Currently, ACL company is managing orders and product catalogs using Excel files; however, this approach presents several disadvantages and limitations.
The company ACL is currently utilizing Excel files to manage customer orders Relevant order information, such as customer details, products, quantities, prices, and order statuses, is recorded in corresponding columns However, managing orders through Excel faces several primary issues:
• Potential for Errors and Mistakes: Manual data entry in Excel increases the likelihood of errors and mistakes in recording information This can lead to confusion in terms of delivery or incorrect payments
• Difficulty in Tracking Status: As orders progress through various stages, manually tracking the status of each order becomes complex and prone to confusion
• Lack of Flexibility: Excel lacks the ability to allow simultaneous updates from multiple users and struggles with data synchronization
• Managing Product Catalogs with Excel:
The product catalog is also managed using Excel files Each product is detailed with information such as name, product code, description, and price However, utilizing Excel for product catalog management presents the following issues:
• Challenges with Large Catalogs: As the product catalog expands, browsing and searching for information becomes difficult and time-consuming
• Lack of Integration: Excel doesn't provide data integration capabilities, making it challenging to update product information and synchronize between different departments within the company
• Potential for Data Fragmentation: Due to data being distributed across various Excel files, information can be lost or lacks consistency
• In this context, the method of managing orders and product catalogs through Excel faces numerous difficulties and risks To enhance management efficiency and ensure accuracy, ACL company should consider transitioning to a centralized

So ACL company decided to use Odoo software to manage data in the enterprise And the first step to start managing data with Odoo is to transfer data from Excel to the Odoo system.
Open the interface of the object for which data needs to be input (in this case, Products - you can access products from the Sale application) Upon reaching the Data Input interface, the software will prompt you to download a data input template (see image).
This data input template is preconfigured with columns corresponding to fields within the software Users only need to populate the information to input this data to match the fields within the software

To adjust the data, it's important to note the type of data you want to input to ensure accuracy Currently, the Odoo software supports the following 3 types of data input:
• Text or string data is a sequence of characters such as letters, numbers, symbols arranged in a consecutive manner or separated by punctuation marks or spaces For example, a product name is a type of text data, like
"Holic Canvas Table," consisting of uppercase letters, lowercase letters, numbers, and spaces
• Number data or numerical data is a sequence of numerical characters that can be used for calculations in formulas For instance, the cost value of the "Holic Canvas Table" product is set at 10,000 VND Using the standard cost calculation method, when 2 units of this product are brought into inventory, the inventory valuation of the product would be 10,000 * 2 = 20,000 VND
• Note: Distinguishing between text and number data
• Sometimes, a sequence of numbers can be formatted as text - this depends on the formatting set when opening the data file with spreadsheet software It's important to correctly choose the data type before loading the file; if the data isn't in the required format, the software might report errors during input
• Date data or date format represents date and time Sometimes, certain fields will require complete information including day, month, hour, minute, and second Therefore, it's important to consult the formatting requirements of the input field and utilize the time formatting feature of spreadsheet software to format such data.
• In addition to the aforementioned general data formats, Odoo software also employs a specific data type called a relational field to refer to records when necessary.
How to input relational fields:
• An object in Odoo is always related to many other objects (for example, a product is linked to a product category, attributes, suppliers, etc.) To represent these relationships during input, you first need to input the records of the related objects from their respective list menus.
• The Odoo software allows you to use either the name of the related record or its External ID to reference the corresponding records Especially in cases where records have identical names, using the External ID is the only feasible option to accurately call the required record.
After uploading the data file, the "Import a File" page will display the added columns from the file On this page, each column is associated with the respective field You can either directly type the related fields or create the External ID In Odoo, it's important to assign an External ID to each column Clicking the "TEST" button will identify any errors related to the entered External IDs, and these errors will be reported in the Comments section Based on the errors listed in the Comments section, you can make the necessary adjustments.

The above-shown screenshot is the Line Chart of the sales report based on the Order Date It is possible to organize the Bar Chart in Ascending and Descending orders at ACLr convenience The report can be observed in the Line chart and Pie Chart also as shown in the screenshots below.
The "Configuration" function allows employees of ACL to customize settings and configure information related to sales activities and data management ACL can set up product information, pricing, inventory quantities, customer details, payment methods, workflow processes, email templates, and integration with other modules This function helps meet specific business requirements and customize business processes.
In order to manage all sales-related operations inside a company, the necessity of having an efficient group of employees is very high With the help of the Odoo Sales module, ACL can create multiple efficient teams of responsible employees to monitor ACL sales programs and thereby improve sales Under the Configuration menu of the Sales module, ACL can find the Sales Teams option which will give access to the platform as shown below to create and manage sales teams.
