my professional knowledge and requisite skills Notwithstanding such a short time, it is one of the significant milestones for my future career development Thus, I am much obliged to those who have helped me either directly or indirectly finish the internship report First of all, I would like to express my sincere thanks to the Faculty of Foreign Languages of An Giang University for arranging the conditions for me to have a good internship environment I feel more mature in my thinking about life thanks to the enthusiastic support of the teachers Second, I would like to thank Mr Nguyen Duc ABSTRACT This report is mainly intended to describe my entire 8-week internship at the Department Of External Relations of An Giang province The first part of this report is an overall description of the internship agency including the Department's position, functions, organizational structure, and staff The focus of the report is on activities throughout the internship that encompass essential skills, professional and non-professional knowledge In addition, I also presented the advantages and disadvantages of the External Relations Department as well as my own advantages and disadvantages during the internship At the end of this article, I would like to draw conclusions and some suggestions to the External Relations Department to An Giang University, the Faculty of Foreign Languages and the next course students – Instructor: Nguyen Duc Hanh, PhD Internship Report Chapter 1: OVERVIEW OF AN GIANG DEPARTMENT OF EXTERNAL RELATIONS 1.1 Background: Picture Department of External www.songoaivu.angiang.gov.vn.com An Giang Department of External Relations (DER) was founded from merging the Foreign Affairs Office, An Giang People's Committee Department and An Giang -UB-NV on dated June 2nd, 2006 – Instructor: Nguyen Duc Hanh, PhD Internship Report 1.2 Position and Functions: DER is a professional body affiliated to An Giang Provincial People's Committee (PPC) It is assigned to recommend PPC on the public administration of external relations in An Giang and to other functions authorized by PPC and the Laws DER is administratively managed by PPC and technically directed by the Ministry of Foreign Affairs 1.3 Missions and Authorities: - The information about at Department of External Relations in An Giang Province follow as: Submitting long-term and annual master plan of external relations activities, programs, projects authorized to DER's management and relevant with the local socio-economic strategy to PPC for approval Recommending PPC to formulate annual external relations programs for reporting to the Ministry of Foreign Affairs and for the approval by the Prime Minister Suggesting PPC to promulgate legal documents regulating external relations activities in An Giang and getting responsibility in their contents Executing promulgated legal documents regulating external relations activities, approved external relations master plan, and doing the affairs of information-education and communication (IEC) related to DER's authority Consular affairs: - Assisting PPC to manage entrance and exit of foreign delegations/individuals to An Giang and An Giang public servants to other countries respectively - Arranging meetings of PPC with foreign delegations/individuals, international business trips of PPC leaders and assisting PPC to supervise international trips of An Giang's public servants - Working with other relevant authorities to deal with sensitive and complicated incidents in An Giang territory - Collaborating with relevant authorities to instruct and manage the activities of foreign individuals/organizations related to individual rights, property, travel, working, living, studying, business and investment within An Giang – Instructor: Nguyen Duc Hanh, PhD Internship Report Supervising activities of non-government organizations (NGOS) - Working with related authorities and assisting PPC to supervise the activities of international NGOS operating in An Giang - Receiving and implementing NGOS' charity projects/programs according to the laws - Working with relevant authorities to process the immigration of the Vietnamese and foreigners in and out of An Giang Territory National territory- border affairs: - As a standing body of PPC on the affairs of the national territory and border, assisting PPC to evaluate management situation for national territory- border mission, proposing proper management mechanism, joining with other authorities to solve border problems with countries concerned - Arranging and working with concerned authorities to make plans for unilateral and bilateral survey on border according to the assignments of PPC Working with competent authorities to set up national demarcation according to the requirements of Provincial Demarcation Steering Board - Monitoring, generalize and report to PPC and the Ministry of Foreign Affairs on the execution of international treaty of national border, continent border management statutes and conflicts of continent border in the An Giang authority - Opening classes to train the observation of laws and disseminate information on laws and policies of the Communist party and of the State on the national territory border related affairs; instructing, checking and managing documents, maps and files related border External economic affairs - Proposing PPC to formulate external relations programs to satisfy the demands of the provincial economic development - Within the authorization of PPC, coordinating with concerned authorities to consider and appraise foreign partners doing business and investing in the province - Taking part in commercial and tourist promotion, contributing to building investment environment appropriate with the provincial conditions – Instructor: Nguyen Duc Hanh, PhD Internship Report Overseas Vietnamese affairs - Assisting PPC to study and assess the execution of oversea Vietnamese policies applied in An Giang under the guidance of the Ministry of Foreign Affairs (Oversea Vietnamese Committee) - Coordinating with local authorities to support, guide and IEC on applying policies to overseas Vietnamese and their relatives residing in An Giang 10 Holding international conferences, workshops, and implementing international agreements - Assisting PPC to manage activities related to international conferences, workshops, and implementation of international agreements; reporting to the Central authorities on incidents related to external politics 11 Collaborating with and giving favorable conditions to relevant ministries and authorities to external economic activities in AG if any 12 Working with competent authorities to collect, analyze and synthesize information of politics, security, international and regional economy influencing AG and to propose PPC measures to cope with 13 Executing administrative reform program in accordance with targets CO and contents approved by PPC 14 Stipulating functions, missions, authorities of affiliated offices and bodies; managing the personnel, carrying out salary and policies of reward, reprimand towards those employed by DER and authorized by PPC; opening training courses for public servants working in external relations field in AG 15 Doing periodic and unscheduled reports to PPC and the Ministry of Foreign Affairs about foreign affairs execution in AG as stipulated by laws 16 Doing investigation, settling complaints, fighting against corruption and negativeness, dealing with law-breaking incidents in external relation activities 17 Managing and using allocated budget and property in compliance with laws and decentralization by PPC 18 Carrying out other missions according to laws and assignment of Internship Report Chapter : THE INTERNSHIP ACTIVITIES 2.1 Main duties : During my internship at DER, I worked on multiple tasks and activities DER activities divided into daily tasks that involve office work My eight weeks of internship in the DER in An Giang province was a worthwhile experience as it helped me improve and gain considerable professional knowledge and skills Due to the Covid 19 epidemic, Mr Phuc who was the intern instructor at The Department of External Relations, gave us weeks of preparation for my self-introduction, made a CV like an interview job Furthermore, he sent materials to the The Department of External Relations, many good books to me to read to help gain more knowledge about at The Department of External Relations and about An Giang On the first day at The Department of External Relations for an internship (9/3/2021), we were provided with some lessons and knowledge on various fields In the remaining five weeks, the main tasks that I was assigned to in my internship such as translation some articles from English into Vietnamese, simulation of welcoming an Indian delegation and preparation for a group presentation about some given topics 2.1.1 Lessons: On the first day at The Department of External Relations for an internship (9/3/2021), Mr Nguyen Van Phuc shared a lot of knowledge of many fields with us and they were very necessary for working at DER such as the missions of Ministry of Foreign Affairs, and The Department of External Relations; What diplomacy is and how important it is; The importance of frequent updating of world news, domestic news; Definition of External information, its importance, achievements, and orientation in the coming years Then we introduced ourselves to him and shared our views enthusiastically Mr Phuc said that we could give opinions with confidence and encourage us to ask him as many questions as possible to make the internship more enjoyable and attractive for us – Instructor: Nguyen Duc Hanh, PhD Internship Report After this week, he talked about An Giang economic growth, potential, and advantages, the development direction of our province in the future, and briefly introduced the receptionist industry among the government officials 2.1.2 Work: Mr Phuc sent everyone a translation task "Indian Embassy in Hanoi visits Oc Eo Cultural Relic" - translating from English to Vietnamese For this translation, everyone would work individually for the brief assignment When finished, everyone submited to the group leader, and the group leader summarized and sent it to Mr Phuc After this week, Mr Phuc submitted a research paper about 20 pages long and asked a group of friends to translate from English into Vietnamese "Strategic Management of Stakeholders: Theory and Practice" This article was a group exercise not only to evaluate the translation but also to share experiences in negotiation and group work Each group leader will submit papers and will answer questions about how to organize the translation group at the same afternoon meeting (March 17, 2021) And then we were given homework from ớng dẫn thực hiệ tổ ụ thuế áp dụ ối với ớc kinh doanh việt nam có thu nhập việt nam" as a group After finishing, complete the mission next week (23/3/2021) After this week, Mr Phuc sent a research paper about 20 pages long and assigned a e was a group exercise not only to evaluate the translation but also to shared the experience of negotiation and teamwork Each group leader would submit and answer questions about how to organize the translation group in the afternoon meeting on the same day (March 17, 2021) And then we were assigned to translate the article from Vietnamese to English with the topic: " vụ thuế áp dụ ối với tổ ớng dẫn thực hiệ ớc ngồi kinh doanh việt nam có thu nhập việt nam " this article worked in group On March 23rd, 2021, it was time to submit this translation – Instructor: Nguyen Duc Hanh, PhD 2.1.3 Internship Report Simulation of welcoming an Indian delegation: In this activity, we divided into groups, one group was the host An Giang and the other was the Indian delegation At that time, I was assigned to work as an An Giang receptionist Before that, I studied reception in a government agency and he was very dedicated to teaching by Mr Phuc , so everything from drinking water, gifts to welcoming guests at the gate of the Department of Foreign Affairs, I did well This is a valuable experience for my future work Thanks to this activity, I experienced as a receptionist and knew the importance of reception for government agencies or businesses Thereby, Mr Phuc pointed out my shortcomings, while welcoming guests, he should ask general questions such as "how's the weather today?" so that they feel the care of the host of An Giang for them Phuc taught me to be better and better Picture Simulation of welcoming an Indian delegation 2.1.4 Presentations: During the last three weeks, we are tasked with performing our presentation skills We were divided into groups Nhut, Truong and Tri were selected to join the group, where they would present Japanese country This group was highly appreciated by Mr Phuc for its beautiful and memorable PowerPoint presentation In particular, their group's presentation was a talk show instead of a traditional presentation – Instructor: Nguyen Duc Hanh, PhD Internship Report Another group including Cam, Lan, Ngoc, Minh Vy talked about the topic "Paracel and Spratly Islands under Vietnam's sovereignty over sea and islands Lan in this group did an excellent job in this presentation, attracting everyone to listen and so did Mr Phuc The final team, Kim Vy, Thai Tran, Minh Chau, and me, we would talk about the "history of Vietnamese diplomacy", learn how diplomacy was born, how contributed to historic victories, and how had the developments in Vietnam's diplomacy I present the "history of diplomacy in the anti-American era", the content I did well, but I had some mistake in the presentation of the PowerPoint that was not attractive and difficult to remember, Mr Phuc sincerely commented for like other, I learned from experience to improve my skills, his advice was very helpful 2.1.5 Meeting director, thanks and the ending this internship: On the last day of this internship, Mr Phuc and the Director of the Department of External Relations, Huynh Cong Huan said goodbyes to us, and on that occasion, we also thank Mr Huan and all staff of the Department of External Relations The Department of External Relations gave us the opportunity to work in a that meeting, we took a picture with everyone Picture Meeting director of Department Of External Relations 2.2 Evaluation: 2.2.1 Advantages: During my internship at DER, we worked in DER's meeting room, which was spacious, airy, fully equipped with lights, fans, and air conditioners, giving us a favorable working environment Moreover, Mr Phuc was like a brother and treats us very attentively and enthusiastically He created many opportunities for us to develop language skills and soft skills He also gave a lot of advice and books for us to hone our knowledge 2.2.2 Disadvantages: After Tet, we went to practice immediately, the departments there were very busy because they had to deal with the work before Tet, so we did not have the opportunity to work in other departments and interact with other employees at the company DER I feel unfamiliar with the actual working environment, it was very different from the school's theories, the knowledge I did not learned such as social, economic, and it affected my translation and that was problems I need to fix 2.2.3 Solutions: – Instructor: Nguyen Duc Hanh, PhD Internship Report I had trouble translating because I had very little knowledge of subjects such as economics, politics, and culture throughout the translation process Still, thanks to my friends' helped and the agency's brothers and sisters, I was able to complete the task In addition, my presentation did not appeal to people and, the PowerPoint section did not focus on the main issue And Mr Phuc provided me with software that was attractive and vivid 2.2.4 My lessons from the internship: The internship gave me chances to apply all the knowledge I learnt at the university For the translating tasks, I could know how good my translating skills was thanks to the comments of the instructor, so I could improve it much by following his advice I learnt that I had to use different styles of writing for different kinds of literature fields Then, I also studied many more professional words for different fields – Instructor: Nguyen Duc Hanh, PhD Internship Report Chapter : CONCLUSION AND SUGGESTIONS 3.1 Conclusion: After weeks of internship at the Department of External Relations in An Giang province, thanks to the guidance and dedicate guidance of the brothers and sisters, I feel that my knowledge, skills, and translation improves a lot more than before, and thanks to everyone who helps me complete my internship report And those experiences are my baggage for the future Moreover, I feel my communication becomes more confident If before I was afraid to give my opinion in front of people, after this internship, everything become easy for me It is a useful experience and knowledge for me to adapt now and in the near future This is an internship at the Department of External Relations, I hope it will help teachers a little in orientation for students after the internship at the Department of External Relations 3.2 Suggestions: 3.2.1 To the Internship The Department of External Relations at An Giang province My internship in DER was rewarding, however, I have some suggestions for to everything better DER should give students more chances to more work to experience 3.2.2 To An Giang University and Faculty of Foreign Languages I have a recommendation for An Giang University and Faculty of Foreign Languages They should change the internship time so that students can learn more because most of the agencies is busy at the end of the year, sharing experience of previous internship for next course students 3.2.3 To English-majored students To have a good internship in the Department of External Relations in An Giang province, students need to equip themselves with necessary skills such as presentation, teamwork, especially their translation skills Furthermore, you have to learn a little knowledge about economics, politics, and society –
