Analysing the process of receiving and handling orders a) Receiving order: My company receives orders through many ways as email, fax, placing order face to face, making telephone etc and the main manner in my case is receiving by email As usual an order is divided into parts: the opening, the body and the ending + In the opening part: the main information is placing order date and order number The placing order date is the day customer placed the order and after that they sent email to confirm + In the body part: Important points we have to notice are part number, machine description and the machine price 10 - The part number is a number that presents for a particular machine Besides, the part number help us manage the machine efficiently in the product managing system Machine description is the symbol and simple sentences to describe the basic information for the design It is very useful to help the staff in the first accessing machine step The price in the order is usually the old price confirmed before placing order The discussing quotation process will be done by customer and sales department + In the ending part: In the ending part of the order, customer provides the required day for delivery The required date: As usual, customer will require the deadline for delivery according to the calculating by their experience Therefore, when receive the orders, I have to calculate again if we can meet the required date or not (including in the preparing material for installing and the date for doing exporting papers) After that, I will make the delivery plan and update it to customer for confirmation of the deadline b) Analysing customer’s requirement: There are cases: The first case is already produced products and another case is new products and they are need to be designed Case 1: Products were produced before For these products, Technical Department not need to make a new design, they will rely on the specifications of the products before to proceed manufacturing Here are some of produced products of Feel Engineering Vina Company: 11 Air press machine Air press machine system Print screen machine PCB Measurement Jig Case 2: New products and need to be design In this case, the technicians, first of all will analyze product information from the orders such as: + Product size : X mm (width), Y mm (length), Z mm (height) + Weight: X kg + Material: clinker, metals, wood etc + Notice of product: operate easily, hight productivit and so on 12 Then the technicians use Auto Cad soflware to make a design, we have 3D drawing or 2D drawing and when their designs finished then they will have them printed out and given to the manager for checking Generally, the time for one product is designed from to hours Here are some products are designed by our company: Air Press Jig Conveyor Machine Taping Turn Table Taping Turn Table c) Purchasing material 13 The next step is purchasing material After the designs are confirmed by the manager, required material will be notified by purchasing department Usually, the material is imported from Taiwan For example, to manufacture this type of machine: Taping Turn Table Taping Turn Table There are some required materials: Bakelite Al 6061 14 Pipe Wheel d) Producing product When the materials have been bought enough, Technical Department will proceed manufacturing product from their Gono Torque Wrench Gono e) Checking product’s quality When products have been finished production progress, the technicians will check their quality and specifications to make sure that those machines have already adapted all requirements of customers relating to model, standard, size, and their productivity If one of them is not accepted by customers, that designed product will be discarded or reworked d) Packaging and delivery The products after have already met customer’s requirements would be delivered to the customers The products of the company are delivered by truck and technicians will accompany to customers’ place to install the product and to train the customers how to use the new machine 16 CHAPTER 3: CONCLUSION 3.1 Benefits This has been a great experience that I have ever had I have learnt a lot of things which I have not known before, furthermore I have expanded much my knowledge of the vocabularies relating to machine field Also, I had a lot of chances to meet and work with professional staffs and customers, who are successful people These people have given me more effort to improve myself Furthermore it has been a good time for me to look back my studying process to find out what I have not been good at so far to get more improvement 3.2 Drawbacks 17 On the other hand, there are still some downsides Firstly, listening skills is still my weak point and it led to many problems when I took responsibility for translating for my manager with customers and workers Therefore, sometimes I must use Chinese to express my meaning with my manager (he speaks Chinese quite well) Also, when working in a group, there were many misunderstand and arguments that made me very confuse at first I realized that working environment was not as easy and comfortable as I imagined before and sometimes want to quick my job In addition, I occasionally misunderstood customers' messages and it made bad affect to the conversations then Moreover, my vocabularies about machine field is limited so my email writing style is not clearly and understandable sometimes 3.3 Conclusion Through this internship process I have realized that students’ knowledge of real commerce has been less than it is requiring Therefore, I think it would be great if my university has more some practical translation about real commercial situations with some specific fields of commerce
