● Board of Directors: The Board of Directors is responsible for establishing the strategic direction and developmental objectives of the company in the short, medium, and long term They oversee and communicate operational and promotional activities for each department during specific periods The Board monitors divisional activities and implements timely adjustments to enhance the company's effectiveness They also have the responsibility of supervising the company's finances, establishing the business philosophy, and defining personnel management policies Additionally, the executive director assumes the responsibility of signing economic contracts and representing the company in transactions with government agencies, third-party entities, and legal proceedings related to all business activities of the enterprise

Overv iew about my internship’s position

During the internship period, the position that I am in charge of is documentation trainee

Main instructor: Ms Dinh Phuong Thuy - Documentary staff of US COM Logistics Inc.- Hanoi branch

Internship time: 5 weeks starting from July 3rd, 2023 to August 7th, 2023

My main duties is to helping colleagues in logistics department doing those tasks below:

● Completing buying and selling price from customer in company’s system.

● Doing house bill of lading, master bill of lading, invoice, manifest and debit note of the cargos

● Sending email to agents in order to open custom declaration

● Tracking estimated depart and estimated arrival of the cargo

● Sending pre-alert to the agents or customers.

Internship diary

- Gain a comprehensive understanding of the company's organizational structure and procedure of importing and exporting within the company

- Acquaint myself with the company's working environment to cultivate a comprehensive understanding of its organizational dynamics and cultural atmosphere

- Obtain information regarding the primary responsibilities of people in logistics department

- Getting acquaintances with Ms Thuy, Ms Hao and Mrs Cuc who provide me with the internship guidance

- Under the guidance of Ms Thuy, I have received an introduction to the company's operational model and the regulatory framework governing its operations

- Ms Thuy and Ms Hao presented an extensive introduction to the key import and export products of the company

- Reading the Incoterms document sent by Ms Thuy to gain a comprehensive understanding of the universally acknowledged and extensively utilized set of regulations governing international trade

- Ms Thuy and Ms Hao also print out a set of documents including HBL, MBL, Invoice, Packing list, Switch Invoice, Manifest and introduce me to the characteristics and structure of each component in the set of documents

- Getting acquainted with the company's operating system and Outlook

- Achievements: Attain the predetermined objectives, adapt to the professional surroundings, and familiarize myself with the dynamics and operational procedures of the company

- Difficulties: Because at university, I have not learned the subject related to Incoterms; therefore, I have been quite surprised at the first time exposing to the work related to logistics

- Acquire the knowledge and skills to input purchase and sale prices of transport service accurately into the organization's system

- Acquiring a heightened level of expertise and a more comprehensive understanding of import and export procedures by using air transport

- Get the more intricate understanding of creating docs (house bill of lading and master bill of lading) for the daily consignment

- Mrs Cuc has re-introduced to me the the process of transporting commodities by air which make me gain a deeper knowledge about export and import procedure

- I have input purchase and sale prices of daily consignment to destination Dallas ( including buying price for the master bill of lading; saving for payment and both buying and selling price for house bill of lading; saving to create invoice and debit note for each house bill)

- Forwarding the packing list from the factory to agent

- Sending email request to the agent for opening custom declaration because my company hire another agent to take responsibility of opening custom declaration

- Ms Cuc and Ms Thuy have taught me about the way to create docs (HBL; MBL) for the daily consignment I have created docs for some daily samsung consignments

- Achievements: Successfully accomplish the pre-established objectives I gradually gained practical skills related to the documentary work

- Difficulties: Product are stored in different warehouses with different serial number; therefore, sometimes I am quite confused when entering prices

- Expertising in input selling and buying prices of different types of goods

- Acquire the knowledge and skills necessary to effectively monitor and trace the movement of goods

- Acquire the necessary expertise in making reservations and bookings through airline carriers

- Under the guidance of Mrs Thuy, I have received instruction on the process of making carrier reservations through the official websites of Korean Airline and Asia Airline I have done the booking consignments to destination of Incheon in this week

- I have input the selling and buying prices of the mobile products to the destination of Dallas and Vienna this week

- Mrs Cuc has provided comprehensive guidance and training on the techniques and protocols employed to accurately track and trace cargo consignments I have traced consignment through official websites of Korean Airline and Asia Airline and Track-trace website We just only have to input the MAWB number, the website will have estimated time of destination and arrival; real time of destination and arrival, the serial number of this air cargo

- Achievements: Efficiently achieve the predetermined objectives with success

- Difficulties: There is no difficulty existing in this week

- Attain proficiency in the methodology of air cargo export and import operations

- Acquire knowledge regarding the procedures entailed in booking and monitoring the export and import of cargo via sea and truck transportation methods

- Accomplishing the assigned task in a good manner

- Observing and acquiring knowledge from Mrs Cuc regarding the process of booking and monitoring the export and import of cargo via sea and truck transportation methods including forwarding booking request confirmation, doing seaway bill, house bill and map bill for truck and sea transportation

- Input selling and buying price for cargo to destination Dallas and Vienna daily

- Doing air house bill and air master bill for daily Samsung cargo

- Sending pre-alert, packing list to the agent

- Achievements: Efficiently obtain the predetermined objectives

- Difficulties: The process of tracking cargo through air, sea, and truck transportation methods exhibits numerous variations Consequently, I occasionally encounter some faults

- Acquiring knowledge pertaining to customs declaration procedures

- Effectively completing the given task with competence

- Doing air house bill and air master bill for daily Samsung cargo

- Ms Hao and Ms Thuy also introduce to me about the custom declaration which include the format and the complements, the green stream, yellow stream and the red stream

- Input the selling and buying price that are assigned

- Booking the cargo on the airline's website

- Achievements: Attain work objectives successfully

- Difficulties: I have just observed the custom declaration but do not have opportunities to do this work about custom declaration.

The declaration and clearance of import and export goods at Uscom Logistics Company are executed with utmost professionalism and efficiency The company's staff undergoes regular and comprehensive training, which, combined with their accumulated daily experience, contributes to the high quality of service and the continuous enhancement of the company's reputation Moreover, Uscom Logistics Company regularly integrates new tools and technologies into its operations, effectively minimizing errors, reducing time wastage, and preventing delays in data entry and storage For instance, the utilization of USCOM forwarding logistics systems tools aids in the handling of goods, document verification, and the implementation of modern data systems within the organization

Throughout its operations, the company has established strong partnerships with representatives responsible for managing shipping lines and containers Additionally, it has fostered highly positive relationships with a majority of the Customs Departments and Sub-Departments across various provinces and cities nationwide These favorable connections have facilitated the company's seamless customs clearance process, ensuring minimal challenges and obstacles in document preparation and the exchange of goods-related customs information In 2014, Uscom Logistics Inc Company was selected as Transport Contractor by The Shilla Duty Free Singapore Furthermore, in

2015 Samsung C&T choosed Uscom Logistics Inc Company to become subcontractor

Furthermore, the company possesses a proficient workforce of bachelor's degree holders, possessing outstanding academic achievements, and specializing in customs operations, international business, logistics, and supply chain management They exhibit robust expertise in their respective fields, enabling them to aptly fulfill the demands of their roles They also demonstrate a proactive and receptive approach to work, displaying a keenness for continual growth and the assimilation of innovative ideas to propel the organization's progress

In addition, the predominant import and export goods of the company revolve around Samsung electronic components, which are efficiently processed through the customs' streamlined "green channel." This strategic arrangement ensures a favorable and expeditious clearance process for the import and export operations

Fifth, For the Vietnam Branch, USCOM Logistics boasts two principal warehouses in Vietnam, namely the Bac Ninh warehouse and the Thai Nguyen warehouse Both locations serve as focal points for concentrated storage of manufactured goods and house numerous production workshops, rendering them highly advantageous for the company's consolidation and transportation services The company's rapid expansion can be attributed to the favorable proximity of its warehouses to Noi Bai airport This advantageous geographical positioning significantly reduces the transit time for exporting goods from the warehouse to Noi Bai airport, facilitating swift overseas transportation This efficiency stands as a robust competitive edge, setting the company apart from its counterparts

Overall, the company has undergone rapid development, firmly establishing its reputation in both the Vietnamese and international markets With over 14 years of experience, USCOM has strategically established 12 offices in six different countries around the globe, further expanding its global presence and influence

In addition to the aforementioned benefits, the business operations of Uscom are also subject to certain constraints and limitations

Firstly, at present, the company's vehicles are utilized for the purpose of facilitating the logistics process, relying on outsourced services and third-party transportation providers Therefore, there are instances where the company fails to meet customers' shipment requirements adequately and punctually

Secondly,the slight variance between the selling and buying prices of the transport shipment results in a meager profit margin for the company with each consignment

To ensure optimal delivery and transportation of goods, the company must address any outstanding aspects and devise appropriate solutions in alignment with its developmental circumstances This approach is essential for effectively meeting customer requirements, enhancing the company's reputation, and elevating the overall service quality

3.1.3 Proposed recommendations a Investment on the facility of the company

The existing facilities of the transportation agency do not adequately cater to the requirements of the service business The current means of transport vehicles is insufficient to meet the customer demand for services Consequently, the company urgently requires an investment policy in facility enhancement and the procurement of additional means of transport to promptly address the customers' needs

At present, the company faces financial constraints, and acquiring external capital through borrowing would incur additional interest expenses To address this challenge, the company can seek contributions from its members who have savings and are interested in increasing their income By collectively pooling capital to purchase means of transport, both parties stand to gain significant benefits On one hand, it will alleviate the shortage of transport resources, thus enhancing services for customers On the other hand, through capital contributions, the company can distribute profits to its members based on the percentage of their respective contributions, thereby enabling employees to enjoy a more substantial income b Increasing selling price of logistics service to the clients

In order to enhance the company's sales potential and enable the selling of services at elevated prices, a focus should be placed on refining the customer engagement process during sales Currently, the company's sales team consists of just two Korean salesmen

To address this problem, the company should consider expanding its sales force by recruiting additional salespersons The most important thing to do is the implementation of a comprehensive training program, which combines both short-term and long-term strategies This will equip the new recruits with the necessary skills and knowledge to effectively navigate the sales process and effectively promote the services offered by the company By adopting these measures, the company can bolster its sales capabilities and establish a stronger market position.

Evaluation of operational procedures and internal mechanisms

Firstly, the company's organizational culture fosters a collaborative and knowledge- sharing ethos, which cultivates an environment conducive to continuous learning among employees For example, the procedure of cargo booking at the unfamiliar airline branch is a subject of knowledge dissemination among the employees, as they engage in both learning and instructing others on this aspect.This dynamic encourages constant knowledge exchange and skill development within the workforce The presence of competent human resources, coupled with an open-minded approach and a strong focus on market demands, has been instrumental in driving the company's consistent growth and expansion over the years

The company establishes a transparent compensation and incentive system for its business personnel, wherein salaries are directly correlated to the value they generate This arrangement serves as a powerful incentive, inspiring employees to consistently excel in their work, as they are driven to reap just rewards commensurate with their contributions Particularly, employees within the company who are required to work overtime for cargo tracing purposes will be eligible to receive a bonus in recognition of their additional efforts

However, there also exist drawbacks in internal operation Within the company, the sales team is mainly composed of Korean staff, while the logistics department is primarily staffed by Vietnamese employees As a consequence of this linguistic distinction, occasional misunderstandings between the two departments can occur due to language barriers

Furthermore, the logistics department operates as an integrated team, with each individual assuming responsibility for specific tasks in the process of tracing a consignment, instead of assigning sole responsibility to one individual for the entire shipment process Consequently, this particular approach has led to the fact that sometimes the employees miss some information about the delivery

In order to mitigate conflicts between the two departments, the sales department of the company should consider increasing the recruitment of Vietnamese personnel This strategic approach aims to foster better communication and understanding, thereby facilitating the resolution of existing conflicts

In addition, the company should revise its cargo tracing process Specifically, the company should designate an individual to assume complete responsibility for overseeing the entire transportation process of a consignment, rather than distributing the responsibility among a team

Throughout my internship at Uscom logistics company, I came to realize the paramount significance of the operational logistics department within the organization This department plays a pivotal role in contributing to the company's revenue streams, fostering strong customer relationships, and relentlessly striving to provide exceptional experiences to clients, particularly in managing import and export operations for electronic components Undoubtedly, the operational logistics department holds a key position in the product distribution of the company and expansion strategies, crucially influencing its market presence and growth in the international arena

In the contemporary and rapidly changing market, which is marked by intense competition, it is essential for the company to maintain a steadfast position while continually progressing To accomplish this and expand its business activities, the company must devise and implement development policies that align with its objectives and strategic vision This endeavor poses a formidable challenge, demanding the collective commitment and dedication of all members within the organization Simultaneously, each individual must remain self-aware of their roles and responsibilities in their respective positions By fostering a collaborative spirit and nurturing a culture of self-awareness, the company can effectively address this challenge and pave the way for sustainable growth and success

During the course of my internship at the company, I had the valuable opportunity to put my acquired academic knowledge into practical application, thus bridging the gap between theory and practice Despite the relatively brief duration of the internship, I am immensely grateful for the unwavering guidance and support provided by the experienced colleagues within the organization Their mentorship allowed me to amass a wealth of experience and refine my professional expertise, contributing significantly to my personal and intellectual growth

- My colleagues also provide me with printed copies of essential documents, such as HBL (House Bill of Lading), MBL (Master Bill of Lading), Packing List, Switch Invoice, and Manifest, along with an insightful explanation of the unique characteristics and purpose of each component within the documentation, particularly as it relates to air cargo

- They also briefed about the company's import and export products

- I engage in a thorough review and understanding of Incoterms and the diverse array of document sets utilized in the context of international trade

- I also practice to familiarize with the software and web-based tools employed by the company to facilitate the creation of documents

- Under the guidance of Ms Thuy, I also gain insights into the various fees incorporated in the Profit and Loss (PnL) statement, with particular emphasis on the buying and selling prices

- Acquaint oneself comprehensively with the Outlook software, exploring its functions and capabilities in detail

- Under the direction of Ms Cuc, I was provided with a comprehensive reiteration of the air transportation procedure

- Ms Cuc provides step-by-step guidance on the production of sea items

- I also acquire knowledge and differentiation between the Gross Weight and charge weight for each shipment

- Self-review about the model of basic declarations forms

- Ms Cuc delivers to me the instructions on the procedure for inputting Profit and Loss (PnL) data for shipments destined to Dallas within the company's system

- I try to proceed to enter the PnL data for some Samsung shipments conducted on the current day

- I also receive the Packing list from the on-site department and sent it via email to the agent responsible for opening declaration

- I also forward the mail about the product description to initiate the declaration for the agent

- I record the Profit and Loss (PnL) details for shipments scheduled for delivery to Dallas on the same day

- Under the introduction of Ms Thuy, I also dispatch a pre-alert to the agent, prompting the initiation of the necessary declaration processes

- During today's session, Ms Thuy provides instructions on tracking the Estimated Time of Arrival (ETA) and Estimated Time of Departure (ETD) via the websites of OZ and KE airlines

- I input the Profit and Loss (PnL) information for the batches of shipments bound for Dallas throughout the day

- On the present day, Ms C Thuy provides comprehensive guidance on generating documentation for Samsung shipments

- Moreover, I also attempt to create various documents, including House Bill of Lading (HBL) and Master Bill of Lading (MBL), for multiple Samsung shipments within the company's system

- I persist in entering the Profit and Loss (PnL) data for the batches of shipments destined for Dallas throughout the day

- For shipments booked via co-loading, the Export House Bill of Lading (HBL), Master Bill of Lading (MBL), and Manifest are forwarded to the co- loader as required

- Today, Ms Cuc further conducted a comprehensive review of the documentation process, encompassing the creation of HBL and MBL for non-Samsung shipments Additionally, she provided instructions on declaring AMS (Automated Manifest System) on the airline's website

- Today, Ms Thuy provided instructions on importing Profit and Loss (PnL) data specifically for RB shipments (temporarily imported for Samsung's re-export purposes)

- I had the opportunity to observe the process undertaken by my colleagues to track sea shipments and create seaway bills of lading

- As part of the required actions, I will proceed to send a CC request pertaining to RB import and export merchandise

Week 2 14/7/2023 - I proceed to input the Profit and Loss (PnL) data for the RB shipments scheduled for the day

- I also monitor the Estimated Time of Arrival (ETA) and Estimated Time of Departure (ETD) for the morning shipments

- Today, I have the opportunity to witness the proficient execution of the bill of lading surrender process by my colleagues for the sea shipments

- I also generate the necessary documentation, including House Bill of Lading (HBL) and Master Bill of Lading (MBL), in accordance with the Handling file that your colleagues have prepared in Excel for temporary import and re-export shipments during the day

- I also send the additional packing list to the agent by replying to the pre-alert email that was sent yesterday

- I input the Profit and Loss (PnL) data for the shipments bound for Dallas to be executed within the current day

- I also complete the booking for a single consignment, assigning one Master Bill of Lading (MBL) through the designated Korean Airline website

- Send an official email request to initiate the necessary declaration processes for the respective agents involved

- I continue inputting the Profit and Loss (PnL) data for the shipments scheduled for transportation to the destination Dallas within the day
