oriented on exporting of traditional products especially arts and handcrafts items In 2005, Tan An Co., Ltd has partnered with artists in the craft villages in order to restore and develop the profession; accelerate the delivery of traditional craft products of Vietnam to the world market to promote the traditional culture of Vietnam, while also creating jobs and income for people in the traditional villages In 2004, Tan An Co., Ltd started building a group of small hydroelectric power plants in Van Ban district of Lao Cai province In 2008, three small hydroelectric power plants went into operation and activities in accordance with the designed capacity to synchronize into the national grid In 2008, the company has a joint venture with the Vietnam Forestry Corporation to build the MDF wood processing factory with a capacity of 54 thousand tons per year in Yen Thuy district of Hoa Binh province As expected, the plant will go into operation at the middle of 2011 In 2009, the company has a joint venture with a China partner to build the Feromangan (FeMn) producing factory with a capacity of 100 thousand tons per year which is considered as the largest factory in Vietnam Vietnamese culture Along with export crafts, Tan An Company invested in importing raw materials of chemicals, metallurgical materials, machines and equipment to serve for the domestic industry 1.3.1.2 Company is responsible for issuing decisions and general administration of all production, management and other business activities in the company, directly in charge of the business, organization officials and all decision-making about the policies and human resources, the allocation of charter capital, level of stocks, investment, investment scale The structure of the Board of Director  Head of the Representative Office in Ho Chi Minh City Graduate Internship Report | Nguyen Thi Loan-IB2012C 25 2.2.2.1 Project Initiation Project Initiation is the first Project Phase Its function is represented the conceptualization of the project In this stage, the project manager works with the project sponsor and stakeholders to identify the scope of the project, estimate costs, expenses and critical resources, all defined in a project request/charter to obtain authorization to begin the Planning Phase of the project A review should be conducted in the Initiation Phase to ensure executive and stakeholder support, clarity of objectives, and understanding of urgency 2.2.2.2 Project planning and design To approve that the appropriate level of planning has been undertaken, and that the project is ready to begin the Build/Configure stage, the project managers make sure of this following documents:  Project Plan: a detailed plan of delivery for the project including all resources required, which are assigned at task level for all stages  Detailed Requirements: the final signed off version of the requirements from the users  Detailed Design: The Technical Architect translates the Solution Design into technical details that will enable the development team to proceed with the Build ensure compliance with the approved architecture  Test Plan: This plan will detail all levels of testing to be performed during the construction of the project 2.2.2.3 Project execution The objective of the Execution phase is to perform the work planned and approved during Planning tasks created in the prior phases are put into action to deliver the expected results This phase is the "getting the work done" part of the project and typically the greatest amount of resources (including budget) and effort are applied in the Execution phase 2.2.2.4 Project monitor and control The key activities of the project are tracked, reviewed, and revised at regular intervals to ensure the desired results are delivered The benefit of this process is that risks to project setbacks or failure are minimized The project manager or lead utilizes skills and tools to review progress, capture requested scope changes, risks, and document achievements By monitoring and controlling the project, the PM or lead keeps the project moving and allows for any necessary adjustments Regularly assessing progress related to scope, timeline, and budget helps to minimize the impact of setbacks as the project progresses By capturing and assessing progress, proper evaluation of variance to plan can be conducted and corrective actions implemented Additionally, as the PM or lead is thoroughly capturing progress and any missed activity dates, adjustments and tradeoffs between schedule and budget goals can be analyzed and agreed upon 2.2.2.5 Project closure The purpose of the closing phase in the project management lifecycle is to confirm completion of project deliverables to the satisfaction of the project sponsor, and to communicate final project disposition and status to all participants and stakeholders The work has been completed and the deliverables have been accepted by Internship goals and objectives During my 6-week internship, I have set up my own goals and objectives to take all the advantages of this practical opportunity My internship objectives are:  Getting familiar with the working environment in the labor market, creating a good relationship with my colleagues in the company that I practice  Accessing to career that I have selected before graduation to understand how the work have been done  Getting the timely adjustments to appropriate with the job with the most suitable training after graduating the university  Applying the knowledge I have learned at university into the real work in order to identify my strengths, weaknesses and which knowledge, skills I have to equip to meet the need of the job  Learning some experiences from my colleagues in the company then apply them for my own job in the future In fact, training programs in universities have provided the system of theories and useful theories about careers to be applied to vivid reality with objects of the specific career Therefore, the internship becomes necessary for students This initial experience helps me become more confident after school and find job It also helps me not to be too disappointed with the result in the real labor market participation In the course of the internship, I able to establish relationships in my career, this is very useful for me after graduation This practical experience helps me to be more confident, more understanding about the real job after graduating and looking for a job in import/export sector Graduate Internship Report | Nguyen Thi Loan-IB2012C 28 After the internship, I have gained some skills and strong foundation to apply to the future job This is the necessary step for students in general to firstly get acquainted to the labor market 3.2 Assigned Works In the six-week internship, I am a project assistance in Project Management Department My main tasks is supporting the employees some works relating to project management within my capabilities 3.2.1 From 18/01/2016 to 30/01/2016 In my first week of the internship, I spent almost my time on researching the overview of Tan An company and get familiar to the jobs My specific works in first two weeks are:  Reading the overview about Tan An Company Limited: general information, industry and activity fields,  Getting acquainted to the working environment in Tan An and understand the working environment in the real life  Observing how the employees of Tan An company work and collect experiences during working-days - Reading some reports about business activities of Tan An company from 2012 to 2014 such as balance sheet, financial report, statement of cash flow - Reading some completed projects of the company - Doing the daily routine: Make photocopies, printings and scans of documents, answering the phone, receive mails & parcels for the employees,… 3.2.2 From 14/02/2016 to 25/02/2016 Graduate Internship Report | Nguyen Thi Loan-IB2012C 29 After getting acquainted to the new environment, I am assigned some simple tasks to support the employees Beside this, I get to understand more about the documents relating to project management These tasks are as below:  Doing my daily routine as the past week  Figuring out and read business activities and preforming projects recently  Reading some commercial contracts  Applying computer skills to text editor  Reading the document necessary with project management procedures: the provisions of the law on construction, construction standards and regulations related 3.2.3 From 28/02/2016 to 09/03/2016 In last two weeks of the internship, I had chance to have deeper understanding about the tasks and affairs of the employees in project management During this period, I had participated in these following tasks:  Daily routine  Trying to understand the regulations, standards, decentralization of investment management, cost management, construction quality management ,  Observing the skills on planning and reporting of employees at the company  Updating legal documents related to new law provisions on construction and hydroelectric power construction  Performing other duties as assigned by management staff This practical internship helped me integrate into the actual environment of the enterprise to understand the organizational structure and the operation of the business I am able to meet the rapid integration capabilities of their actual working in the real labor market Graduate Internship Report | Nguyen Thi Loan-IB2012C 30 Moreover, I had opportunity to apply the knowledge learned at school into practice Therefore, I have found the solutions to increase the effectiveness of practice in place Additionally, I learnt the way to behave professionally in business relationships 3.3 Implementation methods Before start a particular tasks that I am assigned , I usually listened carefully to the employee’s requirements Since this is a relatively new work for me and there are many words in technical majors, sometimes I had to read more technical dictionaries, reports related to the construction Furthermore, I tried to find out by asking help from the experienced workers to know all part of the project When doing the tasks I were assigned, I myself have tried to make them well so I actively learnt from the employees in the company, directly asked if I saw that work unclear Thus, I can avoid the difficulties in the office work During practice, the direct observation of the work at the office or away on experimental observations works help me understand the problem and get rid of my mistakes CHAPTER 4: ACHIEVEMENT FROM INTERSHIP 4.1 Accumulated experiences in knowledge and skills After a 6-week internship at the company, with the professional working environment and the dedicated guidance of the people in the organization, I myself had the opportunity to practice the knowledge they have learned at university and accessed to many areas of work That is very useful for my future work I was assigned to office work as well as work-related to managing subjects Graduate Internship Report | Nguyen Thi Loan-IB2012C 31 Through the comments on the weekly report, I was able to recognize what I have achieved and what I was lacking of Since then, I can complete myself Furthermore, the professional and serious working environment helped me shape the behavior in the workplace By interacting with others in the work environment as an internship, I had the opportunity to improve my business communication, team work skills Through practice, I learnt how to manage work and projects and how to work in a professional environment I could also learn from colleagues by observing positive habits and their negative In short, internship experience makes me become a better candidate, help me decide what work you want to pursue, and increase opportunities for jobs with higher starting salaries I have learned a lot from the staffs in the Project Management and accumulated invaluable lessons and would be helpful for the future job 4.2 Matching between academic knowledge and real practice 4.2.1 Apply academic knowledge into practice After years at university, and 6-week internship at Tan An Company Limited, I noticed the theory and practice must always go together Theories are the foundation for the practical reality The real practice is consider as the result of skillfully applying the theory In my work, the company is planning projects, managing the project, establish relationships with clients, analyzing data, market survey Hence, I see the requirement to have multiple skills To achieve the efficiency , in addition to the knowledge I learnt, I have to be equipped with soft skills, which are the skills learned in practice: teamwork skill, creative thinking skill, , observing skill, communication skill, presentation skill, Graduate Internship Report | Nguyen Thi Loan-IB2012C 32 The courses at university that equipped me with the basic knowledge to perform the work are:  Business communication: understand about communication and its benefits, catch and apply skills to communicate in the business environment and the real life  International trade policy: equip students with the basic knowledge of the analysis tool of international trade policy On this basis, the initial course to help students study and analysis of issues related to international trade, the international commercial lighting of the country and international trade policies of Vietnam in relation compared with provisions and multilateral commitments on international trade Finish the course, students have the ability to understand, analyze and forecast the basic issues related to the trade policy of the country in general and Vietnam in particular  Information technology: help me be proficient in word processing, using Excel, PowerPoint, Access, Outlook,…  Project management: students can exposed the basic philosophy of project management as a unique, specialized discipline of management and attain a basic academic-oriented knowledge of the principal aspects of project management 4.2.2 Differences between knowledge and real practice In my opinion, the differences between theory and reality are the practical experience, the way to fix the failure because the theory is able to give students the overall picture of a sector that students followed at the university, but the theory and reality are far different from each other During my internship, I only Graduate Internship Report | Nguyen Thi Loan-IB2012C 33 can apply little knowledge in a part of the process, not all of the knowledge I have learned I take a construction project as an example When I started, I had to follow the recipe template, from the preliminary beams, columns to the core layout I have to follow exactly that the curriculum in order not to get in troubles or make mistakes Based on the theory, to protect their projects I must follow this curriculum In fact, when there is a chance to execution of construction works, I have had a new vision for the job after graduation Sometimes, there are problems when performing I not know, but from the fact that I can learn from others in order to complete my practical experience for the job in a gradual manner Although the academic knowledge and real practice are different, they are extremely necessary mutually If students are not good at the theory, it is very difficult for them to perform the job well because of the lack of knowledge => So theory and practice are complement each other The theory help students visualize the object to be studied are, and from which they can apply effectively in practical work 4.3 Comments Tan An company is a company that develop based on the sustainable foundation and the great strategies of the Board of Director Most major projects the companies has invested achieve certain results The staff of the company are professional, enthusiastic and eager to work They are very cheerful, sociable and friendly Especially with the trainee, the company's staff are always helpful and guidance to help the trainees from to get familiar with the work With multiple workloads, the company's staff always ensure the progress of the work are in control to guarantee the development of the in the near future CONCLUSION After finishing this internship, I have learned many interesting things and working experiences I have learned a lot of skills thank to the dedicated guidance of staffs
