a cause of environmental pollution In general, with each different field, digital transformation will bring different benefits, it is the trend of the future Problem: Traditional libraries are facing major problems which are high maintenance and operation costs, difficulty in sharing document data due to geographical location, limited number of users in a certain period of time and the data is getting bigger and bigger, difficult to maintain and occupy a lot of space In addition, document quality also degrades over time.[1] The working process of most libraries in Vietnam is quite complicated For example, there should always be or permanent staff in charge of small libraries and also security guards for large libraries Finding documents is difficult due to the large number of documents, users may lose or damage documents Digital conversion in document storage is project that converts actual data into digital images Build a storage system, share them so that all users can have the fastest access to the best quality without the need of a traditional library At the same time, the content quality of the document will be preserved over time Huge reduction in operating costs (employee, space) and maintenance The purpose of this study is to help readers understand the importance of the Digital conversion in document storage project compared to the traditional storage system The study also shows the impact of data redundancy on the environment and how to deal with it Project Scopes Digital transformation in document storage is an inevitable trend, it will certainly happen and replace the old traditional storage methods This study will help people better understand the benefits and importance of digital transformation in document storage However, digital transformation also pollutes the environment due to the redundancy of data, so the study will also collect data and information and point out the problem encountered along with the appropriate proposed solution to solve it solve current or future problems Main aims The study will follow two major objectives which are:  Research helps readers understand the benefits and disadvantages of the digital conversion project in the archiving documents for the traditional system  Analyze the impact of the digital transformation project on the environment and offer future solutions The research will and don’t The research will decide the appropriate primary and secondary research methods for the project Then a secondary study with references Next, a primary study will be performed and analyzed the data that has been collected, then evaluate them and come up with a conclusion and answer to the problems posed Finally, the study will provide other necessary documents and conclude the study The study will not cover the processes involved in actual project implementation, but only research on the issues mentioned in main aims Project objectives Problem analysis 1.1.Find out the problem, purpose, main aims, project objectives Decide on research methods 2.1.Primary Research 2.2.Secondary research 2.3.Do secondary research Do primary research Analysis based on secondary data Reviews and conclusions Provide other documents II Literature review Traditional libraries are slowly becoming obsolete in today's society The current situation for industries and fields is that they are gradually moving towards modernization, implementing operational processes, management and storage on a digital platform The same goes for traditional archive libraries, their benefits are dwindling and their disadvantages are increasing As mentioned at the beginning of the report, traditional document storage is facing four problems: high operating and maintenance costs, difficulty in sharing document data due to geographical location, number of documents The number of users is limited in a certain period of time, and the data is getting bigger and bigger, difficult to maintain, and takes up a lot of space In addition, document quality also degrades over time To solve these problems, the project of digital transformation in document storage appeared However, does it really bring outstanding benefits compared to the traditional system? Next, digital transformation projects are often accompanied by data redundancy, which pollutes the environment, causing global warming So these problems really exist for this project and what are the solutions if they do? So this study will address two points that are:   The outstanding benefits of the digital transformation project in document storage compared to the traditional method Pollution problem due to data redundancy and proposed solutions Survey participants: Because the project involves archiving documents, the scope of the survey and interviewer is the users of the library system (readers, managers) Research methodologies Primary research is a research method that takes information of one or more groups of subjects with subjective information of the performer, it can be related to feelings and experiences The collected data will be analyzed and the surveyor's views on the project will be found It usually has methods: survey and interview Qualitative research methods are used for in-depth interviews, optimal for collecting data about opinions, individuals and especially understanding of the project or problem Quantitative research methods are used to collect accurate data such as rates, levels, etc for projects that need exact numbers to estimate Survey: A survey is a technique for acquiring data from a sample of individuals by asking pertinent questions with the goal of comprehending populations as a whole Everyone involved in the information economy, from corporations to the media to the government and academia, relies on surveys as a vital source of information and insights Benefit of survey:   More and quicker reactions: Online surveys allow you to collect replies automatically, as opposed to paper surveys, which need you to wait for responses to be mailed back Your online survey's participants will probably react faster because it only only a few clicks to complete They cost less to operate: Online surveys are substantially less expensive than offline ones You are not required to pay for postage Additionally, you don't need to invest the same time and resources into entering data from paper questionnaires into your database Interview A process called an interview is used to elicit information from a subject through spoken replies to oral questions It includes several methods such as:     Formal and informal interviews Sequential and group interviews Group interview Situational interview Secondary research: Using data that has previously been collected is known as secondary research or research To improve the study's overall efficacy, existing data were collected and summarized Research papers published in research reports and other comparable publications are considered secondary sources Public libraries, websites, data from pre-filled questionnaires, etc may offer these resources A few governmental and non-governmental organizations also save data that may be obtained and utilized for study Because it employs data that is already available, secondary research is far less expensive than primary research, which collects data directly from organizations, enterprises, or people's families may employ outside companies to gather data for them Scientific method: Through testing and experimenting, the scientific method establishes facts in an unbiased manner Making an observation, formulating a hypothesis, making a prediction, carrying out an experiment, and then evaluating the findings are the fundamental steps The scientific method's principles may be used in various contexts, including business, technology, and scientific study Research processes: To conduct any research, it is necessary to follow a certain research process to increase the effectiveness of the research  Step 1: Define research problem Determining the research problem is the most important work of the entire scientific research process Well-defined problems will guide the whole study in the right direction and achieve the intended purpose  Step 2: Reviewing of Literature The research method always includes a study of pertinent literature It enables the researcher to frame his issue in light of certain, as yet unexplored, features of the practitioner's overall field of interest  Step 3: Setting Research Questions, Objectives, and Hypotheses An aim will specifically state what should be investigated, outline the kinds of data that should be gathered, and offer guidelines for the study's scope The ideal way to describe a research goal is with a well-developed, tested research hypothesis A hypothesis is an unverified assertion or claim that can be disproved or confirmed by empirical evidence Hypothetical claims make an assertion about a potential solution to a research topic  Step 4: Choosing the Study Design It is a master plan that outlines the techniques and steps to be taken for gathering, handling, and evaluating the data There are four fundamental research designs that may be used by researchers to carry out their studies   Step 5: Deciding on the Sample Design Step 6: Collecting Data From The Research Sample Collect data through data sources such as surveys, interviews, references  Step 7: Process and analyze collected research data The purpose is to find the information to build the report  Step 8: Writing Research Report Based on the information collected and analyzed to write a report Population in research Research needs to identify research subjects to collect information most effectively For the issue of digital transformation in document storage, research participants are usually a group of users such as students, and managers such as library managers and bookstores They will give the most accurate data information for the problem For secondary research, the materials studied are general or process reviews, reviews of actual projects that have been carried out, or research papers on similar issues posed Research Methods Implemented Several research methods will be used in this study The first is secondary research, it is done to study remote working references and topics related to the problem posed, etc The reason secondary research was chosen is that the research needs formal, meaningful documents that have been analyzed and evaluated in order to rely on them to solve the posed problem The information provided by secondary research will be highly accurate because it is based on the work of previous researchers In particular, they are more objective and scientific than other studies Primary research is also done because it needs to collect subjective information such as knowledge and views of actual users of the traditional system The data obtained will represent the users, it will tell their views about the project as well as understanding of the meaning of the project In addition, other opinions for the project are also important for its own future development Based on the user's experience, they may raise some issues Therefore, primary research is the best method to reach the users of the project The first method used in this study is survey because it will reach many people, everyone will have time to think and learn about the issue under discussion to come up with the best answer The reason for using the survey method is that some of the collected information needs to be accurate and objective instead of instantaneous like the interview method The second method used is Interview, the reason for implementing this method is that the research needs to find out each person's own views on the questions, the answers will prove the knowledge of the respondents It will be used to collect information about personal, subjective views In a short period of time can reach many people Quantitative and qualitative methods were also used in the survey Qualitative methods are used because the research needs comments, assessments, subjective views of the survey takers towards the project, these data are diverse for each person, so it cannot be used entirely using quantitative methods Quantitative methods are also used because the project needs important data to estimate the project Secondary research In the secondary research, the topics studied are remote working with digital transformation, practical projects related to digital transformation in document storage and Monitoring and productivity tools, their uses and implications They contribute to clarifying the issues raised and underpin the assertion of primary research Secondary research about digital transformation in document storage Digital libraries developed in parallel with the development of the Internet Digital libraries make it accessible to millions of individuals both in India and around the world It has not stopped as a mere library but has become India's national issue of cultural diversity Its fundamental benefit is to allow libraries to support the sharing of resources such as text documents , images, and extending access beyond the boundaries of the library to at home and abroad For a large and populous country like India, traditional libraries cannot fully meet the needs of readers National Digital Library of India (NDLI) is a major project on digital transformation in archival, it provides academic resources that help people to access online, creating a digital archive As of 2019, it has archived over 25 million entries and over 150,000 volumes in English [2] Based on the above report, we have seen the importance of digital transformation in document storage for a large country like India It has solved issues such as the scope and access of libraries, connecting libraries and developing them at a national level, serving education and research With the above figures, they show that the development of digital platform storage is constantly increasing Although the cost is not mentioned, this digital transformation project creates a large library that everyone can use instead of each area opening up a separate library system, so the total cost will be reduced much smaller than the traditional method For digital platforms, some of the changed roles of librarians in digital transformation are using electronic resources, establishing digital services instead of traditional printing, emphasizing more on collaboration and resource sharing, 24/7 service design in a network environment, and digital data warehouse design and development Conduct research advocacy activities on the platform [3] The era of digital transformation for libraries has completely changed the role of library professionals, not only stopping at simple activities such as document management but also developing more on website and document management online or even library events and finances to benefit both readers and site administrators That shows that the cost-related benefits of the digital transformation project in document storage are very large, it will not only stop at non-business activities but can bring profits to the authors , while helping to expand cooperation and sharing resources in the community Digital transformation often comes with remote working, so is remote working really good, is it a passing trend or the trend of the future? One study focused on Italy – a country hit hard by Covid 19 Work structure has changed, more than million people (13% of workers) have had to work remotely during the pandemic It caused a huge crisis in Italy because before that, the country had one of the lowest rates of telecommuting in Europe [4] The urgent transition to remote working is a disaster when they have to immediately equip digital devices such as computers, laptops, etc So is working remotely a crisis? It is only true in the above case because it is passive For other countries, remote work has slowly developed and is gradually replacing in work, so the Covid-19 pandemic has not had much effect on their work The same goes for digital transformation, it is inevitable and should accelerate development along with remote working to increase work efficiency For traditional libraries, 1-2 staff members are always needed for small libraries to carry out the library and reader management processes However, with the digital library, employees only need to work remotely, the workload is also reduced because the server system will perform most of the basic library operations such as registration, borrowing, Buy and read books Therefore, teleworking will evolve along with digital transformation Digital transformation will reduce a large amount of physical waste With traditional methods, the amount of data in physical form (documents) will gradually increase over time, even exponentially for systems with a large number of users Along with that is the amount of old data (unnecessary, damaged) that needs to be removed It will cause environmental pollution, causing global warming Therefore, digital transformation is necessary to reduce this amount of physical waste The question about cost User level of concern and understanding of data contamination Some solve of data pollution IV Analyse the result of the primary research Interview Hypotheses 1: Does data conversion bring many benefits compared to the traditional system? For the Interview, we asked questions related to the benefits of a digital storage system compared to a traditional storage system We realize that everyone likes to use a digital-based storage system because of some advantages such as ease of use, full features of traditional libraries such as registration, borrowing books Its advantage is that it is easy to find documents, does not take as much time as a traditional library For management, the digital-based library system is easy to export and import documents, significantly reducing maintenance costs In particular, they can work remotely and monitor the system easily, basic functions are programmed, data is automatically stored It solves the biggest drawback of the traditional library that is the state of book damage due to preservation or unintentional loss, tearing or damage by readers because the documents will be digitized and stored on the server in the form of documents Picture Simply put, it will be preserved forever with time, far more than a physical document Survey Hypotheses 1: Does data conversion bring many benefits compared to the traditional system? Data from the survey shows that most of the readers have used the document storage system (digital library), the rate accounted for 94% This shows that digital transformation in general and digital libraries in particular has become a trend at the moment, and people's access to them has gradually increased This information shows that most people are knowledgeable about electronic libraries, it will help this survey to collect more accurate information This question collects information about the benefits of an electronic library over a traditional library Basically, everyone thinks digital libraries are very useful because they can be used anywhere and save a lot of time (76%) This information shows that users are very focused on the usability of this type of library Next, it is very easy to find and share information and documents (50-60%) These benefits are often overlooked but decisive for some users All of the above benefits are things that traditional libraries cannot achieve Up to 76% of people think that the digital library system meets 80% of the user's needs This shows that the actual projects have taken the user requirements to build the system very well However, these systems are still not perfect at the moment, so continuing to collect requirements and user feedback is necessary to achieve a higher rate in this question For traditional and digital systems, everyone spends a certain and often constant amount of time reading books/documents It shows that reading time has become their habit, which does not seem to change despite changing different systems Although the time does not change, up to a quarter of readers find that the amount of information absorbed increases significantly even though the reading time does not change This shows the absolute efficiency of digital libraries over traditional libraries Helping readers access a large amount of information in the same amount of time In terms of cost, although the difference is not very large, it seems that an electronic storage system will be more economical than a physical library This has proven its economical advantage over the traditional system Some of the suggestions from users are to build a more diverse storage system, increase the experience, user interface, increase functional performance, etc Hypotheses 2: Is data pollution really that important at the moment? Most people consider the impact of data pollution on the environment to be moderate to high This shows that people really appreciate the problem of data pollution causing global warming This information shows the survey respondents' interest in this issue However, at the present time, solutions have been applied to solve this data pollution problem The solutions are used equally in different projects, it also shows that, current projects cannot combine all solutions to reduce most of the data pollution Conclusion Hypotheses 1: Does data conversion bring many benefits compared to the traditional system? For the first question/hypothesis, data collected from primary and secondary research shows that digital transformation in general and document storage in particular is developing strongly at the present and is a trend for future The proof is that the digital transformation systems in India as in the secondary study bring great benefits to this billion-people nation Surveys and interviews show that the number of people who use and love digital transformation systems is very large Basically, they meet the functions required by users from basic to advanced, from readers to managers They are also very convenient with anytime, anywhere, no time limit, easy document search They bring great benefits to users which are:     Cost savings: 58% of users said the digital conversion system would be more economical than the traditional system Users and managers can work remotely, reducing the number of employees directly at the system Easy data sharing: Due to the implementation on the Internet platform, users can easily access anywhere and share data with others The proof is that 52% of people who take the survey recognize this possibility Easy to scale, the number of people to access: The system will always make sure everyone can access, for India's national system, it can meet the access needs of millions of people , far more than the physics library Good document preservation: Since all documents are digitized they are imperishable, this is attested by system administrators Therefore, we can conclude that the document storage system (digital transformation) brings benefits far beyond the traditional archiving system Hypotheses 2: Is data pollution really that important at the moment?
