It could say that Yusen Logistics Vietnam is one of the biggest enterprises of providing Logistics service as well as well warehousing in Vietnam, they have the Ref Office spread out most of city and province in Vietnam As a global company covering all modes of transportation, they have enough resources and facilities to support the delivery and the requirement from the customer And here is some background information about Yusen Logistics Vietnam

Organizational hierarchy
Regarding the organizational structure of the management apparatus, Yusen Logistics (Vietnam) Co., Ltd is organized according to the model of direct – function, departments, groups, contributing to the implementation of the business plan and the effective use of human resources based on the annual Human Resources plan approved by the General Director.

Each department in Yusen Logistics Vietnam are synchronized with each other, allowing information flow to run through every department in the company However, each of those departments cannot interfere deeply with the information of the other. And when there are jobs involving many departments, it is necessary to go through the opinions, direction and assign tasks of the managers of each department Therefore, each department needs to have leadership positions to be in charge and manage each specific task.

It can be seen that shipping activities between Yusen Logistics Vietnam and companies in North Asia (namely China and Taiwan) account for the largest proportion in both export and import industries, besides Thereby, accounting for the proportion of exports, equal to the trade region HAN-EAS is the trade region HAN-SAO with 34%. And for export revenue, the next 2 positions come from JPN and AMR with 14% and 12% respectively Finally, EUR, which brings only 6% of revenue in 2021 As for the import industry, in 2021, freight forwarding activities with trade region AMR bring low and insignificant revenue, so it can only be calculated is 0% A bit higher with 3% coming from the EUR trade region, although not the lowest number, but like export goods, the revenue brought from EUR is still not in the average group And followed by revenue from SAO and JPN with 24% and 26% respectively.
Our revenue stream is primarily driven by the East Asia (EAS) region, with South America (SAO) and Japan (JPN) serving as stable income sources To maintain these relationships, strategic initiatives are crucial Despite lower current revenue, the Americas (AMR) and Europe (EUR) possess strong potential for growth Our focus should be on promoting transportation activities in these regions to foster their development and establish long-term partnerships.

Although Yusen's market share does not account for much in the Vietnamese logistics market, it is no longer a small number in an environment with thousands of large and small logistics companies The company's market share has increased steadily over the years, specifically in 2018 - 2019, Yusen's market share reached 1.68%, then increased to 1.73% in 2019 - 2020 and increased by 0.02% in 2020 - 2021 From 2021 to 2022, the company's market share has reached 1.92% and maintained a stable growth rate.
With outstanding competitive advantages and the determination of the entire apparatus, it is certain that Yusen Logistics Vietnam's market share will maintain its growth momentum and may expand further in the coming years.
PART II: ANALYSIS OF LOGISTICS AND SUPPLY CHAIN MANAGEMENT
Service Process
Export - Import is a continuous process from when the goods are taken out of the seller's warehouse until the goods are shipped to the buyer's place All steps in this process are very important and need to be strictly controlled.
Yusen Logistics Vietnam – as one of the few companies in Vietnam leading the field of NVOCC with extensive industry experience and highly qualified staff, the company has built a NVOCC department and operate with a strict, professional process Below is the general process when handling a shipment of the Export and Import department of the NVOCC department at Yusen Logistics Vietnam

The above is the general process of an import shipment, like Export Operation, it also includes all the steps from finding a customer, checking the purchase price, the selling price until the goods are delivered at destination port:

Through the above detail process, we can see that in order to bring a shipment to the import port, it will require the participation of many departments in the company and the department we are referring to now is the Import operation Import Operation's mission is started after "ON BOARD CUSTOMER" Import Operation's mission is not only to get the goods to the customer but also to complete the payment: intercompany payment, intercompany billing and complete the report every month so that each shipment is completed within the month is closed and archived, avoiding confusion and supporting future searches
Because the booking has been completed at the port of export, only divided into 2 teams: Import Operation and Import Documentation In which the Import Operation will take care of almost all the things related to the shipment, while the Import Documentation will mainly be in charge of checking documents, checking payment, issuing orders and storing documents.
The Import Operation is primarily responsible for the majority of the work, but the two crucial steps that determine the quality of the shipment-related service are the delivery of an Arrival Notice to the customer and the effective management and release of the Delivery Order.

2.1.2 Detail process to handle an import shipment. a General introduction
Average volume of goods in 1 month: 650 shipments.
Number of employees: 5 staff, 1 seasonal staff, 1 intern

45 shipments, and intern handle about 30 shipments

Upon cargo booking at the export port, the Yunas system generates shipment data As the vessel departs, staff at the import port receive pre-alert notifications via email, initiating the process of import preparation.
Pre-alert include: Shipping Advice Cover Sheet, HBL, MBL.

House Bill of Lading: known as secondary bill of lading, is a bill of lading issued by a freight forwarding company.

Master Bill of Lading: is the master bill of lading issued by the shipping line to the consignor Only 1 MBL is issued per shipment, including multiple copies (same content)
Thus, it can be seen that each shipment can only issue 1 MBL but can issue a lot of HBL.
In addition to information such as Shipper, Consignee, Notify Party, Logo, Seal, Place of Delivery, the remaining information on MBL and HBL must match each other.
Checking whether the information between MBL and HBL is matched is also the job of OI staff before confirming the shipment.
Yunas is a global software, supporting work for many different departments such as Ocean Freight Forwarding, Air Freight Forwarding, Accounting, Sales,

As can be seen, on the picture are the basic fields to help OI staff find information about the shipment.
In which, the 3 most important tasks:
- Send/Receive Agents: this is the field that helps us identify the Sending agent and Receiving agent In the case of goods imported to Hai Phong port, the Receiving agent must be: “YVNHAN”
- Transport mode: With import ocean shipment must be: “SEA”
- End Ports: Last Discharge must be: “VN”
There are also basic fields to search for shipments such as MBL number, HBL number, Co-load MBL, Container, …
- Confirm pre-alert: must make sure MBL and HBL match each other.
- Change Phase to DIS to get ownership of the job.

- Communicate with job owner if any detail need revise/ update.
- Upon confirmation from job owner, can update the consignee, controlling agent, controlling customer, vessel calling to HPH.
Wait for Authorization Letter and Arrival Notice from carrier
Because Yusen is an NVOCC, the goods will be booked through many different shipping lines and each shipping line will have its own form and regulations Someone will send a separate Authorization email and then send Arrival Notice via a new email.
As for SITC shipping lines, they combine Authorization email and Arrival Notice into one email:

After received authorization, extract data information from Yunas to computer. then use Tool supports extracting information from XML file to excel file to submit E-manifest more easily and accurately => Checking information.

- Yellow box: is the information already available on the system, the information is extracted by the software to put into the Excel file The staff's task is to check that the information matches the information on the HBL and MBL.
Information matches with HBL: Shipper, Consignee, Notify Party, Cargo Type/Terms of Shipment, Bill of lading number, Remark.
Information matches with MBL: The rest of the information like Code of Port of Loading, Place of Delivery, Master bill of lading number, Date……
- Blue box: is the information to be filled in later because we need to wait for authorization information from the shipping company.
After checked and full fill information to file Excel -> Submit the declaration on the NATIONAL ONE-STOP PORTAL system

Create AN and send to customer
Because customers book through Yusen, not shipping lines -> after receiving AN from shipping line, Yusen need to issue AN of Yusen and send to customer.
After issue AN and inform via email, Docs Team staff will track and send to customers.

Arrival Notice is a document notifying the status of goods arriving at the port of entry, notified by shipping lines, shipping agents or forwarder companies to the consignee.
Because Yusen is an NVOCC, after receiving the shipping line's AN, Yusen needs to issue a copy of Yusen’s AN to the customer whose name is on Yusen's bill of lading, but cannot send the shipping line's AN directly to the customer.

Individual customer rates at Yusen vary due to negotiated agreements, with approximately 60% of customers using Yusen's Local Charge tariff.

After entering the price, send Debit for customer to pay

- Revenue, cost, and profit of each shipment are recorded in the system and are very convenient for tracking, checking as well as synthesizing information for evaluation.

Pick up DO from Carrier and Release DO to Customer
After paying for the shipping line -> Wait until the day to Pickup DO, Ops staff will ask the shipping line to send EDO or arrange staff to go to the shipping line's office to get the pickup DO (if the shipping line only issues paper DO)
After receiving the DO, the Docs staff will prepare a set of documents to wait until the customer make payment all the costs for Yusen and submitted all relevant documents, then Yusen will issue the DO to the customer
Above is the entire process of handling a specific shipment from Shanghai to Hai Phong, these are also the shipments I regularly handle during my
LINH CAM NHUNG - 20198037 37 internship, and with special shipments need experienced people to handle to avoid errors.
Logistics performance of Yusen Logistics Vietnam
2.2.1 Time for Ocean Import route.

According to the business results, it can be seen that Yusen's business activities with countries in North Asia, Asia Pacific and Japan are more developed than those of countries in Euro and America
Through the data table, it is easy to see that one prominent reason for the difference is the shipping time Because of the geographical distance, each import shipment from these countries on average only takes 5 to 15 days, even some routes take only 1-2 days, which is very convenient, so it is focused and developed by Yusen Besides, there are also other reasons such as Yusen has Japanese culture - a country in Asia, so the development of trade with countries on the Asian side is also completely understandable because of the culture, money or natural conditions such as climate, weather.
As for the import route from Euro and America, it takes a lot of time, at least 1 month, such a long time will also lead to many problems arising such as costs, human resources, material resources, not to mention the risks that may occur during the move.
2.2.2 Human resources of Ocean Import
In addition, to complete a shipment, it takes a lot of participation from departments such as Customs Declaration, Trucking, Customer Service, Container Loader,
So, the scope of OI staff starts from the time the goods are on board the ship, leaving the POL until the goods are loaded onto the POD and DO are delivered to the customer => So for each shipment, with OI, only 1 Operation staff and 1 Documentation staff are needed to handle 1 shipment.
Yusen's OI department has a total of 6 Ops and 2 Docs staff => 1 Docs employee will support the work of 3 Ops employees And the main task of Docs staff is to issue DO at the counter and send AN to customers after Ops issue AN staff comes out of the system.
Average time to handle a shipment of OI staff: After practicing at Yusen and attending surveys of the department, the import department has assessed that the average time to handle 1 shipment of an employee is 112 minutes / 1 shipment, with 1 seasonal staff is

At this time, Yusen's OI department is still providing customers with authorized service (70% of shipments) With this service, after the shipment arrives at the port, Yusen will issue an authorization letter to the customer and collect the Authorization Fee After that, the customer will be the payer of Local Charge and work directly with the shipping line until the shipment is delivered to the warehouse.
-> 70% of Yusen's imports have no costs and only a fixed revenue is Authorization Fee.
->The remaining 30% of imported goods are customers who have contracts and have their own service quotes In this case, the revenue and cost of the shipment will be higher than just authorization
After a difficult time after the Covid-19 pandemic, Yusen as well as all Shipping lines had major changes in service and operations Typically, shipping lines have switched to release EDO release services instead of release DO at the counter as before This is also the time for Yusen to seize the opportunity and there has also been a clear change
Instead of 70% of shipments being authorized as before, the number of authorized shipments in 2021 is only 20% Yusen has built its own Local Charge tariff and customers do not need to work directly with shipping lines anymore, instead, Yusen will distribute the goods directly to customers.

Limitations
Through the time of studying and working at OFF department - YLVN, I feel that the process is not really optimized Specifically:
- Building a professional process is a great advantage of the company, but it is also a disadvantage, because it will take a lot of time and after the process has been built, it will be expensive to complete and maintain.
- Having its own system With a new customer, it will take time for them to learn how to get used to, order and track shipment information electronically.
- Processes are built around the system, which indirectly makes employees' work dependent on the system In case the system fails, the work will be interrupted, and it is difficult to determine the end time.
- High specialization makes each person only do one fixed job, and when there is a shipment that requires many steps to be resolved, it will be labor intensive, and when there is a problem, it will take time for each person to review own work.
- The process needs to be evaluated, updated and changed regularly to meet the needs of customers as well as adapt to new regulations coming from government policies.This will cost the company manpower to do the above.
