this semester, our company will hold an event named Sparkle in October for university students studying in Ho Chi Minh city In order to gain a clear overview for the needs of this event, we - the event organizers - have done research into the factors affecting students’ decision when choosing an event Based on the expectations of our customers, we have prepared a detailed event plan which consists of the three main sections namely are: marketing mix, human resource requirements and financial details Marketing Mix (The survey link is in the references section) 2.1) Product:  Mineral water In terms of drinks, half of the respondents would like to consume mineral water so in our event, we will serve this drink  Snack and rice paper After having done the survey, our company decided is one of the reasons attracting guests As a result, our company have to think of the gifts that can highly impressed the participants (the packaging will also be carefully-prepared) During the event, participants will take part in some activities and of course, the top players will receive gifts as well 2.2) Price:  The survey shows that our participants tend to attend free event and if the event is paid, it will mostly below 200 000 VND Therefore, it is not surprising to see that 59% of the participants are willing to pay less than 200 000 VND for an event  In order to make the event affordable to the guests, our company decide to make a budget plan in that the ticket fee is no more than 200 000 VND per person Payment method: Customer can pay via Momo or Banking Detailed day our company will pay 20 000 per hour Therefore, the cost for receptionist rental will be: 20 000*4*4= 320 000  Cleaning staff: The salary for cleaning staff is around million/month  The average money cleaner get in 1-hour working will be 25 000 Our company will pay a competitive price of 30 000 per hour if cleaning staffs agree to meet our requirements in the job description Cleaners will work for hours when the event takes place Our company are going to hire cleaning staff, so the costs will account for: 30 000*3*4= 360 000  Volunteer: For those who are cameramen and logisticians, our company will provide 50 000 per day as fuel-money support The cost will be: (2+10) *50 000= 600 000 In terms of content creators, each one will receive 50 000 when publish one post on the Fan-page We are planning to have posts so the cost will be: 50 000*6= 300 000  The total staff salary: 320 000 + 360 000 + 600 000 + 300 000 = 580 000 Variable cost:  Food and beverage: 11 300 Food:  “Banh trang Tay Ninh”: After having contact some local sellers, we have found the “Banh trang” that truly originated from Tay Ninh with the cost of 800 for one small pack  Snack: Our company choose brand Oishi, the cost of one serving is 000  Sponge Cake: we going to serve “Solite cake” of “Kinh Do” Solite is not a strange name to the Vietnamese Therefore, we hope the guests will enjoy this sweet 000 VND 23 To calculate break even point, we have to solve: (1) = (2)  100 000 * Quantity Sold = 029 928 + (42 829*Quantity Sold)  Quantity Sold ~ 36 tickets Therefore, we need to sell at least 36 tickets at the price of 100 000 to break the even point  However, we have also prepared another financial planning in case we cannot hire any volunteers The salary for cameraman, content creator has be: 100 000 * Quantity Sold = 829 928 + (42 829*Quantity Sold)  Quantity sold ~ 67 tickets RISK MANAGEMENT In order to make the event operate smoothly, our company have listed some risks that can occurs and take some preventions beforehand 24 Types of risks:  Bad weather o Probability: Medium o Consequence: Raining  The event will not operate perfectly as planned, participants may catch a fever o Prevention measures:  Check weather forecast  Consider moving the event to a nearby indoor building if the storm worsens  Unsafe food and beverages: o Probability: Low o Consequence: Stomachache (Minor to Major) o Prevention measures:  Make sure that the beverages and food be transported and stored properly  Check the origin of the food and drink  Improper placement of equipment: o Probability: Low o Consequence: Low progress of the event, leave bad impression on the participants o Prevention measures: Arrive early to set up and examine each process in the event CONCLUSION Our company’s purpose when celebrate the event “Sparkle in October” is to strengthen the relationship between students studying in Ho Chi Minh city We have planned a budget 25 management that targeted 36 guests if there is no improper thing happens and 67 guest in case there is no volunteer join our event By following the 7Ps and risk matrix strategy, we hope that our event will soon
