Viet Hai is a leading wholesaler in Da Nang, Vietnam, specializing in the procurement and distribution of Asian and European spices, including prepackaged foods, tailored for restaurants and hotels Located at 261 Tran Phu, Phuoc Ninh Ward, Hai Chau District, Viet Hai is dedicated to providing high-quality products to enhance culinary experiences.

1.3 Thang Long Goods Supply Company Limited - Da Nang Branch

Thang Long Commodity Supply Company Limited (TLS) is part of the Sun Group's supply block (SSC) For food and decentralized shopping orders exceeding 5 million VND (excluding VAT), PVDR will issue purchase orders (POs) to TLS, which will then handle the order placements.

PVDR serves as the final link in the supply chain, transforming input products into high-quality dishes for its customers Committed to excellence, PVDR prioritizes partnering with reputable suppliers and is recognized for delivering exceptional service Each incoming shipment undergoes meticulous inspection for packaging integrity, quality, and moisture levels, ensuring that the rice maintains consistent quality.

After being delivered to PVDR's receiving area, Mr Hoai (Storekeeper) will sign the delivery note and transfer the rice goods to the Food Dry Inventory.

The Procurement Department will generate a Purchase Order (P/O) and submit it to TLS for approval Once approved, the P/O will be forwarded to the Viet Hai supplier After Viet Hai fulfills the order, the P/O will be sent to PVDR, adhering to the expected delivery date specified in the P/O.

However, for defective products (perforated packaging, improperly packed, moldy rice, etc.), PVDR will not accept the item and return it to the supplier to be exchanged as required.

Downstream from Premier Village Danang to customers:

ST25 Rice, known for its high quality, is carefully selected and inspected before being sent to the F&B Ca Chuon department This specialized rice is then transformed by chefs into exquisite dishes, enhancing the culinary experience for guests at the Resort.

The information flow operates as a two-way exchange, beginning with customers, such as those placing advance food orders for an outdoor wedding party This initial input serves as the foundation for generating demand among relevant parties, who then share specific information with one another.

 Buy goods with simple and quick installation

At PVD, domestic goods are classified into two categories: non-food items with an invoice value of less than 5 million VND, and food orders alongside non-food goods with an invoice value exceeding 5 million VND.

Stages in the process of purchasing food items

Food orders must be purchased through Thang Long Goods Supply Company Limited (TLS).

When departments require goods, they generate Purchase Requests (PRs) and submit them to the procurement department for approval by the relevant authorities.

 The set needs to purchase goods: Perform PR creation on MC (Oracle Hospitality Material Control) software according to each appropriate product code.

The Procurement Department is responsible for submitting Purchase Requests (PR) to the appropriate authorities for approval Specifically, for food items, it is essential that the PR receives approval from the chef, Mr Le Thanh Nam, as well as from the head of the procurement department, Ms Phuong Loan.

 PR after approval: Procurement department transfers to TLS to carry out the procurement.

At this stage, the purchasing department must confirm item details such as size, quantity, packaging specifications, and product identification notes to avoid misplaced orders and prevent time loss due to incorrect deliveries.

Stage 2: Find new supplier and contact for price offers

After receiving PR approval, Thang Long will take over from PVDR in sourcing quotes and suppliers, subsequently summarizing the information for PVDR's procurement department to identify the best suppliers The comparison of quotations will be a key focus in this process.

The supply chain and food purchasing process at Premier Village Da Nang Resort involves a comprehensive evaluation of various criteria to ensure optimal procurement Key factors include quality comparison among suppliers, assessment of product parameters, competitive pricing, and expected delivery times This systematic approach allows the purchasing department to maintain high standards in food sourcing while ensuring cost-effectiveness and timely deliveries, ultimately enhancing the resort's service quality.

Key suppliers for the Resort include Mega MM, Anh Yen, Dat Phu Nguyen, Asia Fine Food, Tu Anh Thu, Hien Lien, Van Long Tuyet, An Nam, Dai Tan Viet, Gia Truong Phuc Da Thanh, Chau Cam Ky, ATLAS, Classic Fine Food, Viet Hai, Hieu Nha, Xuong Huong, Hoai Giang Xanh, Genki, Dac Vinh, and Nguyen Uyen Bao These suppliers provide a diverse range of goods essential for the Resort's operations.

Upon receiving university and supplier information from TLS, the procurement department will create a Purchase Order (PO) and submit it to the relevant authorities for approval Once the PO is approved, it will be generated in the MC software using the appropriate PO code.

Stage 3: Make an order (Send PO)

After the purchase order (PO) is approved, the procurement department forwards it directly to the suppliers to initiate the purchase For food universities, this process also includes notifying Sungroup's supply department, TLS, for tracking purposes via email.

The procurement department utilizes the information from the purchase order (PO) and the accompanying order list to monitor project orders and update progress as needed For instance, if a supplier indicates that they can only deliver 50% of the goods on the previously agreed estimated delivery date, the department will adjust the order status accordingly.

For contracts requiring advances, PVDR provides funds to SUPPLIERS as per the agreed terms If universities do not require an advance, proceed directly to step 4 of the process.

Stage 4: Receiving and inspection of goods

When suppliers deliver goods to the resort, the procurement department verifies the quantity and quality of the items, checks packaging specifications for dry food, and monitors cold storage temperatures for frozen products A material criteria document is issued and signed to confirm the actual delivery quantity Simultaneously, the procurement team contacts the representative from F&B, the canteen, or the relevant ordering department at the receiving hall to inspect the goods, sign off, and transfer them to the food warehouses All fully signed documents must include signatures from the shipper, consignee, ordering department, purchasing manager, and executive chef.

 In case the goods meet the requirements: the consignee and the representative of the purchasing department sign the PO to store and sign the delivery record for the supplier.

If goods are found to be unsatisfactory due to damage, mold, incorrect packaging, excessive temperature of frozen products, compromised quality, or nearing expiry (more than two-thirds of the shelf life since production), the procurement department will document the issues, return the items to the suppliers, and notify TLS via email.

Summary of practical lessons

My first task assigned by Mr Phung, my supervisor, was to find a quote, which helped me become familiar with identifying potential suppliers and comparing prices according to specific supplier selection criteria.

2.2 Receiving and inspection of goods

The receipt and inspection of goods is a crucial step in the purchasing process that requires the consignee to possess strong observational skills It is essential to meticulously count the quantity and assess the quality of the goods upon arrival, as any discrepancies will primarily fall under the consignee's responsibility Before storing the items in the warehouse, the consignee must sign the Purchase Order (PO) and ensure that both the supplier's purchase invoice and the PO are signed by the ordering department representative Additionally, the signatures of the shipper and the consignee representative from the resort are also required on the PO.

2.3 Import and export Beverage Inventory

Upon receiving goods such as canned water, beer, glass bottled drinks, 10L Waterman water, and wine, they will be stored in the warehouse The quantity received must be accurately recorded in the Stock Card under the Received column, while the total actual amount at the time of entry should be reflected in the Balance column.

When food and beverage restaurant departments require supplies, they submit an Issues Request I will then release the appropriate items from the warehouse, ensuring the correct item names and quantities are provided, and subsequently update the Stock Card accordingly.

2.4 Inventory check at the end of the month

PVDR conducts a monthly inventory check at the end of each month, where interns, cost controllers, and warehousekeepers collaboratively assess the inventory across various warehouses.

Practicing on the Materials Control (MC) software is a valuable opportunity for students, as it enhances understanding of order performance and system operations Guided by experienced colleagues in the shopping room, I learned to navigate the MC software by checking the diary and recording information in my notebook, which facilitated my grasp of the system's functionalities.

2.6 Building a good relationship with PVDR personnel

During my practical experience at PVDR as a procurement officer, I learned several critical lessons Firstly, maintaining accurate records is essential, as lost documents can prevent TLS from processing payments Secondly, it's crucial to thoroughly check goods upon receipt; if items are missing but a full delivery receipt is signed, suppliers will not be liable for any damages Lastly, all communications should be conducted via email, as it serves as proof for any discrepancies For instance, if a shopper specifies the refrigerator's details via email but receives the wrong item, they can use the email as evidence to report the issue to the suppliers and arrange for the return of the incorrectly delivered goods.
