whole company to achieve the set strategic objectives Sales department: The main function of the sales department in general and sales staff in particular is to find customers, access social networking sites to find businesses that have import-export needs, contact and get information news from customers Sales Support Department : The sales support department is responsible for making quotations about freight for customers after having customer information from the sales department After completing the quotation, proceed to contact the customer, taking care of customers in the It plays an important role in a logistic enterprise such as Lacco Specifically, the role of the human resources department is recruiting, training and developing human resources to ensure the business's operation is always continuous and effective At the same time, this department is also in charge of taking care of the lives of all employees in the company Moever, it also represents the company to handle disputes occurring at the office, manage the welfare and remuneration regimes for the staff in the company In general, the human resources department has the role of managing all issues related to the construction, management and development of quality and sustainable human resources to ensure the growing business ● Planning and implementing recruitment activities ● Posting recruitment information ● Screening CVs and maintaining candidate files ● Making interview schedule for candidates ● Conduct pre-qualification of candidates in person or by phone ● Check the candidate's ability assessment ● Building a network of potential candidates to serve recruitment needs ● Doing timekeeping, tardy, absenteeism, etc; ● Build salary table according to job position and capacity; ● Handling disputes arising in labor relations; ● Management of labor contracts and employee's information CHAPTER 2: INTRODUCTION ABOUT INTERNSHIP PROCESS 2.1 Internship activities At first, I felt quite nervous because the HR department is a completely new environment specializing in logistics and I have no experience working in such a large company After going through the internship, I believe that this is a great and dynamic condition to help me develop myself Since this is a company with a professional and dynamic working environment, I can interact and learn from experienced seniors In addition, almost all departments must know English to ensure convenience in the process of communication and exchange of work within the company so I can not only develop my English ability but also the necessary skills for HR staff Moreover, I comprehend that the basic knowledge and soft skills which are cultivated at Thuongmai University are valuable and beneficial for my current and future ideal job During my internship in the sales department, I was guided by Ms Anh, who has many years of experience working She guided me throughout my 4-week internship and gave me the opportunity to some of the paperwork related areas I was assigned the following tasks: ● Write and post job postings on recruitment channels After receiving the request from the other departments, the HR department will consult with those departments to discuss the recruitment requirements and some information about the position that is to be filled Specifically, I was assigned the task of writing and posting for the position of export document officer for the documentation department During the writing process, Ms.Anh will monitor and check errors in the article After that, I was guided and posted on recruitment channels such as ybox, vieclam24, Career Builder and so on ● Receipt and select of applications Following the posting of job postings, candidates will contact the employer in order to tell more about the job and the company such as salary, benefits, and so on And I will respond to their questions via email or other social networking After receiving the candidates’ CVs, I continue to screen them to find the most qualified 10 candidates This task is quite difficult for me, so the company’s staff gives me a lot of advice ● Conduct basic interviews with candidates over the phone After selecting candidate profiles, I joined together and called to schedule an interview for the selected candidates This round of interviews will help redefine the information in the candidate’s resume and serve as a way to further eliminate unsatisfactory candidates In addition, I was also tasked with writing thank-you letters and responding to candidate emails Internship process Time Internship process Week On the first day, I started to get acquainted with the manager of the department as well as other staff in the organization I was introduced to my supervisor, Ms Le Duong Anh, who has had 5- years experience in HR.she introduces the company’s organizational structure, responsibilities of the HR department, and company regulations such as clothes, cultural company and so on Besides, she talked about what interns need to and what goals to achieve during my internship First, I was tasked with calling the candidates and inviting them to the office for a face-to-face interview This is the simplest and easiest job for interns to become familiar with the job of a recruiter In the next few days, with the guidance of Ms Anh, I joined to prepare for the upcoming recruitment round with the HR department We plan together the recruitment time, the requirements that are set for the candidate, the main content in the recruitment notice Week By the second week, I continued to the work that was assigned the previous week Besides, the trainees will be grouped with their 11 own leaders And my leader is Mr Vu Huy Tuan who taught me as well as interns how to write job postings and post them in recruitment channels My leader helped me correct my mistakes and gave me a lot of useful tips when doing this task Next, I was instructed by Mr Tuan to write an email to answer the candidate In addition, I was also exposed to some software such as HRM, Zoho people Those software aid in accelerating and improving the hiring process Additionally, this software also assists the organization in maintaining information about both prospects and staff Week I continue to my work as I did last week I was assigned the task of writing job vacancies for the position of document officer Thanks to the Zoho people, my job postings are automatically posted to pre-installed websites I also received CVs of candidates and conducted CV screening to find suitable candidates for face-toface interviews at the company and submit the results for leadership approval Week This week, I participated in some interviews to learn and gain more experience from the seniors.I also took part in activities such as timekeeping, paying salaries for employees, informing departments about the company’s new plans in the coming month In the end, Our team held a meeting to review the previous month’s activities and to evaluate team members Furthermore, the leader provided comments and advice that will assist trainees in improving their recruiter skills 2.2 Difficulties and lessons during the internship time 12 2.2.1 Difficulties during internship time Because my English listening and speaking skills are not good, I had difficulty interviewing candidates via the phone At first, I was quite confused and scared during the interview, sometimes because I was so nervous that I stuttered This makes me feel shy when I have to take on the task of interviewing candidates Moreover, as an HR officer, I still faced many difficulties in adapting to a completely new environment The biggest challenge is that there are too many specialized words and terms related to the logistics industry When I write a job posting, or interview a candidate over the phone, it is imperative that I understand the duties and requirements of that job For example, when recruiting a document officer, I need to understand the sets of documents, customs declaration invoices, C/0, bill, and so on The third hurdle is my excel skills are still insufficient, so it took me a long time to learn while other interns excelled When I learned how to use Zoho people software because it was quite complex, so when using it I made some mistakes and lost information of candidates Furthermore, because I had no prior experience with this job, I had a difficult time learning new skills and fell behind the other trainees The next barrier is a fear of asking questions When I saw my colleagues and instructors were preoccupied with their own work, I was too shy to ask for their assistance and didn’t want to bother them One of the internship challenges that could actually hinder my internship time in the first two days was communication issues Fortunately, when they saw that I was having problems at work, they took the initiative to help me 2.2.2 Lessons I think that the internship is regarded as the first step in my career development because it helps me gain more practical knowledge and experience that I would not have obtained at university During my four week internship at lacco company, the most valuable thing I got was that my communication skills and English level improved significantly Instead of being self-conscious when I have to speak English in front of a crowd first, I can speak fluently and conduct interviews with candidates under the 13 supervision of the staff in HR now I’ve gained a large amount of English vocabulary related to HR as well as some critical skills such as processing English Cvs, writing English reply emails, and job postings The next is proactivity and confidence lessons I believe that these are the most important aspects of learning new things Because I’m rather shy, I rarely ask my leader about tasks I not know how to I was always concerned about being annoying or bothersome to my instructor and colleagues However, during the internship, my colleagues as well as the leader helped me to be more confident and comfortable This helps me confidently give personal ideas as well as learn new knowledge I also work on improving my computer science skills In particular, before, my excel skills were not good, but after these weeks, my office computer skills have improved a lot Finally, the internship is a fantastic opportunity for me to meet new people I've met and made many new friends and colleagues because our department has to collaborate with many other departments in order to understand the requirements and recruitment needs The expansion of relationships helps me become more dynamic, more confident in communication and working It can help me later in my work and life 14
