Ira Revels Project Manager HBCU-CUL Digitization Initiative Public Services and Assessment 223 Olin Library Cornell University Ithaca, NY 14853 E: ir33@cornell.edu P: 607-255-1569 F: 607-255-2493 August 21, 2007 Subject: Memorandum of Understanding to be submitted with your bill to Cornell for your scanning technician’s wages Each participating institution in the HBCU-CUL Digitization Initiative is entitled to receive a total of $4,000 to hire a scanning technician in order to produce digital images and metadata The scanning technician can be a student or another person you decide to employ A job description outlining the scanning technician’s skill requirements and range of activities is available on the project website at: http://hbculibraries.org/docs/Job_Description_Scanning_Technician.doc These funds will be paid in two installments Half will be paid to the institution in advance and half will be paid in the summer of 2009 near the end of the project In order to receive the first half of the payment the library director or another authorized representative at your institution will simply submit an invoice on your institutional letterhead for $2,000 along with a signed copy of this memorandum of understanding Both invoices you submit must include the following statement: "I certify that the costs being billed are the actual costs as recorded in our records and as expended for the work actually performed in accordance with the terms of this agreement." [INSERT NAME OF YOUR INSTITUTION agrees, as a recipient of this initial payment that at least one representative from [NAME OF LIBRARY] has successfully completed the HBCU Digital Image Workshop in Morrow, Georgia in 2005 November or 2007 July [NAME OF YOUR INSTITUTION] agrees, as a recipient of this initial payment that a representative from [NAME OF LIBRARY] will provide to Cornell University Library a technical report for the period ending April 1, 2008 The contents of the technical report will include the quantity or total number of hours worked by the project coordinator, scanning technician, and other library and/or IT personnel involved in the project; the total number of hours worked per person, the total number of digital objects in CONTENTdm digital collection management system, and the total number of items scanned, which have not been included in the CONTENTdm database system [NAME OF YOUR INSTITUTION] agrees, as a representative of [NAME OF YOUR LIBRARY] will provide to Cornell University Library for the period ending July 2009 a final technical report consisting of the following: A description of your digitized collection in CONTENTdm, the quantity or total number of hours spent by individual staff persons involved in the project, the total number of records in the CONTENTdm database system, the total number of items scanned that are not in the CONTENTdm database system; a final financial report consisting of the amount of funds spent, and a copy of his/her time card, or a list of the days and hours worked Printed Name of Authorized Representative Signature of Authorized Representative Printed Name of Library Director or Dean Signature of Library Director or Dean Printed Name of Cornell University Library Authorized Representative Signature of Cornell University Library Authorized Representative Date ...
