Grades tab, it's time to calculate and release the final grades to the students Begin by clicking on the Recalculate All option to make sure that all of the final calculated scores are up-to-date Then, transfer the calculated scores to the adjusted column using the Transfer All option Notice that both the points earned and total possible points fields in the Final Adjusted Grade column are editable You can increase the number of points in the numerator text field to account for any extra credit a student may have earned (that's not already been entered into the grade book) Finally, we clicked on the Release All option to make the final grades visible to the students The checkboxes in the Release Final Adjusted Grade column indicates that the grade has been released to the students: customizable We can alter the look and feel of both, the student and instructor views of the tool, by adjusting settings in several areas Since the tool is so easily customizable, your view of the tools will often be very different from the view your students see In this recipe, we'll learn how to view the tool from the student perspective, which can be especially helpful when questions about grades arise Although you can examine some aspects of the student view using the Role Switch widget, we'll be using the Preview button in the Enter Grades area because it allows us to view not only the user interface but also the student's scores 181 www.it-ebooks.info Working with the Grades Tool Getting ready You will need access to a course with at least one enrolled student in order to complete this recipe How to it In the following steps, we will learn how to use the Preview button in the Grades tool Access your course and navigate to the Grades tool Click on the name of a student in the Grades list This will display all grades for a particular student in your course Click on the Preview link in the user context menu at the top of the page Make sure everything looks the way you expect Then, click on the Close button when finished How it works The steps in this recipe are very straightforward After navigating to the Enter Grades area, we clicked on the name of a student whose Chapter Viewing grades for students who have withdrawn from a course When students withdraw or are un-enrolled from a Desire2Learn Learning Suite course, all of their work and grades are typically hidden from the instructor view However, this information is still stored within the database in case you need to access it again in the future In this recipe, we'll learn how to view the grades and progress of a student who is no longer enrolled in your course This information can be useful for grade appeals or when students transfer to another section of the same course Getting ready In order to complete this recipe, you'll need the instructor access to a course that at least one student who has dropped How to it The following steps explain how to use reports in the Grades tool to track the progress of students who are no longer enrolled in the course Access your course and navigate to the Classlist tool Click on the Enrollment Statistics button at the top of the page Beneath the summary table of enrollments, you'll find a Withdrawals heading with a table containing the names of each student that has withdrawn from the course Locate the name of the student, activate the context menu, and select the View grades option You'll see a detailed list of all of the selected student's grades When finished, go ahead and click on the Cancel button to return to the Enrollment Statistics area 183 www.it-ebooks.info Working with the Grades Tool How it works While it might seem logical to visit the grade book to locate this information, you'll need to visit the Classlist tool instead Once there, use the Report button to navigate to a list of current enrollments and withdrawals Clicking on the View grades option for a student in the Withdrawals section displays that student's scores Exporting a backup copy of your grades Although the Desire2Learn Learning Suite uses safeguards to protect against data loss, it's always a good idea to backup important information such as student grades In this recipe, we will learn how to export the contents of your online grade book to a downloadable CSV file In addition to serving as a backup, you can also access and modify the information in this file using any standard spreadsheet authoring program, such as Microsoft Excel, Apple's Numbers app, and Open Office Getting ready You'll need a course with a complete grade book and at least one student in order to complete this recipe How to it In the following steps, we will customize and export a backup copy of your online grade book Access your course and navigate to the Grades tool If you aren't taken to the Enter Grades area automatically, go ahead and click on the Enter Grades link at the top of the page Click on the Export button at the top of the page 184 www.it-ebooks.info Chapter Let's make sure we have all of the information we need in our grades export Make sure that both options are checked in the Grade Values section and select the First Name and Last Name options under the User Details section: In the Choose Grades to Export section, select the checkboxes next to each item you want to include in the backup file You can select everything using the checkbox in the table header Click on the Export to CSV button Once available, click on the link to download the file Click on the Close button to dismiss the pop-up window Once the CSV file has been downloaded to your computer, you can open it using Microsoft Excel, Apple's Numbers, Open Office, or just about any spreadsheet application How it works By default, the system's export file only includes Org Defined ID of a student In order to make the file easier to use later on, we also selected the options to include the students' first and last names This will make the file much more readable if you ever need to access it We also selected the checkboxes next to each grade item that we want to include in the export before clicking on the Export to CSV button Once your file is
