Design a professional schedule to support the planning of an event (M1)
Out project and schedules have been planed and everything has been arranged perfectly We talked with many people to make sure that our event takes place effectively
We talked with the hotel’s manager to make sure that our room where the event will be held will be available and all chairs or stage will be set completely
We emailed and talked with the speakers to make sure that they can come that day and have a good mood to present
We emailed and did the marketing to all audiences to make sure that they can come and they are interested in the event
We talked with the sound and audio department to make sure that the sound will be listened clearly and not too small
If there will be a problem that happens beyond what we expected or calculated such as the sound, the room, or the speakers We will fix them by the following methods
If the room is not available, we prepared a backup room that is on floor 7 and paid 50 million for it
If the sound is not good enough, we prepared some speakers called “Loa Keo Keo” in
Vietnamese, they are really good to listen and cheap as well
If the speakers who are invited do not come, we will go on the stage and beome speakers to give a speech
And lastly, the event has been planed so that the schedule will never change, problems about sound or speakers, we all get the backup plan Our team is really good at organizing an event
DEMONSTRATE THE USE OF DIFFERENT PROBLEM-SOLVING TECHNIQUES IN THE DESIGN AND DELIVERY OF AN
Definition and the importance of problem solving
The method of fixing problems of all kinds is known as problem-solving In certain steps, this procedure is used These procedures begin with locating the issue and figuring out what caused it The next stage is to choose potential solutions and put them into practice after the issue and its cause have been discovered All of these steps are collectively known as a problem-solving process 1.2 The importance of problem solving
Strategy prioritization, planning, and execution
Efficient problem-solvers can carefully assess customer requirements and put together a plan that helps them provide a brilliant service to their intended audience Their forte lies in streamlining processes by removing bottlenecks
Out-of-the-box thinking
Problem-solving and creative thinking go hand-in-hand It is not a matter of putting a bandaid over an issue but finding a way to fix it dynamically and creatively This attitude helps the business stay ahead of the curve and improves the workforce's capability over time
When a problem arises, it needs to be fixed at the earliest Employees with excellent problem-solving skills are laser-focused on what is vital to the business and can roll with the punches and tight deadlines to deliver when it matters
Planning effectively is an essential problem-solving skill to have Problem-solvers can react quickly to short-term situations without losing sight of the future Their positive attitude towards learning agility helps them anticipate problems that may arise in the future based on past experiences, industry trends and patterns, and current events.
Some techniques and tools for the problem solving
Heuristics are quick fixes that people can employ to address a current issue You can reduce complicated issues using these "rule of thumb" techniques, which narrow the field of potential answers to a more doable set
For instance, if you are stuck in chaos, you may rapidly consider alternate routes and take one to move forward once more When looking for a new vehicle, you might remember a time when haggling resulted in a reduced price and use those strategies
While heuristics may be helpful when facing smaller issues, major decisions shouldn't necessarily be made using a shortcut approach Heuristics also doesn't guarantee an effective solution, such as when trying to drive around a traffic jam only to find yourself on an equally crowded route
When solving problems, the trial-and-error method entails attempting a variety of possible solutions before eliminating those that don't work You can try on both shirts if you're not sure whether to buy one in blue or green, for example, before making your decision
If you only have a few options, this may be a wise course of action to take However, if there are numerous options accessible, it can be useful to reduce the potential options using another problem- solving strategy before trying trial and error
Figure 14 Trial and Error illustration
In some cases, the solution to a problem can appear as a sudden insight You are facing an issue in a relationship or your career when, out of nowhere, the solution appears in your mind and you know exactly what to do
Insight can occur when the problem in front of you is similar to an issue that you've dealt with in the past Although, you may not recognize what is occurring since the underlying mental processes that lead to insight often happen outside of conscious awareness
SWOT stands for Strengths, Weaknesses, Opportunities, and Threats, and so a SWOT analysis is a technique for assessing these four aspects of your business
SWOT Analysis is a tool that can help you to analyze what your company does best now, and to devise a successful strategy for the future SWOT can also uncover areas of the business that are holding you back, or that your competitors could exploit if you don't protect yourself
A SWOT analysis examines both internal and external factors – that is, what's going on inside and outside your organization So some of these factors will be within your control and some will not In either case, the wisest action you can take in response will become clearer once you've discovered, recorded and analyzed as many factors as you can
Strengths are things that your organization does particularly well, or in a way that distinguishes you from your competitors Think about the advantages your organization has over other organizations These might be the motivation of your staff, access to certain materials, or a strong set of manufacturing processes
Weaknesses, like strengths, are inherent features of your organization, so focus on your people, resources, systems, and procedures Think about what you could improve, and the sorts of practices you should avoid
Opportunities are openings or chances for something positive to happen, but you'll need to claim them for yourself!
Threats include anything that can negatively affect your business from the outside, such as supply-chain problems, shifts in market requirements, or a shortage of recruits It's vital to anticipate threats and to take action against them before you become a victim of them and your growth stalls
An affinity diagram is a collection of large amounts of data that is organized into groups or themes based on their relationships The affinity diagram process is great when you want to make sense of insights gathered during research, as well as when you want to organize ideas generated during ideation sessions
Five whys (5 whys) is a problem-solving method that explores the underlying cause-and-effect of particular problems
The primary goal is to determine the root cause of a defect or a problem by successively asking the question “Why?” The number ‘5’ here comes from the anecdotal observation that five iterations of asking why is usually sufficient enough to reveal the root cause
In some cases, it may take more or fewer whys, depending on the depth of the root cause
The Benefits of Five Whys
Helps identify the root cause of a problem
Understand how one process can cause a chain of problems
Determine the relationship between different root causes
Highly effective without complicated evaluation techniques
Problems and solutions in the training event

To prevent natural disasters that may occur in the city, we have prepared generators for the event If the weather is too bad, the event will be rescheduled to another day.
The use of different problem-solving techniques used in the design and delivery of an event (M2)
A brainstorming session is one of the most effective ways to learn the art of problem solving The gist of it is to generate as many ideas as you can and in the problem solving process, come up with a way to solve a problem Of course, the prerequisite for any brainstorming session is a nonjudgmental, friendly environment
If you want to brainstorm like a pro, you need to take the following steps:
1 HMW or How Might We: Start the session with a question such as “How might we…?” to inspire creativity among your team The question should be open enough to inspire and foster creativity However, it should also be focused and narrow enough to keep your session participants focused on the problem at hand
2 Write down everything: Every member of your brainstorming session should write down all of their ideas, either on a board or on sticky notes Once you have all of your ideas, put them down on a common board If you are unable to generate sufficient ideas, repeat the session with the same question to master the art of problem solving
3 Discuss your ideas: To discuss each of the ideas you and your team came up with, use phrases like “I like…”, “I wish…”, “What if…”, and others
4 Select the best ideas: Now that you have all of your ideas in one place, it’s time to find the best one For example, you could let the participants vote using sticky notes You can also create buckets for ideas, such as “Rational choice”, “The best solution for everyone”, and others Using this approach, you’ll be able to save some ideas that at first seem crazy but actually make a lot of sense in the long run
5 Figure out the problem-solving process: At this stage, you have your best brainstorming ideas This is the time to choose the best ones and come up with a plan on how to bring them to life The Round-Robin technique for brainstorming
If traditional brainstorming just doesn’t work for you, there are other things you can try If your team members sit and listen and hope that someone else will fix things for them, you need to try out the Round-Robin problem-solving method
Round-Robin Brainstorming is very straightforward:
1 Gather your team together around a table Give each person index cards so that they can record their ideas on individual pieces of card
2 Acting as facilitator, explain the problem that you want to solve Be specific about the objectives of the brainstorming session Answer questions, but discourage discussion The goal in this step is to allow individual people to think creatively without any influence from others
3 Have each team member, in silence, think of one idea and write it down on an index card
4 Once everyone has written down an idea, have each person pass their idea to the person next to them Everyone should now be holding a new card with their neighbor's idea written down on it
5 Have each person use their neighbor's idea as inspiration to create another idea Then ask each person to hand in their neighbor's card, and pass their new idea to the person next to them to repeat step 4
6 Continue this circular idea swap for as long as is necessary to gather a good amount of ideas When the time is up, gather up all the ideas You can now collate them, eliminate any duplicates and discuss them further as required
Figure 16 Round Robin technique illustration
The wanderer problem-solving technique
When I write articles such as this one, I have one way to make them better Once they’re done, I let them sit for a day without taking a look at them When I get back to the article, I take a look at it with a fresh set of eyes
You can use the same approach with your problems Take a step back and walk away from it Get some rest, walk outside for a bit, watch some cat videos on YouTube In other words, remove yourself from the situation You just may find the answer to your problem the moment your brain relaxes
Figure 17 Wander problem-solving illustration
DEMONSTRATE THAT CRITICAL REASONING HAS BEEN APPLIED TO A GIVEN SOLUTION (P4)
Definition and the importance of critical reasoning
Critical thinking is the ability to think clearly and rationally, understanding the logical connection between ideas Critical thinking has been the subject of much debate and thought since the time of early Greek philosophers such as Plato and Socrates and has continued to be a subject of discussion into the modern age, for example the ability to recognise fake news
Someone with critical thinking skills can:
Understand the links between ideas
Determine the importance and relevance of arguments and ideas
Recognise, build and appraise arguments
Identify inconsistencies and errors in reasoning
Approach problems in a consistent and systematic way
Reflect on the justification of their own assumptions, beliefs and values
1.2 The importance of critical reasoning
Without critical thinking, how can we really live a meaningful life? We need this skill to self-reflect and justify our ways of life and opinions Critical thinking provides us with the tools to evaluate ourselves in the way that we need to
Critical thinking is a domain-general thinking skill What does this mean? It means that no matter what path or profession you pursue, these skills will always be relevant and will always be beneficial to your success They are not specific to any field
Our future depends on technology, information, and innovation Critical thinking is needed for our fast-growing economies, to solve problems as quickly and as effectively as possible
In order to best express ourselves, we need to know how to think clearly and systematically — meaning practice critical thinking! Critical thinking also means knowing how to break down texts, and in turn, improve our ability to comprehend
By practising critical thinking, we are allowing ourselves not only to solve problems but also to come up with new and creative ideas to do so Critical thinking allows us to analyze these ideas and adjust them accordingly.
Apply to a given solution
2.1 Problem occurred when finding solution for setting the introductory time at the first of this event
Our team knows that there is an introductory part that introduced by MC Tran Thanh The total time for this part is 35 minutes from 8:25 to 8:59 If there is a problem that happens when this part is taking place, Tran Thanh will be worn an earphone so that if he introduces more than 35 minutes, our team will tell him know, so he can stop it on time
2.2 Problem occurred when finding solution for setting the “Thank You” party in the end of this training evnet
At the end of the event, there is a part that is used to sumarize and express gratitude If MC Thien An forget to say thank you to any guests such as a specific speaker or sponsor We know that so we write all names of them on a paper so that she can read it if she forgets but we tell her to learn by heart all the names and use it only when she forgets
Justify the use and application of a range of solution methodologies (M3)
When we talk about the event or when we discuss it, there are so many conflicts that each member does not agree with others and we know that if we continue to argue like this, the event will not take place in a perfect way so that thanks to this assignment and what we researched many ways of organizing, thinking,…
During the time we research all methods, we realized that the affinity diagram works for us, we divide many topics by their qualities and divide in more detail; therefore, we share ideas and then sit together to find the last ones, every member will have differnet position and different responsibilities, so that each just needs to make sure his part, if other members need supports, we are willing to help each other and make the diagram more clearly.

Time management: Prioritizing tasks and managing time effectively ensures that deadlines are met and the event runs smoothly
Empathy: Displaying empathy towards team members and attendees creates a positive environment and fosters good relationships.
Effectiveness of different interpersonal skills
During the event happens, I have used many interpersonal skills that I mentioned above I realized that different interpersonal skills can be effective in different situations and with different people However, some commonly effective interpersonal skills I used include active listening, empathy, assertiveness, and body language The effectiveness of these skills will also depend on the context in which they are used and the individual's ability to apply them appropriately.
CRITIQUE THE PROCESS OF APPLYING CRITICAL REASONING TO A GIVEN TASK/ ACTIVITY OR EVENT (D2)
During the time from starting making the plan to end of the event Our team has been done everything in a best way and I contributed efforts to the success of the event Therefore, during that time, I has realized that before doing something I should use critical thinking which improves my quality of thinking Before making any decisions, I will research every information on google or read relevant documents to get enough knowledge for the question so that my decision will be perfect as much as possible
Critical thinking requires me to analyze different aspects, synthesise, and most importantly evaluate whatever information is gathered, keenly observing all factors, and experiencing the overall view
When I carry out the event, I have used many websites, documents, and articles to have a overall view about what I am doing, and that is also a kind of critical thinking I think after this event finished,
I learn so many new things about the subject and gain a deeper understanding of critical thinking and its aspects Hope that in the future I can have many chances to do other events in order to increase this skill Lastly, sources that I used I will cite them below
