raise the level of technology and the restructuring of domestic industries; create jobs, raise incomes, improve living conditions for citizens Besides, when referring toimport and export activities,international freightforwarding is one of the most important activities They cannot separate and have a consistent relationship with each other The rapid increase in scale and speed of export-import operations is main reason that make the developed strongly freightforwarding activity in both width and depth in recent years, especially oceanfreightforwardingThe biggest advantage of international transportation by sea is able to transport a large amount of cargoes with the low cost, compared to other modes of transport Because human beings take advantage of natural water surface and just have to invest in build port and channel system, not much as other transport sectors The second strong point, if inthe long distance as from Asia to Europe or America…, the speed of ocean transport is only slower than the speed of air transport The reason is the ship acts continuously without a break, even in bad weather conditions that any other means of transport cannot operate Moreover, because of freight across the ocean, so the vessel can choose the shortest route to go straight from one country to another without waste time to wait or make procedures inthe intermediate country Consequently, international transport by sea holds a special important position in transport goods inthe world Additionally, joining in most of freight activities is the forwarder They are organizer; Provide reasonable solutions to meet client's demand - Continue basing on core values to serve the customer: Respect – Prosperity – Transparency – Compliance - Co-operate with the community of Logistics companies toimprovethe system of supply chain network in order to satisfy diversified business demands of partners in domestic as well as abroad 3.2.2 The vision - Building and performing business operational mechanism, the pricing mechanism, commissions to promote business situation, strengthen management leading to cost savings, improve service quality and competitiveness on market in order to attract new customers and maintain good relationships with existing customers - Investing, exploiting and taking advantages of the facilities to organize forwarding services in an optimal way Building business strategies forthe period 2015 - 2020 and the next years The company focuses on exploiting the available strengths of business, such as technical system, infrastructure system, and theprofessional staff in order to - improve service quality as well as diversify kinds of services Creating close and flexible relationships among employees, departments within the company forthe benefit of the whole company 3.3 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLinGSC Co., Ltd Based on the limitations above and the direction of the company, I give some recommendations to enhance theoceanfreightforwardingprocessfor importing FCL at GSC Co., Ltd Nguyen ThiQuyen – GMA02 Page 43 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLcargoesinGSC Co., Ltd 3.3.1 Tothe company 3.3.1.1 Solution 1: Invest means of transport, infrastructure and warehousing - The objective: Improve infrastructure and equipment to serve the demand of freight forwarding, provide high quality services forthe customer Bring satisfaction to customers on the preservation of goods with modern - facilities The way to perform solution: Because the finance source is not yet enough to buy new means of transportation and modern equipment, so the company can apply finance leases solution The company only needs to pay in advance a minimum 20% of the total price of the leased property without mortgaged assets, not suffer tothe risk of devaluations, natural wear but still used new technologies and machines The rest will be repaid gradually during the rental period This is especially beneficial when the company intend to retain the property after expiring contract The customer can buy or resume leasing these properties under the agreement in contract Although hiring assets can be more expensive than going to buy, however if capital is an important issue of a company, this will be a very attractive option Take maximum advantages of volume and capacity of means of transportation to decrease minimum costs and create the competitive advantages forthe company Take optimum advantages of storages For retail shipments, the company should arranges reasonable as building added shelf… It helps saving areas for storages Maintain equipment, machineries, and storages regularly as well as checking vehicles quality; improve transport team to serve quickly and Nguyen ThiQuyen – GMA02 Page 44 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLcargoesinGSC Co., Ltd timely the customer and avoid damages intheprocess of transport cargoes In warehousing business, the company also needs to equip with more modern equipment in order toimprove handling services, preserving, transporting cargoes Besides, the company also should apply warehouse management software to facilitate the implementation processin warehouse operations - The effective expectation of solution: The transported cargoes are active and quicker When finishing cargo clearance, the company has available means of transport to transport cargoes Handling cargoes is easier, delivering cargoes timely and decreasing services price The maintained goods arebetter, owing to invest modern equipment Preserve more goods, including foundation space of warehouse The customer will feel satisfied with the professional forwarding ability, modern equipment of the company 3.3.1.2 Solution 2: Improve human resources - The objective: Improvethe skills and qualifications of staff and ability to interact with customers Training the experienced staffs and work more efficiency to reduce - unnecessary costs and save time, satisfy the demand of customers about the ability of performing jobs, leading to bringing more profit tothe company The way to perform solution: Human resource is a key factor determining the success of any company So, the company needs to implement training programs regularly for new employees as well as the present staff in order to they always have the best abilities to perform the request of customers Nguyen ThiQuyen – GMA02 Page 45 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLcargoesinGSC Co., Ltd When the workload increases, instead of a staff must more jobs, the company can hire part-time employees (as trainees) They can support some basic works forthe company, such as contact the customer, shipping lines; receiving order information; supporting implementation of e-customs procedures, customs procedures at ports; arranging and classifying documents Among employees of the company have only staffs who understand the whole forwarding process, the rest of employees only know about a stage of theprocess So, the company should organize training courses in order to all staffs can assist intheprocess of working together Encourage employees toimprove foreign languages It not only enriches their knowledge, but also serves the demands of works in global economy The company needs to update and disseminate the legal documents related to import-export activities, changes inthe state policies, the customs law in order to implement correctly, save costs and time and help theforwardingprocess easier, avoid minimum errors There is clear reward and punish at work, encourage self-conscious The company should care forthe employee's life, such as organizing the birthday party for them They will relax and feel comfortable at works - The company's leader must have a high sense, exemplary and responsible forthe work, use appropriate person to avoid overlapping assignments The effective expectation of solution: Avoid the pressure of work for all employees; create a comfortable environment but still efficiency Create a professional working environment and clearly Create the solidarity among employees 3.3.1.3 Solution 3: Shorten theforwarding time and minimize costs - The objective: Shorten theforwarding time to limit costs and improve profit forthe company Nguyen ThiQuyen – GMA02 Page 46 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLcargoesinGSC Co., Ltd Take advantage of reduced costs to invest more profitable - The way to perform solution: About cargo clearance: Intheprocess of cargo clearance at the Customs Sub-branch, the employee can combine other jobs in waiting time Contact actively the customs office to remind and provide an address for goods inspection, avoid having to wait long Expand relationships with customs staffs The staff documents must concentrate highly when checking import documents to avoid slowing the expected time Recruit the right people to avoid waste money inthe training of not professional staff Reduce labor costs by transferring the paperwork into electronic systems Reduce unnecessary costs such as taking advantage of discounted opportunities to buy equipment with lower prices or refuse unnecessary services forthe business operations Negotiate with the customer about costs incurred intheforwardingprocessto better control costs Control the use of all the assets inthe company, avoid waste and misuse Retrieve debts from customers to have business capital; limit borrowing - because of having to pay high interest The effective expectation of solution: Reduce time and costs unnecessarily and improve operational efficiency Detect errors in documents of customs procedures, editing timely before customs discover errors Increase reliability of importers 3.3.1.4 Solution 4: Improvethe quality of forwarding services - The way to perform solution: The company always pays attention tothe customer's requirements, contact frequently the customer to catch their feedback in order to issue more reasonable policies When having the information about newly established companies who have the demand of imported goods, the company needs to build plans to reach them, create initial relationships, express the wish in long-term cooperation and give reasonable price to can contract immediately Intheprocess of implementing theforwarding services, the employee must perform on schedule as well as ensure the quality of goods All complaints and queries of customers, Sale Department has to answer satisfactorily Staff's politeness is the essential requirement to attract the customer There are incentive policies to customers (commission policy ) and constantly searching new customers The company should organize meetings between the company and customers to promote the brand, the new services and listen tothe customer's opinions The company needs to upgrade and enrich their website to attract visitors and cooperation Besides, promoting to cooperate and communicate through internet to achieve high effectively, save time and effort For example, create an account for regular customers to provide information such as arrival date, debts and the requirements of the customer in order to both sides follow and statistic more convenient Join inthe specialized organization: Capture timely information, update regulations, the governmental policies as well as inherit preferences for members Minimize risks in business; the voice of business is also the voice of the organization This is an opportunity for companies to exchange experience in business and cooperate together - The objective: The container is equipment that can use many times It is very convenient for transportation by many different means of transportation and places In shipping process, the container is unavoidable damage, affecting the quality of goods Even, the container may be stolen, if it has high value - goods such as machinery, equipment Therefore, the employee must check the container carefully to avoid damage or loss goods The way to perform solution: When receiving the imported goods by containers, the forwarder needs to check: Seal (intact and not forge) Data must be recorded to look up later Conditions outside of containers must unbroken Any damage that may affect the inside goods must be fully recorded When opening the container, should open on the right door before to prevent the inside goods falling into people, due to not binding carefully The angle, pegs of the container needs perfect to ensure the safety when handling containers and cargoes Must try opening and closing doors, consider the hinges, check the tightness, try moving parts, joints of the container and ensure that all are tight We can find the not tight places by finding the light ray when closing doors The floor, roof and wall are not bent, dented or scratched seriously The repaired area should be examined separately Besides, also check having any nail or hook inthe floor and walls or not to avoid causing damage goods Containers should be clean and dry Nguyen ThiQuyen – GMA02 Page 49 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLcargoesinGSC Co., Ltd After completing the inspection of goods at the port, the forwarder requires some protected measures to avoid loss or damage to inside goods, as press seal, press the door locks of the container - The effective expectation of solution: Limit damage and loss of goods for customers, bring satisfaction and trust for them The staff works more professionally Avoid complaints Avoid incurred costs of inspections 3.3.2 Tothe government First of all, the government should perfect the legal basis Currently, the state has not yet a unified theoretical basis forforwarding sector Theforwarding activity performs mainly empirically, so the efficiency of this activity is not yet high Thus, the government should combine with the departments, economic researching institutes, universities to provide a general theoretical basis about rules, explaining, implementation for everyone applied The state has invested to upgrade and remodel some important highway routes However, due tothe number of daily moving vehicles is very large, so only a time it has been seriously degraded, thereby causing influence tothe transportation process of the driver Therefore, the government needs to control stringently the remodeling process of road system, avoiding actions impacts negative on the quality of road system It will help transporting goods safely and more quickly The state also should apply policies and detailed plans for investing and perfecting facilities and infrastructure for ports If there are appropriate strategies, the geographic location of Vietnam totally can become largest transit ports inthe region However, due to not yet investing reasonable, this has led to transportation costs increased, due tothe number of ports that may receive large ships is still less Thus, almost goods from Vietnam to other countries or vice versa must be through transshipment Besides, port's productivity is low Equipment and warehousing are backward Therefore, not only the modernize ports, the arrangement and the Nguyen ThiQuyen – GMA02 Page 50 RecommendationtoimprovetheoceanfreightforwardingprocessforimportFCLcargoesinGSC Co., Ltd investment forthe port also should be conducted logical and synchronized In other words, should avoid the too big gap in infrastructure among ports, leading to congestion and overload at some ports meanwhile others -
