Phuong Nguyen Thi Luu Yen Class: K53N5 Student Code: 17D170283 HANOI - 2020 ABSTRACT Business correspondence is a term people often meet in the business field In any type of business correspondence, writing business emails have always been the most common way of communicating between businessmen because it can save time and travel costs by exchanging work via emails and social networks Obviously, business email writing skills are becoming increasingly essential in the field of business, especially in companies cooperating with foreign countries However, not everyone can write it perfectly In fact, writing is considered one of the most challenging skills among the four language skills, it always requires meticulousness and elaborateness Specifically, writing English business email seems to be more difficult because it requires a skillful combination of specialized knowledge as well as an extensive knowledge of English In reality, when writing English business emails, the writer can meet several problems relate to lexis, grammar, meaning expression, styles, and formats, etc There have been a number of studies in the field of business correspondence, but there are still gaps in the topic of common errors in English business emails As a result, this study was conducted to fill those gaps This research is aimed at Vietnamese people working in foreign companies, focusing on studying their errors when dealing with business emails, then find out the possible solutions for both the staff and the company Besides, the study also targets at making some suggestions as a useful reference to help businessmen avoid mistakes that should not have occurred in writing English business email To achieve those aims, the researcher applied a quantitative method to conduct the research The author also used the technique of analyzing to delve deeper into the issue The gathered data includes fifty real emails written by staff working in foreign companies and presented as a percentage to make a comparison The findings from this research are hoping to be useful not only for the Vietnamese people working in foreign companies but also for all employees in general ACKNOWLEDGEMENTS is not only a language but also a vital weapon in our nowadays daily life English is supposed to be the dominant language all over the world In the book “A History of the English Language”, David Crystal (2006) claims that among 360 people, about 330 people speak English as their mother tongue Perhaps the last decade is the golden age in which English has grown most intensely Everyone is rushing to learn English, English centers are mushrooming, and the number of students choosing English as their major is also increasing English becomes a means of communication in everyday life, especially in business Specifically, in the context of global economic integration, emails become more and more essential in the process of business international area Nowadays, writing a business email becomes a compulsory activity in doing business instead of traditional handwritten letters Because business email saves time and travel costs to transmit information or message and keep in touch with overseas partners In fact, English business email is easy to understand, however, writing it is not easy Writing a business email is a difficult task as it requires a complex combination of language skills, specialized knowledge as well as practical experiences Moreover, it is deemed to be difficult to learn how to write a good business email and understand it deeply As a result, it is the fact that there are many errors and mistakes that are found in these emails, especially written by Vietnamese people working in foreign companies Having read many business emails in different companies helps the author realize that these emails appear to be uncompleted and informal in both form and content The writer can face several problems related to lexis, grammar, meaning expression, or formats of a business email, etc Therefore, the skill of writing a business email is really important and essential in the business world This is the reason to urge the author to conduct this research with the title “Errors in English business emails written by Vietnamese people working in foreign companies” The author hopes that this research topic would be very useful for business email writers who work in different foreign companies The study aims at finding out the errors and their causes and making suggestions that can partly help them limit the mistakes during their work Because the people who work in such companies are too busy with their work, they have no time to attend an English class to improve their writing skills The solutions given in the study may provide email - writers with some techniques to avoid errors that should not have occurred and to create a professional and efficient business email in the future 1.2 Previous studies There have been many studies on writing business emails both in Vietnam and over the world to research relevant problems such as errors, difficulties, or reasons for difficulties in this field They provide a broad foundation of knowledge about business email, from the basic to the intensive knowledge The review of previous studies will show an overview of this field Of course, each scientific researcher will have different views and understanding of business correspondence or business emails Through the overview of previous studies, the author quotes some of the following researches and have some comments 1.2.1 International Studies Shafa Firda Nila (2017) expresses in a study “Problems in writing English business letter: Errors and Factors” about identifying the problems of error found in English business letter writing and explaining the factors that caused the problems There are four categories of errors: morphological, lexical, syntactic, and mechanical error These four errors are divided into eight types: verb, noun, article, word choice, sentence structure, spelling, punctuation, and capitalization Besides, three major factors cause errors: language transfer, overgeneralization, and the context of learning Moreover, the author also present reasons for these problems This research is performed at Bina Bangsa College during the third semester of the 2016-2017 academic year and the subject is the third semester of students majoring in Management and Accounting As the result, the author identifies problems found in errors in English business email and explains the factors that caused the problems Related to language matter in correspondence, Shunhui Zha (2010) in the study “Analysis of Language Features in Business Correspondences” analyzes from three aspects of the vocabulary, the structure, and the characteristics in business correspondences, and compares with the ordinary letters The result shows that there are four basic characteristics of vocabulary in business correspondences: using terminology, polysemy, conciseness, and formalness of vocabulary, special usage of general words From this point, the author gives the structures and format of business correspondences and style features of business correspondences Amina, A (2015) in “Business emails writing in business communication” shows a case study of Intermat company The author examines business emails written by the staff of the Intermat company, and then illustrates the range of features that exist in the business email at present to know how to make business email more effective The author describes that English has become the common corporate language used in Intermat company and staff still faced difficulties and made mistakes when interacting with foreign partners by English business emails Thus, this study helps to plan to build principles of effective business email writing “An error analysis of written English email of the senior cabin crew: a case study at a Thai airline company” is conducted by Jarucha Settanan (2016) This study aims to explore the types of writing errors in email as well as to investigate which type of writing errors is the most commonly found in the email of senior cabin crew using error analysis The participants in the study are 25 senior cabin crew working in a Thai airline company All of them have been working in a senior cabin crew position for more than one year The instrument has 25 emails from the participants The frequency of errors is illustrated in percentage The results from the error analysis show that five types of error were found in the emails such as misformation, omission, other errors, addition, misordering It is found that the most common type of writing error in emails was misformation of the wrong form of the morpheme or structure It is expected that the analysis of errors in this study could enhance the teaching and self-learning of English for students 1.2.2 National Studies Regarding some common mistakes in writing business correspondence, Duong Thi Han (2019) conducts a study “Difficulties of the staff in writing business correspondence in IQL Joint Stock Company” to find out the obstacles the IQL employees in practicing writing skills and the common writing mistakes in business correspondence The author uses a quantitative method of collecting, surveying and CHAPTER 4: RECOMMENDATIONS AND SUGGESTIONS In chapter III, the author conducts collecting and studying fifty English business emails written by Vietnamese people from other companies The common errors in writing English business emails are analyzed and pointed out Seeing these errors and obstacles, in the following chapter, the author will propose some appropriate recommendations to improve the English business email writing skills of Vietnamese people when working in foreign companies Besides, some suggestions for business email are given for future research topics related to writing skills as well as for self-studying 4.1 Recommendations and suggestions to improve English business email writing skills Through the analysis chapter III, the author finds a lot of errors in the fifty collected business emails In fact, the writers are very busy with their work, so they have no time to pay attention to the way to write a good and professional business email Therefore, the author gives some suggested solutions to help them deal with these problems when writing business emails as follows: 4.1.1 Recommendations and suggestions for staff Each staff of the company needs to take notice to avoid common errors in writing English business emails Based on the results of the analysis, the researcher gives the following suggestions: Firstly, the staff should pay attention to the writing steps in the process of writing an English business email Before writing to a partner, the employees need to plan their writing, pre-define the type of email, and outline the main content Avoiding writing a version in Vietnamese first, then translate word by word into English In reality, this is not a good way to make effective writing; moreover, it cannot show professionalism When writing the email, the staff must be careful with each word used to ensure the suitability of the context Each part of the email should be noted from the beginning of the email to the end of the email After writing a complete email, they should remember to check the spelling and grammar errors before clicking “send” button to customers This is a good habit to minimize writing errors in business emails 36 Secondly, every employee needs to enhance their self-study spirit, they should focus on learning about foreign cultures, grammatical structures, expanding their vocabulary so that they can be able to easily write correct and clear sentences They should also take the initiative in learning the basic acronyms and terminology, otherwise it will be not easy to understand emails from foreign customers at all Also, they need suitable ways of self-study, such as taking part in English courses, learning online on social networks, exchanging, and practicing with colleagues to save time Thirdly, technology has brought significant changes in the way we communicate and business, so taking advantage of them in our work Nowadays, one of the ways the Internet allows us to save money and time is through electronic communication mainly email, which is cheap and convenient There is much free software or modern word processors which not only include spell checks, dictionaries but also grammar checks Using word processors can help its writers to reduce errors in their writing English business email Next, due to the large workload, the staff should have good time management and arrange their work appropriately to reduce workload pressure as well as improve working morale Each individual should follow strategies that are designed to advance writing skills by the company For instance, they should attend English conferences, and doing competency tests seriously, etc Finally, learning the writing styles of business emails in English through “Standard samples” It is a fact that most of the foreign partners working in different companies in Vietnam are not native speakers They mainly come from Asian countries such as Korea, Japan, China, Singapore, Hong Kong, or Malaysia, etc Therefore, the English they speak or write maybe not standard The writers should learn the writing styles of business emails through “Standard samples” When the writers read these samples, they can get a standard format of a business email Besides, they can learn some structures and vocabulary related to some typical topics to improve their knowledge of wringing business emails such as writing an inquiry, a claim, and a sale email, etc As a result, when they follow the above steps, they can avoid some remarkable errors in writing these emails 37 In conclusion, writing a business email is not an easy task It requires a combination of many different skills and extensive knowledge of English as well Therefore, a learner must prepare all of the essential things to have a good capability of writing business correspondence 4.1.2 Recommendations and suggestions for the company leader “Not only the employees need to try but the company leaders need to take action to build a professional and high-qualified staff Firstly, the company should have a long-term strategy to develop the qualifications of the employees The company should regularly organize English training courses, English conferences for all employees in the company It is necessary to organize periodic competency tests so that employees are always conscious of self-training Besides, the company can cooperate with English centers to organize English courses for the staff, reduce tuition for them if possible, which helps them take initiative in studying Secondly, to ensure the quality of employees, the company needs to be paid attention right from the recruitment process Recruitment criteria of the company should be changed The employers need to set requirements for intermediate English level upwards, they can also require candidates to take an English proficiency test right at the interview Lastly, it is important to reward good employees The company should encourage those who have good achievements in writing business correspondence with foreign customers, which will promote their working morale Penalties for employees who make mistakes are necessary as well This will be a deterrent to their neglect in working.”” 4.1.3 Recommendations and suggestions for student “The most important thing to improve the ability to write English business emails is self-awareness and self-effort It means that students should self-study and practice frequently In reality, “a learner cannot become an expert without making any effort Learning English is the same, it requires continual hard work It can be said that vocabulary and grammar structures are two basic problems that most students have to master in any type of English document Lacking vocabulary is puzzling most of them When reading and writing, they usually encounter so many new words, and it made them feel difficult in understanding the meaning of the whole text Grammar” mistakes are of “unavoidability for them while writing The poor grammar has a bad effect on 38 their writing practice Many complicated structures and irregular cases were being inserted in English texts, which sometimes made them a challenge If a student does not know about these structures, he or she cannot comprehend exactly what was being conveyed Moreover, Vietnamese culture is different from Western countries, which can be an obstacle for the writing of the staffs to express that the differences between culture and region make them feel difficult to writing English business email They could not understand exactly the cultural issues in some documents Every country has its uniqueness which requires students to obtain enough knowledge and information about certain cultural fields to deal with English business email well To resolve these problems, there are some recommendations as follows:” “ “The first thing is learning to enrich specialized vocabulary These some reference books that may be helpful for students such as “Business Vocabulary in useBill Mascull”, published by the Press Syndicate of the University of Cambridge, 2002; “Check your English Vocabulary for Business Administration” (Rawdon Wyatt, 2007); “Dictionary of Financial and Business Terms” (Roberto de Paula Lico Júnior, 2012) All of these books not only explain words and expressions but also provide many practices of using the English business language However, they are just some of the many different types of business books that any student can use to study more about English business vocabulary There is another way that quite popular to study English vocabulary nowadays, it is learning from applications on the mobile phone In reality, many applications are created to help people learn English vocabulary easily Many students prefer this way because it is not only more interesting but also time-saving Some of them are Duolingo, Memrise, Busuu Language Learning, and so on Moreover, students also can access some websites to read business documents, then take note of the stranger words associated with their meaning This method seems very familiar to students but it is always necessary because very few people can memorize any new words for the first time of facing.” “The second thing to handle lexical difficulties in writing business correspondence is practicing more and more Students should practice right after studying theories, it helps students realize their shortages or mistakes Practicing also helps learners memorize new words longer and more accurate Therefore, they can 39 avoid unnecessary mistakes such as spelling errors, capitalization errors, word form errors, personal pronounces, or word repetition For sentence structures, the student must understand clearly about all their structure and usages in English This skill requires the writer to have a deep knowledge of sentence tenses and their usages A reference book is a good choice for students to improve their grammatical knowledge Here are some useful books: “A Practical English Grammar” by Thomson, A.J and Martinet A.V (published in 1986), “Longman English Grammar Practice” by L.G Alexander (eleventh edition in 1998); “Understanding and Using English Grammar” by Betty Schrampfer Azar - Stacy A Hagen (fourth edition 2009) Anyway, the student’s awareness of self-learning still plays a significant role in helping them overcome all of these problems Besides, students should also self-schedule a scientific plan to study effectively The learner can create a mind map by himself/herself, in which he/she can write all relevant information of that word such as spelling, meanings, synonyms, antonyms, example sentences, illustrating images In short, lexis is very important to write a good business letter Thus, each student needs to improve this skill as soon as possible English lexis and grammatical is one of the main issues that have a profound influence on a person's success in learning a language ability In particular, writing a business email is a difficult task, and it requires the writer to have extensive knowledge of English Therefore, each student needs to improve these skills as soon as possible 4.2 Limitations of the study The author has great efforts in choosing research methods, collecting English business emails from many resources, and analyzing data to achieve the best results However, the study still has got several shortcomings First, the author just chose fifty English business emails from some companies where my friends and I interned Therefore, it would be difficult to determine whether the results are the same when there is a larger number of samples Second, the author only collect random emails of staff in main departments, as a result, it would be impossible to affirm that these problems were outstanding in the whole company The results of the study could not be generalized 40 Third, due to limitations in time and reference materials, the result of the study might be less convincing and it could not cover all types of errors in English business emails written by Vietnamese people working for foreign companies Despite the above limitations, the author hopes that this research will contribute to the improvement of knowledge and business email writing skills for Vietnamese people working in foreign companies 4.3 Suggestion for further studies Based on the limitations of the research, it is essential to modify these limitations for further studies First, the study should expand to many companies to exact evaluations Further studies should be conducted with a larger number of emails Second, further studies should collect more than one assessment to affirm correct research findings as the result make the study more persuasive Third, further studies should be conducted in a longer period and set up specific plans for conducting To sum up, the author hopes that there are other opportunities to continue the study on other aspects of this subject to help people become effective writers in their work 41 CONCLUSION “The importance of English is undeniable in modern society The fact is those who are good at English certainly have more opportunities to develop in their career than those with poor English Therefore, people should pay more attention to this international language, especially to business email writing skills In the business email, good writing ability is considered a pivotal element that supports a company in many different areas Thus, improving writing English business emails is an essential thing for everyone However, for most Vietnamese people working in foreign companies, mastering this skill is not easy This research is conducted successfully with the cooperation of the staff of Bamboo Software Co Ltd and some companies when allowing me to refer to reality emails that the employees in the company made The purpose of this study is to find out errors of English business emails made by Vietnamese people working in foreign companies, thereby giving some recommendations to handle those problems All of these issues can be caused by staffs themselves for lacking knowledge, lacking carefulness, limiting vocabulary, or many are affected by outer factors such as large differences in culture and language, difficulty in economic terms, the pressure of huge workloads Thus, to overcome these problems, it is essential to have self-awareness, employees should develop an appropriate strategy, self-training harder, consolidate relevant knowledge It is the best way to improve knowledge as well as gain more experiences Also, the company should focus on fostering, encouraging employees, opening more training programs to enhance writing skills for employees Due to the limitation of knowledge, experience, and reference materials, the researcher could not cover all of the issues in writing business emails Also, this research could not generalize all of the Vietnamese people working in different foreign companies since the restriction of time and scope as well So, this graduation paper could have inevitable shortcomings Hopefully, this small thesis will be useful for Vietnamese people working in different foreign companies, helping them get the right way of writing skills business email Also, the researcher hopes that this is a useful document for those who are interested in writing skills in general   • Faisyal (2015) expresses in a study that “Error analysis is a type of linguistic analysis that focuses on the errors that learners make”. Moreover, error analysis is the first approach to the study of the second language acquisition which includes an internal focus on the learner’s creative ability to construct language. Sychandone (2016) describes error analysis as a set of procedures for identifying, describing, and explaining learner’s errors; it is like the process of determining the incidence, nature, cause, and consequences of unsuccessful in language. Richard, J.C. (1971) proposes that the study of errors made by second and foreign language learners is error analysis. The functions of error analysis are finding out learners knowledge about the target language, observing different learning styles, and noticing common difficulties in learning a language to help in the preparation of teaching materials.
