Introduction

Brief history, vision and mission

KPIM Joint Stock Company (KPIM) is a startup in technology industry established in 2020 by a data expert Mr Nguyen Quang Duc The company enables digital transformation for organizations, businesses, and individuals with the mission to "lead in the field of business digitization, bring competition and help businesses break through in the 4.0 era" To achieve that future, KPIM's vision is to “build digital solutions to provide administrators with information on demand quickly and efficiently”.

After more than two years of establishment, the company currently has more than 20 employees operating in both Hanoi and Ho Chi Minh City both onboard and remotely In Hanoi, KPIM has its head office at 39, Chau Long, Truc Bach, Ba Dinh, Hanoi and a branch office at 15A Yen Phu, Tay Ho, Hanoi.

KPIM stands for four words Key Performance Indicator and Monitoring, which is an indicator to measure work performance or efficiency In other words, KPIM will measure the success of an organization or a particular activity in which an individual or business is engaged This is also the area that KPIM expertise and pursues.

In 2022, after 2 years of operation, the total number of employees working at KPIM is 21 employees working both offline and online The company has 14 official employees and the rest are part-time positions As a young start-up company, KPIM is flexible for its employees to work anywhere from Hanoi, Ho Chi Minh and even abroad.

The human resource organization of KPIM is controlled by the General Meeting of Shareholders. The General Director is responsible to Shareholders for the management and operation of the company Under the General Director are three directors: Chief Executive Officer (CEO), Chief Technology Officer (CTO) and Chief Operations Officer (COO) The CEO is specifically in charge of providing services such as digital transformation consulting, data information systems in enterprises and the KPIM Academy segment, which are courses related to data science knowledge The production or deployment of software and technology tools for customers is responsible by the CTO Finally, the COO supervise the remaining departments including the Accounting Department, Marketing Department and Human Resources Department.

As a startup in the technology field, KPIM has a very flexible operating system Mr NguyenQuang Duc holds the role of General Director and also the position of CEO Besides, there are two other directors in the company, COO and CTO The rest are full-time and part-time employees in different departments KPIM works largely on projects implemented for customers.

Each time a new project is required, a project manager will be chosen, then he/she will form the project team with flexible personnel in terms of number and ability.

 Business Analyst Team: 3 official employees and 4 part-time ambassadors in several universities in Hanoi.

 Development Team: 3 official employees and 2 part-time ambassadors in several universities in Hanoi.

KPIM provides three main products & services includes: Consulting Services, Deployment Services, and Data Science Courses These services of KPIM focus on the fields of Data The company specializes in consulting businesses on data mining in business and management by deploying mobile apps & websites and reporting systems Regarding the Academy segment, KPIM currently offers two types of courses The key course that made the reputation for KPIM is Power BI Hero (basic knowledge of Microsoft Power BI analytical report building tool) and the other is Data Analytic Hero (basic knowledge & methods in using data visualization and analysis tools) Currently, most of KPIM's courses are implemented in an online form lasting from 1 to 2 months, which is a convenient point for students to register to participate wherever they are The company opens the Power BI Community for students to exchange and offers a wide range of ebooks and updated technology in this field.

The Consulting Services and Deployment Services are focused on the target group of mid-sized enterprises that are in need of effective data analysis and exploitation.

The 21st century witnessed the rapid development of information technology so demand for data analysis to manage, monitor and exploit customers in enterprises has increased quickly, leading to a sharp increase in the recruitment demand for positions such as Data Analyst and Business Analyst As a result, recruitment demand leads to a sharp increase in the need to learn knowledge related to Data Analyst among young people, especially among students.

KPIM has 2 types of competitors based on 3 types of services the company provides The first competitors in the Technology Education segment are Datapot Analytics Training, GNV.ACADEMY, Among the competitors, Datapot Analytics Training is the name that needs the most attention They are a company specializing in providing courses related to Data Analytics and have been around for more than 5 years and have strong links with large corporations In terms of consulting and deploying analysis and information management tools in enterprises,Base and Misa are identified as the main competitors in developing managed tools for customers.These companies have been established for a long time with a team of highly experienced and specialized personnel The competitors also own technology products that can be applied to many types of businesses and a very well-organized marketing system

Introduction of the branch/department where I performed my internship

KPIM’s organizational structure has three directors CEO is responsible for KPIM Academy Department and Services Department while CTO leads the Production Department and the COO supervises Accounting, Marketing and Human Resources Department The Services Department includes Business Analyst staff and this is where I do my internship However, KPIM often has to form teams to implement projects by taking personnel from other departments in the company.For example, when there is a customer project that requires the design of an enterprise management system, the project manager will be selected, then the project manager will start taking employees from the Services Department, Production Department to form a team running projects For that reason, during my internship at the company, I was twice selected to do two different projects as a Business Analyst.

Orientation for internship

My career goal is to become a consultant specializing in strategic consulting To progress to that job, I have determined that I would start at a Business Analysts position To prepare for this path, during my first years of university I had joined student clubs to increase my soft skills, I also had participated in business case competitions to accumulate knowledge about the company Before the internship, I had expected to apply those skills to achieve two goals Firstly, in terms of knowledge, I had desired to have the knowledge of analyzing businesses in many fields and knowledge of the data science field when working at KPIM In terms of skills, I had wanted to improve my teamwork, communication, problem-solving and presentation skills After 2 months of internship, I myself reached those goals and become more fluent in my work I got to work directly with customers who are business owners to understand their business’ digital transformation needs and understand how these businesses do business and operate In addition, as a Business Analyst, I developed the ability to communicate and convey information when I had to act as a bridge between the client and the Development Product Team However, 2 months were not enough for me to hone these skills as a professional So I decided to pursue this job for at least another 6 months In addition, the internship helped me visualize a more specific picture of the job that was a summary of the prospects, obstacles, and potential career direction if I continued work as a Business Analyst I felt I was on the right track and gradually improving myself after this internship.

Training/coaching you are provided

In the first working week, the Human resources department and my supervisor Mr NguyenQuang Duc showed me the company culture, working channels, company apparatus, regulations and tasks that need to be completed in the internship In terms of professional knowledge, KPIM offers 2 courses for professional improvement: Power BI Training and Data Analyst Training

(optional) In addition, the company also arranged for me a mentor, Mr Cao Nhut Minh to help me answer questions and help me get things done if I got stuck.

Generalized description of Internship responsibilities

My internship consisted of 4 main tasks: Support Client Project with team as a Business Analyst, Renew 02 Client Projects by data analysis tools, Research Microsoft 365 and Complete Power

Major Assignments

Training: Complete Microsoft Power BI Cource & Support PowerBI Vietnam FB Group

The strength of KPIM is the ability to create data reports using Microsoft Power BI, so staff of the Business Analyst department are required to understand this tool The course lasted 2 sessions a week and was completed by me within 1 month In addition to attending the course's classroom sessions, interns needed to do homework and practice functions, code, and make lots of models and tables to be able to use this tool fluently Similar to other Microsoft Office tools, Power BI is convenient and easy to use However, it required a lot of effort and ability to reach the level of visualization data effectively and successfully At the end of the course, I was asked to do a Capstone project, applying the knowledge learned to create a report template I had to spend 2 weeks researching and editing under my supervisor's assessment to be able to pass the standards of this project After understanding the basics of Power BI, I helped answer questions on the page of Power BI Vietnam FB Group where the company's former students as well as the company's potential customers come in.

Microsoft 365: Research and Update KPIM Training Material

Microsoft 365 tasks required me to complete Microsoft 365 training During that time, I had to take all notes from training and then update the Learning Roadmap on the information system. Not only studying the special features of Microsoft Teams, OneNotes, OneDrive, Outlook, PowerPoint, and Excel, the task required me to demonstrate the application of these features to the work of a business and then answer the question “How to combine these tools to achieve the best work efficiency” After that, I updated the knowledge I collected to KPIM Training Material to help the company discover new Microsoft utilities because KPIM’s working channels are mostly on Microsoft Office tools.

KPIM DEMO: Renew Client Project

After completing training and accumulating knowledge during the first months, I progressed to practice and apply my learned knowledge in real projects by Review and Renew Power BI Capstone The company has assigned me 03 Client Projects which have been completed by KPIM This work was carried out in 5 steps.

I had to review the products which were the reports with Power BI tool that KPIM has created for the customer, analyzed logic, codes and functions used Then I answered questions: Was the presentation beautiful and has it met the standards of the customer?

In this step, I would propose changes to the presentation of the report to optimize the customer's viewing experience For example, to visualize the data instead of using a table, a new report should contain a bar chart, a pie chart or not In addition, I used to acquire knowledge to change some commands to make them easier to understand.

In this step I needed to create a word document for the project This document summarized all the information needed for the project from customer objects and demand analysis Then I would recommend technology solutions for customers, specifically here was a digital reporting solution that could help businesses receive a report on the current situation of the business in real-time In addition, this document was also required to present the logic of the solution as well as instructions for using the features in the reporting tool.

Client Project projects are almost all visual reports To have these visual reports requires clients to provide actual business figures and to enter data in a certain form So I had to create sample data or mock data in Excel.

Step 5: Renew Power BI Dashboard based on Requirement

After having the data sample imported from step 4, I would use my knowledge of power BI to import transform data, drawed the appropriate graph types, and then published to the system. Finally, I summarized all the information I had done to report back to my supervisor.

KPIM DEMO is not an easy task because it is the actual work that needs to be achieved to satisfy the demanding needs of customers In fact, it took me 2 weeks to understand and fix each project I made a lot of mistakes and discovered my lack of knowledge when I was involved in the report development It was an opportunity for me to go back to learn the missing knowledge and ask my mentor for support I feel very grateful to my mentor Mr Cao Nhut Minh and my supervisor Mr Nguyen Quang Duc because they were very enthusiastic to support and explain all my questions.

Support Client Project: SATURN Project with team

In the 2nd week of work, I immediately joined as a support for the Business Analyst Team for a project that KPIM carried out The project's client is a B2B company specializing in stationery products The company’s requirement was to build a website app and mobile app system that were convenient for both administrators and employees to monitor and manage products.

This project lasted 2 months with three main phases In the first phase, we conducted market research and analyzed customers’ requirements Moving to secondary phases, every week, the project's team had to prepare to come up with product ideas that could satisfy customer requirements Then presented and discussed these ideas with the client to close After receiving the customer's consent, we worked with the Development Team including to code and design the app and website to ask them to build such features Next, we ran the app, and tested it’s features to see if any errors need to be fixed Finally, hand over the documents and products to the customer.

This project was my first time to join in a real job, and it help me know more about professional knowledge of customer analysis, market research, and product analysis I have also been trained in the ability to cope with pressure in front of customers and must be very responsible to complete the assigned work to avoid affecting others.

Power BI Hero Course is a training course for beginners so that they can understand how to visualize data with Microsoft Power BI tool - The Best Data Visualization Tools Of 2022 (Forbes) It is a key product of KPIM Academy that is structured with clear goals and specific steps Especially, the convenient online library system with instructional materials and video lectures is very complete for students to study more The course implementation form is a plus when the course has both online and offline classes In addition, during and after the course ends, learners will be supported by joining the student community and Power BI Vietnam FB Community (more than 27,000 members) Power BI Hero Course has met all the needs of learners.

The reputation among university students

During 2021 and 2022, KPIM has continuously been the supervisory board and sponsor of many competitions among students This has increased the company's reputation and prestige in the minds of young people It also is the company's way to attract youth employees and potential future customers Most of the company's interns are students who have reached the top of those competitions that KPIM is a sponsor.

The rate of leaving after a period of attachment and internship period is an alarming situation at KPIM Many employees have complained because the heavy workload prevents them from relaxing at the end of the day and the whole weekend Because KPIM has not completed the operating system, employees have to take charge of many positions For example, a business analyst must simultaneously work as a designer and as a tester Furthermore, employees admited that the company's salary and welfare regime are considered to be less attractive compared to other competitors.

KPIM's marketing channels are generally not invested in the image Although the company ownsPower BI Vietnam and Data Analyst Vietnam on Facebook, KPIM has not been able to effectively exploit this group of potential customers In addition, both it’s official website and facebook page are considered to be rather sketchy and unimpressive Especially in the era when customers search for information on the internet to make decisions, that is a big gap in marketing.

Trend in learning Data Analytics

This is a good trend for the KPIM’ courses The Indeed report shows that the demand for data science human resources has grown by 344% since 2013 and maintained an annual growth rate at 29% The increasing demand for data science professionals makes young people more interested in taking more courses to strengthen their knowledge The proof is that competitions about data analysis for students are increasingly appearing with a dense frequency with a large number of applications such as NielsenIQ Case Competition or Business Intelligence (BI) contest Besides, young people who want to change their major data analysis field will likely choose short-term courses instead of taking a long term course.

Intensive wave of Digital Transformation in Vietnam

Vietnamese business is witnessing a strong demand in transformation from traditional to modern ways Specifically, in the area of management transfer, business monitoring with online reports is popular These businesses need to build reports with visual charts and these types of reports must be easily accessible on both website and phone However, these types of reports require unique analysis for each business model, data model of each company and each administrator This is the consulting service and implementation service that KPIM provides.

Both education and digital transformation consulting for businesses are markets with fierce competition from many parties In the education sector, KPIM faces the likes of Datapot Analytics Training, which specializes in education In terms of Data Technology & Digitalization, leading names in the industry such as FPT Software, CMC and Base always receive a lot of attention To compete in the tough business environment, KPIM must consistently maintain a team of highly qualified staff as well as improve the quality of courses and services.

Risk: Power BI is no longer the best visualization tool

Over the past decades, the technology world has always had a change in favor of using DataVisualization tools The fact that KPIM depends on a tool like Microsoft Power BI as a key product will make the business very sensitive to market changes This requires the company to grasp the fluctuation in market demand in order to research and launch new products, new courses, new services to meet the rapid changes in technology in the world.

Company problem Analysis

As KPIM is a small startup company, during my internship period, I was able to interact and talk with all employees at the company from C-level positions to trainees That has made me realize many outstanding problems in the company in different aspects But there are mainly three main issues: unclear working process, high turnover rate and unoptimized marketing strategy First of all about the very chaotic working process of the company The reason KPIM is that a fledgling start-up company has a lean organizational structure that demands an employee can take up flexible positions For instance, a marketer may have to do the job of an accountant or a Business Analyst may have to work on Design and Tester In terms of the second problem, the high turnover rate is attributed to the effect of employees feeling too overwhelmed to complete so many tasks at the same time More importantly, almost all employees agree that KPIM pays lower salaries and benefits compared to other companies.

A typical example is the salary of a Business Analyst under 1 year at KPIM is 8 million vnd and from 2 to 3 years is 12 million vnd This is low wage when compared to 13.5 million and 17.4 million of the industry average, respectively

One more trouble is about marketing, specifically marketing for KPIM Academy, KPIM has not really done well in this regard KPIM Academy's main customers are young students interested in the data science field Currently, the new company is marketing on Facebook, Facebook Community, and through sponsoring student competitions However, KPIM has not really invested in brand image and has not spread its values to customers It can be seen that the marketing capacity of the marketing staff is still weak and the company has not invested much in marketing.

From the problem of the disordered working system, employees have to take on many jobs at once They have to work late into the night and work overtime on weekends, which causes mental stress and bad health This affects the company's labor productivity Unattractive remuneration and low salary, working facilities are not good enough result in high turnover rate.

In addition, according to my direct conversations with other interns, not many of them intend to stay with the company for a long time because they feel that the company's salary system is quite low It is understandable that the salary situation is not attractive due to the limited budget of the company However, the inability to maintain a stable staff is more damaging to the company. Firstly, KPIM takes time to recruit and train new personnel Secondly, the attachment of the employees at the company is not good, making the working atmosphere uncomfortable for employees.

Thirdly, regarding marketing issues, a bad marketing strategy will naturally lead to low revenue and loss of market share to competitors The ineffectiveness of marketing activities is reflected in the number of learners in each course, usually less than 10 people, even 5 learners.

These main problems are rooted in the lack of funding and high-quality human resources. Solving this problem requires the company's board of directors to rethink the priority between the two balances of personnel quality and number of employees It is now clear that the company is prioritizing the number of interns to offset the workload There are two solutions that can solve these problems.

The first recommendation is that companies should reconsider their employee compensation policies Funding is an important issue, but in order to retain employees and make them ready to contribute to the company for a long time, KPIM should expand the relevant remuneration As the below figures, Good wages only ranked 5th in the ranking of factors attractive to employees. For this reason, company leaders should have policies such as regularly holding evaluation sessions, communicating the company's orientation and the meaning of employees in the development picture of the company More specifically, the company can open a monthly bonding session to share leadership's vision, evaluate, share difficulties and recognize employee contributions The desired result is that employees will stick with the company longer, solving the problems of human attrition in new employees.

The increased quality of human resources will also solve the problems of dysfunctional workflow In addition, senior personnel from the team leader also need to closely supervise the work and the employees below Build a clear and common workflow with employees from the beginning so that they can proactively arrange work accordingly.

The third recommendation is for marketing strategy for KPIM Academy KPIM needs to perfect its marketing strategy in terms of understanding the needs of the main customer group, positioning the brand, and investing in images and content for websites and fanpages For example, for the main customer group is students, it is necessary to continue to develop towards sponsoring and accompanying competitions In addition, KPIM needs to understand students' insights and their needs as regards future employment In order to attract young people to join its courses, KPIM can research and share about attractive job opportunities in the Data Science industry From there, analyze the skills and knowledge that this job requires and link it subtly with the courses that KPIM is providing.

During the 2 months internship at the company This is a short period of time for me to initially experience the work of a Business Analyst Recalling the lessons of Mr Hoang Gia Thu inLeadership helps me a lot in the issue of the role of leaders and employees in a group and a company so that I can understand the behavior of my colleagues In addition, the knowledge about Project Management in the Introduction to Operations Management subject of Mr NgoThi Thuy Linh also helps me build an effective project schedule In addition, I broadened my knowledge about the workflow area of a technology project and actual operation of several businesses in different fields One of the greatest pieces of knowledge that I have from KPIM is valuable career path advice that my mentor Mr Cao Nhut Minh gave me It helped me not only understand the opportunities and challenges in the industry but also helped me write down concrete steps in the next 5 years to achieve my goals.

The internship gave me a real-world experience that books cannot provide I understand how the process of starting a technology project works, how to develop documents, and how to arrange personnel And importantly, how to effectively communicate between members and communicate with customers to achieve the highest work efficiency Another very important skill is time management to have a work-life balance During the first month I was overloaded with work and could not keep up with the work schedule with the other members, I even had to work overtime and work weekends However, I have learned to work more efficiently and prioritize my work and life Sometimes, you don't have to work hard, you have to work smart Finally, my communication skills have also improved significantly when I have to actively learn and exchange information with colleagues and customers And how to ask the right question at the right time to avoid wasting time and creating sympathy for the opposite person.

The actual working environment outside the enterprise is very different from the learning environment It requires me to be more proactive My initiative has increased significantly because if I do not actively ask and share difficulties, the work will not be solved In addition, I also learned that when working in a team, my work not only affects my results but also affects many people If the work I am responsible for is not completed, my colleague cannot proceed to the next steps Because of that, I have been more responsible for what I do to avoid affecting others.

The most challenging task performed

The most challenging task is when I have to work under the limitation of time and ability That was in the second week of working at KPIM, I was asked to support a project to build a mobile app for the business management of a stationery distribution business I have absolutely no experience in this area First I was assigned the task of reading documents about the business, about how this business imports and sells goods, their promotions, and how they manage partners and employees I have had conversations with clients to better understand their needs and propose solutions However, in my client talk, I had absolutely no idea what questions to ask the client, and even after the client talked about how their business works, I could not understand how they managed and operated The most pressing thing for me is the requirements, the work that I have to prepare is limited to only 1 week And next week I have to show what new discoveries I have made No matter how much I read the literature on this industry, I don't know how to piece together the information to give a reasonable direction This situation continued for

2 weeks and I could not complete the assigned work I was very disappointed in my ability and psychologically affected a lot However, the project management took the time to sit down with me to help me analyze the client He also showed me the skills to analyze, question, and piece together information to sift through meaningful information And he is helping me become smarter and expand my knowledge, more confident working with customers.

Lesson learned

Working as a Business Analyst for 2 months at a technology company helped me practice soft skills, expand my knowledge in the field of technology and learn valuable lessons My favorite lesson is understanding the limitlessness of human possibilities There is nothing we cannot learn and cannot do To be able to achieve a goal, it does not matter whether it is impossible to target or how hard it is The important thing is that we should break it down into small tasks and have specific action and detail marks for it And be patient for your goal And one more lesson is that, be proactive to work Just ask a lot of people who will be ready to answer you And after 2 months, I am very confident in my ability in using power BI to visualize the data.

Future orientation

I am still passionate about becoming a consultant for companies and corporations I will continue to work at KPIM for at least the next 1-2 years to firmly grasp the profession of a Business Analyst My next goal is to become a Project Manager in the next 3 years After 5 years, I want to be a senior Business Analyst Next, I will constantly expand my knowledge to other domains such as Retail, Manufacturing, etc In the next 10 years, I would like to become a Partner at big companies like One Mount, McKinsey, or Deloitte I will expand my knowledge and network here until I become a strategy consultant.

1 In what ways did your classes and campus activities prepare you for your internship?

As a Business Administration student, I have been prepared with diverse knowledge among a variety of areas from Strategy, Finance to Human Resources so that I can familiar with analysis many areas of businesses without being overwhelmed by the vast amount of knowledge In addition, being used to meeting so many deadlines at FMT faculty also helps me prepare mentally and get used to meeting the manager's deadlines

2 What other campus activities, courses and/or work experience do you think would have helped you with this internship?

I have participated in many Business Case Contestes such as Leadership talent contest and they help me to have a flexible thinking, problem solving skills and teamwork to prepare for this Business Analyst job Morever, extra-curricular activities as president in a student club also help me hone my soft skills like presentation and leadership that help me a lot.

3 What was the most helpful thing your supervisor did to make you feel comfortable as a temporary staff member?

The best thing is that he does not limit my position as a project supporter, but really gives me the opportunity to participate in project construction, debate with other colleagues to contribute ideas for the projects This makes me feel like I'm an official piece of the company, not just an intern.

The information exchanged between members is completely public in the common working system We can even ask project managers and colleagues to request information and support.

Of course My target is become a consultant and being a Business Analyst now is the first step that will help me progress my dream.

Internship as a Business Analyst in KPIM helps me accumulate knowledge in domain of Technology Exposuring to a professional working environment with clear working procedures helps me train myself to be a more disciplined person.

Before the internship, I didn't give much attention to studying in school, but now, the first thing is that I will voluntarily study harder and more carefully because I am aware of the importance of the basic knowledge that the subjects The second thing is that I plan to get 7.0 IELTS to improve my language ability because I want to become a consultant not only working in Vietnamese environment but also in international environment The third thing I would change is to make a personal financial plan for myself, such as learning more about stock investing because I feel that the salary of my current job is not enough to enjoy my future life Then finding an investment channel for people with little capital like securities will help me have a better financial plan.
