Introduction about Amisu Services Supplying Co., Ltd

Amisu Services Supplying Co., Ltd is a limited liability company that was first registered on September 8, 2007, and underwent its second modification on May 29, 2015, with the Hanoi Authority for Planning and Investment.

The company's head office is located at No 42, Lane 643, Pham Van Dong Street,

Co Nhue 1 Ward, North Tu Liem District, Ha Noi City, Vietnam.

The charter capital is VND 300,000,000 (In words: Three hundred million Vietnamese dongs)

The company specializes in the importation, distribution, and consulting services related to food supply across the country, ensuring compliance with legal standards Its primary offerings include imported food products and food service solutions.

The company operates mainly in the fields of food supply, as follows:

The wholesale food industry encompasses a diverse range of products, including meat and meat products, seafood, fruits and vegetables, coffee and tea, as well as sugar, milk, dairy items, confectionery, and cereal-based products Additionally, it involves the trade of functional foods, catering to the growing demand for health-oriented options in the market.

Retail food is commonly found in specialized stores, including those that focus on beverages, foodstuffs, cigarettes, and pipe tobacco Additionally, general merchants such as supermarkets and trade centers also play a significant role in the retail food market.

Currently, the organizational structure of the company includes:

- The Members' Council consists of 2 members, not full-time members.

- The Board of Directors consists of 1 person.

- The Controlling Department has 1 person.

- The company has 4 functional departments including: Office, Finance and Accounting Department, Import-Export Department, Sales Promotion Department.

Hanoi, Phu Tho, Ha Giang, and Quang Ninh are key northern provinces, while central provinces include Quang Binh and Thua Thien-Hue In the south, major areas consist of Ho Chi Minh City, Can Tho, Kien Giang, Dong Hoi, and An Giang, highlighting the diverse regional landscape of Vietnam.

AMISU CO., LTD has exclusive distribution in Vietnam are Chocolate sandwich X5 and Soy milk Macca.

Information about Import-Export Department

- Advising the Director on importing and exporting activities, seeking potential importers in other countries in the world to expand the importing and exporting business.

- Conducting the importing and exporting business of the company.

- Making annual import-export plan and submitting to the Director for review and reporting to the Director on measures and resources to implement in accordance with the plan.

- Building strategy on product structure, import-export market on the basis of diversification of business and import and export of goods.

- Cooperating with the administrative and organizational divisions in the storage, circulation and archival of documents related to import-export activities.

Collaborating with the Accounting and Finance Department is essential for managing the circulation and storage of export-import invoices This includes settling import-export contracts and reconciling debts with both internal and external units.

- Coordinating with the Sales Promotion Department in the consumption of products.

INTRODUCTION ABOUT INTERNSHIP PROCESS IN AMISU

Fully implementing all processes of importing one item of goods.

Step 1 Find exporters and quotes.

The first thing is to know the goods and understand the specific information about the export business.

When considering the goods, it is essential to note the name and quality, which may necessitate partners to provide samples for evaluation Additionally, understanding the packing specifications and pricing for small quantity purchases is crucial It's important to clarify the intended use of the goods and to determine whether these products are imported by multiple companies in Vietnam.

- About the export business: The size of the company? Address, phone number, email, skype, yahoo? The market of the company?

Exporters will send a price list.

After inquiring about the company, the goods and the price, submit to the Director to ask for the order decision and plan to import.

Step 2 Apply for a license of food safety.

To ensure compliance with technical regulations, I need to reach out to the Ministry of Health's Department of Food Safety for the declaration and registration of the technical regulation announcement regarding the imported products.

Send the order sheet to the exporter or send an email The order sheet specifies the following:

- Information of the Seller (company name, address, telephone number, email, representative).

- Information of the Buyer (company name, address, telephone number, email, representative).

- Commodity information (name of goods, quantity, terms of delivery, total amount).

When ordering, ask the Seller to send Profoma Invoice.

Step 4 Sign up and determine the date of boarding.

- Name, quantity, amount: This information must match invoice, packing list, bill of lading.

- Origin (from any country): This information is important.

- Terms of Payment: Considering many aspects: time of payment, delivery time, time of shipment If using L/C, consider the shipping time.

Depending on the terms of delivery, along with the seller determine the date on board, book the ship and ship to port in Vietnam.

Importers and exporters have the option to book ships directly with shipping companies or through freight forwarders Effective coordination between both parties is crucial to ensure a smooth booking process and timely shipment of goods to the port.

Step 5 Loading the goods and delivery at the port.

Monitoring the loading and delivery process at the port is crucial for efficient logistics Understanding the loading time and the duration from the factory to the port helps in planning subsequent shipments, especially in urgent situations Proper time management ensures that schedules are met and operations run smoothly.

- How many ships are there per week?

- How long does the shipping take?

- When is the latest delivery time?

The payment is based on the contract between the two parties.

Prepare documents in accordance with what is stated in the contract.

In addition, information about the beneficiary, beneficiary name, address must also match in the commercial contract and commercial invoice.

Step 8 Prepare documents and do Customs clearance in Vietnam.

When having all the documents, do customs declaration and clearance.

Step 9 Get the item and bring the goods to the warehouse.

During my internship, I faced challenges due to my limited practical knowledge of import and export, particularly in the context of books and English proficiency In the first week, I struggled with understanding the relevant terms, documents, and tasks required in this field.

Proficiency in Microsoft Office, particularly Microsoft Word and Excel, is essential for import-export staff, as these tools are crucial for efficient task completion My initial computer skills were insufficient, leading to a steep learning curve that required considerable time and effort to master these applications effectively.

Effective time management is crucial during the busy end-of-year period, as the increased workload can lead to challenges in properly allocating and distributing time Without a clear strategy, work progress may slow down significantly Prioritizing tasks and setting realistic deadlines can help enhance productivity and ensure timely completion of projects.

Effective communication with foreign partners is crucial for AMISU CO., LTD, particularly with those from Japan, Korea, and Thailand However, challenges arise during phone conversations due to the difficulty in understanding their English pronunciation It often requires multiple interactions to become accustomed to their unique accents and speaking styles.

The import-export profession demands employees to stay updated with information and possess specialized knowledge It is essential to learn from experienced colleagues, especially when facing challenges or unfamiliar problems Consulting with seasoned professionals allows for the development of effective solutions, ultimately leading to valuable lessons that enhance future work performance.

Mastering Microsoft Office skills is crucial not only for import-export roles but also for a wide range of office tasks Every student should focus on developing these skills, as proficiency in Microsoft Office enhances work efficiency and showcases professionalism Ultimately, these abilities significantly influence both the quality of work and career advancement.

Effective time management is crucial for students, especially when transitioning to internships Learning to allocate time scientifically and efficiently can significantly enhance work progress and productivity By mastering this skill, students can ensure they work effectively within tight timeframes, ultimately assessing and improving their work effectiveness.

Improving communication skills is essential for effectively engaging with foreign partners, as language barriers can pose significant challenges To address this issue, I must focus on enhancing my listening abilities to facilitate smoother and more fluent conversations Confidence in communication plays a crucial role in how partners perceive me, which can ultimately influence contract negotiations Therefore, it is imperative to continually improve my English proficiency, particularly in specialized terms related to import-export and logistics.

To be successful in the workplace, it's essential to actively engage by asking questions When a boss inquires if there are any questions, silence often prevails due to fear of seeming uninformed However, it's important to remember that asking questions is valued and shows initiative If you don’t ask, it may indicate either a complete understanding or a lack of comprehension Embrace the opportunity to seek clarification, as this fosters growth and learning in your professional environment.

To enhance your knowledge and skills, take the initiative by exploring various resources such as Google, forums, and law libraries Begin by thoroughly researching and reading relevant materials, as this will yield a wealth of information including circulars, decrees, and official decisions Document your findings diligently in a notebook to track your progress Don't hesitate to reach out to management units to inquire about procedures and observe how others approach their work By actively seeking advice and sharing experiences, you foster a learning environment Embrace responsibility by tackling tasks that have not been assigned, as this proactive attitude will ultimately lead to valuable experience.

PART 3: THE USE OF ENGLISH IN AMISU SERVICES SUPPLYING

AMISU CO., LTD faces challenges with English proficiency among its staff, as most of the skilled employees are in the Import-Export Department and are rarely available in the office This limited availability complicates resource mobilization during emergencies While many employees can read and understand English, their communication skills, particularly in writing emails and transaction contracts, are lacking Consequently, the company has struggled to respond promptly to partners, which negatively impacts its image and reputation in the international market.

The Import-Export Department plays a crucial role in managing relationships with foreign partners, ensuring all documentation is processed in English Staff members possess strong English skills, facilitating effective communication during transactions and meetings with international clients Regular visits to foreign countries enhance employees' language capabilities and foster professional growth However, some employees still face challenges in their communication skills, occasionally hindering discussions with partners.

3.1.3 Advantages and disadvantages of using English in the company

The company's staff possesses a strong command of English, particularly in business and administrative contexts, which enhances their ability to manage transactions and handle import/export orders effectively Regular international visits and meetings with partners further bolster their English proficiency, allowing employees to enhance their professional skills and significantly contribute to the overall improvement of the company's human resources.

 With experienced human resources with good English skills, the implementation of foreign projects will be easier.

The company's manager frequently travels abroad to gain insights into the market and learn from partners, making fluency in English a valuable asset.

 Because some departments do not have access to regular English, the English level of the staff is reduced, making it difficult to acquire specialized knowledge from foreign language documents.

The primary clientele of the business consists of local individuals and organizations, which results in limited English communication skills among staff when dealing with foreign clients during transactions.

Solutions for improving the efficiency of using English in Amisu Services

To facilitate future business growth, AMISU CO., LTD managers must address existing challenges by implementing a foreign language training program alongside specialized knowledge for all employees The company is currently collaborating with English language training centers in Hanoi to develop tailored Business English courses These courses will emphasize essential skills such as communication, negotiation, email writing, and contract drafting in English, transforming the language into a vital asset for effective business operations.

During my one-month internship as an import-export office staff member, I was able to apply my academic knowledge in a real-world setting This experience enhanced my understanding of workplace behavior, communication, and professional methods within the business environment Ultimately, this valuable opportunity has significantly contributed to shaping my future career.

After completing a one-month internship with a reputable company, I am presenting this report to highlight several strategies for addressing the existing shortcomings within the organization I believe that these insights will play a significant role in fostering the company's growth and development in the future.
