GOODWILL GLOBAL LOGISTICS CO., LTD focuses on developing import and export freight forwarding services and providing professional transportation-related support services in the Ho Chi Minh area Transport routes mainly operated by GOODWILL are routes from Vietnam to ports in Asian countries GOODWILL GLOBAL LOGISTICS provides services, such as sea freight, air freight, barge service, handling project cargo, handling transshipments cargo, customs import & export declaration, and shipping agency
1.3 Functions and missions of the company
Since its beginning, GOODWILL GLOBAL LOGISTICS has provided forwarding services, transportation of import and export goods, packaging services, bringing goods to the port, customs clearance, organizing loading and unloading, and taking goods to the warehouse for delivery at the request of customers In addition, the company also performs a number of other related services such as collection and distribution of goods, warehousing, customs clearance, consulting on investment cooperation, processing, and import-export business The company works with a high sense of responsibility and brings the best quality to customers The company's partners are mostly reputable enterprises in the Logistic industry such as Maersk, CMA CGM, Evergreen, DHL, Vietnam Airlines, etc
Besides, GOODWILL GLOBAL LOGISTICS can handle the goods on air transport routes, and sea transport; go to airports, and ports in Asia, Europe, America, and Australia; with professional staff and competitive rates, reasonable costs The vision of GOODWILL GLOBAL LOGISTICS is to be a leading logistics company in Vietnam’s top 30 in 2040, and working offices in other countries Providing a comprehensive supply chain of logistics services to internal and international import and export customers

1.4.2 Functions and missions of each department
The function of the Manager is to be the brain of the company, responsible for corporate governance, strategic planning, and policy Tasks of Manager consist of making business plans and company development strategies, issueing company rules and regulations In addition, the manager manages the activities of the departments, builds and maintains relationships within and outside the company
The function is to be the effective arm of the Manager, assisting in the development of the company Tasks of Vice Manager include supporting the Manager in managing and operating the company's activities as assigned by the Manager, managing human resources The Vice Manager also make plans to ensure the achievement of business and production goals
The function is to generate revenue for the company Tasks of sales department include finding customers, and offering prices and services, getting customer shipment information, and advise customers, contacting shipping lines to check prices and get a quote, sending the necessary information to the documentation department for them to make the necessary documents They also coordinate with other departments to handle shipments smoothly, solve arising problems, and update shipment status to customers
The function is to be along with the operation department to complete the company’s service process to satisfy customers Tasks of documentation department include receiving requests for documents and shipment information from the Sales department, making import and export documents such as Commercial Invoice, Packing List, etc, making import and export declarations for the shipment and hand them over to the customs clearance field officer at the customs branch, making Bill of Lading, Air Way Bill, support declaration of VGM, SI, etc Other tasks are making Debit Notes from the system to send to Sales for Sales to send to customers, getting pre-alert from Agents/Lines or make and send pre-alert to Agents/Lines, declare E-Manifest, make NOA send to customer
The function is to be along with the documentation department to complete the company's service process to customer satisfaction Tasks of operation department include receiving documents from the sales/documentation department to clear goods and supporting tax payment at the customs department They receive requirements and necessary documents from the Sales/Documentation department to make documents such as C/O (Certificate of Origin), Phytosanitary, Fumigation, insurance, and other permits and certificates The operations staff check goods, support other specialized management procedures, directly
12 declare ECUS/VNACCS customs, and support the Documentation department in doing other necessary documents
The function of accounting department is to be the spokesperson of the company working with financial authorities on financial and accounting matters Tasks of accounting department include lending Operation department advance money to make goods, checking the figures, and using accounting software to make books, accounting for expenses, and preparing financial statements In adddition, they do tax reporting, finalization reporting, issue necessary invoices, store all import and export documents, support other departments when needed, and doing the arising work when required by Manager or Vice Manager 1.4.3 Human resources

The company was established in August 2021 with limited staff and a low number of customers, so the fourth quarter of 2021 revenue is not outstanding However, the company's business activities were still effective and earned 276 million dong in profit due to the high demand for transportation at the end of the year to prepare for major holidays such as Christmas and New Year After one year, GOODWILL GLOBAL LOGISTICS also had a stable customer base and continued to have a busy Q4 with a high volume of customers and supplies due to a sudden increase in demand at the end of the year Therefore, the company eared a profit of VND 363 million, equivalent to profit growth of 31.5%
At the end of 2021, the regulations on social distancing in Vietnam are relaxed along with that, the world situation also has positive changes, so the demand for import and export of goods has increased significantly To meet the increasing transportation demand, the company has recruited more personnel to ensure business operations Over the same period, the company's profit growth (31.5%) was not commensurate with revenue growth (42%) due to the impact of the Covid-19 pandemic which resulted in some unexpected costs This increase in costs is not too negative to ensure the business operations of the company Even though costs increased significantly along with revenue, Q4 2022 was still a productive period The profit of the fourth quarter of 2022 is 363 million dongs and 87 million dongs higher, equivalent to 31.5% compared to the same quarter of 2020 This period can be considered a successful quarter for the company However, the growth rate of the cost is greater than the growth rate of the revenue showing that the company quite slowly developed
THE PROCEDURE OF FORWARDING EXPORT GOODS IN FULL
Contact the shipping line to check the train schedule, space on board
Sales staff have to confirm the port of loading, port of discharge, kind of commodity, volume of the cargo and delivery date to the customers Then, the sales staff contacts many shipping lines to get 3 or 4 options for the customers The sales staff will check the ship's schedule and ask for the prices of ocean freights
2.1.3 Set up quotes for customers and consult
After having the prices of ocean freights, the sales staff will check a local charges tariff which is made by GOODWILL The sales staff prepare quotations by making an Excel file that contains the ocean frights and the local charges The sales staff sends the quotations to
17 the customers via email Then, the sales staff will contact the customers for their thinking about the quotations If they do not like the prices, the salesman will ask them for their requested price and re-contact the shipping lines to get better prices by negotiation Again, the salesman prepares the quotations, sends them to customers, and asks for their opinions 2.1.4 Negotiate and sign service contracts with customers
After COLUSA-MILIKET FOODSTUFF JS COMPANY teviewed the quotations and agreed to book the ship, the sales staff of Goodwill Global Logistics Co., Ltd negotiated the services and conditions in the service contract The two parties signed a contract to hire the following services of Goodwill Global Logistics Co., Ltd.: Ship booking service and customs declaration.
Book a ship and get a Booking Notice from the shipping line
Once the contract has been agreed upon and signed, the sales staff proceeds to send a Booking Request to the shipping line Shipping line will consider cargo type, weight, and space on board The shipping line then agrees to receive the freight and send the Booking Notice to Goodwill Global Logistics Co., Ltd When receiving the Booking Notice, the company will notify customers so that they can prepare the goods and deliver the goods to port before CY Cut-off time At the same time, the sales staff will transfer the Booking Notice to the operations staff to go to the port/depot to receive an empty container and deliver it to COLUSA-MILIKET FOODSTUFF JS COMPANY to stuff goods to the container.
Receive a set of documents from the customer and check the information
do not specifically mention other special documents, so first, the documentation staff need the Sale Contract, Commercial Invoice, and Packing List When the information is correct and matches, there is no need to ask customers to edit more documents
2.1.7 Perform the operations in the service contract
2.1.7.1 Electronic customs declaration on ECUS5-VNACCS software
The documentation department will declare customs based on the documents of the goods COLUSA-MILIKET FOODSTUFE JS COMPANY provides: Sale Contract, Commercial Invoice, Packing List, and Booking Notice After synthesizing and checking all the information on the documents, the documentation staff will make an electronic customs declaration for the shipment using ECUSS-VNACCS software
After preparing all the customs documents, the document staff will log in to the ECUS5- VNACCS software to make a customs declaration for the exported FCL shipment After setting up the ECUSS-VNACCS system and entering data for the customs declaration, the document officer will transmit the declaration and receive the result of the number 1 channeling, which is the green channel The green channel will be exempt from detailed inspection of documents and goods inspection
2.1.7.2 Stuff the goods and carry the goods to the port
Because it is a full-container-load shipment, when sending a Booking Notice, the shipping line will also send an Empty release order to Goodwill Global Logistics Co., Ltd After receiving the Empty release order from the shipping line, the operations staff will bring the order to the Control department of the shipping line at the port to get an empty container The Control department will give the operations staff a set of documents including container number, seal number, container level position, and the Empty release order signed by the Control department so that the empty container can be obtained The operations staff will hand over this document to the driver towing the container to the designated yard of the shipping company and present the approved order to issue the container, pay the container handling fee to the Commercial department and receive EIR
When the container is unloaded, the container driver will check the condition of the container (floor, roof, wall, door) to make sure the container is clean, good, and safe to pack
If there is a problem, the driver will immediately notify the operations staff, they will notify the Control department to request another container This ensures the safety of the shipment, avoiding the loss of fines if after receiving and packing, the container is found to be damaged After checking the condition of the container, the driver taking the container will sign the handover record and confirm that the container is in good condition
The driver will take the empty container to the warehouse of COLUSA-MILIKET FOODSTUFE JS COMPANY to pack the goods into the container Goods after being stuffed into the container will be transported to Cat Lai Port to prepare to board the ship before Closing time — the latest time to complete the procedures for unloading the container at the designated yard stated in the Booking Notice
2.1.7.3 Do the goods clearance and the confirmation of ship registration
After completing the electronic customs declaration for the shipment, the operations staff will prepare documents for customs clearance for the goods, including Customs declaration, Sale Contract, Commercial Invoice, Packing List, Company Introduction letter, EIR slip (confirming that the goods are at the port) The operations staff will bring a set of documents to be submitted to the Cat Lai Customs officer at the port of entry to receive customs procedures The Customs officer will check whether the goods have been cleared on the electronic customs data processing system, compared with the customs declaration presented by the operations staff If it valid, the officer will sign and stamp the application and return it
After the declaration is cleared, the bar code will be issued, and the operation staff will apply the declaration with the barcode to make the confirmation of ship registration Based on Booking, the operations staff will write the ship's name, trip number, container number, and seal number for the officer to confirm to the ship registration When doing the confirmation of the ship registration, the operations staff will receive a confirmation from the Customs office, including 2 white and yellow copies The operations staff will check and sign both copies, return the white one to the officer and keep the yellow one as a basis for complaining to the shipping line if the goods are dropped Simultaneously, the operations staff receive the declaration form and barcode
2.1.7.4 Receive SI and VGM from customers and send to the shipping line before Closing time
After the goods are cleared and registered, the exporter will send the SI and VGM to Goodwill Global Logistics Co., Ltd The document staff will follow the customer's SI, and VGM to update the SI, and VGM on the shipping line website before VGM Cut-Off
Date/Time Goodwill could be fined or prevented from loading the cargo on board for late submission of SI and VGM
2.1.8 Receive MBL from the shipping line
After the goods have been loaded onto the ship, the shipping line will have based on the
SI and VGM received issue a draft Bill and send it to Goodwill Global Logistics Co., Ltd The documentation staff will check the information on the draft Bill If there are errors, the documentation staff will report it to the shipping company for correction After confirming that the draft Bill is correct, the shipping company will issue the MBL to the company Before receiving MBL, the company's accounting department must pay the fees to the shipping line
2.1.9, Send MBL to customer and collect service fee
When receiving the MBL from the shipping line, the document officer will send the MBL to COLUSA-MILIKET FOODSTUFF JS COMPANY so that the customer can complete the set of documents and send it to the importer The document staff will make a Debit Note including the fees paid on behalf of the customer such as domestic transportation service fees, container handling fees, Billing fees, and other fees incurred during the implementation of the service Debit Note will be sent to the customer to request payment of the service fee to Goodwill Global Logistics Co., Ltd
2.1.10 Track the shipment, handle complaints (if any) and store documents
Even though the goods have been loaded on the ship and the customer has paid the service fee in full, the sales staff must always monitor the shipment's journey until the goods atrive at the port of discharge The importer confirms that the goods have been received successfully and safely, then the job is finished When COLUSA-MILIKET FOODSTUFF
JS COMPANY completes the payment and the goods have been successfully received at the port of discharge with no complaints arising, the accounting staff will keep the documents within 5 years according to the regulations of the State for presentation when required by law enforcement agencies

The company's website is quite complete, but it lacks useful functions such as tracking orders, checking train schedules, and tracking documents The company does not have its own means of transport but depends entirely on outsourced vehicles That makes it difficult

The facilities and equipment of the company have not been correctly cared for The company's printer sometimes doesn't work, and printed documents sometimes have blurry text The company's wifi will sometimes be unstable, slowing down the process The company's sofa is quite hard, making employees, as well as customers uncomfortable Because the company has not had a long experience in the profession, it is difficult for GOODWILL GLOBAL LOGISTICS to compete and win many customers from big competitors in the market Besides, the company has difficulty in contacting and negotiating Service prices with customers because the company has not yet expanded related services such as renting domestic transport vehicles or renting warehouses This is essential because it brings convenience to customers Logistics customers often hesitate to hire many service providers for one or a few shipments because of complicated administrative procedures and many contracts If it is possible to expand its business, it is not difficult for GOODWILL to develop further
In addition, in the process of working, the company also encountered some difficulties such as receiving and checking documents due to lack of delivery, late delivery, information on documents did not match There are some difficulties like customers delivering goods to the port late at the Closing time, missing the transport; customers ask for a price much lower than the company's service offer; the terms in the service contract that the customer offers are quite difficult to implement, etc

GOODWILL should build a good relationship with stakeholders during the delivery of goods The staff should be responsible for reminding each other in tracking the cargo during the process of delivery This helps the company recognize when problems occur and quickly find solutions to the troubles
