Oversea Dep’t Oversea Dep’t has following duties: - Seeking a file of potential customers via WCA web - Consulting shipping services which is suitable for each agency - Updating the best rate for agency - Negotiate shipping contracts, quality of service, ship schedules, negotiable the lowest price - Track service providers' debts, payment schedule to make payment recommendations, cross-compare with accountants of supplier liabilities at the end of each month - Receive booking information from departments in the company, prepare seats, track of until the goods are on board - Combine other rooms to solve problems if there is no room, please add free time, or closing time - Always looking for a partner with 2-way supply to boost sales for the whole room - Take care of designated customers - Track commissions paid to shipping lines - Schedule goods sample to be delivered After internship, thanks to the friendly company and staff, I was able to broaden my mind and expand my the company's revenue is stable over the years However, in 2020 the company's revenue has declined The reason is the effects of the covid-19 pandemic It affects all sectors such as tourism, socio-economic and especially airline import and export This is the main reason leading to the decline in ACT Logistics' revenue in 2020 11 PART 2: INTERNSHIP PROCESS IN ACT MULTINATIONAL TRANSPORTATION LOGISTICS COMPANY LIMITED 2.1 Detail information about internship process Throughout the course of my four-week internship (from 28 th December 2020), I was given the opportunity to tasks in the position of Oversea Department Since the internship period lasts only four weeks, adjustments must be made very quickly By the end of weeks I was ready to take over the planning and majority of the salesperson During the internship, I work full-time from Monday to Saturday with timeline: - Morning: From 8:00 a.m to 12:00 a.m - Afternoon: From 13:30 p.m to 17:30 p.m No Time Main Activities - Contacting with the company, start participating in the internship at ACT Multinational Logistics Co., Ltd - Working with the supervisor in setting up a schedule of activities for the entire internship process Week From December 28th to January 2nd Learning company rules, know about departments, functions of each department, business lines, agents of the company - Assigned to work in Oversea Department at the Company and work as an office worker - Familiarizing myself with the office, my duties and responsibilities and the people within our office - Spending at least twenty hours on multi-level observation Week From January 4th to - Carrying out all assigned tasks 9th - Submitting daily working plans to supervisor for feedback and suggestions during the minimum of Week weeks of full-time working From January 11 to - Finding potential customers th 16th consultancy work about services 12 and doing - Make a list of potential customers - Introducing services to new customers by email - Participating in Oversea Department’s weekly meeting - Continuing assignment - Taking part in internal training sessions about Week From January 18th to business skills once a lucky when I have opportunity to take part in the Year End Party of company The Year End Party is a corporate gala and held when a fiscal year ends for a number of reasons, such as to summarize the old year, outlining the direction for the next year But for me, the Year End Party is a party of "emotion" when participating for the first time After all, it is the warmth and love of the coworkers the internship, it was confused with the punctual, rigorous working environment, regulations and newly assigned jobs Although knowledge is almost fully equipped in university, however, when I come to the real work, I still feel confused and nervous because I need to get used to a range of new methods that I have never known before The working environment is not the same as what I thought before as well what I learned in University At work, a professional factor is needed for an employee but that was what a graduate like me does not have For example, when I received a task, with the senior members they can it quickly However, I must spend a lot of time doing it It really took me the first few days to adapt to this working environment In the working day, it was so stressed out because I have to deal with the daily workload that seems I cannot deal with difficulties in selecting information and specializing in a specific issue Firstly, I have studied at Thuong Mai University for more than years, however, I did not have lot of chance to use office machinery such as printer, photocopier, fax,… so I have to ask others help in order to use these machines Fortunately, they help and guide me with whole-hearted attitude so I can learn more quickly Secondly, communication is one of the challenges that hinders my internship time When I started, I realized that the working environment was too serious and professional In such an environment, I found it difficult to ask questions for fear of being judged I became hesitant when having questions And I must have some skills like communication, negotiation, team building to address the problems As an internship, I lack of experiences, lack of necessary skills to handle with customers Thirdly, it was quite hard for me to put my English knowledge into practice I had to deal with many documents per day, however, I did not know many specialized vocabularies so it causes some difficulties for me in translating documents Technically, last but not least, the greatest difficulties I had was business professional knowledge, because I only learned theory of business at university without coming face to face with working reality Therefore, putting a business theory into practice was my hardship for me to go through the mill, I had to consult with my supervisor 14 2.2.2 Learned lessons in internship In the internship, I learned a variety of lessons And I think that would be a good stepping stone for my future career As a result of my internship, I realized that a staff today needs not only knowledge in the chosen field, but also skills that are almost impossible to acquire without interaction with other staffs: the ability to work in a team, to find a common language with colleagues That is why, in my opinion, each student should get work experience in the professional field before graduation, where you will be able to learn how to correctly and easily perform simple and everyday tasks that actually make up the work on complex projects First of all, I have more good working relationships Everyone in the company is very friendly, nice and kind They always gave me a hand with my assignment if necessary From the smallest thing as instructing to my workplace to the bigger thing like solving customer complaint They are all very enthusiastic and willing to help me We are not only a purely working relationship, but also really good friends Secondly, I can broaden my mind, widen my knowledge after four-week internship Some skills like: presentation, persuading, communication is better than before For instance, when I was a student, my weak point is presentation I cannot speak fluently in front of everyone But now, I can be confident to present a speech among crowds, show my points of view, and even negotiate with customers in English Thirdly, I took part in some outdoors activities of the company in internship, so I know how to work with others in a group I improved teamwork skills, supported and helped each other accomplish targets I realized that unity is the first element that helps my team win Next one is that my English was better and better than before Because all the emails I send to deal with customers are in English Therefore, I have the opportunity to improve my English skills as well as some other special skills in business Every day, I talk to many foreign friends via email or by phone, that's why my English skills have improved so quickly and greatly I have chances to practice English, write the business correspondence, use English as a communicative tool I see that I learned about it at Thuong Mai University This task relates to my major and it is really useful for my future career 15 Besides, my Microsoft office skills have been applied during internship process I am familiar with the worksheet, payroll, excel, word, power point … It is not only theories in books but also has become a special tool to help me complete my tasks Thanks to the enthusiasm of manager and members in ACT Multinational Logistics Co., Ltd, I have more opportunities to use English frequently I can take advantages of my business English what I learned at Thuong Mai University Through the internship, I understand my position as well as my strong and weak points in my future journey 16 PART 3: THE REALITY OF USING ENGLISH IN ACT MULTINATIONAL LOGISTICS CO., LTD 3.1 The reality of using English in ACT Multinational Logistics Co., Ltd 3.1.1 The advantages In the company, most employees know English and communicate in English with customers Currently, about 100% of company’s staffs are able to use basic English communication According to the company's source, 70% of staffs has at least one English certificate such as TOEIC, IELTS, TOEFL, In Oversea Department, I saw that staff members in here is quite in English about all four skills (listening, speaking, reading and writing) Most of the time, people regularly exchange information with foreign agents via email every day Foreign agents account for about 95% Therefore, using English at work is an essential thing English is not only used in Oversea Department but also in almost departments in the company as Sale, Logistics, Air Sale and Cus etc 3.1.2 The disadvantages After my internship in ACT Multinational Logistics Co Ltd, I realize that employees must face up with troubles about English as some following points: In each department, English skills of the employees are not equal For example, employees in Sea or Air Department and Oversea Department are better than Accounting Department or HR Department because of different characteristics of each one Furthermore, some of these staff in ACT Logistics still have the errors when using the word of majority Most people are only proficient in English for their major and some basic communication skills instead of mastering all In exchanging information with agents via email or telephone, the staffs only pay attention to the main content of the email instead of using the correct grammatical structure 3.2 Proposing solutions to improve the quality of using English in the company After the internship, I realize that ACT Multinational Logistics Co., Ltd has some problems that are necessary to be implemented to improve the quality of using English in the company The first one is the company should make sure the quality of English 17 skills of all staffs that must meet the basic requirements of the company Thus, in the interview entrance needs to useful consider the candidate’s ability whether they can meet the job needs or not Furthermore, writing skill are also needed focusing as these are the most important skill for the success of company’s business Almost all exchange information are done by staff through sending and receiving emails Each staff should have self-study morale, improve English skills for themself and realize the importance of English The staffs should learn more and develop their own abilities in English language In recruitment, the company should give the specific requirements of English New employees should be tested carefully English skills After that, the company will choose the best candidate who is suitable for the job opening they recruit These are some solutions to improve the quality of using English in the company I suggested The most important thing is the hard-working attitude of all employees, because of “No pain – No gain” 18 PART 4: SUGGESTED THESIS TOPIC TOPIC: A study on difficulties in translating news from English to Vietnamese by final-year students of English faculty of Thuong Mai University REASON: Most of final-year English major students at Thuong Mai University said that they are really afraid of translating the terminology in economic texts They think this is the most difficult subject in English Faculty as well in Thuong Mai University Therefore, I want to help them find some solutions to improve their translating skills 19 CONCLUSION During the internship at ACT Multinational Transportation Logistics Company Limited, I have experienced studying and working in an extremely youthful and dynamic environment I encountered many difficulties when I was working as a beginner because of the amount of work which needs to be done But then I gradually adapted and got used to the working environment and culture at the company that made me no longer surprised when working in other companies in the future After one month of internship at ACT Multinational Logistics Co., Ltd, I think it was really a valuable time for me to have an objective view of the activities of a company, to learn practical experience about the working style, how to behave and communicate Above all, this gives me an opportunity to acquire new skills for myself, have a clear orientation for my future career With the permission of the Faculty of English at the Thuong Mai University and the board of directors of ACT
