The formula to determining operating business results in the case of enterprises applying accounting regulations according to Circular 133/2016/TT-BTC The operating business results = Ne

Rational

For Viet Nam, in recent years, logistics has emerged as a crucial service sector within the overall structure of the economy and Vietnam is considered a potential market for the development of the logistics industry However, according to statistics from Vietnam Report, out of over 3,000 logistics and transportation companies nationwide, 10% are foreign-owned, while a significant 88% are domestic enterprises However, foreign-owned companies account for 70-80% of the total revenue, indicating a relatively low level of activity among domestic logistics companies Therefore, domestic logistics enterprises are facing numerous challenges, which require the implementation of appropriate policies and business strategies to achieve their primary objectives of profitability and cost minimization

Beside, one of the most important aspects of company accounting is the accounting of revenue, expenses, and business results It makes a substantial contribution to each company's ability to manage its operations profitably, assists in rapid financial recovery, promptly arranges the subsequent business procedures, and gives timely information that helps the company analyze, examine, and select the best possible investment possibilities

THEORICAL FRAMEWORK FOR ACCOUNTING FOR REVENUE, EXPENSES AND EVALUATION OF BUSINESS RESULTS IN

Some basics concept of revenue, expenses, and evaluation of business results of

1.1.1 The concepts related to revenue

Accounting Standard No 1 in Vietnamese accounting standards was published on December 31, 2002, by the Ministry of Finance under Decision No 165/2002/QD-BTC

- Revenues and other incomes: are the total value of economic benefits earned by an enterprise in the accounting period, arising from the enterprise’s normal production, business and other operations, contributing to increasing the owners’ equity, excluding capital contributions made by shareholders or owners

- Revenues arise in the process of normal business operations of enterprises and often include: sales revenues, service provision revenues, interests, royalties, dividends and shared profits

- Other incomes include incomes arising from operations other than revenues generating operations, such as incomes from liquidation or sale of fixed assets, fines collected from customers for their contract breaches…

Accounting Standard No 14 in Vietnamese accounting standards was published and issued by Decision No 149/2001/QĐ-BTC by the Ministry of Finance on December 31, 2002, regarding revenue and other income:

- Revenue from service provision transactions shall be recognized when the performance of these transactions are determined in a reliable way Where a service provision transaction relates to many periods, revenue shall be recognized in each period according to the performance of the work volume finished on the date of making of such period’s accounting balance sheet

- The outcome of a service transaction is determined when all four (4) of following requirements determines are fulfilled:

(b) It is most probable that the service transaction will result in economic benefits

(c) The completed portion of the work as of the date of the financial statements can be determined

(d) The transaction's costs alongside the expenditures required to finish the service transaction are identified

- Revenue from service provision is recognized only when it is ensured that the enterprise will receive economic benefits from the transaction If it becomes unlikely to recover the recognized revenue, it should be accounted for as an expense rather than reducing the revenue When there is uncertainty in collecting an amount that was previously recognized as revenue (doubtful accounts receivable), a provision for doubtful accounts should be established without reducing the revenue The provision for doubtful accounts is offset against the doubtful accounts receivable when it is determined that they are truly irrecoverable

Accounting Standard No 14 in Vietnamese accounting standards was published and issued by Decision No 149/2001/QĐ-BTC by the Ministry of Finance on December 31, 2002, depending on the type of service, one of the following three approaches is used to determine the finished portion of the work:

(a) Evaluation of the completed work portion;

(b) Comparison of the percentage (%) of the completed work portion with the total work volume to be completed;

(c) The percentage (%) of the incurred costs against the estimated total cost needed for completion

The portion of the work that has been finished is not reliant on regular or upfront payments from the client

1.1.2 The concept relates to expenses

Section 59, Circular 133/2016//TT-BTC by the Ministry of Finance, it represented that “Expenses are decreases in economic benefits recorded when incurred or due to the high probability that they will be spent in the future, whether or not spent in reality ”

Accounting Standard No 1 in Vietnamese accounting standards, which was published and issued under Decision No: 165/2002/QD-BTC on December 31, 2002 by the Ministry of Finance, expenses (cost):

- Costs are the total value of amounts which reduce economic benefits in the accounting period in the forms of amounts spent, asset depreciation amounts, or give rise to liabilities leading to a decrease in the owners’ equity, excluding amounts distributed to shareholders or owners

- Costs include production and business costs arising in the process of normal business operations of enterprises, and other costs

- Production and business costs arising in the process of normal business operations of enterprises, such as cost of goods sold, sale costs enterprise management costs, costs for loan interests, and costs related to letting other parties use assets with yields, royalties… These costs arise in the form of cash and cash equivalents, inventories, machinery and equipment depreciation

- Other costs include costs other than production and business costs arising in the process of normal business operations, such as costs for liquidation and sale of fixed assets, fines imposed by customers for contract breaches, etc

Section 59, Circular 133/2016//TT-BTC by the Ministry of Finance represented the condition of expense recognition:

(a) Expenses are recognized before they are spent due to the high probability that that they will be spent to comply with conservatism principle and preserve capital Expenses and revenues they created shall be simultaneously recorded according to matching principle In certain cases where matching principle conflicts with conservatism principle, accountants shall record expenses according to the nature of the transaction

(b) Accountants accountant must keep records of expenses related to salaries, raw materials, purchases, fixed asset depreciations, etc

(c) If non-deductible expenses defined by the Law on Corporate income tax are accompanied with adequate documentary evidence and properly accounted for, they shall not be recorded as decreases in accounting expenses and shall be adjusted in the annual corporate income tax declaration to increase the amount of corporate income tax payable

(d) To determine the business's results, all costs incurred throughout the period must be transferred to accounts indicating costs that have no balances at the end of the accounting period

Expenses in business operations refer to all the costs that the enterprise needs to incur in order to achieve its ultimate business objectives:

- The cost of goods sold The cost of goods sold for manufacturing and service-providing enterprises includes production costs (labor, materials, overhead) associated with the goods sold or services performed For trading enterprises, the cost of goods sold is the purchase price of the products sold

Selling expenses include costs associated with the process of product consumption, such as advertising, transportation of goods sold, commissions

- The administrative expenses The expenditures of the organization's general management, such as the salaries of the board of directors and staff members, office depreciation, utilities (such as electricity and water), and office phone bills, are included in administrative expenses Since administrative costs normally are not increasing in relation to revenue, comparing the rate at which administrative costs are rising to the rate at which revenue is rising can be used to assess

Financial expenses are costs related to securities trading, business financing, and interest expenses of the enterprise Within financial expenses, interest expenses are typically reported as a separate line item in the income statement

Other expenses are costs associated with activities outside of the production and business operations that generate revenue for the enterprise These are losses resulting from unrelated events or transactions that are not part of the company's usual business operations They might also consist of neglected or disregarded costs from prior years

- Costs of asset liquidation and disposal, including the expenses related to the bidding process for the liquidation activities

- The difference between the fair value of assets received in a small-value investment joint venture and the cost of investment in jointly controlled assets

- Impairment of the remaining value of fixed assets

- Residual value of assets from asset liquidation and disposal (if applicable)

- Loss arising from revaluation of materials, inventory, and fixed assets contributed as capital to subsidiaries, joint ventures, investments in associated companies, and other long-term investments

- Fines and penalties imposed for breaches of economic contracts and administrative penalties

Expenses related to corporate income tax

In this context, Khoi Minh Logistics can seize the opportunity to develop and enhance its position with a right development orientation, such as:

- Expanding transportation network: The company can enhance and expand its transportation network, including both sea and air routes This will help broaden the scope of operations and strengthen the ability to provide freight transportation services domestically and internationally

In summary, Khoi Minh Logistics Company can achieve future growth and success by expanding its transportation network, investing in technology, expanding services, emphasizing personnel training, and building accounting system These development directions will enhance competitiveness and meet the increasing demands of customers.

Suggestions for improving accounting for revenue, expenses and evaluation of

Firstly, about completing the accounting system The company should focus on recruiting and training personnel for the accounting department As mentioned earlier, there are limitations in the accounting staff Therefore, the company needs to strengthen its recruitment efforts to attract qualified individuals with relevant accounting knowledge and skills Additionally, investing in training programs and professional development opportunities for the accounting staff will enhance their capabilities and ensure they are well-equipped to perform their accounting tasks effectively, especially providing training courses related to recording revenue, expenses, and determining business results will help improve the skills and job quality

By building a competent and knowledgeable accounting team, the company can improve the overall quality and accuracy of its accounting processes

Secondly, regarding ensuring information security when using accounting software as well as other related software Accountants should establish and control access to accounting software and related software Only grant access to necessary individuals based on their tasks and roles This helps ensure that only authorized personnel can access sensitive information Moreover, they can perform regular backups of data from accounting software and related software Ensure that backup copies are securely stored and capable of data recovery when needed Test and perform trial data recovery procedures to ensure the integrity and availability of data The company also needs to provide training for employees on the safe and secure use of accounting software and related software Ensure that employees understand information security risks, safe procedures when using the software, and how to identify and report security issues

Thirdly, the company should establish a regular review and verification process to ensure the accuracy of accounting data The accounting figures should be checked and compared with corresponding supporting documents and reviewed to identify and rectify any accounting errors Verify that the figures have been recorded correctly and are consistent with corresponding supporting documents For example, reviewing and verifying the accounting records, including financial statements, general ledgers, journals, and supporting documents such as invoices, receipts, contracts, and bank statements Ensure that the recorded figures accurately reflect the transactions and are consistent with the corresponding supporting documents

Fourthly, about the linkages between accounting and other departments The company and accounting department should ensure that accounting information is closely linked with other departments within the company This ensures that accounting data is provided and used consistently and accurately throughout the organization This includes providing accurate and complete data related to sales, purchases, inventory, expenses, and any other transactions that impact the financial records and documents delivery note, contract,…)

Fifthly, for each incurred contract, accounting needs to communicate with the director and sales staff to plan for estimating the potential compensation for customers and setting aside provisions for contingent liabilities

When contingent liabilities meet the recognition criteria, accounting proceeds to set aside provisions in accordance with the agreement stated in the contract with the customer

Sixthly, about completing accounting method Costs related to the provision of transportation services to customers should be recorded and accumulated in account 154-Cost for work in progress Then, when the service provision is completed, revenue should be recognized in account 511, and simultaneously, the accumulated costs in account 154 should be transferred to the corresponding account 632

With this accounting approach, costs will be recognized at the appropriate timing, in accordance with regulations Additionally, when costs are recorded in account 154, the accounting department can easily track the incurred costs, ensuring accurate and updated data This will facilitate effective cash flow planning

For example, accounting records the incurred local charge costs during the provision of services to customers

When local charge fee is incurred:

Debit 154 - Cost for work in process:

When service is completed, carry forward this cost to cost of goods sold: Debit 6323 - Cost of goods sold of the regular consulting service:

Credit 154 - Cost for work in process
