We got a request from Labpharma, a chemical and laboratory firm in Bien Hoa Industrial Zone, seeking a solution to transport their goods from their production to a customer in South Korea
The customer provided the information below:
- Product name: Ethanol
- Net quantity: 15 litters/package
- Gross weight: 20kg/package
- Packing group: III
- Required temperature is 2°C to 8 °C
- Quantity:
+ By Air:150 packages
+ By Sea: 450 packages

A total of 2250 litters (15 litters/package) identified as UN1170, Flammable Liquid, is packaged into UN-approved fibreboard boxes (4G)
° The packing Instruction described in column I must be followed
° The net quantity per package must not exceed the quantity specified in Column J
° Note: Inner packaging will be placed inside a fiberboard box (UN) deemed to be an outer, effectively creating 150 packages;

VERMICULITE
Vermiculite is a natural substance that expands when heated
Scientifically speaking, that's the name for a group of water-repellent magnesium iron silicate minerals (phyllosilicates) that look like bright, silvery to gray spots During the heating process (known as scrubbing), the live dirt expands
to many times its volume into a material, resembling a pebble
Expanded vermiculite is a lightweight, sterile and non-flammable material that is non-flammable and unresponsive to all but the strongest acids It will not be leveled or moldy This stone is odorless, non-toxic, and duplicated Vermiculite is very light and easy to combine with other clean, probable rocks or soils
Vermiculite is also useful for shipping odd-shaped items or items that contain liquid It is extremely absorbent and provides extra insurance for potential leakage and can help absorb shock during transport

Before beginning the process of package marking, IATA 7.1.1 (b) states,
“remove or obliterate any irrelevant mark already on the package.” In this case, the shipper used fiberboard boxes marked with the UN specification code of “4G” which does not apply to this shipment

as strict as by air Therefore, we choose the same packing as with the shipment consigned by Air, using UN fiberboard (4G) boxes
We will assign staff down to Lapharma's factory to witness and check the packing process
However, not like consignment by Sea, all packages will be loaded into a reefer container which will be borrowed from shipping lines

> EXPORT PROCEDURE
Step 1: Booking space with the airline:
e Firstly, DCheese Logistics makes a reservation with Korean Airlines and gives information about cargo Ethanol, with information includes: Get back the airline's booking with information including:
+ Consignor, consignee, notify
+ Description of goods: type of goods, dimension, quantity, weight, volume + Airport of departure
+ Airport of destination
+ Time of departure
After that, Korean Airlines confirms and resends Booking Confirmation including information about schedules and charges
Step 2: Deliver cargo that has been packed to TCS
Step 3: Make customs declaration for exporting by air at TCS:
After the goods have arrived at the TCS, Dcheese Logistics prepares several sets of documents (as above in section 1.1 in Chapter I) to corporate with Korean Airlines to handle the shipment as well as do export customs procedures
Documents will be delivered to South Korea along with the flight
Step 4: Coordinate with TCS to check goods:
+ Using a forklift to pull and weigh the goods
+ Take the size measure (Length, width, height) of the package
+ Stick talon master on each package
+ Write detailed information on the weight slip
+ Sign to receive the shipment
+ Transaction payment
+ Customs liquidation

+ Submit documents and release the Airway Bill
° After completing export procedures, the airline will issue the original Master Airway Bill for the shipment and transfer it to Labpharma’s company Step 5: Inform our agent in Korea and track the flight
> IMPORT PROCEDURE
Step 1: Receive pre-alert, documents provided by the origin agent, and check:
© Pre-alert includes (flight, flight schedule of shipment, and set of documents),
in these sets of documents it is necessary to check some important information about shipper, consignee, number of events, weight, good description, ATA (expected date of arrival)
Step 2: Goods Receipt:
¢ When the goods arrive at Incheon airport, the goods will be unloaded at a warehouse at the airport After that, the warehouse will inform us to come and get the cargo
© Usually, we will receive the arrival notice | to 4 days before the flight arrives
at the airport Arrival Notice (A/N) can also be sent before or after the Manifest declaration, depending on the carrier On the A/N, there will be information about the goods such as:
+ Number of packages
+ Master number Airway Bill (AWB)
+ Actual weight number
+ Import and export airport
Notice: Pay special attention to ATA (Actual Arrival Time) because it will take into account the storage charge later
e After that, we will go to the warehouse to receive the original documents of that company, and at the same time, we will notify the order of our company
to send to the customer
Step 3: Clearance:
Trang 15e After the goods arrive at the airport, it is necessary to check the goods carefully, check the shipment to see if the dangerous goods labels are still there or not Thereby making the customs clearance process more convenient
+ Pick up goods, liquidate customs documents, notify
+ Declaration and submission of customs declarations
+ Get threading results
+ Pay customs tax
+ Customs clearance
Step 4: Transport goods to the customer's warehouse by cold truck
3 Procedure for shipment consigned by SEA:
> EXPORT PROCEDURE
Step 1: Forwarder sends a booking request to the Shipping line along with a request for an empty Container from the Shipping line
Step 2: After receiving the Booking Confirmation from the Shipping line, the Forwarder booked a container truck to take the container back to the company’s warehouse for packing
Step 3: After Labpharma has finished preparing the goods and leaving the goods at the company's warehouse, the Forwarder will send staff to pack the goods,
° After the necessary documents have been ordered, the Supplier must make a reservation (Book space) for the export shipment
Step 4: Hiring a truck to transport packaged goods from Labpharma company’s warehouse to the Company's warehouse Then proceed to transfer the goods from the truck to the container
Step 5: Completing customs formalities:

¢ Prepare the following documents for customs declaration and customs procedures for the import and export of goods:

+ Prepare separate documents according to current regulations for dangerous goods
¢ Declaring the customs declaration
¢ Based on the information contained in the above documents, we proceed to the electronic customs software and enter the necessary information, and also the customs declaration
¢ Customs clearance for the import and export of goods
¢ Customs clearance & liquidation of declarations
e After completing the above 4 steps and the declaration of the order has been cleared, then return the declaration and barcode to the customs supervision for verification procedures When the declaration has been cleared and passed through customs supervision, we must return it to the shipping company for them to carry out procedures to confirm the actual export with the supervising customs when the goods are on board
¢ Note: To ensure seamless execution, attention must be paid to the provisions
of the law relating to export procedures
Step 6: Take the container to the CY yard before the cut-off time
Step 7: Contacting the customer (Labpharma) to send SI (Shipping Instruction) & VGM (Verified Gross Mass) to us (Forwarder) and we will send the above two documents back to the shipping company to make the bill:
e SI is the shipping/delivery instructions of Labpharma’s Company to the Forwarder from which the Forwarder sends to the Shipping line Ensure the forwarder transports the goods according to the consignor's request And limit the above errors on other delivery documents, especially the Bill of lading
¢ VGM (Verified Gross Mass) is a regulation in the SOLAS convention that requires Labpharma to determine the volume of the container and send information to us
