other uniforms) and currently the company mainly focuses on types of garment uniforms Through the years of labor and training, the workforce at Pioneer Textile and Garment Company Limited has reached ), the company has focused on making uniforms and achieved certain achievements From graph 1.2 we can see the revenue increase over the years, it is million USD in 2017 and raise up to 1.7 million USD in 2018 and 2.5 million USD in 2019 This is a steady increase and prospects The company estimates revenue by the end of 2020 to be million USD This is a feasible revenue target The situation of covid-19 happens complicated in 2020, the garment industry will be more or less affected However, Pioneer Textile and Garment Co., Ltd specializes in uniforms in the electronics industry, one of the largest contributors to Vietnam's total export turnover, used uniforms is relatively high Hence, the company can fully believe in a good outcome for the foreseeable future 1.1.5 Main product - department) 10 1.2 Introduction about Business Department ( internship department) 1.2.1 Functions and duties Functions: The Business Department advises and assists the General Director in the sale of products (types of uniforms), product research & development, market development; customer relationship building & development They are responsible to the General Director for those activities in the assigned tasks and competence Duties: + Advise on building sales policies, including price policies, promotions, discounts & promotions, approach to customers to submit to the General Director for approval + Propose policies for customers, groups of customers + Set up goals, submit sales plans + Find and develop new customers belonging to the target group of the company + Find, maintain and is a simple HR structure with a sales manager, sales staffs and a sales intern The manager is the person who directly trains and supervises the activities of the staffs in the room The Business Department sells mainly uniforms because the fabric market is a niche market, so it will be sold by another department Revenue mainly comes from uniforms As mentioned in the duties, the Business Department is to contact, build relationships with customers, generate revenue for the company, so it plays an important role 13 PART 2: INTRODUCTION OF INTERNSHIP PROCESS IN PIONEER TEXTILE AND GARMENT CO., LTD 2.1 The tasks in internship process During the internship process in Pioneer Textile and Garment Co., Ltd, I was assigned to intern in Business Department, this is a great opportunity for me to experience in a dynamic working environment, broaden my mind, learn and familiarize myself in multiple skill Pioneer Textile and Garment Co., Ltd is a supplier for units using uniforms from office blocks to factories Potential customers is mainly found through telephone, so when I became a business intern, I did activities such as: Search for customers, call for consultation, quote goods, appoint customers, draft contract, track order, monitor packaging process, check goods quality and quantity, track delivery process, care customer after sale, Specific work as follows: + Find potential customers through web sites The market directed will be mainly in industrial zones across the country Sales manger will assign industrial zones to each member For example, we can search the industrial areas through a website like http://danhbakhucongnghiep.com/ Sales staffs will then find for companies in assigned industrial zones (Find company name, phone number, industry) + The phone number and information found will be listed in an excel file and the daily task is to call to research the needs of the company + When a company wants to order uniforms, the sales staff will ask for company email and the private phone number of the purchasing staff to exchange more information (uniform type, quantity, model) + All the requested data will be entered into a management software of the company called Getfly so that the sales manager as well as the general director can know the information of the customer needs + After having uniform models, the sales staff must contact the purchasing department staff of the company - specializing in quantitating fabrics and contact the factory (Ha Nam) to sample and quote for customers + If the two parties agree on the agreed price, they will meet to negotiate and sign a contract, 14 + Sales staff must coordinate closely with the factory to make the right model of uniform, secondly to ensure the workflow is in accordance with the contract signed between the two parties, thirdly to notify the buyer of the status current shipment + After goods are transferred from the factory to the warehouse of the company, the sales staff must go directly to the warehouse to check the quality, quantity and packing specifications of the goods + Track the delivery of goods until the buyer fully receives the goods + Write a letter to thank customers and implement a customer care policy after sale + At the end of each week, write a report to submit to the sales manager so that the sales manager can track the employee's performance of the weekly criteria This is the weekly criteria table set by the sales manager, requiring team members to achieve, only items 4, 5,6 are optional requirements However, there must be at least one order per month As a trainee, I was guided through all the steps by a colleague in the team and successfully sold an order for VND 25.025.000 in the 3rd week With this order I performed the steps like: customer information search, consultation call, appointment, quantity closing, quotation, contract making The remaining tasks I was coordinated with other orders of colleague in the department In addition, as a student majoring in English, I also ask the general director to practice better language in the internship environment Therefore, I also have the opportunity to translate commercial contracts in two languages including English The company's 15 ue partners are almost 100% foreign-invested companies in Vietnam, so contracts often have to be translated in two languages In addition to translation, I was also given instructions on how to compose a commercial contract, the layout and the words used in the contract I also gathered a large amount of words from the garment industry due to being coordinated with the purchasing department (specializing in ordering fabrics from abroad) In the near future, the company also plans to export uniforms (Labor Protection uniforms, Clean room uniforms, anti-static uniforms) to the foreign market, because it is a large market (USA, Japan, Korea,…) These are potential markets because their production and techniques are very developed, so the demand for uniforms is relatively high I was tasked with finding out about the largest B2B ecommerce site currently ‘Alibaba’ and contacting its agent ‘OSB’ to inquire about the annual service package price as well as the benefits of subscribing to package of Premium, Standard, Basic Pro and Basic During the internship process, I was exposed to enthusiastic and friendly colleagues who were willing to share their previous experiences Leader often shares his visions with employees and absorbs their opinions, even interns Worked at Pioneer Textile and Garment Co., Ltd, I also improved my skills such as scanning document, photocopy, In addition to the official assignment of the company, I spend my free time learning more about real-world activities because I want to understand the process of working and working for a company, which is really useful for me later In addition, I am involved in cleaning the workplace to ensure cleanliness in the company This is a good opportunity to integrate professional knowledge into practice as well as contribute to the company's work 2.2 Difficulties and lessons 2.2.1 Difficulties During my internship at Pioneer Textile and Garment Co., Ltd I encountered some following difficulties: + Searching for information through the web often has the wrong information (phone number), when the wrong information will waste time to call This job requires good research Besides phone number, sales staff must know the size of the company 16 and the product to advise suitable uniform for each customer unit There are companies they often offer the wrong scale on the web, so it is difficult to find + Receive frequently rejection by customers One day, I can find a hundred phone numbers of companies, but the rate of answering phone is about 40 companies and giving information is 10 companies + Customers appointment: As a student, I have not met partners, especially those with important positions in a company such as (CEO, Secretary, Chief Accountant, ), so I am not good at communication skills and in-depth understanding of the company's products (materials, designs) to advise customers I still need a mentor to guide how to communicate as well as capture customer psychology + Regarding customers in the province (except for Hanoi), going on business is difficult, wasting time and cost (supported by the company) + Work closely with the purchasing department and the factory The purchasing department is another department, so it takes a long time to be able to contact and express opinions with them My office is working in Hanoi while the factory is in Ha Nam That is a limitation when tracking the progress of the goods as well as request details about the customer's designs + No experience in drafting contracts + Knowledge in the garment industry is limited 2.2.2 Lessons Over one month internship process in the Business Department at Pioneer Textile and Garment Co., Ltd, I have learned a lot of valuable lessons and specific experiences for myself which help my further career growth: + Apply the knowledge and skills learned at university (writing letters, emails, translation, etc) on the job + Know more about the garment industry as well as the domestic garment market + Understand the importance of team work and know how to cooperate with my colleagues + Learn how to solve arising problems (Lack of goods, missing payments, poor quality goods, problems with clothing sizes, ) + Accumulate more practical knowledge and improve communication skills 17 + Familiar with the modern, dynamic, professional environment of the company as well as office culture in workplace + Learn how to get along with other colleagues and build a good relationship + Improve my computer skills and English ability Throughout the internship, I have also learned some skills about Microsoft Office such as using printer, projector, Outlook and have known how to use Word and Excel effectively for work These are small skills but they are very necessary for final year students like me 18 PART 3: THE REALITY IN USING OF ENGLISH AT PIONEER TEXTILE AND GARMENT CO., LTD 3.1 The use of English in Pioneer Textile And Garment Co., Ltd Pioneer Textile And Garment Co., Ltd is a company that specializes in importing special fabrics from abroad to make uniforms, so the English language used a lot in the Purchasing Department The purchasing department consists of a manager and two buying staff Purchasing includes: market research, negotiation and finalization of purchaser, materials procurement management Procurement includes procurement transport, reception and inspection of goods, storage and warehousing management, inventory control, internal transport and material flow management In Purchasing Department, all of staffs have to use English when working All jobs need to use English such as: + seek and contact with reliable vendors and suppliers + Find source, negotiate and purchase materials from both local and overseas vendors + Make report and evaluate suppliers performance based on quality standards, delivery time and best price as well as ensure all the criteria are met according to the organization requirements and expectation + Prepare for inquiry email, buying request, request for quotation + Negotiate about sample and quality inspection + Negotiate about article (price, bargain, claims and other items) + Arrange for purchase order, sales agreement and sales contract + Process international payments, procedures such as application documentary credit, telegraphic transfer, collection,… + Monitor, follow the shipment progress and status, check the quality goods provided + Receive import documents from seller to prepare for custom clearance Besides, they often translate catalog and name or review concerning products into Vietnamese to understand about products well Therefore, the staffs in this department 19 are able to use English Someone who can read and write, someone else who is fluent in all skills Most of them have quite good at English in reading and writing skills, they seldom use speaking skill because of the position’s requirement But knowing how to use English is an essential requirement in this department In addition, HR department also need to use English but not highly demanding About the General Director, He frequently uses English whenever he has conversations with the partners His English ability is at good level so he not need interpreter’s help to talk to the foreign partners Besides, the company’s e-commerce channel is also scheduled to be displayed in English next month (website: goodworkwear.com) This website is not only to help Vietnamese but also foreigners easily access and find out information about the company To this, the company has a core team of qualified English- speaking staff who has ever studied carefully as well as exchanged with foreigners However, the use of English at Pioneer Textile And Garment Co., Ltd still encounters several limitations: + They have not exploited the potential of staffs in using English in all departments such as Business, Finance, HR, Admin + Most of staffs are not able to master in all specialized English In fact, they have no capacity to use professional English of e-commerce sector + A number of new official staffs are not good at English skills enough to create a vast breakthrough in transactions to obtain the best results + Most staffs have only the ability to read and understand English but are not really good in communicate so sometimes it creates few barriers in transactions with foreigners 3.2 Solutions to improve the use of English in the working environment + In recruitment, the company should give the specific requirements of English and evaluate the English level frequently to raise initiative in the using of English + The company should organize weekly training programs of specialized English for the entire staffs, especially new staffs in the company + Organize English contest in the company and this could be done annually It can combine English exam with foreign trade professional skills 20 + Each employee should have self-study morale, improve English skills for themself and realize the importance of English because it is not only significant for themselves but also for business operations of the company + The company has the rewarding policy such as extra bonus for individuals with good performance, increase the wages for employees who have the good qualifications and English ability in the workplace This policy will create motivation and encourage employees to work and improve their English + It is important to create more opportunities for staffs from the departments to interact directly with foreign clients in order to increase the reflectivity of English to staffs in terms of English listening skill 21 PART 4: SUGGESTION FOR THE SUBJECT OF GRADUATION THESIS Nowadays, the importance of using English in most of the company is very obvious English helps a lot in all areas of the company from buying to selling which creates profits for the company As the company specializes in importing fabrics from abroad, the company's purchasing department needs to know how to negotiate optimal prices for both parties so that they can buy goods at good prices while ensuring to meet current needs To this, the purchasing staffs must have good English skills to communicate with their partners (because English is currently the most popular language over the world) According to the recruitment posts, they only hire purchasing staffs with good English reading and writing skills equivalent to medium level However, in my opinion, a purchasing staff should have all skills of listening (understanding customers), speaking (exchanging, negotiating with customers), reading and writing (looking for reliable suppliers) Currently, according to my observations, the purchasing staffs at Pioneer Textile And Garment Co., Ltd are mainly good at reading and writing skills, because they only communicate with customers through writing (email) and rarely use verbal negotiation, which makes negotiation skills decreased In addition, when negotiating with customers via email, there are certain limitations (response time, controlling the intentions of partners, ), especially for large contracts Therefore, one-month internship at Pioneer Textile And Garment Co., Ltd, I would like to propose a research subject for graduation thesis: "The difficulties that purchasing staffs face when using English speaking and writing skills in business negotiation” I sincerely hope that Teachers will consider and help me in the process of doing this thesis 22 CONCLUSION After the internship at Pioneer Textile And Garment Co., Ltd, I understood the organizational structure and the way the company worked In particular, I have been guided enthusiastically to know how to sell products, have knowledge of garment industry as well as improve my English skills A month of internship at the company was really a valuable time for me It has helped me gain more knowledge, more confidence when
