Nowadays, the trend of globalization and international integration is popular in theprocess of world economic development, which creates more opportunities forbusiness in particular and countries in general Import and export are considered akey economic sector of a country, a measure of the development of the nationaleconomy Taken that opportunity, Song Lam Export & Import company limited wasset up to create an environment for the young generation to work with bothdomestic and international partners Over 4 years of establishment anddevelopment, Song Lam company has continuously made efforts and achievedmany achievements in the field of import and export materials

With the permission of the English Department, Thuong Mai University and theManagement Board of Song Lam Export & Import company limited, I had theopportunity to learn and research more about the company Through the internshipprocess with the enthusiastic guidance of the teacher and the staff in the company,

I have accumulated experience/ information and summarized this internship report.The report consists of four parts:

The company was established by Mr Nguyen Duc Hung, officially operating onAugust 15 , 2017, SONGLAM EXIM is a limited company Through the initialth

time of building the organizational structure system with many initial difficulties,put into operation from 2017 until now, the company has continued to stabilize anddevelop The company has its own quarries and many workers together with 1factory and several workshops in Nghe An and Thanh Hoa province With modernproduction methods, professionally skilled staffs, and ability to follow anycustomer’s packing, loading, disinfecting standards, good relationship with manyshipping companies, SONGLAM EXIM always supplies customers with goodquality products, competitive price, good service and on-time delivery

Almost all materials used in the company are from China, India, Korea, andRussia as well The potential market for exporting is America, Canada, Ireland,Slovakia, Iraq, UAE, Oman, Thai Lan, China, and Australia

SONGLAM EXIM is a small enterprise with a simple structure It is dividedinto four main departments Each department has its function, but it has tight andstrong relationships which contribute to the development of the company

SONGLAM EXIM has built a team of qualified members in the field of importand export who graduated from famous universities and colleges such as: ThuongMai University, Foreign Trade University, etc

Chart 1.1 The Company’ structure

The specific function of each department:

- Director: Mr Nguyen Duc Hung is the director of SONGLAM EXIM He takes

charge of important missions such as: making decisions on all matters related to thecompany's operations, coordinating, and overseeing the work activities of others sothat their activities are completed efficiently and effectively

- Sales Department: Gathering market information to identify market needs, target

markets, new markets, and brand positioning Looking for Sales opportunities withthe existing and new customers to sell products Moreover, the department takesresponsibility for media management, event organization and building advertisingcampaigns with aims to create a good image of the company in the eyes ofcustomers

- Purchasing department is accountable for sourcing and placing orders according

to customer requirements The department also includes negotiating, selecting andmanaging suppliers Besides, it is responsible for the management, tracking andreporting related to purchasing activities

- Accounting Department: Making plans for the annual financial revenue and

expenditure of the company, proposing to the Director as a basis forimplementation The finance department is also responsible for the management ofthe organization’s cash flow and ensuring there are enough funds available to meet

the day-to-day payments, both in and out Moreover, the department advises theleadership of the

unit to direct and perform the inspection and supervision of the management andcompliance with the financial and accounting regime, etc.

Technical department: Inspecting, determining the volume, quality, specification

of materials, labour consumption based on approved technical and economicalnorms Besides, it is accountable for developing construction plans, safety andsanitation plans for important projects In addition, coordinating with SalesDepartment to prepare document to apply for contract

year It shows that the business efficiency of the company is graduallyimproving and

increasing, seeing the work efficiency Gross profit in 2020 increased compared to

2019, corresponding to 775.027.515 It can be proved that the product sold is morethan the previous year Overall, the company's business performance is quiteimpressive, but with the expectation that investing in the sales system will help thecompany gain more competitive advantages and gain more business benefits.Although the impact of the COVID-19 pandemic, the company's revenue still grew.Because SONGLAM EXIM has properly strategy, maintain good relationship withpartners and the import and export transactions to each country are at a stable level

1.2 General introduction about Purchasing Department

Purchasing is the process of buying or acquiring goods and services to makesupply chain management more efficient Goods, materials, and equipment procured

in this process play a key role in improving the quality of products, servicesproduced by the organization Ultimately, the purchasing process impacts theproduct quality and helps in optimizing costs in the value chain

Purchasing departments are at the center of successful supply chainmanagement, particularly in import and export company The purchasingdepartment is to procure all necessary materials needed for the production or dailyoperation of the company For example, raw materials such as iron, steel pipe,tablet salt, sulfur,etc

A purchasing department also maintains the company’s financial health Thisdepartment must secure materials, supplies, equipment, and services at the lowestpossible cost, consistent with prevailing economic conditions while establishing andmaintaining a reputation for fairness and integrity In addition, purchasingdepartment obtains the greatest possible revenue from the disposal of by-productsand surplus, damaged, scrap, or obsolete materials and equipment

The duties and responsibilities of a purchasing officer far extend beyondprocuring office furniture and supplies Today’s procurement staff must alsounderstand complex network technology equipment, international travel needs,acquisition of workspaces, and more

The purchasing department follows common tasks:

- Estimating and establishing cost parameters and budgets for purchases

- Maintain accurate records of purchases and pricing
