St Peter Soccer Board Positions and Duties President: • Chief Officer of the Club • When present, preside over all meetings of the Board of Directors and Members • Sign and execute any deeds, contracts, etc • Provide leadership to the Club and Board • Coordinate strategic planning for the Club • Present annual report at Annual Meeting • Supervise work of the Board • Work with High School coaches • Attend games and practices; be there for coaches, players and parents Registrar/Vice-President: • Prepare registration materials for each season • Register Club players, coaches, and teams with MYSA • Distribute team rosters to each team at start of season • Track MYSA Calendar and update board on deadlines • (with board help) Develop registration dates and season timelines subject to MYSA Calendar • Keep accurate records of all players and teams • Prepare and give a detailed report at Annual Meeting Secretary: • Send out notices for Board meetings and other official meetings of the Club • Provide agendas for Board Meetings (in consultation with President) • Take minutes of all Board Meetings • Distribute minutes within two weeks after Board meeting • Maintain Board by-laws • Post Board meeting minutes to club website after approval of minutes by the Board Treasurer: • Track expenses against budget (monthly) and report at each Board meeting • Present a financial statement at the end of Club’s fiscal year and present this at the annual meeting • Prepare Proposed Budget of Board action • The Treasurer shall have custody of all funds, shall keep a full and accurate account of receipts and expenditures, and shall make disbursements as authorized by Board • The Treasurer shall be responsible for the maintenance of the Club’s checking and other financial accounts Referee Coordinator: • Secure qualified youth and adult referees for home games • Secure qualified youth and adult referees for in-house games if needed • Secure qualified youth and adult referees for neutral site games • Review and mentor referees regarding their on-field performance • • • • • Recruit new referees from within Club and community Organize referee training throughout the year as needed Make sure new referees and younger referees are properly trained and supervised Develop and distribute a code of conduct for coaches, players and parents Prepare and give a detailed report at Annual Meeting Field Coordinator: • Acquiring the rights (by contract if necessary) to use the fields, gyms or rinks of the City of St Peter, Gustavus Adolphus College, St Peter High School, and/or other entities, for soccer games, practices and training activities • Developing a working relationship with the City of St Peter, Gustavus Adolphus College, St Peter High School, and/or other entities in the area of field allocation • Assigning playing fields through MYSA for all sanctioned (MYSA) home games • Lining fields appropriately for each age group • Placing goals and flags for each field • Developing a support system of volunteers to line, water and fertilize fields (as needed) • Updating field travel directions on MYSA site • Prepare and give a detailed report at Annual Meeting Equipment Coordinator: • Coordinate procurement and distribution of player uniforms • Coordinate procurement and distribution of team equipment, including balls, first aid kits, pennies, cones and goalie equipment • Work with field coordinator to procure all needed field equipment, including goals, flags, stakes, etc • Prepare and give a detailed report at Annual Meeting Risk Management Coordinator: • Ensure Club is up to date with Risk Management policies of MYSA • Ensure Club has a policy of securing goals, and that the policy is known by Board and coaches • Periodically check goals each season to ensure safety policies are being followed • Ensure that adults who are working with Club (Board members, coaches, team parents, etc.) are registering for background checks through MYSA • Prepare and give a detailed report at Annual Meeting In-House Coordinator: • Establish schedule for practice/games for U6 and U8 players for the spring/summer and fall seasons • Reserve gym space for the Indoor season (at least months in advance) • Work with Coach Development Coordinator to identify coaches for in-house program for fall, indoor and spring/summer seasons • Organize annual training for new in-house coaches • Work with Coach Development Coordinator and Player Development Coordinator to train coaches and players • Prepare and give a detailed report at Annual Meeting Competitive Coordinator: • With Board, help determine appropriate teams to ensure competitiveness with other MYSA teams in the area • Work with Coach Development Coordinator to identify coaches for fall and spring/summer season • Work with Player Development Coordinator to identify proper fit for players on teams • Manage duties of Coach Development Coordinator, Player Development Coordinator, Team Manager Coordinator and Tournament Director • Keep board up to date with Competitive League rule changes from MYSA • Prepare and give a detailed report at Annual Meeting Marketing Coordinator: • Develop and distribute promotional materials for the Club • Develop public relations (park board, recreation department, local advertisement, etc.) • Submit selected game reports (provided by Team Manager) to local newspaper • Research sponsors for website and Club activities • Tap into surrounding communities for Club advertisement • Maintain communications for entire Club • Prepare and give a detailed report at Annual Meeting Fundraising Coordinator: • Provide leadership in developing strategies for raising funds to support the Club’s programs • Organize fundraising activities • Recruit volunteers for fundraising activities • Oversee concession stand sales • Prepare and give a detailed report at Annual Meeting Concessions Coordinator: • Create staffing schedule for concession stands • Train staff on concession equipment • Purchase concession items • Maintain records for concessions and meet with treasurer • Relay schedule to team managers to inform parents to staff concession stands • Create a menu and list of equipment needs • Obtain proper permits for food sales • Prepare and give a detailed report at Annual Meeting Website Coordinator: • Develop and maintain Club website • Maintain mass email site • Train other members to enter needed data and be available daily to update website if needed • Prepare and give a detailed report at Annual Meeting Coach Development Coordinator: • Recruit coaches for each of the Club’s seasons • Organize a Coaching Clinic for new coaches twice a year • Alert coaches to MYSA mandatory meeting, parameters and deadlines • Provide leadership, direction and vision for coaches • Develop and distribute coach evaluations to parents and players at the end of each season • Explain to coaches what parents need to be informed of at parent meeting • Develop a checklist for coaches for pre-game • Prepare and give a detailed report at Annual Meeting Player Development Coordinator: • Research and post clinics and camps for players • Create a set of goals for each age level and inform coaches of those goals • Inform players of MYSA activities • Research and make available training materials for players • Develop and distribute player evaluations to coaches for each season • Be a contact for coaches in need of help • Prepare and give a detailed report at Annual Meeting Team Manager Coordinator: • Train team managers • Create a checklist for team managers • With the help of coaches, recruit team managers • Set up PACT training for coaches and parents • Use Club website to relay information • Relay
