English is indicated as one of the eight languages used the most in the world in the coming years TS Interseasts Vietnam Co., Ltd (TSISVN) is one of the Thai Summit Group’s subsidiaries which is the leading automotive parts manufacturer in Asia Currently, TSISVN has supplied products to the famous car and motorbike manufacturers in Vietnam such as Yamaha, Toyota, Vinfasst, Honda, etc Therefore, Currently, TSISVN has supplied products to the famous car and motorbike manufacturers in Vietnam such as Yamaha, Toyota, Vinfasst, Honda, etc The company’s current workforce is 217 with an average age Resources Department at TSISVN Co., Ltd Source: TSISVN Training Report 2022 Human Resources Department plays an important part in maintaining and developing human management in the organization in a structured and thorough manner Currently, there are employees working in the Human Resources Department at TSISVN The organizational structure of the department is divided into levels, including the management level (HR manager and supervisor) and the staff level (administrative staff, HR staff, and IT staff) In terms of the management level, the HR manager takes on managing all employees in the company, suggesting changes in policies and procedures based on employee and company needs, supervising all HR activities, communications, reports and documents created and received by the department, and creating salary structures and administering employee benefits The HR supervisor takes responsibility for assisting the manager with staff requirements, performing various administrative tasks and correctly processing paperwork, making visas, passports, etc for foreigners working in the company, and arranging training sessions with all new hires In terms of the staff level, the administrative staff is responsible for compensation and benefits for departments and announcing the number of meals to the kitchen 11 representatives The human resources staff is in charge of conducting interviews, recruiting new staff, making labor contracts, and recording related labor documents The IT staff is concerned with setting up, managing and troubleshooting the technology systems at the company, repairing technology equipment, updating software, tracking the data, and assisting the Accounting department in printing and technical issues 1.2.2 Specific functions and tasks of the Human Resources Department 1.2.2.1 Specific functions of the Human Resources Department According to the provided materials as well as my observation during the internship process, Human Resources is the most important department of the company with the following functions: - Establish a recruitment strategy to contract, recruit and hire highly qualified and effective employees for the organization; coordinate with other departments for human resources management, training, and retraining - Develop regulations on wage and bonus policies, incentives, and fully implement regimes towards employees; research, draft, and approve regulations in the company - Make recommendations for the Board of Directors to solve the problems related to human resources and administration; act as the bridge between the Board of Directors and employees - Manage the guards and property of the company; ensure security and order, labor safety, and fire prevention and protection at the workplace 1.2.2.2 Tasks of the Human Resources Department As an information channel between the Board of Directors and employees, Human Resources Department takes lots of essential responsibilities as below: - Create an annual strategic recruitment plan as required by departments and the company - Create a hiring process and recruitment calendar; organize recruitment according to the approved decision 12 - Sign probationary and official contracts for employees; manage all employees’ records in the company - Implement recruitment, personnel mobilization, and monitoring the number and the change of employees - Evaluate and analyze the quality and quantity of employees periodically or irregularly at the request of the Board of Directors - Be an information channel between the Board of Directors and employees - Directly organize training for new employees about the company’s history and regulations; coordinate with other departments to plan and implement training - Build a professional development plan, promotion and renewal policies for employees - Build out a budget for employees - Resolve disciplinary issues and complaints of employees; protect the legitimate interests of the company and employees - Monitor, supervise, and check the management of company assets of the departments - Research the legal regulations related to the company’s activities to ensure the activities are always in line with the law 13 PART 2: THE INTERNSHIP PROCESS AT TS INTERSEATS VIETNAM CO., LTD 2.1 The duties carried out in the internship process I had an opportunity to work in the Human Resources Department during my fourweek internship (from January 2, 2023) I always encouraged myself to try to adapt quickly to the job as soon as possible in order to be familiar with and gain practical knowledge due to the limited internship time I worked full-time from Monday to Saturday under the schedule of the company: In the morning: from 8.00 a.m to 12.00 a.m In the afternoon: from 1.00 p.m to 5.00 p.m The first task I had to when I came into the Human Resources Department at TSISVN was finding out information about the company by reading some regulations and common necessary materials related to the department After that, I was given a task by the supervisor of the Human Resources Department to collect information on the department, including its mission, function, members, and how important the department is to the company before writing a report of the information I had collected and sending it to my supervisor The following are some of the duties I completed from the 2nd week onwards Translating and interpreting I had a chance to practice translating by supporting the supervisor to make types of contracts I was in charge of translating Vietnamese tenancy contracts, labor contracts, supplier contracts, other documents as assigned such as memo, decision of the investor, and SAP software report to English version to propose the Deputy General Director for approving I comprehended specific terms related to renting, labor law, and other production terms in motorbike industry Additionally, I also had an opportunity to support the Board of Directors as an English interpreter in a meeting with the supplier I was assigned to assist the purchasing manager to exchange information on items, volume, price, shipping method, payment, and other terms with a South African supplier It was really a 14
