Finally, the cargoes are transported to Binh Duong Warehouse which is HIPRA Warehouse
Firstly, HIPRA Vietnam sends Purchase Order (PO) which is an official document to pay for the sale of specific products or services to be delivered, to HIPRA Spain
Secondly, after send Purchase Order, HIPRA Vietnam make a contract with Frieght Forwarder to carry the cargoes
HIPRA Spain provides the Shipper’s Instruction (SI) to the Freight Forwarder, detailing cargo specifics and transportation requirements, including the packing list, Incoterms, airport of loading, and cargo ready date Utilizing this information, the Freight Forwarder secures an airline reservation and issues a booking note, which serves as a contract for space on the aircraft This note includes essential details such as the shipper, consignee, notify party, quantities, gross weight, estimated departure and arrival times, cut-off time, and the intended aircraft.
Transporting the cargoes from Spain to Vietnam
At the appointment, when the truck arrives Barcelona Airport, Freight Forwarder issues FCR – Forwarder’s Certificate of Receipt for HIPRA Spain that serves as certification of the receipt of cargoes
When the cargoes come to Barcelona Airport, Freight Forwarder fills in the Shipper’s Instruction and sends it to Air France
The Freight Forwarder prepares a draft of the House Airway Bill based on the chargeable weight and sends it to HIPRA Spain for verification After confirming the information, the Freight Forwarder issues the final House Airway Bill.
Then, Freight Forwarder contacts with Document Department of Airlines to make Master Airway Bill
Next, Freight Forwarder sends House Airway Bill to HIPRA Vietnam And Air France sends Master Airway Bill to Forwarder
Finally, Freight Forwarder makes and sends Arrival Note (A/N) to HIPRA Vietnam
The Document file is transported attach with the cargoes
The Cargoes are transported to Tan Son Nhat Airport
Before the shipment comes to Vietnam, we need registrate the Product Declaration which is provided by QUATEST 3 in Vietnam
Based on above of Document file which includes Invoice, Packing list, Contract, Purchase Order, Shipping Instruction, Freight Forwarder makes declaration draft and sends to consignee to check and confirm
Next, Frieght Forwarder declarate in VNACCS/VCIS includes: E – Declaration, E – Invoice, E – Payment, E – Certificate Order, E – Manifest The system inform the result of the declaration
If the result of Declaration is green channel, Freight Forwarder can show the Customs Declaration and Delivery Order to pickup the cargoes and load it in the refrigerated truck
If the result of Declaration is yellow channel, Freight Forwarder need prepare Document file to Customs check, includes:
When a Declaration results in a red channel, both the cargo and accompanying documents undergo inspection The Freight Forwarder must submit a request to store the goods for inspection, particularly due to temperature requirements.
To successfully pick up cargo, the freight forwarder must prepare essential documents, including one Arrival Note (A/N), one Instruction Note, one National ID, one House Airway Bill (HAWB), and one Invoice Upon arriving at the terminal, the freight forwarder presents these documents to obtain the Delivery Order (D/O) Additionally, the consignee is required to pay any applicable import taxes and duties before the cargo can be released.
Firstly, Freight Forwarder receives information about quantity, name of products, origin, requirement, etc from HIPRA Spain and HIPRA Vietnam to book Airline
Airline sends to Forwarder time, date, cost of flight, address of warehouse of airline for vaccine, Estimated time of departure (ETD) and Estimated time of arrival (ETA)
Then, Freight Forwarder sends this information to HIPRA Spain to prepare the shipments on time and HIPRA Vietnam to know the process of transportation

Freight Forwarder sends Pre- Alert to HIPRA Vietnam
Through Airline System, Freight Forwarder, HIPRA Spain and HIPRA Vietnam can receive information about process of transportation

The situation is that the vaccines is kept in warehouse of airport with inappropriate condition and it might make major damage if this delayed status take longer
Once the customs procedure is complete, the freight has already been in SCSC The last thing to do is wait to load up the aircraft
