Step 3: Get the Deliver Order (D/O)
About 2 days before the ship arrives at the port, the shipping company will send us an arrival notice (AN) This notice is required to contain the following information:
- Shipping line or forwarder (FWD), the issuer of the notice
- The corresponding Bill number of the shipment.
- Date of arrival, date of arrival at the port, lay/can
- Required documents and requirements to receive delivery orders
- In addition, there is information about the charges or regulations of each FWD shipping line
To retrieve a container for our company's warehouse, we must adhere to the regulations of each shipping line, which involves requesting the container via email and paying a deposit Upon approval, the shipping company will issue a container loan certificate, allowing us to borrow an empty container This empty container is essential for the driver to complete the return process once unloading is finished.
After settling all fees, the shipping line staff will provide four copies of the Delivery Order (D/O), which will be stamped and signed It is essential to verify the D/O set before departing from the shipping line Please note that the traditional paper D/O has transitioned to an Electronic Delivery Order (EDO), which is now received via email and Fax-mail.

When goods are shipped directly to the shipping line, one set of Delivery Orders (D/O) is issued by the shipping line However, if the goods are transported through a freight forwarder (FWD), two sets of D/O are required: one from the shipping line and another issued by the freight forwarder.
Agents can streamline the pickup process by registering to collect goods directly from the ship to the warehouse, eliminating the need for internal transfers To register, agents should email the dispatch center at kncl.kvtc@saigonnewport.com.vn or call (08) 37423928 – 37423929 – 37423917, extension 2648/2629/2651 It is essential to provide the container number, ship name, vessel, arrival date, and warehouse No 2 Additionally, agents must send a notification email at least one day before the estimated time of arrival (ETA).

Step 4: Register the declaration at the port
• Prepare a set of documents to go to work, including:

To successfully submit your documents at the Import Border Customs Branch, place your dossier in the declaration distribution tray and wait for an officer to assign it to a customs officer This process will inform you of the designated customs officer and the specific door for submission Typically, forwarders may directly hand over documents to customs officers who are already familiar with the company's goods.
Note: At this step, if your shipment is yellow, then move to step 6 If your shipment is red, then jump down to the step below and go to step 5

After registering with the customs team and entering your tax code, input the declaration number into the available machines at the port to identify the Customs officer responsible for your inspection.

To initiate the seal cutting process, submit a Delivery Order (D/O) and a letter of introduction at the registered seal location or via the Eport website to obtain a seal cutting slip Once you have the cutting/sealing request, locate your container as indicated on the request If the container is elevated, coordinate with the forklift team to lower it for access.
After submitting your goods for inspection, patiently await the customs officer's evaluation During this time, reach out to the port's seal-cutting worker to coordinate the timing, ensuring that the seal-cutting process is efficiently managed.

Step 10: Return the empty container and get the container bet back
Once the goods are delivered to the warehouse, the carrier is responsible for returning the empty container to the designated shipping line location within the specified timeframe of the container loan agreement Upon returning the empty container, the carrier will receive confirmation of the return This confirmation, along with the container loan document, can be presented to the shipping company to reclaim the container deposit as outlined in step 3.
Step 11: Final settlement and recordkeeping
After delivery is completed, the forwarder will compile a detailed list of incurred costs, including shipping and customs fees, along with invoices and any additional costs without invoices The company director will review this payment statement, seeking clarification from delivery staff on any discrepancies Upon acceptance, the director will sign and stamp the document for certification Subsequently, the company's accountant will consolidate these payments into a Debit Note, which will be sent to the client company, encompassing the service fees provided.
After the customer has finished paying, the staff of the document department will return all documents to the client company:
