Upcoming AIRS Data Management training ! ! 10am-12:30pm – Offered Online!! Registration Required March 15th, 2022, • • • • This hands-on advanced AIRS Training is designed for data managers and those interested in analysis of AIRS data This course will review ways and reports available within AIRS to effectively manage and examine individual client data Overseeing data from the agency perspective, data managers should also be familiar with the various areas of agency setup that could affect data collection and quality Proper agency setup will be reviewed as well as reports that focus on evaluating agency level data quality What might be of particular interest in this training is a review of the AIRS Data Extracts The AIRS Data Extrac ts are free standing tables and files users can upload into third party applications such as MS Excel and MS Access to create their own custom reports for analysis This course is for experienced users of AIRS It is not a data entry course Make sure you are signed up for the AIRSny Mailing List to hear about future trainings : http://www.airsny.org/training.html AIRS and ERA version and upcoming changes AIRS current version 9.0.38 (Released on 1/5/22) • Close Clients in Agency - Administrative Closure added as a reason code that can be assigned when bulk closing clients through this utility - Across all AI funded programs there are millions of open clients who have not received a service in over a year Agencies are STRONGLY encouraged to use this utility to improve data management and system performance ERA current version - 1.0.9.8 • If currently on 1.0.9.6 or later versions, please make sure to upgrade - Agencies who not upgrade may be getting inaccurate numbers for HIV testing when running CTR related reports - The Data Unit is available to assist you or your IT department with installing or upgrading ERA Please email: PreventionDataUnit@health.ny.org for assistance Reminder to submit your extracts on or around the 15th of the month • Data Entry for the previous month should be completed prior to sending - This is important for ensuring that internal reports run by the Data Unit and/or your contract manager are as complete as possible • If you currently have approval from your contract manager to submit on another date you can continue with that arrangement Page of 4 Reminder to upgrade your AIRS system • Even if the upgrade doesn’t include specific changes to screens that your program uses there are changes on the back end of the system that are necessary for your system to work correctly • Please ensure the version of AIRS matches the latest version listed at the beginning of each Prevention Monthly Conference call HCV Status Data Requirements – data entry and monitoring • • • Division of Prevention funded programs are required to enter and update HCV status for PLWHA on an annual basis Programs that provide direct HCV testing are encouraged to use information from those encounters to keep status information up-to-date Information is entered in the Hepatitis Status/Vaccination History module, and a new record should be entered for each update o More information is available in the attached Entering HCV Status Refresher webinar slide deck Page of • Programs are encouraged to utilize ERA to monitor completeness of HCV status data using the Clients Served with Missing or Outdated HCV Status report o This report will give you a list of clients served within the report date range o Filters are available for HIV Status and program, and can be modified based on the requirements of your funded programs Meeting Minutes Attachments • Entering HCV Status Refresher Webinar slides – please review to ensure that you are capturing HCV status for the required clients at appropriate intervals for your funded programs Next Prevention conference call is Monday, March 14th at 10am Suggestions for topics and trainings are always welcome!
