INTRODUCTION In the process of industrialization, modernization and innovation of the country, the competition trend is inevitable Any firms need to consider the market demand and what their key products are Therefore, enterprises need to consider and strive with manufacturing products to satisfy the market demand and the products must be of high quality at low prices to gain profits Thus, enterprises should organize and manage production and business operations so that they can bring high effectiveness and benefits In this context, Tan Hung Phat Company Limited is a small and medium enterprise developing with the country’s economy and the world economy The company has contributed to Vietnamese GDP constantly and promoted goods exchanges between Vietnam and many countries since it was established After studying at English Faculty of Thuong Mai University, I gained basic knowledge Being recommended and allowed by English Faculty – I have got an internship in the Import - Export Department of Tan Hung Phat Company Limited After one month (from December 31st , 2019 to February,7th 2020), under the valuable support and instructions of managers and colleges in the company, I was able to apply the knowledge obtained at university into practice, meanwhile collecting basic information to complete the internship report Due to the internship period only in the short time, combined with my limited ability, the report is certain to have some mistakes I wish I would receive the teachers' comments to make the report more complete I would like to express my gratitude towards the quality and business ethics as a basic The company has quickly attracted the attention of many customers not only by quality of products but also by spirit, dedicated service attitude and good after-sales services The main business is to distribute sanitary ware including basins, pots, showers, bathtub, accessories Importing sanitary equipment from Italy, Thailand, Japan, and China for distribution nationwide The brands are being distributed as: Karat, Englefield, Roy from Thailand, Kakudai from Japan, Paffoni from Italy and some other brands such as Angus, modolo, ect Processing with a team of enthusiastic young employees, professional working, the staffs are always aware of the mission of serving the customers: "Customer satisfaction is to survive and develop" And with the efficiency at work, closely monitor the situation of production, trade and improve product quality The leadership of the company has built apparatus that combine an online form and a function together founder of the company, has the highest authority, manages all activities of the company and takes ultimate responsibility for the authorized activities • Import - Export Department: Taking responsibility for developing and implementing the plans for loading; implementing and monitoring the opening to receive the goods declaration on required deadlines; developing and implementing customs reports in line with the customs laws; proposing creative ideas to improve and enhance the quality of the department work • Sales Department: Establishing and implementing the business plans; setting and dealing directly with the customer system, distributor system; coordinate with relevant department • Accounting Department: The Accounting Department is responsible for researching and suggesting measurements about the financial condition of the company, implementing the financial decisions of the director and the accounting tasks, as well as managing the financial condition and property of the company • HR administrative Department: The department has responsibility to recruit new employees, cooperate with other departments in training and improving the quality of the staffs, to develop regulations about employees’ salaries and incentives, to formulate the rules and regulations of the company, to recommend the Director about issues related to the HR Administration Department • Warehouse Department: In order to meet the diverse orders of customers, the warehouse has the task of separating large shipments, combining many different goods In addition, warehouse Department also ensures the goods about quantity and quality throughout the operation The organizational structure model of the company is based on a linear organizational model The organizational structure model has many advantages and disadvantage Advantages: Simple apparatus, less cumbersome, easy to manage and coordination between the authorities together In addition, this model of organizational structure is quite flexible and highly "uniform" in the management process Disadvantages: Although the organizational structure has advantages, there are still certain disadvantages The management function of the non-specialized departments is likely to result in overcrowding in a number of departments within the company However, for now (more 10 years of establishment) the company has improved its organizational structure to reduce the workload between rooms and minimize the disadvantages brought about by the organizational structure again 1.1.4 Some key business results of Tan department of the company From the company's 3-year revenue report (2016-2018), the company has been constantly innovating and adopting new business forms so its profits have increased In addition, the company has been attracting customers with many sales tactics, offering and stimulating consumer tastes Thereby bringing significant clear profits for the company in the past years Realizing that revenue in 2017 was higher than VND 17,458,510,238 in 2016, reaching 30.92%, net revenue in 2018 was 13,547,087,714 VND, reaching 18.32% This shows that the business situation over the years is very good This is a testament to a good business result With the total cost over the years, there was also not much fluctuation Compared to 2016, by 2017 the total cost of purchasing raw materials increased by 18,133,853,644 VND, accounting for 37.06% and by 2018, it decreased by 11,590,935,897 compared to 2017 Demonstrating that the company focused more on supply of input materials and business focus, the profits have increased significantly That proves that the company's leaders have got the right strategies 2.1 INFORMATION OF THE IMPORT DEPARTMENT Under the arrangement of the company, I worked at the import department This is an important department of the company This department has the following function : Prepare full set of documents for customs declaration and related documents: Dispatch requesting goods clearance, quarantine registration certificate, center registration certificate, data entry and electronic customs Provide information, document agreement translation, interpretation for management Contact customers who receive documents to check; Proposing customers to repair when there is a mistake Contact customers to receive the original set of documents after checking, taking orders from shipping lines Return vouchers and related documents to customers Register the declaration, check the product, liquidate and receive the product Contact the transport side to import or export product according to customer orders CHAPTER 2: THE INTERNSHIP PROCESS IN TAN HUNG PHAT COMPANY LIMITED 2.1 THE DUTIES CARRIED OUT THE INTERSHIP PROCESS 2.1.1 Internship content * Practice time From December 1, 2019 ends on December 30, 2019 *Working time : - Morning shift : from 8:00 to 11:30 - Afternoon shift: from 14:00 to 17:00 * Internship position: At the office of Tan Hung Phat Company Limited , the head office is Lot C4/D21, Cau Giay New Urban Area, Dich Vong Hau Ward , Cau Giay District, Hanoi, Vietnam 2.1.2 Work content The following table documents - Having more knowledge and and putting them in order realizing different business - Continuing to translate the company’s documents - Improving translation skills contracts - Receiving useful comments and - Summarizing the internship process and advice from the guide completing the internship report - Having many interesting and meaningful lessons Table 2.1 Tasks given in the internship process Besides the assigned work, I spent my free time on finding out the processes of working of other departments as well as its functions, it is quite important for me to work better and understand basically about the company Which is also really useful for me later In addition, I am involved in cleaning the workplace to ensure cleanliness in the company 2.2 SELF-ASSESSMENT, DIFFICULTIES AND LESSON LEARNED IS TAKEN IN DURING THE INTERNSHIP PROCESSING 2.2.1 The benefits and difficulties in during internship process  Benefits Through weeks of internship period at Tan Hung Phat Company Limited, I got valuable working experience and soft skills I not only had many chances to improve my knowledge and experience in the import-export sector but also had access to many modern equipment and a professional environment Moreover, I always received the help and enthusiasm of the staff in the room for knowledge and professional skills and was provided with many necessary documents for the content of the report This experience has helped me to improve my English skills quite much as my reading, writing skill I am becoming familiar with structures, grammar in writing and how to effectively enrich my vocabulary I also learned common English phrases and specialized words in official documents which are very useful for my future job In my work, I had to translate English documents and contracts of the company which made me more proficient in translation In my point of view, the precious experiences will help me a lot for my work in the future The following is some of experiences and skills which I gained during this internship processing: • In the first week of the internship : - Learning the rules of the company - Making acquaintance with the colleagues and new work environment - Getting the assigned work - Learning all skills related to my work  These are not only the first important steps but also good chances for me to understand more about how the company works, to avoid mistakes in the process of working • In the second week, my tasks were: - Trying making contact with foreign partners by sending email - Photocopying some reports and short contracts and documents related - Classifying and arrange English bills, receipts, reports and contracts translating and type the company’s text and document  Those tasks help me collect some useful documents and necessary information about the company and make me more active and improve my typing skill In the third week: - Collecting and typing the company’s English documents By collecting and selecting documents, I got many experience in gathering information and translating specialty vocabulary skills - It is not easy to classify types of business documents This task helps me realize and distinguish them in wrong orders • In the last week: - Continuing to translate the company’s contracts, summarizing the internship process and completing the internship report - It was practiced as a translating skill in which I can realize some function vocabularies and the relationship between them  Difficulties Working in a professional environment requiring high flexibility, I was quite pressure in the early days of internship process so I had to try hard and after a period of adaptation, I got acquainted with it and completed the assignments efficiently Although I’m a student of English Faculty and approached many kinds of documents and texts, I still had difficulties in understanding terminologies of main fields in business It is highly difficult for us to understand the meanings of economic terminologies If we are careful, we can misunderstand those meanings and provide the inappropriate information for manager and customers In addition, translating process requires many skills and knowledge We need to have knowledge of culture and customs worldwide to documents appropriately We have to find suitable way to convey information into Vietnamese or English to help reader understand them It is not easy for new intern to implement this tasks Writing or reply partners’ email and letter and organizing working schedule are not easy for us It is really essential to exert knowledge of business correspondence in replying emails or letters of partners When replying the complaint emails or letters, we need to be patient to deal with the problems intelligently and flexibly Therefore, we are always keep calm to not avoid losing the great image of enterprise and impact the prestige of the company Thus, the task need to have the accuracy in performance 2.2.2 The lessons of experience in the internship processing After one month as an intern in Tan Hung Phat Company Limited, I have learned a lot of valuable lessons and specific experiences for myself which will help me gain my successful career in the future I applied the knowledge and skills that I learned at University (writing letter, emails, translation, interpreting) on the job I see that the knowledge learned at University is just the theory, how to use it effectively is decided by practicing in the real life I had chances to support import department to meet and deal with foreign guests so my English speaking and writing skills is improved more and more, this makes me become more confident in English environment Working in professional environment, I understand the importance of team- work and know how to cooperate with me colleagues I also learn how to make acquaintance with other colleagues in the company and build a good relationship with partners 10 11 CHAPTER 3: THE REALITY OF USING ENGLISH IN TAN HUNG PHAT COMPANY LIMITED 3.1 THE ENGLISH USAGE IN TAN HUNG PHAT COMPANY LIMITED In the recent years, Vietnam’s economy has strongly integrated into global one, causing increasing demands of high quality human resources that has not only a thorough understanding of specialized affairs but also good foreign language skills English has become an integral part of the company and the key for expanding relationship with brands Admittedly, the work for my internship uses a lot of English words as well as terms on documents Working as an one- month intern, I realized several problems: Firstly, English plays a crucial role in Tan Hung Phat Co Ltd in negotiating and signing contracts with foreign partners However, using English in business has some bad points as the company is the shortage of proficient English staff Which causes a big disadvantage in the business process as well as competition further to the bigger market For example, some employees are good at English at very basic level, enough to comprehend what the documents say but sometimes not know how to reply or handle problems Secondly, the part of staff has no maximum exploitation in using English in some department such as Accounting Department & Warehouse Department The English skills of the employees in the company are not sufficient to meet the communication requirement that import and export business activities require Employee who meet foreign partners are still confused and have not fully expressed the information they want to provide Lastly, it is difficult for the employee to interact and solve some problems with foreign partners or customers Sometime, when fishing reports, they make some mistakes about grammatical errors and it impacts the transmission of information to managers Specifically, when drafting contracts and writing business correspondences, they often confuse word classes and phrase classes The words and sentences used in contract need to be clear and accurate but they often express the meaning of sentences in English complicated It makes readers misunderstanding the contents of contract 12 3.2 PROPOSING RESEARCH PROBLEM Being aware of the negative reality and recognizing in the importance of English for the operations and the existing limitations, Tan Hung Phat Co., Ltd should implement a number of policies aiming at raising the English level of the staff After one month as an intern student, I would like to give some recommendation to cultivate the use of English, including: Tan Hung Phat Co., Ltd should have plan to offer short training course not only to strengthen the major knowledge and soft skills, but also increase English background for employee The training course will concentrate on communicate and negotiation skills, email composing, contract editing in English with a hope that the English competence of people working in company will be improved significantly In addition, encouraging the Each employee needs to raise awareness of practicing and improve his/ her English ability so as not to fall behind on society Being active in every communication is also an effective way to improve your listening and speaking skills by reading English newspaper and watching documents English such as BBC news, VOA When the working environment of the company has become more integrated with English The company needs to revise their recruitment requirements A certain level of English language proficiency, along with the ability to communicate in a foreign language may be one of the favorable conditions to apply for a position 13 CHAPTER 4: RECOMMENDATIONS FOR CHOOSING A GRADUATION THESIS TOPIC Nowadays, most company are trending toward globalization They target customers all over the world Therefore, English business become more important than ever for people working with colleagues, customers and partners from other countries In addition, the Industrial Revolution 4.0, English is key to open up a future of openness for people to receive, expend knowledge and creativity in an age of information connectivity and globalization Many enterprises is finding ways to improve the quality of human resource has not only specialized knowledge but also good foreign languages and soft skills The company require the high qualification of interviewer in the first round If the interviewers are good at foreign languages, they would have opportunities for being a part of company Nearly one- month intern in Tan Hung Phat Co., Ltd, realizing the importance of English in company as well as in modern life today, I would like to propose the topic of graduation thesis in the direction of “A study on improving English Writing Email skill for Employee in Tan Hung Phat Co ,Ltd.” 14 REFERENCES I would like to
