EXECUTIVE SUMMARY

This research focuses on the management information system with the topic

"Data Management System of ACL ART on Odoo." ACL ART is a companyoperating in the field of artistic product manufacturing and business Theresearch aims to investigate and analyze the data management system of ACLART using the Odoo enterprise resource planning (ERP) software

The main objective of this study is to develop an efficient and flexible datamanagement system for ACL ART, aiming to optimize the organization, storage,import/export, processing, and security of data within the company Additionally,the system aims to improve the performance and competitiveness of ACL ART

in the artistic industry through the implementation of information technology inmanagement processes

The scope of the research covers various aspects related to data managementwithin ACL ART, starting from evaluating the company's requirements,designing and implementing the system on Odoo, to evaluating its effectivenessand proposing enhancements However, the research will not delve into otheraspects of the Odoo ERP beyond data management

There are certain limitations in this study, including constraints on resourcesand time, as well as the scale of the ACL ART company and technical limitations

of the Odoo software Nonetheless, the objective remains to create an optimizeddata management system that aligns with the specific needs of ACL ART toensure efficiency and performance in its business processes

The assessment of the Odoo-based data management system for ACL ARTrevealed several positive outcomes The system demonstrated improved dataorganization, streamlined processes, and enhanced data security A comparativeanalysis with other solutions highlighted Odoo's superiority in terms of cost-effectiveness and user-friendliness Overall, the implementation of Odoocontributed significantly to ACL ART's data management efficiency

In an increasingly complex and competitive business environment, effectivelyoptimizing and managing information processes has become a determining factorfor the success of every enterprise ACL Company, operating in the field ofsupplying stationery and related services, is no exception to this challenge Tomeet and exceed the growing market demands, the establishment of an efficientand convenient information management system is of utmost necessity.Recognizing the significance of this matter, the research topic has beenselected with the aim of addressing issues related to information managementsystems within ACL Company Through a specific examination and analysis ofthe difficulties and limitations that the company currently faces in managing data,orders, products, and day-to-day transaction activities, the objective is to identifysuitable solutions to enhance these processes

The important objectives that ACL aims for when implementing aninformation management system are to create efficiency, consistency, andreliability in information management, helping ACL companies enhanceproductivity, optimize workflow processes, and gain a competitive edge in achallenging market

 Business process optimization: Improving the performance of businessprocesses by optimizing, automating, and reducing the time required foractivities This can help increase productivity and reduce costs

 Providing accurate and timely management information: Enablingintelligent decision-making and predicting future developmentdirections This helps the business achieve flexibility and better respond

to market changes

 Enhancing internal interaction and connecting a wealth of information:The Management Information System helps establish connectionsbetween different departments within the enterprise and providesopportunities for direct information interaction, improving teamworkand achieving common goals together

 Optimizing data management: Assisting in managing, organizing, andstoring data systematically, making it easy for the business to accesscritical information and create an overview of business operations

The Reporting module within Sales provides functionalities for creating andmanaging reports related to sales activities and revenue such as: Sales OrdersReport,Revenue Report, Best Selling Products Report,Marketing CampaignReport

3.2 Data import

3.2.1 Data at ACL

Currently, ACL company is managing orders and product catalogs using Excelfiles; however, this approach presents several disadvantages and limitations

 Managing Orders with Excel:

The company ACL is currently utilizing Excel files to managecustomer orders Relevant order information, such as customer details,products, quantities, prices, and order statuses, is recorded incorresponding columns However, managing orders through Excelfaces several primary issues:

 Potential for Errors and Mistakes: Manual data entry in Excelincreases the likelihood of errors and mistakes in recordinginformation This can lead to confusion in terms of delivery orincorrect payments

 Difficulty in Tracking Status: As orders progress throughvarious stages, manually tracking the status of each orderbecomes complex and prone to confusion

 Lack of Flexibility: Excel lacks the ability to allow simultaneousupdates from multiple users and struggles with datasynchronization

 Managing Product Catalogs with Excel:

The product catalog is also managed using Excel files Each product isdetailed with information such as name, product code, description, andprice However, utilizing Excel for product catalog managementpresents the following issues:

 Challenges with Large Catalogs: As the product catalogexpands, browsing and searching for information becomesdifficult and time-consuming

 Lack of Integration: Excel doesn't provide data integrationcapabilities, making it challenging to update product informationand synchronize between different departments within thecompany

 Potential for Data Fragmentation: Due to data being distributedacross various Excel files, information can be lost or lacksconsistency.

 In this context, the method of managing orders and productcatalogs through Excel faces numerous difficulties and risks Toenhance management efficiency and ensure accuracy, ACLcompany should consider transitioning to a centralizedmanagement system like Odoo This would automate processes,improve consistency, and enhance tracking capabilities for orderstatuses and product catalogs

So ACL company decided to use Odoo software to manage data in theenterprise And the first step to start managing data with Odoo is to transfer datafrom Excel to the Odoo system

3.2.2 Input data into Odoo

3.2.2.1 Step 1: Prepare Data

Open the interface of the object for which data needs to be input (in this case,Products - you can access products from the Sale application) Upon reaching theData Input interface, the software will prompt you to download a data inputtemplate (see image)

This data input template is preconfigured with columns corresponding to fieldswithin the software Users only need to populate the information to input thisdata to match the fields within the software

3.2.2.2 Step 2: Adjusting a Data Template

To adjust the data, it's important to note the type of data you want to input toensure accuracy Currently, the Odoo software supports the following 3 types ofdata input:

Text (string) data input:

 Text or string data is a sequence of characters such as letters, numbers,symbols arranged in a consecutive manner or separated by punctuationmarks or spaces For example, a product name is a type of text data,

like "Holic Canvas Table," consisting of uppercase letters, lowercaseletters, numbers, and spaces.

Number data input:

 Number data or numerical data is a sequence of numerical charactersthat can be used for calculations in formulas For instance, the costvalue of the "Holic Canvas Table" product is set at 10,000 VND Usingthe standard cost calculation method, when 2 units of this product arebrought into inventory, the inventory valuation of the product would be10,000 * 2 = 20,000 VND

 Note: Distinguishing between text and number data

 Sometimes, a sequence of numbers can be formatted as text - thisdepends on the formatting set when opening the data file withspreadsheet software It's important to correctly choose the data typebefore loading the file; if the data isn't in the required format, thesoftware might report errors during input

Date data input

 Date data or date format represents date and time Sometimes, certainfields will require complete information including day, month, hour,minute, and second Therefore, it's important to consult the formattingrequirements of the input field and utilize the time formatting feature ofspreadsheet software to format such data

 In addition to the aforementioned general data formats, Odoo softwarealso employs a specific data type called a relational field to refer torecords when necessary

How to input relational fields:

 An object in Odoo is always related to many other objects (for example,

a product is linked to a product category, attributes, suppliers, etc.) Torepresent these relationships during input, you first need to input therecords of the related objects from their respective list menus

 The Odoo software allows you to use either the name of the relatedrecord or its External ID to reference the corresponding records.Especially in cases where records have identical names, using theExternal ID is the only feasible option to accurately call the requiredrecord

3.2.2.3 Step 3: Input Data

After uploading the data file, the "Import a File" page will display the addedcolumns from the file On this page, each column is associated with therespective field You can either directly type the related fields or create theExternal ID In Odoo, it's important to assign an External ID to each column.Clicking the "TEST" button will identify any errors related to the enteredExternal IDs, and these errors will be reported in the Comments section Based

on the errors listed in the Comments section, you can make the necessaryadjustments

3.2.3 Types of data to be imported

ACL Company manages two types of data: Master Data and Transaction Data

 Master Data:

Master Data is a collection of fixed and relatively unchanging data thatneeds to exist within a system from the outset This data constitutesessential and fundamental information for carrying out businessactivities In Odoo, the main types of Master Data include:

 Product Catalog: This includes information about the products,services, or goods that the company offers Details such as name,product code, price, specifications, and product images areconsidered fixed and undergo minimal changes

 Customer List: This records information about the company'scustomers, encompassing details like names, addresses, contactinformation, and purchase history

 Supplier List: This contains information about suppliers whoprovide raw materials, products, or services to the company

 Employee Information: It captures details about employeesworking within the company, such as names, positions, contactinformation, and personnel management-related information

Master Data is crucial for the smooth operation of an organization'sprocesses, enabling effective management of resources, clients,suppliers, and employees Entering master data into the system isessential because the absence of accurate Master Data can lead toserious issues in business operations For example:

 Product Catalog: Incorrect or missing product information canhinder the company's ability to engage in buying and sellingtransactions Customers won't have access to accurateinformation about the products

 Customer List: Insufficient customer information can result inmissed business opportunities Without accurate contact details,the company can't communicate and interact effectively withcustomers

 Supplier List: Lack of supplier information can complicatesupply chain management The company may not be able toaccess necessary raw materials or products

 Employee Information: Employee data forms the foundation forpersonnel management and payroll processes Insufficient datacan lead to errors in payroll calculations and human resourcesmanagement

Inaccurate or missing master data can disrupt various aspects ofbusiness processes, resulting in inefficiency, customer dissatisfaction,missed opportunities, and financial discrepancies

 Transaction Data:

Transaction Data is a collection of data related to regular transactions inbusiness operations These data are generated and change frequentlyover time In Odoo, Transaction Data mainly includes:

 Sales Transaction Data: This encompasses information aboutsales transactions such as orders, invoices, and delivery notes.The data includes products, customers, quantities, prices, andtransaction status

 Purchase Transaction Data: It holds information about purchasetransactions from suppliers, including details about products,suppliers, quantities, prices, and transaction status

 Inventory Transaction Data: Records transactions related toinventory management, covering inventory receipts, inventoryshipments, and transfers

 Financial Transaction Data: This includes information aboutfinancial transactions such as payments, receipts, expenses,revenues, profits, and account balances

Transaction Data is crucial for tracking business activities, analyzingperformance, and maintaining accurate financial records Propermanagement of transaction data ensures the transparency and reliability

of business operations

Entering this data into Odoo facilitates efficient tracking andmanagement of business processes However, failing to inputtransaction data can lead to the following issues:

 Loss of Business Insights: Without transaction data, thecompany lacks information about sales volumes, profits,expenses, etc This impedes the evaluation of businessperformance

 Inability to Monitor Order Status: Lack of transaction data fororders can result in the loss of order status information Thecompany won't know which orders are being processed or havebeen completed

 Lack of Inventory Visibility: Not inputting inventory transactiondata prevents the company from understanding inventory levels,inflows, outflows, and planning inventory managementeffectively

 Financial Tracking Impediment: Financial transaction dataprovides insight into the company's financial situation Withoutthis data, the ability to track the financial status will be limited.Accurate and comprehensive transaction data is vital for informeddecision-making, strategic planning, and maintaining a clear overview

of the company's operations and financial health

In summary, the integration of both Master Data and Transaction Data withinthe Odoo system plays a crucial role in establishing a management and businessanalysis foundation Among these, Master Data forms the fundamental pillar thatneeds to be input into Odoo from the start, ensuring data consistency andaccuracy While not obligatory, inputting transaction data into Odoo yieldsnumerous advantages Accurately monitoring order statuses, managing inventorysituations, and evaluating business performance based on transaction datacontribute to creating a specific and valuable information repository to supportbusiness decisions This combination generates a robust and useful framework tofacilitate effective business management and strategic decision-making

3.3 Installing modules

3.3.1 Why is CRM suitable for B2C businesses?

In the early stages when a business enters the market, enhancing brandrecognition is crucial Therefore, the best choice for businesses at this point is toimplement CRM software to manage sales processes and customer care.For B2C businesses, customers are the primary source of income, andretaining and satisfying customers is incredibly important Thus, a CRM systemassists B2C businesses in effectively managing customer information and savingtime

Features such as storing customer information, purchase history, websitebrowsing behavior, preferences, and interaction levels enable B2C businesses to

create targeted marketing campaigns and enhance interactions with customers,thereby fostering customer loyalty.

Furthermore, a CRM system also helps B2C businesses manage orders andservices more efficiently The CRM system stores information about the productsand services offered by the B2C business, enabling sales representatives topromptly address customer needs

3.3.2 Select module

The selection of modules used on the Odoo system must also match the needs

of B2C businesses In the ACL business, we have installed 4 modules to servethe operation of the business, including:

 The Sale module helps businesses track the status of orders, manage,and optimize the sales process

 The Marketing module assists businesses in customer care throughemail marketing or SMS marketing based on the system's automationprinciples

 The CRM module allows for data analysis and information about acustomer's consumption history with a company to enhance businessrelationships, especially focusing on maintaining loyal customers andultimately driving sales growth

 The Accounting module aids accountants in monitoring the company'scash flow and managing standardized financial activities automatically.Therefore, installing 4 modules including: Sale, Marketing, CRM, Accountingfor B2C businesses is extremely reasonable and necessary The software willhelp businesses manage and optimize their business activities, from collecting,storing, and processing customer information, automating marketing, sales, andcustomer care activities, to analyzing customer-related data As a result, it helpsbusinesses build a strategy to approach potential customers and turn them intobuyers

3.3.3 Sales

The "Reporting" function allows employees of ACL to create reports related tosales revenue and business operations Sale employees can generate reports onsales revenue, profitability, inventory, customer information, and sales channels,and customize reports as needed Reports help analyze business data, understandthe business landscape, and make informed decisions

The above-shown screenshot is the Line Chart of the sales report based on theOrder Date It is possible to organize the Bar Chart in Ascending and Descendingorders at ACLr convenience The report can be observed in the Line chart andPie Chart also as shown in the screenshots below

The "Configuration" function allows employees of ACL to customize settingsand configure information related to sales activities and data management ACLcan set up product information, pricing, inventory quantities, customer details,payment methods, workflow processes, email templates, and integration with

In order to manage all sales-related operations inside a company, the necessity

of having an efficient group of employees is very high With the help of the OdooSales module, ACL can create multiple efficient teams of responsible employees

to monitor ACL sales programs and thereby improve sales Under theConfiguration menu of the Sales module, ACL can find the Sales Teams optionwhich will give access to the platform as shown below to create and managesales teams

ACL manage will be able to see the already configured sales teams on thisplatform along with the details of the name of the Sales Team, Alias, TeamLeader, and Company
