INTRODUCTION

In the context of the global economy, Vietnam is making the biggest effort to keep with other countries and become a great nation in the world Today, with the development of national industrialization and modernization, trade has played a key role in industry and bring major cultural and economic values to Vietnam Vietnam in trading is increasingly developing and plays a big role in the Vietnamese economy This has resulted in establishing and improving many companies in Vietnam Among the companies, MANTO DESIGN CO., LTD has contributed to the development of trading in Ha Noi and it is becoming a trusting trader of industrial POD design products

As an English-majored student of Hanoi Metropolitan University, I have an opportunity to study and work at Manto Design Company for my internship course This is a valuable opportunity for me to practice my English knowledge, communication skills, and soft skills from everybody in the company I myself think that the company is an ideal job that students can collect information and get valuable experience of work

FOREWORD

In the context that Vietnam joined and officially became a member of WTO, the market was expanded, businesses expanded their business activities to enhance their position domestically and internationally Into open policies and attract investment from abroad In addition, domestic enterprises also acquire technology, management skills, business management, marketing and branding abroad

However, in addition to the above development opportunities, businesses also face many challenges and difficulties Since joining trade organizations, the Vietnamese economy has revealed more internal weaknesses Enterprises face fierce and fierce competition! This requires businesses to formulate strategies and plans in a reasonable and effective manner

At the same time, businesses need to consolidate their business capabilities in many ways

This report aims to examine the business activities of Manto Design Co., Ltd analyzing

1.2 The process of formation, development and business characteristics of the Company

Manto Design Co., Ltd was granted business license No 0108804694 dated July 1st, 2019 by Hanoi Department of Planning and Investment on July 1st, 2019 in the field of Printing-related services such as T-shirt, mug, mask…

Starting in 2015 and being the first company in the field of POD t-shirt design in Vietnam Manto Design Company has been doing its business in both domestic and foreign markets The company has been ranked top 1 in Vietnam in the years 2018-2019 Currently the company

is at the forefront of management systems and DESIGNER optimizes the working process between customers and personnel

Manto Design Co., Ltd has 1 director, he joins most of the company’s activities: Train new

employees, sign contract, welcome trainees; 1 quality management staff, he often takes care the designs, adjust and modify designs before sending them to customers; 1 human resources staff, she researches recruitment strategies, hire employees, organizes team-building events, ;

14 designers, each of them has their own responsibility to send the design to the customer on time; team Marketing has 2 staff, these two employees have to find customers who are often called “seller” - they sell POD stuff on some websites such as Amazon, Taobao, Tmall, after that the staff of Company will have a strategy to take care and give customers which the company’s package would be suitable for them; then the Marketing Office shows the customer Company’s contract; after customers sign that contract, these staff have to take care them through the time that the contract takes effect Besides, Manto Design Company also has an idea creator team This team will help customers find out the trend in US and Euro, which customers really need to upsell their product

- Consulting, choosing the design that is appropriate for the operational requirements of the customer

- Consulting, designing: Draw design templates for customers on Photoshop software such as: Adobe Photoshop, Photo Pos Pro, …

- Provide designers: Each order will have its own designer and they will have a KPI (KPI will

be negotiated with the customer), so customers will not worry about work progress as well as product quality

- Each customer will have a separate seller working side-by-side with the customer who will work with the customer to develop ideas, choose the printing material, choose the right designer for the customer, urge the designer, and test the product of the designer before presenting, it to clients for approval

B THE ORGANIZATIONAL CHART OF THE COMPANY

❖ Director: a general manager, responsible for all production and business results of the company, decides on the management and production and business plan of the company according to the plan and the law policy

➢ Tasks: Responsible for establishing, maintaining and directing the implementation of a quality management system throughout the company Review and approve the work plans, rules, regulations in the company and sales and sales strategies drafted by subordinates Orientation to support departments

to perform and successfully complete the assigned tasks

❖ Management Quality Staff: Manage the quality of designs before sending them to customers, follow and test designers to evaluate designers’ level, and helps designers improve their skill

➢ Tasks: Double-check designs, send designs to the customer, transmit customer’s ideas to fix the sample, help designer fix design, analyze customer’s style to designers in order to make it easy to do, plan tests for designer

➢ Tasks: recruit, interview and place employees, handle employee relations, payroll, benefits and training, hold team-building events to improve employees’ enthusiasm

❖ Marketing Department: Responsible for analyzing, monitoring, planning and directing business activities, promoting services, finding and developing customers, conducting market research, making regular reports or irregularities Submit to the board of directors to work out an effective business direction, taking care of customers, promoting sales, creating ideas for customers if needed

+ Customer Service Department: Solve simple customer concerns, develop the FAQ, track customer behavior, collect customer feedback about the company’s product, retell customer’s ideas to designers

+ Designers: the very important people, they work on computers mostly, and create visual concepts

➢ Task: Understand customers’ style and ideas, design and create based on customers’ requirements, add more creative ideas, fix designs

1 Assigned task content:

- Working in the customer service department made me understand more about the

department's work: The Customer Service job is attracting potential customers by answering product and service questions; suggesting information about other products and services Process orders, prepare correspondences, and fulfill customer needs to ensure customer satisfaction

- Recommend potential products or services to management by collecting customer information and analyzing customer needs

- Contact with customers through email, Facebook page, …

- Collect information about new customers and their needs

- Resolve product or service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment; following up to ensure resolution

- Researching and finding potential clients

- Prepare product and service reports by collecting and analyzing customer information

- Summary of customer assessment reports after contact

- Handle complaints, provide appropriate solutions and alternatives within the time limits and follow up to ensure resolution

2 Skills, knowledge, attitudes are learned:

During the recent internship with the enthusiastic help of Mrs Nguyen Thi Anh Nguyet, the departments of Manto Design Co., LTD as well as my own efforts, I have completed well

the last internship and gained the knowledge about the customer service skill will need and how to handle the crisis when working with the forging customer:

- When working with a foreigner customer I use all most the skill that I learn from the collage

there need Patience, Adaptability, Work Under Pressure, Attention to Detail, … All thought uses

all that skill that I have learn but when it came to crisis the skill, I need the most is think fast and act quicky

Here is the step I had been doing when came to crisis:

- Always talk to seniors in the same company when there is an immediate crisis, ask them for advice on how to handle the situation

- Because the client is foreign, there will be a language barrier so step two I do is often write them

an email saying sorry when the crisis happens and come up with a solution

- Some time the step two will may not work so I have to contact them on the phone Following up after the initial phone call is critical to building trust with my clients It shows I care about them and their business that your call was not a one-off, token expression of concern Follow-up calls allow

me to stay abreast of important changes with your clients, gauge how their business is being affected, and continually offer different ways to help End each conversation by determining the next steps and scheduling the next call

- After the crisis I have learned some lessons during this crisis and the takeaways will help me tackle future challenges
