The leader of VNKS is General Director Lee Yong Bae, who holds the most power in his hand, responsible for the direction and implementation of strategies and policies for the company Next is factory manager Chae Mun Su Mr Chae Mun Su is in charge of 3 departments of the factory:
« Production (planning, inspecting, and supervising the entire production process, ensuring the entire production line is stable);
" QA / QC ( undertaking the task of system building, production process, quality control and monitoring, conducting improvement activities);
« Sample Room (developing and testing sample products) In addition to the departments belonging to the manufacturing process, the company has a merchandising department (managing, tracking orders); and general affairs such as Accounting,

II Plan of internship program The Trading (import/export) Department is the place where I completed my two-month internship, from July 1 to August 31, 2020 My workplace is located on the 4th floor, Vimeco building, No 29 Pham Hung Street, Trung Hoa Ward, Cau Giay District, Hanoi The department's function is to coordinate and control supply chain activities, to ensure that the company's resources are used efficiently, and to use logistics technologies to optimize the freight process Specifically, the trading department's staff will prepare the foreign trade contract, payment documents, carry out the necessary foreign transport to bring the merchandise to the factory, as well as customs declarations, and so on As a logistics intern, I was supervised and instructed by the department's manager, Mrs Tran Thuy Nga, who is in charge of overseeing and running staff activities
Although my major is Business Administration, exploring expertise in how consignments can be exported or imported into a country has been my dream for a very long time That is the main reason why I decided to be a logistics intern, and my desire is to have a chance to work in this field in the future There is no doubt that there is a lot of expertise and skills that I must learn while choosing this profession, but I see it as a perfect opportunity to gain experience while still integrating what I learned in three years of university In addition, I was eager to develop my professional working style and workplace communication skills, such as coordination, organizing, working independently, and working carefully
During the internship, I learned and got acquainted with a amount of documents such as Commercial Invoice, Packing List, Sales Contract, Customs Declaration, Insurance Certificate, Purchase order (P/O) and Bill of Lading In addition, I got to know ECUS customs declaration software After learning and acquiring basic knowledge about the necessary documents, I was assigned to check payment from customers, compare them with the declaration entered on the software and vehicle dashboard and fill in the collated data in the table (Appendix 0) Besides, I

Trang 7need to gather the above documents from the factory and apply for a Certificate of Origin (C/O) (Appendix 1)
Ms Nga, the department's director, was very helpful She was very enthusiastic about training and advising me anytime I had a problem Furthermore, coworkers are happy to show me my faults when working Finally, the professional office environment has helped me appreciate it a lot; workers must follow the company's rules on schedule, uniforms, and, most importantly, accuracy at work in order to not impair general performance
Ill Major Assignments Specifically, with the vehicle dashboard (Appendix 2), I will check the date and time of car booking, number of vehicles, volume of vehicles and containers, cargo volume, destination, cut-off time Furthermore, I was responsible for checking and comparing the license plate, the driver's phone number, and if there is a problem with the driver, I would call them and report back to the manager to find a solution Finally, I must keep an eye out to see if the freight car has been abandoned in the warehouse, if it is on the highway, or if it is on a normal lane From there, T'll have to compare the export and import declarations on the ECUS software (Appendix 3), which is an electronic customs declaration software for import and export businesses I would compare and verify payment with the carriers after ensuring that the information is complete and accurate This is important in order to defend the interests of the VNKS company as a whole and it requires a lot of care
To talk in more detail about my second main task - gathering documents and applying for a certificate of origin After the staff completes the customs declaration on the ECUS software, they will download the export declaration and the import declaration (Appendix 4) I will make 6 copies Next, documents such as Commercial Invoice (Appendix 5), Packing List (Appendix 6), Sales Contract, Insurance Certificate, Purchase order (P/O) and Bill of Lading were also photocopied into 6 copies They then all make up 6 sets of customs documents My next task is to deliver these six files to the Ministry of Industry and Trade, located at No.25 Ngo Quyen, Trang Tien, Hai Ba Trung, Hanoi, or to the Trade and Industry of Vietnam, located at No.9 Dao Duy Anh, Phuong Mai, Dong Da, Hanoi, as directed by the department director Applying for C/O would take a long time, maybe all day if I start at 3 p.m However, if I submit from 9-10 am,

Trang 8I will receive a C/O in the afternoon This work happens regularly, maybe every day That is the reason why the import-export department of the company is located in Hanoi to facilitate C/O application
IV Organizational Analysis 1 SWOT Analysis » Strengths
An significant strength of VNKS is that they have a consistent source of clients, as well as a consistent number of orders, brought from the Korean parent company Kyung Seung, combined with the fact that VNKS is one of the companies with 100 percent foreign investment that was established early in Phu Tho Town, a company with 15 years of experience in the garment industry Since then, the company does not have to worry about its output problem, not about inventories and outdated in the future Furthermore, according to VDSC's study, Vietnam has emerged as the first option of American apparel firms to partially replace Chinese products due to lower prices than China and India, but higher productivity than Bangladesh
= Weaknesses During my internship at VNKS, I discussed with my managers and discovered one downside of the company, which is that although the company's supply of orders is stable, coming from customers from the US and European markets, However, the company’s supply of orders will be affected when the political economy of this market fluctuates by factors such as epidemics, violence or the rise or decline of the regional economy Furthermore, as a result of the COVID-19 pandemic and US-China trade disputes, the market climate for American fashion companies has been more volatile, resulting in shifts in sourcing strategies for US fashion companies
" Opportunities According to VDSC, imports of US cotton textiles from China will fall by nearly 40% by 2020 "Since Vietnam primarily imports cotton from the United States and Brazil to supply yarn, the United States’ ban on Tan Cuong Cotton would free up more opportunities for Vietnam's

According to a BSC researcher, the recent Tan Cuong Cotton case is also expected to intensify the trend of shifting orders from China to countries with lower labor costs, including Vietnam This is regarded as a fantastic prospect for Vietnamese garment firms VNKS will undoubtedly benefit from this growth potential, which coincides with the momentum of pandemic development and recovery, as well as the Tan Cuong Cotton case

Associate Professor Raj Kishore Nayak (School of Communication & Design) Since the industry is largely reliant on an interconnected global supply chain, it has been subjected to substantial disturbances Due to sharply decreased demand, many major stores and clothing producers have downsized or shut down entirely Meanwhile, the Ministry of Industry and Trade predicts that the apparel and fashion sector will begin to face difficulties in 2021, based on the global disease situation Thus, with such great challenges, the VNKS company will face many difficulties in the future Still, with the expertise and resources at its disposal, I think the organization can conquer these obstacles
2 Strategic/operational problem identification Operational problem of the company
After closely listening to the manager and the other employees in the meeting, I've determined that one issue that VNKS is dealing with is that the data management system and the performance management system both have an opposite or opposition in monitoring data controls when speeding development growth Imports and exports, for example, must be registered on a weekly or quarterly basis However, the statistics team at the factory is often delayed in filing results due to factors such as busy manufacturing, late overtime, and a lack of time to write As a result, the import and export department lacks a report to compare

Trang 10Consequences of the current problem The discrepancy in data tracking between data management and production manager will cause a complete delay in document reporting so that the import and export department could follow up Without a weekly report, the trading department could not compare the data, leading to either work would pile up, or when there were errors it would be harder to detect than every week comparing it And when a company has many separate departments, divisions, offices and production, this will always happen
Solution to the problem
After identifying the problem and consequences, I have researched and consulted some solutions, I hope it will be useful to the company I believe the company needs to organize some training sessions for employees to improve control, track documents and timely report to the production statistics team Besides, the company also needs to train the production management team to get the best coordination with the import-export and accounting department This approach is intended to aid in the accurate recording of company records, prompt collation, and the creation of a method that more effectively represents the status of import and export, as well as the management of raw materials, import and export materials Finally, the management must develop a solid team in each department, working closely with the manufacturing team to construct a smooth structure that accurately represents the company's production activities
Based on the solution I provided above, I believe that engaging in training sessions together would foster a bond among workers, allowing them to develop and extend a harmonious, positive partnership I even applied a philosophy of Organizational Behaviour taught by Mr Quan, which is the theory of how to create an efficient team, and I suggested that they form a virtual team - teams that use computer technologies to connect physically dispersed participants to accomplish a shared purpose The organization should form a variety of team partnerships, and these individuals can join a team, spend time sharing ideas, and thereby generate opportunities for smooth, efficient, and timely collaboration In general, my understanding of work teams and communication skills aided me in finding a solution for VNKS

Trang 11V Internship Reflection During the two months of internship period, I have gained many useful and valuable skills that strengthened the experience I gained at FMT
Knowledge acquired At first, I still remember the subject Business Communication that I was fortunate to study in the 2nd year of college Ms Pham Thanh Hang and Ms Ngo Thi Thuy Linh have conveyed and allowed us to practice writing emails smoothly This really makes sense when I am a trainee at VNKS Here, I have to exchange work with the manager and my colleagues via emails, and my email writing skills are judged to be quite professional Even at the final exam in Business Communication, we got into the oral interview for the position that we wanted At that time, although my score was not high, I got comments from the two teachers and that was really valuable luggage, helping me get accepted as a trainee position in VNKS
Second, I will put my experience of collaboration and teamwork, independent practice, and thanks to what I learned in Leadership and Human Resources Management - all taught by Mr Phan Hoang Quan - to use My listening and working skills are excellent as a result of my experience Furthermore, Mr Quan's Organizational Behavior assists me in observing and identifying the organizational community, through which I incorporate and adapt
Skill learned To begin, reading and English skills are two of mine that are continuously expanding when I read documents or contracts Working for two months has allowed me to familiarize myself with import and export terminology in English I am aware that the import and export industry necessitates employees who are proficient in a foreign language, such as English Both business and merchandise trades are conducted in English or another foreign language However, English remains the most widely spoken foreign language As a result, if I do not speak a foreign language, I would have a tough time surviving in this occupation
Second, today’s occupational jobs necessitate the use of proficient office skills such as Excel, Word, and etc, and these are highly useful tools for assisting in a range of tasks

Trang 12Fortunately, these abilities were taught to me during my freshmen year, and I was able to use them during my two-month internship at the company I assume that knowing how to use Excel or Word will always be useful in many of my upcoming ventures Furthermore, since I practiced strategic thinking and worked under pressure on a regular basis at FMT, I did not encounter many difficulties and found it surprisingly easy to adapt to and process the job requirements at VNKS
Besides which, I can read transportation monitoring charts, shipments’ transit schedules, and quantify the price to be billed and the amount paid in advance to consumers This is an immensely important talent to me, and it would be a valuable opportunity even though I have not graduated yet
Observed attitudes and gained values During my two months at the firm, I discovered that a strong sense of duty is an important job characteristic I've seen official staff remain in the workplace until all work is done, such as arranging customs procedures to be forwarded the following day to the Ministry of Industry and Trade Only a minor mistake forces them to carefully examine and correct it; otherwise, the package can be harmed and not cleared Based on what I've seen, I think I need to be accountable for this work, the business, and the customers
Carefulness, or meticulousness, is an attribute that complements the preceding obligation As I previously said, even minor errors may have a significant impact on the overall success of the agency, as well as the import and export of products It would then have an effect on the factory's output Moreover, meticulousness is a valuable virtue when it comes to reviewing budgets and schedules of transportation vehicles in order to fill out payment slips for clients So, being cautious is a trait I want to cultivate both now and in the future
The most challenging task performed Looking back, the most difficult job I completed was the paper comparison In the beginning, I made several mistakes and numerical errors This was due to my forgetting the pricing of container vehicles or failing to note whether a car was parked in the storehouse Even

Trang 13so, being introduced to a vehicle dashboard for the first time made it complicated for me My collation process was delayed by a shortage of input from the plant However, due to Ms Nga's enthusiasm for guidance and preparation, as well as my own efforts, I became accustomed to the numbers and successfully completed the payment papers
VI Internship Summary
Two months of internship in VNKS's import and export department provided me with outstanding experiences One factor that can be seen is that the internship here has enhanced my resume, and I feel that I would have an edge in the eyes of the recruiter because of the job that I had, the assignments that I was given, and most importantly, because of the internship here, I performed well with them and received a positive rating from the boss Although in the early days, I was not very careful and meticulous, but I have learned a lesson about them
This is also an excellent chance for me to put the skills I gained at Hanoi University's FMT into practice, as well as to refine and practice them more by work Additionally, the professional working experience and wonderful coworkers assisted me in adapting to and enjoying this career Most notably, I believe I have found a job that suits me, even though it has little relevance to my field of study; however, in the future, I want to apply everything I've learned to this work
In the end, I not only improved my soft skills such as communication and responsibility, but also learned a lot of new things including import and export terms, or skills to work in Excel Therefore, this internship has opened up a pretty long direction on my career path
