the plan and schedule of advanced program, the intership is considered as a great opportunity for GMA02 students to access the practical environment in companies as well as enterprises For most students of us, this intership is a highly anticipated event It is important to help bridge the gap between education and handson experience, crucial for all students to acquire increased knowledge, business culture and hands-on experience After more than four years of studying, we can compare what we have learned with practical applications in order to choose as well as orientate what’s good and consistent with our ability, help us more confidence to step outside to find the job Personally, I strong believe that intership is a vital opportunity for us to get out of our house and university We meet a number of people and seem to struggle to fit in days in our busy schedules This is a reasonable time to build and widen our relationship, improve our abilities of communication, working independently as well as adaptation in new professional environment Furthermore, intership helps us become open-minded and outgoing The negative influence of studying at university and college is forming a sedentary and passive lifestyle that reduces the motivation of students New environment at company and enterprise will promote our creativity and thinking Therefore, the intership expands our learning through active hands-on experience with the rich resources of the local community It increases our knowledge and understanding of a subject and realism to the topic of study From my point of view, warehousing and warehouse management are part of a logistics management system, which is itself a component in supply chain management Although viewed by some as simply a place to store goods, it actually plays an important role regarding to inbound and outbound logistics Therefore, I am really fascinated by warehouse and I decide to engage in topic namely process of operating receiving goods CFS During one month of field trip, I have had opportunity to practice in Duyen Hai Transport Co., LTD (TASACO) which is one of Members company TASA DUYEN HAI functioning mainly in warehouse services It must be admitted that I have done my report with amount of challenges because of my inadequate knowledge but no matter how my result, I hope that the intership would be a good two months of internship, with a wish to study the CFS operation activities, I have chosen this topic: "Recommendations to improve CFS operation at Duyen Hai Transport Co., Ltd (TASACO)" This research will give an insight to the CFS activities at TASACO And from that, Iwill give proper solutions to increase the development of company Research Object This study is conducted to study the CFS warehouse operation at TASACO and find the possible ways to improve the services CFS of warehouse Methodology of the research For study, this dissertation is gathered information from both primary and secondary sources From primary source, information is gathered by: visiting CFS warehouse at TASACO and learn information about the CFS operation; observing the activities in managing CFS warehouse From secondary source, information is found and gathered in documents related to CFS warehouse operation, especially the exported and imported goods process; dissertations, journals, books related to CFS warehouse operation, services and activities in CFS warehouse Limitation of the research During the process of studying this topic, there are some limitations and hindrances in conducting the paper Firstly, studying and evaluating the CFS operation of a particular company need an amount of time Due to the time limitation, this report is conducted with the urgency Information is gathered mostly by the process of observation and studying in the appointed time Therefore, it may lack some information Secondly, there are some problems in observing the real process of operating CFS warehouse at TASACO Because this report is conducted in the busy time of the company, it is not easy to supervise CFS activities and collect data Besides, some information about the company is kept in time agreed CFS warehouse will check the goods carefully before they receive If the latter case, they must have the consent of the lessee, the CFS warehouse will receive goods (must take picture the current status of the goods) - Goods package not stick tape or stickers to facilitate expression - Goods package or goods damaged or in poor condition (scratch, puncture, wet ) - Goods package missing codes compared to in the booking notes - Have any other special case occurring with the goods package - Delivery to the warehouse late (after 05 pm on Saturday) or late delivery of customs declarations, CFS received the goods only when there is a "Request received the goods late" lessee of warehouses and accepting receive goods of CFS CFS will received the goods and classified by item code, size, goods style, color under the guidance of the lessee is representative of shippers Make a manifest follow the category, sample code of goods - CFS will on behalf of the lessee issue documents to delivery party Documents of delivery must be signed by representatives of the CFS and the delivery representative - Shippers must submit booking confirmation, packing list, certificate of authorization (if necessary) and customs declarations when delivery - If shipments are expected to load in the same container and have one or several shipments to be postponed, the CFS must be agreed must coordinate with customs and if necessary to coordinate the supervision of the lease Step Loading cargo into container - The lessee must ensure that shipping line will layout empty container at CFS warehouse to packing CFS will comply with the guidelines of shipping line - CFS will coordinate the shipping line to ensure empty container is available and in good condition for packing - The lessee may request the warehouse to transport container from the CFS yard about packing Written request with the following contents: + The number of container (type, size) + Location to lifting The lessee will pay for CFS warehouse costs of transportation, lifting Step Checking the goods - Goods owners have to complete the paperwork and submit for warehouse keeper when delivery - If goods owners not submit for warehouse keeper on time, the CFS will not responsible for goods inspection organizations as well as transport container on ship In this case, CFS notify the lessee to book other ship - CFS is responsible for checking exported goods Charges for goods already included in the CFS fee If not enough papers of customs clearance, CFS will submit the declaration to shipping line Step the receiving, storage, packing into container and transport containers on the ship as guide by the lessee - CFS must be arranged at least 01 worker to receiving goods into warehouse and at least 02 worker when loading goods from warehouse into container Step Report - Last day CFS fax copies of forwarding documents for the lessee - CFS send checking report daily to the lessee at 09 o'clock the next morning The report must reflect the transfer of goods in the previous day - Based on checking report daily, the lessee calculate to give packing order into the container to avoid focusing too much before day of ship out - CFS must send a manifest to the lessee 02 days before any ship has container intended export goods at CFS - When finished loading goods into container CFS must send results of loading report to the lessee at 09 o'clock the next morning 2.3 Performance indicators of CFS warehouse at TAS ACO 2.3.1 Cargo volume through CFS warehouse Table 2: The cargo volumes chart shows the total cargo output through the CFS warehouse at TASACO in the past years From 2012 to 2015, total output through port is increased by each year The highest point that cargo volume throughput is 16800 CMB which reached is in 2014, the lowest point is 3000 CMB in 2012 Up to August 2015, cargo output through CFS were higher than total cargo output during the same time in 2014 Although the trend have been not increased significantly but this trend is also a good sign to show that CFS warehouse business effectively and stably CFS staff has done their best to attract new customers as well as keep good relations with old partners It proves that the CFS activities at TASACO is growing strongly and make a significant roles in the development of company 2.3.2 CFS capacity The maximum capacity of CFS warehouse at TASACO is 1800 TEUs Name: Tran QuocThang Class: GMA02 Page 29 Recommendations to improve CFS warehouse operation at Duyen Hai Transport Co., Ltd (TASACO) 2.3.3 Warehouse cargo/port cargo ratio This is the ratio between the volumes of goods through warehouse and the total volume of goods through port Total volume of cargo through Dinh Vu Port in first quarters of 2015 is 104355 TEUs Total volume of cargo through CFS warehouse at TASACO in the first quarters of 2015 is4125 TEUs => Warehouse/ port ratio = 1/25 It means that the number of cargo through CY at Dinh Vu Port is more than 25 times to the total volume of cargo through CFS warehouse at TASACO 2.3.4 Warehouse turnaround time Total volume of cargo through CFS warehouse at TASACO in the first quarters is 4125 TEUs CFS capacity is 1800 TEUs => Warehouse turnaround time in first quarters in 2015 is 4125/1800 = 2.3 2.3.5 Average volume of goods through CFS warehouse per day Total volume of cargo through CFS in the first quarters is 4125 TEUs Time of warehouse operation in the first quarters is 272 days => Average volume of goods through warehouse per day: 4125/272= 3.4 (TASACO) CHAPTER 3: RECOMMENDATIONS TO IMPROVE CFS WAREHOUSE OPERATION AT DUYEN HAI TRANSPORT CO., LTD (TASACO) 3.1 Evaluation on the CFS of TASACO According to the criteria of evaluating the warehouse performance as described in the chapter The strengths and weaknesses of CFS warehouse can be tested through the four main factors: 3.1.1 Strengths TASACO’s CFS has the fixed area about 2500m2 CFS warehouses located near the CY area and the port gate This creates favorable conditions for quickly exploiting imported cargo when the ships arrive at the port, saving the CY, and shortens time that cargo flow from the berth to warehouse Besides that, CFS warehouse lies closely to the Dinh Vu Port out-gate, which is very convenient for good owners’ trucks delivery imported cargo from CFS to their destination So the process of exploiting cargo is conducted smoothly and quickly inside the port In addition to that, Dinh Vu is placed under the supervision of the Customs Gate area (Hai Phong Customs), whose headquarters located near TASACO’s CFS Therefore, the process of completing customs clearance procedures for import and export goods is conducted very quickly and conveniently CFS warehouse of TASACO is built in accordance with modern standards, having modern lighting system, ventilation system, fire protection system, ensure the safety of the storing of goods To utilize themaximum area inside the warehouse, CFS at TASACOused palletracking system joint with modern forklift trucks Pallet racking shelving systems optimize the maximum space of the warehouse, especially small warehouses Goods are stacked vertically instead of horizontally to take advantage of the height inside CFS Additionally, pallet racking system is applied to store all kind of cargoes and pallets and convenient for all kinds of popular forklifts handling cargoes Name: Tran QuocThang Class: GMA02 Page 31 Recommendations to improve CFS warehouse operation at Duyen Hai Transport Co., Ltd (TASACO) Currently, CFS warehouse of TASACO has an abundant human resources The number of staff is large (about 25 peoples), average age is young (about 30 years old) Those staffs have been trained in the professional environment On the other hand, in order to be fitted in the competitive environment in the field of logistics, TASACO has sent staffs to take part in many training courses specializing in internationaltransportation and logisticsto update new knowledge for the employees Staffs at companies is able to apply new technology and improve their works to meet the new demand from customers Established from doing shipping agent service for the shipping lines, TASACO have known very well what shipping companies needs and meet the requirements TASACO has stable customer resources from the major foreign shipping lines such as MAERSK, KMTC, NYK and from the major freight forwarders in Hai Phong It is estimated that 35% number of customers using TASACO CFS services in the Hai Phong These customers help TASACO and CFS have a stable sources of goods It helps revenue of company always increased in the recent year 3.1.2 Weaknesses Lying inside the city, the position of TASACO's CFS warehouse is less favorable than the other CFS warehouse in Hai Phong such as Green Port's CFS It limited the company’s capacity of receiving ships as well as number of the goods in the future Moreover, because of locating inside the city, the traffic road to warehouse of TASACO is narrow and cramped Sometimes, trucks going in and out warehouse can cause congestion in the region It affects to the operation activities and the movement of goods from warehouse to the port Infrastructure is one of the most important factors contributed to the capacity of a warehouse TASACO’s CFS warehouse has a CFS systems with 2500 m2 Due to planning, TASACO's CFS warehouse cannot expand more area for CFS It lead to the situation that sometime TASACO's CFS warehouse operated at full capacity and equipment and staffs is very busy to handling goods inside CFS Beside, TASACO's CFS warehouse has not had bar code reader to scan bar code for customers The ventilation system is not in the good high, causing fatigue for those working in the CFS Human resources is an important factor to run a company Although TASACO owns an abundant and young employee resources, it still has many problems at the company First of all, because average employees is in the young age, they often not have enough working experience, must follow order and instructions from their predecessors When unexpected situations happens at the CFS, they are not agile to cope with Moreover warehouse staffs are weak at foreign languages and have not enough knowledge about foreign warehouse terms Forwarding activities needs a certain foreign knowledge If the warehouse staffs not understand English, they will misread goods’ names and transfer wrong goods, and delivery wrong cargo Finally, the number of office staff is limited Only two people in charge of doing statistics and making reports while the amount of works is large Especially during the holidays or busy time, when the quantity of goods moving in and out CFS is increase, officers is in busy to finish their workload Workers sometimes not follow exact process They often skip some steps which may cause many troubles for company in case of mistakes happening Problems in process of exploiting goods: + Goods inspection has errors because warehouse staffs reading wrong ID number or label code of the goods Cargo was putted in the wrong position because workers load cargo wrongly + Packing wrong packets because workers picking wrong cargo, reading wrong cargo name Do not pack full containers or already pack full containers when there are still packets + Workers measure wrong cargo's size, or stack cargo in container improperly + Goods were stacked unbalanced + Double tapes + Empty container was chosen unsuitable shell (dirty, damaged facilities play a vital role in the process of exploiting goods Warehouse keepers and staffs directly using equipment and facility at warehouse to handle goods With the total volume of goods through ports is quite large, investing in equipment and infrastructure is necessary to improve the efficiency of warehouse Considering to the current situation of TASACO's CFS, it should be equipped with these following equipment to increase handling capacity: First of all, CFS operator should install the bar code systems to check the products One of the frequent errors that usually happens at the CFS is that workers misreading the ID products Because ID number is easy get worker confused, using the bar code scanner will help workers reading the goods' code Bar code scanner will reduce rates of human errors, saving the time of inspecting cargoes and helps the workers keep track of inventory goods Secondly, installing the conveyor belt at warehouse for fast picking and delivering cargo Conveyor systems can transfer thousands of parcels per hour And it is the economical and highly efficient way to move goods without using manual labor Thirdly, buying two warehouse scale for weighing packages and parcels prior to shipping process Next, installation of camera system inside the warehouse and using camera system is already installed outside warehouse However, camera system inside warehouse will help warehouse keepers to watch inside the warehouse, check the process of delivering goods inside and outside warehouse, inspect the forklift trucks inside warehouse and detect the human errors in the process of handling cargo - Human resource always played an important role in the development of the company Therefore, companies need to pay attention to their staff to have more advantage than competitors The specifics solutions was presented as follows: Firstly, company should focus on the quality of recruitment Hiring staff welltrained and experienced employee is a key success factor in operating warehouse Focusing on the young people because they have the advantage of updating new knowledge and be easier to catch up with to modern technology as well as pay attention in hiring staffs who know foreign languages and information technology to to communicate with foreign customers and using warehouse managing Specific Name: Tran QuocThang Class: GMA02 Page warehouse Secondly, organizing training courses to improve knowledge and professional skills for employees, help potential employees to study abroad courses This will create the opportunity for staffs to know more about in international market, learning the modern ways of operating warehouse, and increase the knowledge about managing goods Thirdly, creating a healthy and comparative working condition by setting an attractive salary, giving more bonus for skilled staffs Creating a competitive working environment to boost employees’ productivity by such ways as organizing annual competitions for the best warehouse keepers, giving award for well-tried staffs Implementing the regulation about labor safety and environmental sanitation, regularly supervising and monitoring the labor safety condition at the warehouse, providing enough protective work wear for staffs, creating a comfortable and safe working conditions for staffs - For those operating maritime services, quality service is a key element to bring success for the company Especially in the fierce competitive market nowadays, quality service is one of the factor that bring company advantage To attract customers and to enhance company image, CFS warehouse needs to enhance its service quality Firstly, changing cargo allocation in pallet for better picking Currently, cargo at CFS in TASACO is sorted and stored according to the consignee That mean cargoes of one consignee is allocated in one spot For better cargo allocation, the goods should be classified by importance and time of flows Analyzing cargo information in warehouse or warehouse profiling can be done through warehouse management system (WMS) Warehouse profiling can help warehouse keepers find which type of goods being the requested most, which type of goods being not requested or required very little in the long run Based on that information, CFS operation can arrange goods with high flow-time speed in the more accessible region High value goods should be stored in the safe zone Allocating the goods is usually picked together in the same region will facilitate the process of picking cargo Secondly, ensuring the safety of cargo by increasing staff for controlling and checking the process of shipping and receiving cargo process Name: Tran QuocThang Class: GMA02 Page 35 Recommendations to improve CFS warehouse operation at Duyen Hai Transport Co., Ltd (TASACO) 7R (right product, right quality, the right condition, the right customers, right place, right time and the right cost) is the standards of operating a modern warehouse In reality, right product, right time and right condition can be hardly archived due to the human error in the process Reducing the error in reading wrong PO and ID number can be done by applying bar code scanner in the system Meanwhile, achieving right condition and delivering in right time is mainly relied on the qualification and responsibilities of warehouse staffs Recently, in the shipping process for example, one warehouse keeper is in charging of all the process of counting cargo, writing PO, making documents and directing unloading/loading staffs To solve these problems, increasing one more staffs in charging of the tallying process to specialize in checking and counting the package While the warehouse keepers will monitor and checking the condition of cargo in the handling process By this way, it will reduce the task works of warehouse keepers as well as ensure the safety of cargo transportation in warehouses Fourthly, diversifying the warehousing activities by create more value added services By buying warehousing scale and applying bar code systems, CFS can provide more activities as scanning services, weighing packages, etc It will help to bring more benefits for CFS as well as create competitive advantage comparing to other warehousing Beside of that, company should focus on the small activities such as cleaning containers before package, be careful while handling sensitive goods such as clothes, broken goods Paying on the small detail helps to protect the customers' cargo, prevent the cargo accidents, and enhance the image of CFS -
