Hanoi Industrial Joint Stock Company was established in 2004 and has many years of experience in supplying plastic injection molding machines, blow molding machines of Japan. The company is also specialized in precision plastic molded manufacturing, such as printer parts, motorbike parts etc… It’s been supplying Japanese plastics injection machines from 2004 with many choice of brands such as JSW, Sumitomo, Toshiba, Nissei, Meiki. In the past we provided used machines with quality over 90% which are directly imported from Japan. Nowaday, HANIN focuses on brandnew JSW all electricity machines from 100 ton to 1300 ton. Driven by Hanin’s passion to create the best customer value, as well as its accumulated know-hows and craftsmanship in the injection industry. Under the slogan of making the customer satisfaction and trust the top priority, Hanin have been working nonstop to produce the best value for clients and deliver the finest.

Identifying requirements for goods, materials and services - Identifying reliable suppliers - Price negotiations - Comparison of delivery terms - Establishing order quantities - Writing requests for bids and awarding supply contracts PART - THE INTERN PROCESS AT HANOI INDUSTRIAL JOINTSTOCK COMPANY I was given the opportunity to work at Hanoi Industrial J.S.C for four weeks from 20th September to 15th October, 2021 2.1 The task 2.1.1 Description of the job I worked in Purchasing Department as an intern where I had learned several practices of purchasing department of a company At first, I thought that it would be a very difficult job for me Later, my idea has changed As I had the opportunity to have month at the company I was introduced to my supervisor, Ms Men I have done different tasks under purchasing department Miss Men gave me some brief about job descriptions 2.1.2 Tasks I was assigned to intern in the position of foreign purchasing officer - imports  Purchasing process: - Based on inventory and production plan to place an order - After receiving the purchase order (PO), the customer will respirate the invoice -packing list of the shipment he ordered - I will check and confirm my consent to the client - After that, the seller will send the goods and complete the procedure When the goods arrive at the international airport or go by sea to Hai Phong port, they will send me a notice of arrival - Finally, I contacted the logistics party to carry out the import procedures: Open the import declaration, pay import tax and pick up the goods 2.2 Difficulties and Lesson Learned 2.2.1 Difficulties During my internship, I have faced a wide range of challenges Already in my first week, I am supported and involved in making purchase plan proposals, reviewing and analyzing all suppliers and price options As a new trainee, this is an opportunity as well as a challenge for yourself to experience a new job in a competitive environment that requires agility and good skills The first difficulty is the understanding of the international market and limited communication skills Then, during the internship, I found that Covid 19 epidemic affected the quality of work the most The purchasing process to a warehouse will take a lot of time and some costs incurred with: + Difficulty in contacting the delivery party + Shipping costs increase and during transportation, there are a lot of quarantine checkpoints leading to slow storage time I also had a bit of difficulty communicating in English: negotiating to ask for the price and contacting the seller This requires both good skills and specialized knowledge In this process, there are also many arising such as high price competition, contacting the appropriate transport handler, All must have solid knowledge, good concentration, and self-study during the internship 2.2.2 Lesson Learned I gained a lot of essential job experience and soft skills during my 4-week internship at Hanoi Industrial Joint-stock Company These priceless experiences, in my opinion, will help me extend my company opportunities in the future The following are a few of the things I learned throughout my internship First of all, the internship provided me with the opportunity to use my knowledge of business English in a real-world setting Through practice, I saw that my English application and reflection skills had much improved This is because most of what I learnt during my four years at university was about trading, commerce, and transactions That is English economics, financial, and negotiation jargon and expertise I can use the business English that I acquired at Thuong Mai University to my advantage Through the internship, I have gained a better understanding of my position, as well as my strengths and weaknesses in my future endeavors I've had the pleasure of meeting and working with a diverse group of professionals I can know what I have accomplished and what I lack through my weekly practice with the support of my supervisor As a result, I've identified and added missing talents, so contributing to my personal growth Secondly, along with the guides of my supervisor Ms Men and everybody in the Purchasing Department, I’ve learned a lot about international markets, improving my communication and negotiation skills Working under a professional and serious working environment helps me to shape communication styles in the workplace as well as to train myself to follow rules When I was assigned office jobs, I tried my best to well and actively learn from my colleagues in the company, asking for advice on what I still have questions or unclear Thanks to that, I can avoid having a lot of difficulties in my work After nearly a month training at Hanoi Industrial Joint-stock Company, I have accumulated valuable lessons and will always be useful to me in the future: - Skills and qualities: Having knowledge in the field of purchasing is a must, communication and negotiation skills are really important - The area of purchases is budget-related and time constraints: as the entire plan may be delayed if there are any errors in the ordering process - Besides specialized knowledge, during the internship I learned a lot of new skills, especially improving language capital, agility and flexibility in situations This helps me a lot for future work and adaptation to different work environments PART 3: THE REALITY OF USING ENGLISH AT HANOI INDUSTRIAL JOINT-STOCK COMPANY 3.1 Using English at business In recent years, Vietnam's economy has been increasingly connected with the global economy, resulting in an increased need for high-quality human resources with strong foreign language and soft skills In today's world, English plays a critical part in every business It is a significant step forward in terms of expanding corporate scale, attracting additional possible investors, and tapping into new markets Hanoi Industrial Joint- Stock Company is a manufacturing company that caters to both the domestic and foreign markets The company is now forming ties with a large number of international partners As a result, English is becoming more significant as a requirement for potential employees As a result of the company's employees' frequent usage of English at work, language barriers are no longer a concern for the organization Furthermore, the bulk of the company's management and administrative employees know English In particular, Hanin is a company linked with international partners and the Purchasing Department is considered the backbone of the company Therefore, the work involved in using English for communication, negotiation, and contracts is very important This requires employees to have skills and vocabulary that speaks English fluently It cannot be denied, however, that the number of employees who are fluent in both speaking and writing English is tiny The majority of them can only read specialist English and cannot successfully speak or write in it This is really inconvenient when there is unexpected English-related work 3.2 Suggestions to improve efficiency of using English in the company In the business activities of Hanoi Industrial Joint-stock Company, English plays a significant role and is a potent tool As a result, improving the efficiency of utilizing English at work is critical After a month as an intern at the Company, I would like to recommend the following measures: - In addition to knowledge training, organizing English courses and activities - Encouraging all employees to communicate with their coworkers in English at work - Arranging for staff to attend conferences where they can share their learning English experiences - In recruitment, giving preference to those who are stronger at English - Providing staff with company-related documentation written in English PART – SUGGESTION FOR THE SUBJECT OF GRADUATION THESIS As can be seen, business is being performed across boundaries in today's global society, with English frequently being utilized as an international language of communication This is not an exception for Hanin The ability to communicate in English in the workplace has a variety of advantages, including assisting your company's success, fostering trust among colleagues and clients, and fostering and developing international partnerships During my internship at the company, I noticed that a significant percentage of employees were unable to convey material in the proper order in English at work Another issue was that some people were hesitant when speaking English This made it difficult to use communication skills at work, particularly in English Furthermore, they require English to create emails, reports, and draft letters As a result, writing skills are also necessary Understanding and increasing my technical vocabulary is critical for me to put into practice during my internship This can be accomplished by using their listening skills, as hearing can acquaint them with new words and help them learn how to pronounce and use them correctly As a result, my graduation thesis will be "A study on the reality of employing English communication skills in the workplace of four-year students at ThuongMai University's English Department."
