trade transactions plays a very important role in our country's economy today, especially the import - export trading The export and import companies, logistics services are born more and more to meet the needs of international integration Forwarding is one of the most important contents in the operation of the import-export contract process Therefore, freight forwarding has become an indispensable service business for every country in the world In order to seize upon the opportunity and exploit the potential of this field, PANDA GLOBAL LOGISTICS LIMITED COMPANY – HANOI BRANCH has been actively developing and becoming a reliable partner of all customers, all works The company has gradually asserted its position in the field of international freight forwarding Being recommended and allowed by English Department – Thuongmai University, I have experienced as an intern in company office of PANDA GLOBAL LOGISTICS LIMITED COMPANY – HANOI BRANCH After one month (from 03/09/2019 to 30/09/2019), under the helpful support and instruction of managers and colleges in the company, I was able to apply the knowledge obtained at university into practice, meanwhile collecting basic information and analyzing company’s business results to complete my internship report, including three parts: • Part 1: Overview of PANDA • Part 2: Introduction about internship process in PANDA • Part 3: Using English in business activities of PANDA I would like to express my gratitude towards teachers at English Department – Thuongmai University, as well as my managers and colleges in PANDA This study Director They are the executive of the company, considered leaders and play a vital role in business activities Their mission not only plan and general strategic direction but also give goals, development directions and strategies Moreover, they are also responsible for the profit, development and growth direction of the business Ensuring achieve the company's current and future goals as expected by the board of directors on sales growth, profitability, product quality, talent development and other activities  Manager Manager, who has a general responsibility for managing both company revenue and income A manager usually monitors almost all of the company's marketing and sales functions as well as the day-to-day operations of the business Typically, manager is responsible for planning, assigning, coordinating, staffing, organizing and making effective decisions to achieve the desired results for an organization  Accounting Department: Accounting department is responsible for regularly monitoring of financial activities in the company, gathering, analyzing and providing data to the board of directors It controls the cashing and purchasing, state budget contributions, checks prices and quality of imported goods From monthly statistical data, accounting department also controls the cost (consumption) of each department accurately  Human Resource Department Responsible for recruiting personnel for the company, pay salary holidays in the year, take care of administration activities in company In addition, it also ensures benefits for employees organizing events to keep closely relationship of departments  Sale Department Assists in the sale of products and services of the company, research and product development, market development; building and developing customer relationships  Purchasing Department: Most major companies and even some government organizations have a purchasing or procurement department as part of everyday operations These departments provide a service that is the backbone of many manufacturing, retail, military and other industrial organizations They have some functions such as: Procuring materials, evaluating price and policy compliance • Document Department: The Document Department plays a vital role in promoting the business and mission of an organization The department is responsible for preparing and handling import and export documents: contracts, bills of lading, invoices, delivery orders, arrival notices They prepare a set of customs declaration documents, apply for a certificate of origin, a certificate of quality, official documents, and a report to the related parties They also contact with customers, coordinate with the scene department to clear goods clearance procedures the company's market expansion has helped the business situation have many positive changes in 2017, the total cost increase as the company invested equipment for the office, and paid interest on some extra loans 1.3 Information about Sale Department The Sale Department is a part of the General Director, selling the Company’s products and services; product research and development, market development; Customer relationship development and development To be responsible to the General Director for such activities in the assigned tasks and power PANDA’s Sale Department plays important role to reach ultimate goals of company - Organize the direction, operation of the department and sales channels to manage the independent projects of employees - Learn, analyze market information, customer feedback and information about competitors - Training, support staff, management of all employees and business contacts to sign contracts, reach the target - Training, supervision and inspection of working staff Make a plan for the business activities of the room Search for potential customers, take care of customers Especially, Sale Department of PANDA builds and trains sale saff, operate with sale staff to ensure sales, advise the director of business plan Sales Department plays a central role to promote, advertise and sell products of BIFI PART 2: PART 2: INTRODUCTION ABOUT INTERNSHIP PROCESS IN PANDA 2.1 The task were performed in internship process Job description: With the help of the colleages in PANDA so I have learned a lot of knowledge and experiences During the internship process at PANDA, I was an intern at Sale Department This is an opportunity for me to experience the real working environment Specifically, I was responsible for following task: * Week 1: - Having appoitments to the head of Sale department, visiting around company and socializing with all colleages in the company - Learning about the information of PANDA and Sale Department Understand and comply with the rules and regulations of company - Cleaning tables and arranging documents - Observing, learning how to work of others colleages * Week 2: - Be managed and handled documents, contracts, corporate documents - Learned how to remember all projects of company - Translating some documents about international partners - Receiving fax - Compose documents, intenal administrative documents and send to customers * Week 3: - Translating reports of projects - Attending meeting of Sale Department - Report regularly on strategic situation to the head of Sale Department - Maintain records, documents, important documents * Week 4: - Typing documents of projects - Support foreign guests when coming to work with the company - Write review about PNA both English and Vietnamese Job requirement: - Being proficient in English skills - Having a great sense of responsibility, agility, good communication, carefulness - Having strong desire to develop values and willing to help others grow - Being a responsible, active and positive employee Benefit: - To be given experiences to access to the actual work - Having opportunity to work in the international and professional environment - To be trained carefully and gain a lot of experiences and skills 2.2 Difficulties and experienced lessons By completing all the assignments that I had been given, I had learned a lot of professional useful skills and lessons Within one month of internship, although trying my best to get the highest achievements as possible as I could, I still got some difficulties Besides, I had received useful experienced lessons for the future jobs: 2.2 Difficulties a) Lack of specialized vocabulary related technical equipment: One of the biggest difficulties in this internship was the lack of specialized vocabulary related technical equipment As the main and successful sector of the company is trading compressor, filter with its accessory, the company requires a lot of knowledge related this field The usage of these specialized words is frequently every department in the company, and it is even harder for me to use by English As a result, my assignments were getting more difficult Therefore, I had tried so hard, with the assistance of the manager and other staff I improved my specialized vocabulary It was probably the most difficult time for me in this internship b) Not having much translation and interpreting experience to not make mistakes In spite of having precise knowledge about translation and interpreting at university, I still got not much actual experience about these works Furthermore, it was hard for me to not make mistakes, especially in the first time I completed the assignments There were unpredictable situation that I could not solve with lack of experience and vocabulary Thanks to the internship course, I had more opportunities to practice and improve these skills through the course c) Not understanding deeply the operation of this company As my internship department was the Sale department, all my assignment just only focused on the business operations of the department Although there were still events and meetings of the whole company to connect different departments and to let them understand each other’s operations, but I was not enough for me deeply understand the operation in the short time of the internship I was not confident to talk with foreign guests when they ask me about it 2.3 The Experiences Over one month internship process in Sale Department at PANDA, I drawn a lot of experiences and skills related to the major: - It is the opportunity to use my English knowledge through communicating with colleages and translating many documents of projects I recognized that my English is improved so much, I learned a lot of vocabulary, information in projects - The internship course makes me feel more confident and patient - I learned how to write formally in writing English documents about projects - Furthermore, I was practiced in business department so I had the opportunity to improve English exchange with international partner PART 3: THE USAGE OF ENGLISH IN PANDA GLOBAL LOGISTICS LIMITED COMPANY – HANOI BRANCH 3.1 Current situation of the use of English in Panda Global Logistics Limited Company – Hanoi Branch English is a global language in present Between the hundreds of different languages, the world has chosen English as a means for people to communicate with each other Over recent years, Vietnam's economy has been integrating deeper and broader with the global economy, leading to the demand for high quality resources, not only be expert at knowledge but also proficient in foreign language and soft skills Nowadays, English has become an important part of every business It is the key to open the door to discovering, exploit new markets, seek for foreign investors and boost production scale As a limited company, as well as other company, PANDA has to work with partners and customers coming from many countries using different languages but English is the most used language in the company As known as is a logistics company, PANDA now mostly uses English when negotiating with foreign suppliers and promoting company’s image Therefore, most of company’s employees have been trained to negotiate, write e-mails, handle international contracts and communicate with customers in English Currently, about 50% of company’s staff can communicate in English fluently However, English proficiency of staff between departments is also different In particular, only the Sale Department has employees who are fluent in four language skills of English (listening, speaking, reading and writing); employees of another room just can read in comprehension and write, thus promoting services, customer development, seeking markets are restricted significantly The staff of Human & Resource Department and Accounting Department are weak in English while in this department, they must conduct the recruitment for the company This means that they can only recruit staff through degrees in English rather than direct interviews In general, the company has some gaps in equipping English for employees But there are some students who study at universities are in all of good English staff of company This hinders a lot when there is sudden work related to English Most engineers and office workers only can read English for technology and financial information but not really well in communication and writing business email and other types of international trade contracts This makes the company faced many difficulties in the negotiations or when establishing business contracts with foreign partners In daily transactions, English is also widely used at PANDA GLOBAL LOGISTICS LIMITED COMPANY – HANOI BRANCH and mainly deals with foreign customers These transactions are primarily related to exchange, payment and phone calls about logistics and forwarding Staff’s English proficiency of workers is very high In addition, English is also used frequently in business correspondence, emails between the company and foreign partners in all departments in PANDA 3.1.1 Advantages With current situation, using English brings several advantages: - For the company: English is a great advantage to expand markets and get more opportunities to cooperate with foreign partners Besides, it is also a big strength of any company to compete with others - For Sale Department: The staffs are able to create and able to understand more about their field, provide more effective business result for the company They have more opportunities to catch up with marketing trends in many countries in over the world - Other departments: Have more chances to get knowledge in international company and market 3.1.2 Disadvantages - Several staffs rarely use English, so it is difficult to solve tasks relating to English, especially foreign documents - In recruitment, apart from Sale, Document and Purchasing Department, the company has not given specific requirements about English level, therefore, the staffs’ English is not good - Working time and workload are quite heavy, so it is difficult to improve their English 3.2 Some solutions to improve the use of English in the working environment at Panda Global Logistics Limited Company – Hanoi Branch To be able to adapt to the current economic situation, employees of Panda Global Logistics Limited Company – Hanoi Branch need to improve their English skills Being aware of the current situation of using English at the company, mainly using English reading and writing, it is very necessary to improve the ability of the staff in listening and speaking skills Here are some solutions that can be applied to improve the current status: - First of all, for directors and executive members, it is possible to organize English presentation competitions aim to discuss about knowledge of products and services that the company businesses among employees every month This method not only can encourage the creation and motivation to work, expand product knowledge for employees, but also help to improve English speaking and speaking skills for employees This is not only a prize-winning competition but also an activity that connects employees with employees and with managers, that contributes to the final aim: development of the company In addition, the company can organize activities such as singing, speaking contests in English which will encourage employees to improve their English skills They are also recreational environment, healthy relaxation for all company staff The company should connect with some English training centers in Hanoi to build up some commercial English courses for staff from all departments The courses will focus on teaching English communication, negotiation, email writing, contract drafting in order to turn the language into an effective tool for the business Listening and speaking skills are also heavily focused as these are the most important skills for the success of company’s business There are employees who are already good at basic English so they will be arranged to work in pairs with specialists to gain experiences and communicate with foreign customers Increasing criteria of recruitment for English proficiency is also essential Particularly, the company only recruits the people with TOEIC 700 or IELTS 6.0 or higher instead of TOEIC 450 and regularly tests English of staff to assess the qualifications of the staff and provide timely solutions - For each employee: Each employee needs to raise awareness of practicing and improving his/her English ability so as not to fall behind on society One way to promote the use of English in the work is to target customers from mainly Vietnamese to foreign customers; look for and cooperate with new foreign partners Being active in everyday communication is also an effective way to improve your listening and speaking skills Improve and enhance the use of English in business is a necessary step, as a prerequisite for the development of companies in the current integration economy PART 4: PROPOSAL OF GRADUATION THESIS THEME A study on improving communication skills of PANDA GLOBAL LOGISTICS LIMITED COMPANY – HANOI BRANCH company’s employees Difficulties in translating when you study English CONCLUSION Though five years of operation and development, Panda Global Logistics Limited Company – Hanoi Branch has been achieving goals in term of trading in industry With large scale in both domestic and abroad market, the company has developed year by year and gradually asserted its position on the global market In addition, its business is increasingly specialized to bring high efficiency and customers’ satisfaction During one month doing the internship in Sale Department at the company, I was aware of the important role of English in the areas of business Besides, I have gained opportunity to apply the knowledge obtained at university into reality and learn more about styles, attitudes, methods of working, communication in business environment, generating valuable experiences that helps me give out the clear direction for my future career Through my experiences obtained during the one-month internship and my knowledge background, I conducted this report in order to figure out some existing problems at the company I hope that it would contribute to the unit’s development in the upcoming time and wish the company more and more prosperous well in the
