Trang 3PROJECT BACKGROUND
CONTEXT OF THE PROJECT
The serious COVID-19 pandemic has had a significant and far-reaching effect on all socioeconomic dimensions, on the material and spiritual lives of individuals Throughout the industry's existence, the health sector has endured more than five very tough and trying months Frontline troops fighting the COVID-19 outbreak, such as medical professionals, physicians, and nurses, have given their whole hearts and souls to their task; they have made selfless sacrifices to maintain peace and save the lives of so many COVID-19 sufferers As a consequence, medical personnel's health is depleted, and one
of the reasons is nutritional deficiency, which may have a detrimental effect on the health
of the anti-pandemic force, one of the most critical pillars of pandemic prevention, health care
Specifically, through a survey of 60 Covid-19 treatment hospitals, the Department of Health recorded 5 places that were reported to be "unsatisfied with the meals" including District 1 Hospital, An Binh Hospital and three field hospitals No 1, 11, 12 (vnexpress.vn)
As a consequence of these concerns, six members of International University - VNU-HCM created the non-profit project called “Bep Xanh” with the mission of safeguarding the
health of the anti-pandemic team at No 11 field hospital Bep Xanh will provide 500
meals each day for two weeks to provide more nutritious and delicious meals for our
"heroes."
Bep Xanh project will last 44 days from 1/1 - 13/2/2022 with an estimated budget
of under 300 million vnd Within the name, “Bep” is the place where our team turns ingredients into delicious dishes “Xanh” is a color representing the medical protective gear that doctors and nurses have to put on and also presenting peace

PROJECT PURPOSE AND SPECIFIC OBJECTIVES/DELIVERABLES
Bep Xanh’s overall purpose is to raise the spirit of the anti-pandemic team with the
message “Doctors save patients, we save doctors.” Doctors and nurses are the ones who take care of patients, but in-depth, they also need to be cared for and loved back That's why Bep Xanh devotes all its love to meals as a way of gratitude to the medical team who have been fighting against the epidemic
Bep Xanh's primary objective is to serve enough tasty and healthy meals for the 500
anti-pandemic team members who work at field hospital No 11 The project team will
prepare a sponsor list and contact sponsors in order to sustain and accomplish the project To put it in operation, it is critical to find a cooking place and obtain a
certificate of food hygiene and safety as well as permission from the hospital before
we can apply for approval In addition, we must make certain that the weekly menu
includes a diversity of meals to prevent physicians and nurses from becoming disinterested A careful inspection must also be performed on the preparation of the
cooking ingredients, as well as the kitchen utensils Besides that, we must report the outcomes of the project to the local government and other stakeholders As a thank you
to all of the stakeholders who took part in our extremely meaningful and practical
project, we will create the most thoughtful gifts for them when the project comes to a
close
Trang 7WORK BREAKDOWN STRUCTURE (WBS)
A Work Breakdown Structure (WBS) is a project management technique that divides work into smaller tasks to make work more manageable and accessible to everyone involved
Our project is broken down into phases using the following hierarchical WBS structure
in order to simplify each phase
To begin, having a well-defined strategy enables everyone to monitor the project's progress We must ascertain the nutritional content to deliver the finest meals possible
to the medical personnel Naturally, a good project must have a well-defined plan and agenda to avoid being late Weekly menu planning is also necessary to provide variation Backup plans and budget estimation are critical to ensuring that the Bep Xanh project runs well under all circumstances and to recruiting more sponsors, donors, and volunteers
Second, we must follow legal processes to secure permissions such as food hygiene and safety permits, as well as draft contract paperwork with the provider Just after that, we will advertise our proposal to the 11 field hospitals for them to assist us if necessary Following that, the proposal is critical for this project since it is an effective method of attracting sponsors by presenting the project's advantages Additionally, the sponsor list
Trang 8Sixth, each step of implementation will carefully monitor and change the operation plan for cooking and delivery
Finally, after the project is complete, we will run a poll to get direct feedback from the medical team and then report back to the local government and stakeholders through social media
One task that cannot be overlooked is compensating our project's stakeholders with little presents, certificates of honor, thank-you letters, and money
Trang 9COST ESTIMATES TO THE LEVEL OF THE WBS
The following is an estimated cost list for our "Bep Xanh" project based on the work breakdown structure, which will contain seven primary components: planning, legal process, communication, recruiting, material preparation, operation, and summary There are 24 sub-activities in all, which we list, classify, and cost estimate Our team seeks 15-20 volunteers to assist with tool preparation, meal preparation, packaging, shipping, and distribution As seen in the plan, communication and summarizing are carried out primarily using our team's existing human resources, resulting in minimal operating costs On the other hand, the Legal Procedures, Preparing Materials, and Operation sections require significant financial investment to prepare and operate because they require hiring a chef, purchasing a large number of cooking tools, and food to fully prepare and ship, ensuring that the project implementation process went smoothly and produced positive results The whole amount exceeds 265,644,000 VND, with the most expensive portion being ingredients preparation at 210,000,000 VND for 7,000 meals for doctors, nurses, and militiamen over 14 days at field hospital No 11 The least expensive action is applying for a license to assure food hygiene and safety, which costs just 150,000 VND The remaining operations’ costs are between 6 and 15 million VND Additionally, to secure the volunteers' health, we have prepared additional medical-standard protective suits and the total cost of suits for three volunteers delivering meals
to the hospital throughout 14 days is up to 2,079,000 VND At the end of the "Bep Xanh" trip, the project team will prepare small gifts for volunteers to express their appreciation
Trang 109 | P a g e
for their voluntary commitment to the campaign These gifts will include 200,000 VND
in cash, one gift worth 100,000 VND, one certificate, and a thank you letter We put the contingency plan 10% in the case of a pricing differential and inflation The anticipated total amount is 293,308,400 VND
This is a table showing the details of what to buy for kitchen utensils, with information
on quantity and market price for each type The total cost is 15,415,000 VND, with food containers being the most expensive at 3,500,000 VND for 7000 boxes and the cheapest
at 22,000 VND for 4 sets of long cooking chopsticks
According to Public Health England, to have good health and standard bodyweight, the adult calorie intake is 2000 calories for women and 2500 calories for men of which 600 calories for lunch We want to bring doctors, nurses, and militiamen who have struggled with patients and people during the pandemic season, a nutritious and delicious meal This is a gift to express our deep gratitude to the blue-shirt heroes and is also a part of
Trang 11our team's contribution to the country in fighting the pandemic Therefore, the project team designed a 2-week menu to meet the standard calorie requirement with rice dishes, soups, main foods, desserts, and drinks Water and fruit dishes such as orange juice, lemonade, and tangerines, which are high in vitamin C and can help keep the body healthy and increase resistance to work, have been added to the menu Besides that, we also offer a variety of dishes, from rice to noodles, and include various savory dishes like chicken, meat, and fish to avoid boredom In addition to vitamin C, protein, and starch, fiber is indispensable, so the menu has different soups and vegetables

NETWORK DIAGRAM (CPM/PERT)
A CPM chart is a graphical depiction of work and events that take place regularly in an organization Because each project's critical route will consist of interconnected tasks that will have a direct impact on one another, graphics will be separated into many alternative pathways in order to calculate the shortest time estimate and provide the most effective direction for each project's critical path until the project's completion date Bep Xanh project will be able to maintain a tight grip on the project's development
by identifying the crucial route and directing all activity along with it
Following the A - F - H - I - J - M - N - Q - F or A - F - H - I - J - M - N - P - F route from
planning to summarization, the project plan that will follow the shortest and most effective schedule is provided in the Work Breakdown Structure (WBS) section, which is based on the evaluation of resources and time available
Trang 13GANTT CHART
The Gantt chart is a kind of visual that is used to depict tasks and events that occur regularly, such as meetings Each area of the visual is separated into two axes: the vertical axis displays the job names, and the horizontal axis displays the job timeframes Project managers may easily record information about specific tasks as well as the whole project
by referring to a Gantt chart as they work
The tasks required to accomplish the Bep Xanh project are shown in the illustration below In the Task Breakdown Structure (WBS) section, seven color scales reflecting seven workgroups, ranging from planning to summarizing, have been provided to the reader
