Internship Report | Ho Ta Thu Nhi CHAPTER 1: INTRODUCTION OF QUYNH NHI COMPANY LIMITED 1.1 An overview of QUYNH NHI Co., LTD QUYNH NHI Co., LTD was established on October rd, 2007 by Mr Nguyen Ngoc Thuong who is also the Director of the company QUYNH NHI is a company whose specialty is doing business in Freight transport and leveling Their head office is located at 342 April 27 th Street, Phuoc Hung Ward, Ba Ria City, Ba Ria – Vung Tau Province, Vietnam Mr Vo Ngoc Thuong started up the company with just the VND 15 million charter capital After a merely 13-year time, the figures raise to VND billion and the company is the current workplace of 30 members of staff 1.2 Business sectors Partners and customers of QUYNH NHI Company are both domestic and foreign construction businesses who want to be provided services related to building ground The main areas of responsibility of QUYNH NHI are to demolish old structures and to set up the ground for customers Their jobs are to clear the land for construction and to transport soil More specifically, the vehicle system of the company is used for digging, leveling, and bulldozing in construction areas Besides, they also create the ground for activities related to mining, including removing large objects and developing works for the mineral ground with the exception of oil and gas sectors In addition, their jobs also include works of hole drilling, exploration drilling as well as geophysical and geological analysis Page | Internship Report | Ho Ta Thu Nhi 1.3 Organization of QUYNH NHI Company Director Accounting Administration Human Resourses QUYNH NHI Company is divided into three departments which are Accounting, Administration, and Human Resources (HR), and all of these are under the general management of Director Mr Nguyen Ngoc Thuong Each department not only performs its own functions but also provides mutual assistance to each other - Accounting Department undertakes the task of paying wages and taxes, managing relevant documents, and so on - The Administration’s staff are in charge of activities related to customers, contracts, etc - HR Department is directly responsible for recruiting at all levels, training new staff members as well as making timesheets CHAPTER 2: INTERNSHIP PROCESS 2.1 Assigned task My internship lasted for months, however, it was split into two short periods: the first half for working at the office, and the second one for working from home on account of social distancing caused by the infectious Covid-19 pandemic During the first period, I took on the job of supporting recruitment and training for new staff in some basic tasks In the second half one, besides practicing in the HR Department, I also assisted the Administration Department in translating some documents and contracts Page | Internship Report | Ho Ta Thu Nhi 2.1.1 Looking for candidates On my very first days at QUYNH NHI Company, I was guided how to follow the recruitment procedure and quickly got used to the job My mission was to post recruitment information on job websites as well as social networks’ groups in order to seek potential CVs After some quick analyses, I would pick some best candidates and send this list to my supervisor Simultaneously, I was in charge of making contact with those to arrange time and place for interviews 2.1.2 Supporting interview Before each interview, I would assist HR members in preparing all essential documents In addition, I also took part in asking, answering, and testing processes so that I could broaden my experience in professional recruitment procedures 2.1.3 Translating documents and contracts Because of the unwanted Covid-19 pandemic, the global economy has been severely affected and Vietnam has been no exception In the social distancing time, all members of the company had to work from home Still, it was very fortunate for me that despite the fact that QUYNH NHI Company had a tough time of it, they always tried to create a good condition that gave me as many chances as possible to practice In this period, the company had just some contracts so I only had the chance to translate three contracts However, in return, I received an opportunity to translation documents (which are reference materials) from English into Vietnamese After translating the documents that my senior gave me, I would send them back to him Therefore, I had not only gained more knowledge and experience from his constructive feedbacks but also significantly improved my translation skill 2.2 Method of implementation 2.2.1 Researching and analysing information On my very first days at QUYNH NHI Company, my seniors in HR Department had provided me with a lot of documents related to the recruitment procedures In order to get used to the job as soon as possible, I had to read and study those files very thoroughly until I completely understood all of them Furthermore, I tried to analyze many effective techniques from the profession on the Internet and gained some for my own Therefore, information research and analysis was really critical to my internship process Page | Internship Report | Ho Ta Thu Nhi 2.2.2 Translating method I majored in Business English at Ho Chi Minh City Banking University, so I became familiar with some translation techniques since I was a sophomore The first translation lessons were rules as well as techniques in subjects such as English – Vietnamese Translation and Vietnamese – English Translation For this reason, when I worked with documents and contracts at QUYNH NHI Company, I was given a chance to apply these gained techniques to the work and they worked more efficiently than I expected 2.2.3 Practicing In my opinion, knowledge is only meaningful when it is applied to practical life Therefore, in order to improve my ability generally, I tried to all things that I acquired from study with my enthusiasm and gain as much experience as I can while I cooperated with everybody in this office environment CHAPTER 3: ACHIEVEMENTS GAINED FROM THE INTERNSHIP 3.1 Theoretical knowledge This three-month internship is the very first chance for me to transfer my knowledge and skills collected from school to real-life experience Without the help of this theoretical basis, I might not finish my translation at the company During this period, I was given a chance to not only apply many basic skills such as English reading, listening, writing, and speaking skills, but also help to translate contracts as well as reference materials Besides, the training program which I received in the first days also plays an important role in my internship perfecting process 3.2 Practical skills 3.2.1 Communication skill First, when I came to QUYNH NHI Company for the first time, it surprised me that in spite of being a small company, their workplace was really friendly and professional Mrs Loi Hong Hanh introduced me to members in the HR team and I got acquainted with them soon after Thanks to being a relatively sociable person, I did not find it difficult to have a common voice with them Second, I knew how to use e-mail and some other platforms before, but when working with my colleagues here, I even knew how to them faster through somewhat called shortcuts Because we had to work from home this period and most of documents or information was transferred to other members of staff by e-mails, good communication skill through e-mail Page | 10 Internship Report | Ho Ta Thu Nhi was a huge advantage to me After finishing the internship, I am able to control my ability to communicate productively via e-mail as well as some other platforms Third, working in the HR department also required communicating via telephone since I had to contact candidates and other departments very frequently After taking and getting a lot of calls during the internship time, I realized the great importance of this means of communication With practice, now I become more skilled in communicating and exchanging information by phone 3.2.2 Organizational skill HR department had to store and manage a large number of documents which were split into separate categories This required us to arrange the papers carefully according to groups of particular categories Being a part of the department, through direct observation, I quickly learned how to order all materials with accuracy and reasonableness More specifically, I got accustomed to differentiating between different kinds of papers such as certificate, interview assessment, requirement, and official or seasonal employees’ profile, and so on 3.2.3 Time management skill On every workday, I would receive plenty of tasks This forced me to develop the habit of setting out my timetable according to the workload of each day In order to this, before starting working, I always spent fifteen minutes writing down a to-do list of the day and tried to finish those effectively Nevertheless, if a day had a too heavy workload, I would put tags on things as a list of priorities and plan to complete them first At present, I still manage to sustain this habit and I feel that this is one of the most valuable lessons I learned from my internship program 3.2.4 Office skills Even though I achieved Microsoft Office Specialist (MOS) Certification, there is no opportunity for me to apply my understanding of Office tools when I was a student Working in the real office environment, with help from my colleagues, I had many chances to practice these skills of using computer tools such as Microsoft Word, Microsoft Excel, Microsoft Outlook, etc For using machines, I was taught to use the photocopier, the photo scanner as well as the printer for handling many kinds of documents Page | 11 Internship Report | Ho Ta Thu Nhi CHAPTER 4: RECOMMENDATION TO QUYNH NHI COMPANY LIMITED After completing my internship program and developing strong attachments to QUYNH NHI Company, I have the feeling that both human and facility conditions here were really professional and friendly Nonetheless, I did believe that their corporation management process has changed in an ineffective way Although QUYNH NHI Company has provided reference materials for staff to improve understanding and it is undeniable that the company was critically dependent on machines, the technological knowledge of their workers was relatively limited My recommendation is that QUYNH NHI ought to seek and hire some skilled individuals to provide adequate training for them I believe that as soon as employees’ knowledge foundation is fairly solid, the quality of service sent to customers will be greatly enhanced Therefore, it is essential to give training to employees to strengthen their capacity for running the company's technology system, thus helping them tackle existing issues or even find out many creative ways in the working process CHAPTER 5: CONCLUSION In conclusion, it was a valuable experience of working at QUYNH NHI Company Limited In fact, being an HR intern, I have gained both specialized knowledge and hands-on experiences here This played a crucial role in helping me perfect my course of study at Ho Chi Minh City Banking University During the internship period, it was fortunate for me that I always received enthusiastic and constructive support from all my seniors and colleagues here Without their firm
