transaction, Internet, and workbook shortcuts Review 10–13 Report Development Tools 10–1 Chapter 10: Working With the BEx Browser Overview Overview In the previous two chapters (see graphic below) you learned how to create queries and insert them into a workbook In this chapter you will see how to use the BEx Browser to access and execute workbooks The following prerequisites must be met before you can execute workbooks from the BEx Browser: < The workbooks must be assigned to one (or more) channels in the Enterprise InfoCatalog < Users must be assigned to the relevant channel in the Enterprise InfoCatalog Building further on the Bungee Software example, you will walk through the steps needed to enable workbooks for access through the BEx Browser Insert desired query (or queries) Insert Creating Channels in the InfoCatalog Channels are simply a collection of workbooks, grouped according to topic areas, user roles, or business processes Typically, the BW system administrator is responsible for maintaining channels in the InfoCatalog The administrator’s role includes the following: < Assigning workbooks to individual channels < Creating subchannels or directories < Grouping workbooks into subchannels or directories < Assigning users to channels Note: To access a workbook in the InfoCatalog, a user must be assigned to the channel where the desired workbook resides If you are already logged on to the BW system, jump ahead to step Otherwise, log on to the BW system 2 Choose InfoCatalog from the toolbar Choose the Channel InfoCatalog tab 4 Choose Display Change to switch to the change mode In Channel, enter a technical name (for example, Z_SALES) Enter a description (for example, Sales Analysis) 6 Choose Create A new channel appears on the right Report Development right-click to insert a subchannel or directory 10 Choose Save Technical name Technical names starting with a are reserved for SAP-delivered Business Content Subchannel vs Directory Subchannels and directories allow easier workbook organization The difference between subchannel and directories is that a subchannel is a subset of a channel, whereas a directory can be displayed as a cluster in the BEx Browser Renaming elements of the Channel InfoCatalog Right-click to insert, rename, or delete subchannels or directories in the Channel InfoCatalog You can also rename, delete, or execute workbooks Copying channels To copy channels in the InfoCatalog: Use the Display Change icon to switch to change mode Select a channel from the list using F4 Choose 10–4 Copy to copy the channel Reporting Made Easy Chapter 10: Working With the BEx Browser Assigning Users to Channels Assigning Users to Channels Remember, you cannot execute workbooks from the BEx Analyzer or Browser if: < The workbooks are not assigned to a specific channel < You have not been assigned to the relevant channel To make sure that users will be able to use the workbooks you create, one of the following: < Assign users to channels where you save your workbook(s) < Save your workbooks to channels where particular users are already assigned Choose the User channel assignment tab 2 Make sure that you are in the change mode If not, choose Display Change icon Choose a user (for example, APRIL) from the folder tree 4 Drag the user icon to one (or more) user channels As shown, APRIL is assigned to two channels: 0D_SAPDEMO and Sales Analysis (Z_SALES) Choose Save Deleting user assignment To delete a user assignment, select the user name, and right-click to remove the user from the channel assignment Report Development Tools 10–5 Chapter 10: Working With the BEx Browser Adding Workbooks to the Favorites Channel Adding Workbooks to the Favorites Channel To personalize the way you work with the Business Information Warehouse, you can create your own Favorites channels Favorites channels can be used to store workbooks that you access on a regular basis You can copy frequently used workbooks from the channels into your favorites If needed, you can also save workbooks directly to your favorites channels You can manage the favorites yourself, name the contents individually, and group them in so-called favorites clusters Choose the Favorites tab In User, enter the user name and press Enter Drag the workbooks from the subscribed channels to the Favorites channels It is also possible to execute the workbook(s) from here Right-click the workbook and choose Execute workbook Executing Workbooks in the BEx Browser The Business Explorer (BEx) Browser is the reporting environment of the BW Using the BEx Browser, you can execute queries, create linked report output, present data from several systems, and more From the BEx Browser, you can access the BEx Analyzer, SAP transaction shortcuts, Internet shortcuts, or workbooks that are assigned to users in channels To log on to BEx Browser, from your Windows desktop, choose Start → Programs → SAP Front-end BW, then choose the SAP Business Explorer Browser 2 Select the system and choose OK Follow the on screen prompts to log on 10–6 Reporting Made Easy Chapter 10: Working With the BEx Browser Creating and Populating a Cluster In the Channels section, choose the SAP Demo Channel Right-click the SD DemoCube Workbook in the SAP Demo Channel on the right 6 Choose Execute to execute the workbook from the BEx Browser and view the data of reports in the BEx Analyzer BEx Browser Toolbar To help you become familiar with the BEx Browser toolbar, the table below shows how the various buttons are used during query definition Button Use to… Save the settings/changes to the InfoCatalog Ensure that the display of your favorites and channels represents the current content of the InfoCatalog Start Excel with the Business Explorer add-in without executing a workbook An empty workbook is opened and you can then open or create a new query in it Select from seven different geometric symbols Undo last action Access online BW Help documentation Creating and Populating a Cluster Clusters are used to organize workbooks in the BEx Browser environment Each cluster can be grouped according to individual preferences For example, workbooks can be grouped according to business application areas or company divisions To help organize the clusters, SAP delivers seven different geometric icons For example, a user could assign all Sales workbooks to the cluster You could assign your favorite workbooks to any cluster in the BEx Browser Report Development Tools 10–7 Chapter 10: Working With the BEx Browser Creating and Populating a Cluster In the BEx Browser, choose a user-defined channel (for example, Sales Analysis) 2 Select Creation of a new Cluster from the BEx Browser toolbar Choose one of the seven cluster shapes (for the circle example, shaped cluster) Enter a name for the new cluster (for example, Sales Analysis) Choose the Bungee Sales Workbook and drag it to the Sales Analysis cluster Choose Save You have successfully created a new cluster and populated it with a workbook Clusters in SAP-delivered channels Users are not authorized to create a cluster in SAP-delivered channels, such as SAP Demo Channel However, it is possible to copy (using drag and drop) the workbooks from the SAP channel to the user Favorites For more information on how to copy a workbook from one channel to another, see page 10–9 10–8 Reporting Made Easy Chapter 10: Working With the BEx Browser Previewing the Structure of a Workbook Query Previewing the Structure of a Workbook Query From the BEx Browser you can preview workbook queries before executing them Choose the SAP Demo Channel Choose the SD DemoCube Workbook 3 Right-click and choose Preview From the popup window, choose one of the queries in the SD DemoCube Workbook such as Sales Analysis query, 0D_SD_DEMO_Q0001 The bottom section displays the structure of the Sales Analysis query Choose Exit to close the popup window Copying Workbooks Choose the SAP Demo channel Drag the SD DemoCube Workbook and drop it into Report Development Tools 10–9 Chapter 10: Working With the BEx Browser Using Shortcuts in the BEx Browser Choose Favorites A copy of the SD DemoCube Workbook appears in the Favorites channel 4 We can now either create a new cluster for this workbook or drag and drop it in one of the existing clusters, such as SD Reports Using Shortcuts in the BEx Browser The BEx Browser allows you to create shortcuts to access SAP transactions, Internet, and workbooks that are assigned to users in channels Shortcuts are icons on your PC (for example, Windows desktop) that directly launch certain transactions within a system For example, in R/3, you can configure a shortcut to go directly to a given R/3 transaction from your Windows desktop Shortcuts can also be configured to request your user name and/or password before going to a transaction SAP Transaction Shortcuts (R/3 Release 4.0) Shortcuts can help users access the source systems (for example, R/3 System) directly from the BEx Browser It is possible to create an R/3 transaction shortcut for the SAPGUI as of R/3 Release 4.0 Once created, you can add shortcuts that appear as workbooks in the BEx Browser From the BW system, go to any screen for which you want to create a shortcut In our example we show the user Favorites tab in the InfoCatalog 2 Choose Generate a shortcut on the desktop to create a shortcut Note: Depending on the SAPGUI version you are using, you may receive a shortcut screen If so, choose OK to proceed 10–10 Reporting Made Easy Chapter 10: Working With the BEx Browser Using Shortcuts in the BEx Browser A shortcut icon is created on your Windows desktop Windows desktop To rename the shortcut, right-click and choose Rename Internet Shortcuts An Internet shortcut is a link to a web site Using your Web browser (for example, Internet Explorer), launch a Web site (for example, www.mysap.com) Drag the icon in your browser’s address bar to an open area in the BEx Browser Note: Instead of step above, you could rightclick and choose Create Shortcut Then, drag the shortcut into the BEx Browser window Drag to BEx Browser Workbook Shortcuts You can link to other workbooks within the BEx environment If a workbook is centrally maintained in one channel, for example, the SAP Demo channel, users can create shortcuts to these workbooks and see them in their own Favorites channels Why use shortcuts instead of copying workbooks?
