arrive at the right place, at the right time, in good condition and at the most economical cost According to FIATA, freight forwarding services is defined as services of any kind relating to the carriage, consolidation, storage, handling, packing or distribution of the goods as well as ancillary and advisory services in connection therewith, including but not limited to customs and fiscal matters, declaring the goods for official purposes, procuring insurance of the goods and collecting or procuring payment or documents relating to the goods ➢ Basically, freight forwarding is a collection of operations and procedures related to the transportation process in order to carry out the movement of goods from the place of shipment (the shipper) to the place of receipt (the consignee) 1.1.2 Roles of freight forwarding Forwarding companies providing freight forwarding services are increasingly bringing greater benefits to import-export businesses in particular and the economy in general For import-export businesses: Forwarding services help facilitate goods circulation quickly, safely and economically without the presence of the sender as well as the consignee Moreover, forwarding activities create conditions for importers and exporters to focus on their business activities, contributing to reducing the prices of imported and exported goods In addition, forwarding also helps importers and exporters reduce unnecessary costs such as: Cost of building warehouses and yards thanks to the use of warehouses and yards of forwarders and training labor costs For the national economy: Freight forwarding activities contribute positively to the achievement of growth and socio-economic development The proportion of freight forwarding activities contributing 1.2 The differences between FCL and LCL goods FCL (Full Container Load) is full container loading, the shipper and consignee are responsible for packing and unloading the goods from the container When a shipper has a uniform volume sufficient to fill one container, one or more containers are rented to ship the goods LCL (Less than Container Load) is a method of transporting goods when the shipper does not have enough goods to pack a full container but needs to combine with several other shippers' goods At that time, the service company will combine many LCL shipments, arrange, classify, and pack them into containers, then arrange transportation from the port of loading to the port of destination Such a combination is called consolidation ❖ Comparison between FCL and LCL goods: - Shipping (importer) will transfer the set of documents to the Hanotrans Company that has been hiring for import procedure Documentation staff of Hanotrans will check whether the information between the above documents matches or not, ensuring all necessary information is complete and accurate If detecting errors or mismatches between the information of the documents, the documentation staff should immediately contact the customer to correct or supplement in time - Step 2: Getting delivery order (D/O) from shipping line Hanotrans company hired by importers for import procedure will process the documents, prepare documents (House B/L, Arrival notice, Letter of recommendation, Letter of authorization (if any), Identity card) and advanced money for customers to go to the shipping line to get D/O and deposit for container Some shipping lines have EDO issuance service (MEARSK , CMA CGM , HEUNG-A , MSC , ONE, OOCL, HAPAG LLOY, KMTC), forwarder just needs to sit at the office and pay local charges via bank account to the shipping line, then the shipping line will send the D/O via email - Step 3: Customs declaration Page 19 Forwarding Process of Imported FCL Cooling Pad Kraft Paper photocopy); Barcode signature sheet; Receipt for payment of fees for using seaport facilities; D/O taken on shipping lines; Letter of recommendation; Photocopy of ID card; Container deposit paper; Bill of lading (stamped by the shipping agent) - Step 5: Delivering the goods to customer, returning the empty container and taking the container deposit money After receiving EIR, operation staff sends this EIR to the transportation department of Hanotrans Company, or driver to get the container at the port and transport goods to the customer's private warehouse Driver will check seal integrity, container number, seal number, container condition before leave the port If there is a problem, the driver will make a note In case the driver is careless and does not check, the driver the customs clearance procedures (at the regional customs), the operation staff of Hanotrans Company will prepare the following documents to exchange the Equipment Interchange Receipt (EIR) at the sends this EIR to transportation department of the company for them to get container in port and transport to Coolingpad Vietnam Joint Stock Company 's private warehouse Due to the complicated situation of the covid 19 pandemic, drivers when entering Hai Phong need to have a certificate of PCR test results that are negative for covid 19 The driver enters the port to find the location of the container and then contacts the warehouse manager and the forklift team to carry out the procedures to take the container out of the port Before leaving the port, the driver will have to check the condition of the container (the container needs to be intact, there is no sign of breaking or damage, the lead is still sealed ) and contact Coolingpad Vietnam Joint Stock Company to reconfirm the the withdrawal, based on the indication written on the container loan, the driver will return the empty container to the port or ICD following the address in container deposit paper Next, operation staff will bring the EIR, container deposit paper and receipt to the shipping agent to carry out procedures to receive the deposit of the previously closed container The warehouse staff at the port or ICD checks the container, if the container is not damaged, 100% of the deposit will be refunded; if the container is damaged, the repair and maintenance fee will be deducted from the deposit STEP 6: ACCOUNTING AND SAVING THE DOCUMENTS After completing the customs clearance procedures, finishing the delivery work, the operation staff sends all the invoices to hand over the documents to the documentation department The accounting department of Hanotrans Company makes a list of fees paid and advanced to customer (importer) • Local charges: - D/O fee: 850,000 vnd / shipment - Cleaning fee: 360,000 vnd / container 40’HC THC: USD 180 x 22,960 vnd = 4,132,800 vnd / container 40’HC CIC: USD 200 x 22,960 vnd = 4,592,000 vnd / container 40’HC Ocean freight: USD 650 x 22,960 vnd = 14,924,000 vnd • Port charges: - Lifting fee: 1,400,000 vnd /container 40' HC - Customs fees for warehouse supervision: 70,000 vnd / container - Fees for using seaport equipment: 500,000 vnd / container 40’HC • Service charges: - Customs declaration fee Shipping fee to pull the container to its own warehouse The documentation staff will be responsible for checking and arranging fully and carefully the documents into a complete set One set along with Debit Note will be returned to the customer, and one set will be put into storage at company At this point, the task of the forwarder has been provider, experience as well as go to the field, this has helped me understand more knowledge about the actual process that a logistics business performs and more deeply is about freight forwarding process of imported FCL shipment and customs declaration In addition, with the opportunity to work together in a real business environment, it has helped expand knowledge, form a sense of responsibility for the position, assigned work and increase the ability to work in groups, recognize, observe and learn corporate culture Through actual observation and assessment, here are some recommendations for businesses in general: Creating more opportunities and conditions for interns to easily access enterprises, departments and divisions, exploit specific and accurate information sources; and training an employee who specializes in leading and guiding interns in the most specific way, this not only benefits interns to access practical knowledge, but businesses can also have
