internal and external of the event team 51 Internal trigger conflicts mainly come from human issues In contrast, external conflicts are often related to interests Although these cases are not complicated, the completion of a risk backup and compensation is required Applied to the AmCham event, contracts on compensation terms and risks are reviewed and carefully proposed solutions to both within one week, including a post-event assessment, partner benefits acceptance, comparison, evaluation, and experience for those who participated and donated to the event This stage gives a strong impression for sponsors to support AmCham's following event Regarding evaluation comparison, AmCham mainly evaluates through the following criteria in three stages of evaluation a, Formative evaluations The pre-event assessment will typically involve preparation, risk prevention, and workforce preparation for the event Schedule Variance (SV): Follow-up before and during the event to ensure that every activity follows the agenda b, Process evaluations Defining causes by asking questions, using a fishbone diagram, and giving proper suggestions such as skipping if there is no change, finding a replacement, negotiating with a sponsor, and offering to compensate if there is a problem with a partner (wrong logo, loss of benefits during the event, etc.) c, Outcome or summative evaluation Return on Investment (ROI): applied for a fundraising event Budget Variance (BV): Use for evaluation after the event to balance the revenue and expense to adjust the financial strategy From there, give the parts that need to be learned, and suggest appropriate solutions About accepting the partner's benefits, AmCham tends to send a thank-you letter two days after the event attached with sponsor materials during the event (slide, standee, company logo, table sign, related items) 2.3 General Evaluation about Event Management of AmCham Hanoi 2.3.1 The advantages 53 a, Pre-event preparation About detailed planning, AmCham is grasping the new trend, organizing events combining resort tourism - MICE, applied in significant events, Vietnam Business Submit 2022 and National Retreat in Hue 2022, which serve the guests the outstanding experiences from the discussion These are two events that have the presence of attendance of AmCham Vietnam but also AmChams around the world to attend and also stimulate Vietnamese tourism and strongly invest in potential places like Vietnam effectively Third, events are carefully customized following ongoing external changing For There are instructions from the AmCham Team and the hotel in case of fires, unpredictable disasters, etc b, Event Performance Events are prepared systematically and methodically with specific checklists and Gantt charts for each week The parts in the agenda are divided into smaller tasks for departments, so the event process is convenient Receiving help from hotel staff is also an advantage in coordinating the event and providing an enjoyable experience for attendees An excellent example of this advantage is the AmCham Gala; for a significant event of about 300 people, handling everything correctly with limited human resources is a big challenge With the combination of performing on stage and serving food at the event, the need for coordination from the hotel staff is of great help In addition, with a large event area, dividing AmCham's departments is an effective way to support participants, dance groups, and singers for a smooth performance c, Evaluation At this stage, AmCham is not too heavy on the evaluation stage after the event because the reporting to the partners is almost completed during the event in the publications For fundraising events, relevant and professional calculation tools help the AmCham team save time and effort and limit metrics errors 54 Applied to real-life situations at AmCham Scholars, this event is to raise funds and help young Vietnamese talents access big businesses at AmCham and other member companies With this event, it is necessary to provide an analysis of ROI, SV for the tracking process, revenue for the scholarship, and the numbers on the agenda and programs after the scholarship is organized 2.3.2 The limitations a, Pre-event preparation During peak times, AmCham Office is overloaded due to many jobs, there is only enough workforce to maintain one event at a time, so if consecutive events occur, the work efficiency is lower than expected On the other hand, it is also challenging to grasp the work managed and handled by whom so itt takes time to keep track in case of immediate need Another challenge is that in the period of economic recovery after COVID-19, getting sponsors like before the epidemic is a dilemma associated with the scarcity of people An intuitive metric for this difficulty is the average number of yearly awards While with events before 2019, on average, a program collected about 200 major prizes and 100 sponsorship prizes Over a long time of the pandemic, the average number of AmCham awards is only about 120-150, and sponsorship at the event is only about 65 prizes Besides, risk management is flexible Difficult situations often make the event team need clarification that cannot be solved immediately but need to decide by the event manager or general manager In some situations, the event's operating area is comprehensive, and it is easy for uncontrollable risks to occur b, Event Performance For events that non-members can participate in, AmCham is still limited in choosing marketing channels Events that are open to everyone are often challenging to reach external audiences, mainly AmCham members attend Event media publications sometimes not have a breakthrough, often applying a theme to repeated events AmCham divides the work according to the checklist, but implementing the checklist by the department has not been as effective as expected; there are still interns/volunteers who need help understanding the tasks and late deadline c, Evaluation For this stage, AmCham's limitation lies in the absence of specific processes and standards that a post-event report should have, resulting in the uneven quality of postevent reports A specific example is in the thank-you letter AmCham sent to the sponsors of each event With significant events like Gala, CSR Award, etc., these reports are generally quite quality and complete, but for smaller events like networking events, the reports 55 are not effective when just shown by the data on the number of participants, the image of the acceptance of the partner's benefits instead of going into the outcomes 2.3.3 The main causes of limitations a, Pre-event preparation The leading cause of the above limitations lies mainly in human resources If, during peak events, there are many things However, the unavoidable problem is that AmCham's calendar often peaks during times when other companies are free Human resources are not specialized in digital design, and no marketing department to specializes Then, in challenging tasks, AmCham team cannot fulfill the task perfectly The overwhelming Although the Association's culture is harmonious with employees, it cannot retain talents In addition, another reason leading to this human resource problem is that employees not stick with AmCham for a long time; this comes from the fact that the opportunities for career advancement are not too much due to the streamlined business model At the same time, employees are often young people with many dreams and ambitions b, Event Performance The price of attending the event is relatively high compared to the average entrance price of events in Vietnam, although it is the average price for programs with foreign elements Marketing channels to audiences outside of AmCham are not suitable and attractive The assignment, according to the checklist, is detailed but only comprehensive, while the departments still need a detailed checklist but the same general checklist, which makes it difficult to attribute responsibility, and at the same time, confuses When working, because I not know which job belongs to whom, this factor makes the performance low even though the preparation is quite good c, Evaluation There is no specific standard for making reports after the event related to documents and data of in-depth nature, only the data mentioned above Events following the strategic vision have yet to focus on reporting after the event but mainly follow the previous frames and learn from experience as soon as something goes wrong, leading to sketchy reports 56 CHAPTER – POTENTIAL RECOMMENDATIONS TO IMPROVE EVENT IMPLEMENTATION OF THE AMERICAN CHAMBER OF COMMERCE IN VIETNAM – HANOI CHAPTER 3.1 Event Implementation Orientation for The American Chamber of Commerce in Vietnam – Hanoi Chapter in the period of time from 2023 to 2025 3.1.1 Orientation developments about Event Implementation of The American Chamber of Commerce in Vietnam – Hanoi Chapter in the period of time from 2023 to 2025 Based on the events AmCham has done in the past, the challenges during the COVID19 outbreak, and the new normal, making short and long-term strategies come to events while simultaneously limiting the external market's unpredictable negative impacts Through strategic meetings and detailed analysis of new trends in the Vietnamese and global markets, BOG AmCham agreed on a strategy from 2023 to 2025 focusing mainly on investment promotion, networking, and new talents The two common areas, law and networking, will be promoted under MICE to bring the best experience to attendees However, the events will be sustainable due to the awareness of the environment and consumption of customer behavior Then, it requires the process of innovation in event implementation to create the correct value for the target group and prevent the consumption of non-eco-friendly material for the event First, the timely legal committee for AmCham Members to protect the Member's interests with changes in public policies and the business environment in Vietnam Then, still promoting trade and strategic exchange with provinces in Vietnam as AmCham did with Thanh Hoa and Nghe An people committees in previous years Besides that, AmCham promotes cultural and tourism activities in Vietnam via different channels to approach every kind of audience (conferences, exhibitions, films) A prime project for this strategy is a movie that accompanies Netflix, released in late April called "A Tourist Guide to Love." Moreover, AmCham proves as a bridge between the Vietnam Government and the U.S companies to complete drafts of Vietnam law through seminars and discussions The new area focuses on exploiting and nurturing Vietnam's young talents In fact, AmCham still organizes the annual AmCham Scholars to find outstanding final students in Hanoi with excellent leadership skills; Soon, from 2023, BOG will accompany AmCham Scholars with leadership-related skill classes, connecting talented Vietnamese young people to businesses inside and outside AmCham member to sharpen their youngster skills to drive the economy of Vietnam in the near future through several educational events supported greatly by Ms Viet Ha – Vice Chair of AmCham 57 3.1.2 The strategy to improve event implementation of The American Chamber of Commerce in Vietnam – Hanoi Chapter in the period of time from 2023 to 2025 Going deeper into the event implementation part, AmCham leaders gave an orientation on the stages of event strategy from AmCham BOG in a more specialized way, systematizing the processes in previous events for easy application and handling in the event Criteria for these strategies are mainly in three aspects 1, Analyze and focus on developing well the strengths of the event implementation 2, Proposing to solve the weak points and backlog points in the event implementation in the past time through the evaluation conducted after every event 3, Combine, learn, and apply new world trends in the event industry and applying technology to develop a complete event implementation process and stay aware of the market's inevitable trends and attendees' needs To discuss in-depth, first of all, about developing the strengths of AmCham event management, now these events not only stop with one purpose but can combine many more purposes This point is considered a strength of the AmCham event implementation Currently, MICE is being combined in events and tourism of AmCham events, especially with the enormous impacts event such as Pacific Energy Discussion with Mr John Kerry or Business Submit Expand Another vital aspect of AmCham event implementation that needs to be promoted in the future is cooperation in events with other Chambers to attract more participants and create diverse networking The root is that after the widespread COVID-19 pandemic, many business sectors have been hurt With the new normal, cooperation with another chamber may help AmCham Members find valuable contracts and markets to recover after disasters and promote the number of guests enjoying the events Next, using human resources effectively is the strategy to improve the weak points of event implementation It can be said that AmCham recruits enough HR to run the events and also provide sufficient training before any event every single year However, the weakening is about making a clear plan, systematizing the tasks to handle the work effectively, and increasing work efficiency during the event It may sometimes lead to confusion among team leaders, staff, and volunteers So, the strategy for event implementation for the upcoming events will focus on providing a general view of tasks, responsibilities and systematizing the process of HRM Finally, related to development along with the general trend of society and the event industry, AmCham event implementation will focus on the digital economy, updating documents and data to a cloud storage system for easy access, and ensuring the security of information and trade secrets This strategy promisingly provides an easy way to track the information between any department of event organizational structures, allowing them to keep track of the event process and get a general view of event team tasks, responsibilities, and productivity Moreover, it is also saving time for the eventmaking process 58 3.2 Potential recommendations for The American Chamber of Commerce in Vietnam – Hanoi Chapter to improve event implementation 3.2.1 Improving pre-event preparation stage a, Related to build the team Regarding human resources, it is easy to see that AmCham has limited human resources available in the office, which may lead to the challenge during rush periods which require a huge effort from a large group of people To deal with this challenge, AmCham BOG and its Executive Director may consider hiring temporary staff, volunteers, and interns during this special time These sources may come from civic and fraternal reasons because these organizations' vision is community service so they can support this kind of event from AmCham Some students from school could also give a helping hand in this process, and AmCham has already used this special group of people before thanks to the support of Concordia International School in the Blood Donation Event In addition, giving a direct guideline about specific task responsibilities also should be applied to handle this situation Another way to reach potential staff is using social media and personal networking But not the key “What’s in it for me” principle to fulfill their needs by using the objectives of the AmCham event, and give them some recognition to encourage their motivation A prime example is Jeff Parks, president of ArtsQuest, the producer of the Bethlehem, Pennsylvania, award-winning MusikFest, works with numerous community groups to produce everything from food and beverage stands to maintain the porta-johns; in turn, each group raises thousands of dollars to support the good work for their not-for-profit closings to ensure the target audience can arrange their timetable and attend the event However, for the target guests of AmCham, it has its characteristics because the events are work-specific, so it is possible to organize on weekdays; on the other hand, it also ensures efficiency That is why strategic events are usually held on weekdays, in the morning or mid-afternoon, not on weekends or first Mondays The problem is for meetups or networking events; there was a decrease in the peak periods at the end of the year when there were long holidays or Tet The solution here that BOG might consider is 59  Cooperate with other Chams with the same goal of meetup during the peak of the holiday season to suit guests' needs, helping them find relationships for future events and projects  Combining the meetup event with one other event, with a more reasonable price, or linking with other Chamber and lucky draw to attract attendees  Consider choosing a time to hold the event far from the long holidays according to the Vietnamese government's calendar and company holidays For example, the 2023 Lunar New Year is close to the holiday of New Year's Day and Christmas, which take a long break It leads to a reduced number of attendees  Combine multiple events For example, Meet up combined with AmCham Annual Meeting and CSR Award Next, the categories must consider an event, as shown in the image below As the theory is shown above, to make an exciting event, it is necessary to follow and achieve four pillars related to finance, time, technology, and human resources AmCham has done well in finance management and technology management However, time management and HRM need more attention to give specific guidelines to follow in the future Regarding time management, AmCham leaders should consider improving a checklist before an event and a Gantt chart during a certain period such as three or two weeks before events lists with an updated report in real-time to make sure every task is on track and may change on time if needed In addition, this checklist will also be used in the next stages related to post-event reporting and benefits acceptance For a more detailed analysis, through a checklist and Gantt chart, comparing the actual data across events, AmCham leaders can have a clear view of the event metrics such as ROI if the event causes funds, In addition, review and revision should be carried out continuously Especially with events that repeat every year, it's even more important to see how the attendee experience and its impact year after year 3.2.2 Improving event performance stage a, Related to marketing activities Hiring KOL, KOC is a trendy and practical direction at the moment With events with the participation of many audiences, not only AmCham members, other social networking channels such as Facebook and Tiktok can be excellent to reach a younger and more dynamic customer base Exhibitions and events open to many audiences, such as exhibitions, fundraisers, etc., resonate from the introduction of an influencer to a part of the community instead of just focusing on email Marketing and website are only suitable for groups already members and in AmCham's list b, Related to conducting activities Managing and coordinating the HR team according to the checklist before and during the event to ensure that the Core Team temporarily volunteers an area to take care of 60 some kinds of stuff and also take care of the guests carefully, along with supporting the hotel staff Distributing details of responsibilities and areas of responsibility of each person in AmCham teams to handle and handle work more smoothly, providing a good experience for attendees Training comes with a test so interns/volunteers can test their level and abilities, sorting out which parts of this group are weak to better prepare for the event c, About solving conflicts Invest in shooting for documents after the event Some company sponsors require checklist) and combine project management with schedules and plans Besides, analyzing some metrics if needed (e.g., ROI) for fundraising events to more effective implementation in the future event 61 Evaluate Sponsorship vs contract review to fulfill the obligations of both parties in the agreement 62 CONCLUSION To sum up, stitching event implementation is essential to create a successful event as it turns to stitching planning ideas into reality To build a successful event, the human resources, risk management, detailed action plans, and marketing evaluation for the three stages of event implementation all contribute to bringing great experiences to attendees and event team members Regarding AmCham event implementation, we can see the bright spots in detailed planning, event logistics, team training, and evaluation However, during peak times, scarce human resources pose an excellent challenge for AmCham when facing many jobs leading to overload and increased work efficiency but maintaining working quality, the event implementation could be more complete To solve these significant problems, following BOG's grand strategy, and at the same time systematizing tasks, updating data, and using cloud computing promises to give AmCham the resilience to deal with these problems Weaknesses promote strengths and continue contributing to Vietnam's economy in the
