Digital Life Introduction W hen it comes to our collections of photos, music, and movies, the conventional wisdom that change is the only constant applies Sometimes it seems like one minute we were flipping vinyl discs and leafing through leather-bound albums, and the next we were mashing up multimedia files to stream to someone’s cell phone Thanks to all the rapid innovations, we’ve been given new opportunities to play, share, and publish the media we create and purchase, to transform our older media into digital files, to be more creative with our media than analog formats made possible—and to make a big digital mess Many of us have seized these opportunities, in the last case by dumping large numbers of mysteriously named files into random places on computers, hard drives, and other tech paraphernalia And while we accumulate haystacks of new digital media, the records and CDs and photos and films that we once treated so nicely sit moldering in drawers and boxes In the midst of all this change, there’s one thing that remains the same: messes are easy to make and a pain to clean up In fact, with technology changing constantly, just keeping up with the way all your gizmos and software work can make getting your digital life in shape seem like an incomprehensible hassle But it doesn’t have to be What you need to organize your digital life are the same things you need to organize everything else: to know what the organizational tools available are, to be realistic about which ones you will use consistently, and to put them to work Keeping your digital media organized and safe from disasters isn’t about how adept with or interested in technology you are If you have a computer and digital photos, videos, or music in the first place, you can handle the tools available to manage them If the prospect of getting organized isn’t enough of a carrot for you, consider the stick: Your hard drive will crash Discs will become unreadable It’s all just a matter of time Not only that, but your analog media won’t last forever either: Photographic prints and records and tapes and films are all destined to deteriorate eventually, especially if they haven’t been preserved in the best conditions As much as we all love the finger-crossing approach to media preservation, it has proven to be less than effective Happily for all of us, digital technology has advanced enough to provide plenty of tools for preserving and organizing all of our personal media, both new and old And although using them isn’t quite as quick and easy as crossing your fingers, many of them are probably a lot easier to use than you might expect This book is designed to show you what the best tools are and how to use them effectively, so that you can spend your time enjoying and sharing your photos, music, and movies, instead of hunting for needles in your digital haystack Introduction | | Organize Your Digital Life D4 Use the U.S Postal Service Mail Back program The United States Postal Service (www.usps.gov) offers a free recycling service for small electronics and printer cartridges in some areas The program makes free, postage-paid Mail Back envelopes available in post office lobbies To recycle approved items, you just put them in one of the envelopes and drop it in the mail box Check with your local post office to find out if the Mail Back program is offered in your area D5 Reuse newer components If you have upgraded your computer’s components at some point, or if you paid extra for certain premium components when you bought the machine, you might want to keep them when you get rid of the rest of the computer Installing them in your new computer instead of paying for brand-new high-end components may save you some money, too This can be a good option for people who are comfortable enough with technology to remove and install components—or who know someone who is Just make sure that the components are compatible with your new machine before you start tinkering D6 Use a disposal service You can read about how to wipe the data from the memory of your computer or other device before getting rid of it on page 174 However, if you don’t want to handle that process yourself, or if you want to be absolutely sure that no data can ever be extracted from your old hardware, you can send your hard drive to a service that will physically destroy it for a fee Some services can even handle whole computers and electronic devices Choose one that follows environmentally responsible procedures for recycling the material that is left after the destruction process D7 Recycle the small stuff Batteries and ink cartridges contain toxic pollutants too, so don’t just toss them in the trash when they’re used up Some printer makers have takeback programs that allow you to mail your used cartridges in or drop them off at a store, in exchange for a discount on new cartridges Recycling programs that accept electronics sometimes accept batteries as well For convenience, you can keep a jar or box for used batteries and cartridges under your kitchen sink or in the back of a desk drawer Recycle when you fill it up D D8 Buy EnergyStar products When you replace your old computers and electronics, look for new ones that meet the EnergyStar criteria EnergyStar (www.energystar.gov) is a program of the U.S Environmental Protection Agency and Department of Energy that promotes energy-efficient products Computers and electronics that carry the EnergyStar label are more energy-efficient than comparable competitors That’s better monitors according to how environmentally friendly they are It uses a list of fifty-one criteria, and assigns simple gold, silver, and bronze ratings to approved products You can check the EPEAT photographs, music, video, and some other types of work, copyright is granted to you automatically when you complete the work You don’t have to register copyright of your own work in order to own it However, registering is a good idea if you are making copies of the work available to others, including organizations, and want to ensure that your copyright ownership (or your heirs’) is clear and easy to prove should there be any confusion or legal dispute about it in the future If the items in question were not created by you, but were inherited or obtained in some other way, you not own their copyright unless it has been legally granted to you If there is any confusion about this issue, consult a lawyer You can register the digital media works that you have created yourself through the United States electronic Copyright Office (eCO), which is part of the United States Copyright Office (www.copyright.gov) The online service allows you to register multiple digital works at once,
