Lesson 3 Create a Table of Contents INDESIGN 10-15 Reformatting Paragraph Styles In most cases, the paragraph styles from which you generate your TOC will not be appropriate for the TOC layout. In the case of the recipe example, the recipe headlines were formatted as 24-pt. headlines. As shown in Figure 17, this size is too large for TOC entries. You have a number of options for format- ting TOC entries. Once you generate the TOC, you can reformat the text any way you see fit or you can modify the paragraph styles in the TOC document only. For a third solution, you can also create new paragraph styles in the TOC document that are more appropriate for the layout. Any new paragraph styles that you create will be listed in the Table of Contents dialog box. In the Style section of the Table of Contents dialog box, you can use the new paragraph styles to modify the appearance of the loaded paragraph styles. In Figure 18, the loaded Course Name paragraph style is being modified by the TOC Course para- graph style (note the Entry Style text box). Here’s the concept in a nutshell. A TOC is created based on text that is formatted with specific paragraph styles in the documents that make up a book. Sometimes, those paragraph styles are not appropriate for the TOC layout—they’re too big or too small, etc. To correct this, you can create new paragraph styles in the TOC document only. Those new paragraph styles will be listed in the Table of Contents dialog box, where you can use them to modify the loaded paragraph styles. Figure 19 shows the same data reformatted with two new paragraph styles. Double-click Toy Breeds in the Book palette to open the document. 2. If the Paragraph Styles palette is not open, click Window on the menu bar, point to Type & Tables, then click Paragraph Styles. 3. Click the Type Tool , then click to place the pointer anywhere in the TOY BREEDS headline on the first page. The Paragraph Styles palette identifies the style applied to TOY BREEDS as Section Name. 4. Click to place the pointer in the Silky Terrier headline at the top of the next page. The Paragraph Styles palette identifies this style as Breed Name. 5. Close Toy Breeds. 6. Open ID 10-6.indd, then save it as TOC. 7. Click the Paragraph Styles palette list arrow, then click Load Paragraph Styles. 8. Open Toy Breeds. The Load Styles dialog box appears, show- ing the two paragraph styles that are in the Toy Breeds file. If there was a conflict between paragraph styles in the Toy Breeds file and the TOC file, that conflict would be identified here. However, in this case, no conflicts are identified. As shown in Figure 20, the Breed Name and Section Name styles from the Toy Breeds file are added to the Paragraph Styles palette in the TOC file. You opened a document and examined which text ele- ments were formatted with paragraph styles. You then opened a document that will be used as the TOC and loaded the paragraph styles from the first document. Create a table of contents 1. With TOC still open, click the Add documents button in the Book palette, then add TOC to the book. TOC is added to the bottom of the list. 2. Drag TOC to the top of the list so that your Book palette resembles Figure 21. TIP When a document is open, the Document is open icon appears to the right of the document name in the Book palette. 3. Click Layout on the menu bar, then click Table of Contents. 4. Verify that the Title text box reads Contents, click the Style list arrow, then choose TOC Title so that your dialog box resembles Figure 22. TIP TOC title is a blank style loaded by default. 5. In the Styles in Table of Contents section, note that the two styles you loaded are listed in the Other Styles section. 6. Click Section Name, then click Add. Section Name is now listed under Include Paragraph Styles. 7. Double-click Breed Name. Breed Name is now listed beneath Section Name, as shown in Figure 23. TIP Double-clicking a style is an alternative to using the Add button. In the Options section, click the Include Book Document(Dog Breeds.indb) check box. This check box tells InDesign to create the TOC from the Dog Breeds book. TIP This step is very easy to forget. Make a mental note of it. 9. Click OK. 10.Position the pointer over the top-left corner of the margin guides, then click. Your page should resemble Figure 24. The para- graph styles loaded correctly, but those para- graph styles that were used in the source document—Toy Breeds—were formatted for that document’s layout. That formatting is far too large for this TOC layout. You will need to modify the paragraph styles in the TOC document. You specified the two paragraph styles that will be used in the TOC, then loaded the TOC into a text frame. Create paragraph styles for aTOC 1. Click the Paragraph Styles palette list arrow, then click New Paragraph Style. 2. Name the new style TOC Section, click Basic Character Formats, click the Font Family list arrow, click Trajan or a similar font, click the Font Style list arrow, click Bold, click the Size list arrow, then click 14. 3. Click Indents and Spacing, type .2 in the Space Before text box, then click OK. A new paragraph style, TOC Section, appears in the Paragraph Styles palette. 4. Name the new style TOC Breed, click Basic Character Formats, click the Font Family list arrow, click Garamond or a similar font, click the Font Style list arrow, click Regular, click the Size list arrow, click 10, then click OK. Your Paragraph Styles palette should resem- ble Figure 25. You created two new paragraph styles for the TOC. Reformat a table of contents 1. Click Layout on the menu bar, then click Table of Contents. 2. In the Include Paragraph Styles section, click Section Name. The third section of the dialog box now reads Style: Section Name. 3. Click the Entry Style list arrow, then click TOC Section. The Section Name paragraph style will be reformatted with the TOC Section paragraph style. 4. Click the More Options button. 5. In the Style: Section Name section, click the Page Number list arrow, then click No Page Number. Your dialog box should resemble Figure 26. In the Include Paragraph Styles section, click Breed Name. The third section of the dialog box now reads Style: Breed Name. 7. Click the Entry Style list arrow, click TOC Breed, click the Page Number list arrow, then click After Entry. 8. Select all of the text in the Between Entry and Number text box, then type (ten periods). 9. Click the Sort Entries in Alphabetical Order check box, then verify that the Replace Existing Table of Contents check box is checked. Your dialog box should resemble Figure 27. 10.Click OK. TIP You may see an Information dialog box stating that the table of contents has been updated successfully. If so, click OK. Your page should resemble Figure 28. 12.Use any text formatting techniques you wish to improve the layout of the TOC, save your work, then close TOC. Figure 29 shows the TOC with an improved text layout and a graphic placed behind the text. You reformatted the imported paragraph styles with other styles you created that were appropriate for the TOC layout. FIGURE 28 Viewing the reformatted TOC FIGURE 29 Viewing a sample layout for the TOC LESSON 4 What You’ll Do INDESIGN 10-22 Making Books, Tables of Contents, and Indexes Creating Index Entries Index entries are specified within the doc- uments that make up the book and are saved with the documents. Specifying index entries is easy to do. Simply select the text that you want to be used as an index entry, then click the Create a new index entry button in the Index palette. The selected text will be added to the Index palette, as shown in Figure 30. Generating an Index An Index is an individual InDesign docu- ment that you add to the Book palette to become part of the book. This will usually be a one- or two-page document. As with the TOC document, it is critical that you carefully choose the same document-setup specifications that were used to create the other documents in the book. Once you have created the index document, add it to the Book palette. After you’ve added the index document to the Book palette, click the Generate index button in the Index palette, shown in Figure 31. This opens the Generate Index dialog box, shown in Figure 32. As its name implies, this dialog box generates the index based on the index entries saved with the documents that compose the book. Be sure to check the Include Book Documents check box before clicking OK. One of your greatest challenges will be to anticipate the way a reader will search the index for specific topics. For example, if you have written a book on recipes, you might have an index entry for Bouillabaisse. That seems pretty straightforward, but you would also need to anticipate that some of your readers would go to the F section of your index looking for Bouillabaisse. F, you ask? Yes, F, for Fish Stew. In this example, you could simply create an index entry for Fish Stew with the page number for Bouillabaisse. However, for consistency reasons, it would be better to create a cross-reference. You do this in the New Cross-reference dialog box, shown in Figure 33. You create this cross-reference entry in the document itself, when you cre- ate the other index entries. When you click OK, a new entry will be created, as shown in Figure 34.
