Hai Phong city Source: Taken by myself Vinaship was first established under the name of Shipping Company III (VINASHIP) on March 10, 1984 On October 24, 2006, the Ministry of Transport approved the plan and transformed Shipping Company III, a member unit of Vietnam National Shipping Lines into VINASHIP Shipping Joint Stock Company with the business line is: sea transportation, marine services, sales agents 1.2 Facilities and Equipment The company's facilities include: - Corporate entity with headquarters at No Hoang Van Thu, Hai Phong - Branch offices in three major cities: Ho Chi Minh, Da Nang, and Quang Ninh - The fleet consists of cargo ships with a total tonnage of 134,158 (DWT) built from 1996-2008 in Vietnam and Japan - The Board of Directors: Has full authority on behalf of the Company to decide all important issues related to the purposes and the rights of the Company - General Director: The legal representative of the company, responsible for managing business standard operation process SOP with continuous optimization and improvements; Direct and coordinate the company’s financial and budget activities to fund operations, increase efficiency and deliver on agreed upon financial goals Help prepare financial reports as needed by the Group and Corporate Finance Department - Duty General Director in charge of Chartering - Operation: In charge of chartering, operational and commercial ship’s management in liner and tramping trade(general cargo ships); Participating in elaboration of the company global budget and management of operating budget; Clauses negotiations with shipbroker and ship owner, approving the charter party for the company Vu Thi Ly Na – IBL1002 Page 15 Fieldtrip Report of Vinaship Seaport Joint Stock Company - Duty General Director in charge of Materials & Technical: Periodic settlement of use of materials, semi-finished products and finished products; Manage and control all activities of importing - storing - exporting - stocking - inventory of the Company's warehouse system; Operate and manage the staff of the Materials Department, perform professional work to ensure the timely and sufficient supply of materials and materials to meet the project construction schedule - Duty General Director in charge of Safety Legal: Proposing solutions to the Board of Directors and subsidiaries of the Group to ensure proper operation in accordance with the law and ensure the rights of the company; Execute, maintain and management of employment procedures, staff management and dispute resolution, and comply with operational rules and regulations; Instruct and coordinate with other departments to ensure compliance with the law - Staff OrganizationDepartment: Organize planning, conduct recruitment, transfer, arrange crew members, titles suitable to the ship's manning, improve crew qualifications; Monitor and manage the crew's employment contract; Checking and monitoring the validity of the crew's degrees, crew books and medical examination papers; Participating in the development of salary unit prices, salary regulations, management of salary increases and bonuses and allowances for crew members according to regulations and company policies - Technical Department: Design and oversee testing, installation, and repair of marine apparatus and equipment; Investigate and observe tests on machinery and equipment for compliance with standards; Maintain and coordinate repair of marine machinery and equipment for installation on vessels - Supplies Department: Responsible for research, analysis and negotiation with suppliers to ensure the supply of sufficient quantities of materials with the best quality for production and business activities; Monitor inventory, ensuring inventory levels are maintained within appropriate limits; Advise the Board of Directors in the process of building material consumption norms - Marine Legal Safety Department: Controlling the legality of documents and contracts issued and signed by the Company; Ensure all procedures and operating procedures of the company are legal 2.3 Policies for employees - Training policy: promote training and retraining activities, especially in professional skills for professional staff at each department +) For workers: regularly open on-the-spot refresher courses to improve the skills and understanding of the employees about the maritime industry Employees are encouraged and facilitated to participate in training classes to improve their professional skills, foreign languages, and informatics +) For employees of the professional departments: the company always creates conditions to study both at home and abroad with specialized professions suitable to job requirements, and participate in short-term professional training courses on the regimes and policies of the State The officers and employees who are sent to study are paid by the company and receive a salary according to their learning results - Other regimes and policies for employees: +) Giving gifts to employees on International Women's Day 8/3, Vietnamese Women's Day 20/10, weddings, holidays, +) Giving gifts to children who are children of employees of the Company who have attained high academic achievements +) Anti-heat and anti-toxic modes for workers who work in hazardous conditions Vu Thi Ly Na – IBL1002 Page 18 Fieldtrip Report of Vinaship Seaport Joint Stock Company CHAPTER SELF-REFLECTION 3.1 Outcomes From the first year to the end of the third year of university, most of the time in the lecture hall is the time when students receive and cultivate professional knowledge Neither I nor some students have had the opportunity to visit and learn officially some long-standing companies operating in the field of Logistics However, after this internship, I realized a big difference in the industry I want to pursue The difference here is not in the knowledge in syllabus I learned but in the skills I soon realize that I am lacking of some neccessaries soft skills if I want to apply for a position that suitable for me in the profession After graduating, I want to work as a bulk carrier operator because I want to improve relationships with international shipowners or brokers, and explore the ability to find new customers The job required me to have knowledge of bulk cargo and chartering; good communicated ability; planning and problem-solving skills are also an important requirement in this position The main requirements can be listed as: - Monitoring and controlling theship operation process, adjusting the diagram according to reality to ensure loading / unloading according to the requirements following to the plan - Send a report to the ship's command to check the safety of the loading before leaving the port - Make reports on the time, the quantity of exploited goods according to the form and the prescribed time given by the shipping company, send to shipping lines, next ports - Support in handling and providing information when there are problems or problems in the process of loading and unloading cargo on board Vu Thi Ly Na – IBL1002 Page 19 Fieldtrip Report of Vinaship Seaport Joint Stock Company 3.2 Some recommendations for improvement in future internship Because this is my first internship, I am still very confused and not confident to show all my best knowledge in the Logistics industry, typically asking questions to the support teachers in the talkshow Therefore, it’s highly important to enter an internship “with your eyes and ears open”, it means you must be opend-mined, be ready to learn, and soak up a lot of job relevant information Besides, it is good if I can connect as many as people as possible, and be proactive with respect to any chance to interact with a member of the organization I intern with in the next internship Indeed, it’s important to always be outgoing and eager to meet your coworkers, interns, coordinators, and mentors—they'll help you learn and improve your experience There are so many benevolent people here willing to talk to interns and give you moral supports Furthermore, I would be grateful if the internship supervisors could tailor the project to match the student's interests and abilities Moreover, the more time supervisors can spend with the intern, the better the result is likely to be Exercise strong supervision including regular meetings, progress reports, and deadlines along the way Vu Thi Ly Na – IBL1002 Page 20 Fieldtrip Report of Vinaship Seaport Joint Stock Company CONCLUSION In the process of global integration, spearhead economic sectors are developing strongly Especially in recent years, Logistics is one of the industries with high growth rate, the job opportunities in this industry will expand, creating a chance for students who are majoring in Logistics in Vietnam Maritime University in general and ISE in particular to apply This internship is a big turning point that helps me gradually improve my knowledge and skills to be suitable for the position I want to after graduation -
