communication, negotiation, email writing, contract drafting in order to turn the language into an effective tool for the business Listening and speaking skills are also heavily focused as these are the most important skills for the success of company’s business There are employees who are already good at basic English so they will be arranged to work in pairs with specialists to gain experience and communicate with foreign customers Increasing criteria of recruitment for English proficiency is also essential Particularly, the company only recruits the people with TOEIC 700 or IELTS 6.0 or higher instead of TOEIC 450 and regularly tests English of staff to assess the qualifications of the staff and provide timely solutions For each employee: Each employee needs to raise awareness of practicing and improving his/her English ability so as not to fall behind on society One way to promote the use of English in the work is to target customers from mainly Vietnamese to foreign customers; look for and cooperate with new foreign partners 17 Being active in everyday communication is also an effective way to improve your listening and speaking skills Improve and enhance the use of English in business is a necessary step, as a prerequisite for the development of companies in the current integration economy PART 4: PROPOSING THE TOPIC OF GRADUATION THESIS Nowadays, English has really become the most popular language around the world as well as the key for international relationships, enterprises have to improve the quality of human resource that has not only specialized knowledge but also good foreign languages and soft skills The companies require the high qualification of interviewer in the first round If the interviewers are good at foreign languages, they would have opportunities for being a part of company However, most of learners and staffs can speak and listen in English basically, which is enough to communicate with each other but not know the meaning of phrasal verb or terminologies because of lacking specialized knowledge The ability to look up and read English documents is not good Therefore, that establishes language barriers for English learners, have a negative impact on business From the above reasons, nearly one-month internship at Business Department in Sao Mai Chemistry Co., Ltd, I propose a subject for graduation thesis: ‘Difficulties and strategies for improving English documents reading skill of staff in Sao Mai Chemistry Co., Ltd” 18 CONCLUSION Though five years of operation and development, Sao Mai Chemistry Co., Ltd has been achieving goals in term of trading in industry With large scale in both domestic and abroad market, the company has developed year by year and gradually asserted its position on the global market In addition, its business is increasingly specialized to bring high efficiency and customers’ satisfaction During one month doing the internship in Business Department at the company, I was aware of the important role of English in the areas of business Besides, I have gained opportunity to apply the knowledge obtained at university into reality and learn more about styles, attitudes, methods of working, communication in business environment, generating valuable experiences that helps me give out the clear direction for my future career Through my experiences obtained during the one-month internship and my knowledge background, I conducted this report in order to figure out some existing problems at the company I hope that it would contribute to the unit’s development in the upcoming time and wish the company more and more prosperous well in the future 19 ...
